5.3 Kitchen Garden Committee Report

Presented by Shelley Smith. Everything is growing well and staff are planting new produce. We are hoping to have some more produce for the Open Day and intend to cook up some produce to sell. $220 of plants/succulents have been sold so far at the Mother’s Day Stall. The school has been asked if we would like to run the cake stall at the election on Saturday, 18th May (held at Padbury Primary School). At the last election, this was run by the Community Kitchen Garden Committee and we generated about $500 of income.

RESOLUTION: That the Kitchen Garden Committee run the cake stall at the election on Saturday, 18th May.

Carried

ACTION: Shelley to coordinate and put a request out for parents to bake. (Shelley Webb)

5.4 Fundraising Committee Report

No formal report as items are covered under General Business.

5.5 Running Club Update

Presented by Shelley Webb (in Crystal Connery’s absence). Due to a lack of volunteers, Running Club is now only held on Mondays. If there are any parents/carers who can help set up and run on a Friday, then please let Crystal know. Many parents/carers are dropping and leaving kids before there is a teacher on duty. Crystal is then assuming duty of care of all students on the oval. This makes it impossible to record laps accurately and ensure all students are safe and accounted for.

ACTION: Class reps to put a call out for volunteers to help coordinate Running Club on a Friday morning. (Class Reps)

6. General Business

6.1 2019 Fundraiser

6.1.1 Playground Upgrade

COORDINATOR: Alison Hayward Concept drawings have come through but no costings as yet. These will be sent out separately with the minutes. Suggestion that the Senior Students vote to choose which design they wish to see implemented. 3 main pieces of equipment have been suggested (see Appendix D for larger images).

1. Overhead Loop Climber 2. Funnel Net 3. Custom Rope Design OR a 2 Post Floating Log

Equipment is low enough to ensure only mulch is required underneath as opposed to more expensive soft fall surfaces. Equipment will be positioned to take advantage of existing shade from mature trees and also use flatter areas so there is less likely to be issues with earthworks. Estimated lead time from order to delivery of equipment is 6 – 7 weeks. Suggestion that we wait for the quote to come back on the earthworks/ground prep before placing any orders.

ACTION: Alison to provide an update on costings as soon as available. (Alison Hayward)

6.2 Term 2 2019: Key Items/Dates

6.2.1 Entertainment Book Update

COORDINATOR: Brendan Everett Rather than send a book home to every family, we are still looking to push digital memberships. If you are a previous Entertainment Book user through the school, then you will already be getting emails to sign up for the new book released in June.

ACTION: Brendan to provide another update at our next meeting. (Brendan Everett)

6.2.2 Cadbury Fundraiser

COORDINATORS: Hayley Duguid/Dayle Scarlett Of the 104 boxes we ordered we only have 6 left to allocate. We will start calling for monies around Week 8/9 of this Term. The 4kg box of Favourites will be used for a raffle later in the year. Boxes will also be sold at the election cake stall and Bunnings sausage sizzles.

6.2.3 Freddo Frog Days (Thurs, fortnightly from Week 4)

COORDINATOR: Alison Hayward Alison unable to continue as coordinator, so we will require another volunteer to take this on, however there will be a group of Year 6 students on hand to assist. Agreed to continue as per arrangement with this starting in Week 4.

ACTION: Class reps to put notice out for a volunteer to help run Freddo Frog Days. (Class Reps)

6.2.4 Mother’s Day Stall (Week 2)

COORDINATORS: Brendan Everett & Stephanie McCurdy Great to see some Dads step forward and help run the stall. Year 6’s acting as ‘Personal Shoppers’ and assisting the younger kids. Items are selling well. One more day to go before the stall closes.

ACTION: Brendan and Stephanie to provide an update on sales at the next meeting. (Brendan Everett/Stephanie McCurdy)

6.2.5 Spare Change Challenge (Week 4 – Week 10)

COORDINATORS: Penny Lee & Morena Howe All containers are ready for the classrooms and the posters are ready to go.

6.2.6 Movie Fundraiser “Aladdin” (Fri, 24 May – Week 4)

COORDINATOR: Shelley Webb Originally we were going to use Eventbrite but decided against this to avoid costs involved. There is now a letter being sent home similar to a lunch order form where families can list their tickets and refreshment choices. About 12 tickets sold so far. More promotion of the event is required to try and push sales so we reach the minimum requirement to get the best price on tickets. Shelley liaising with Warwick Grand Cinemas to ensure we have correct timings of the movie and can ensure families arrive in time to collect their tickets from her.

ACTION: Promote event on Facebook. (Class Reps)

6.2.7 Junior & Senior Discos (Fri, 14th June – Week 7)

COORDINATORS: TBC We’ve put out a request for volunteers and lots of parents have come forward but we still need a coordinator for the event as a whole. The coordinator would assist with picking up the keys to Padbury Hall and getting the sound system there, buy the refreshments and put together a roster for volunteers. Due to lack of volunteers and other events happening close to it, it was agreed to postpone the event and look to hold later this term. – Helen to check dates.

ACTION: Helen to check availability of Padbury Hall for the last 3 Fridays of Term 2. (Helen Hopkins)

6.2.8 Kitchen Garden Bunnings Sausage Sizzle (Sat, 29 June – Week 9)

COORDINATORS: Shelley Webb & Kevin Duguid Kirsten Barton happy to help pick up sausages and collect buns. Kevin has suggested we try a new approach for the roster and allocate sessions to parents from each class. 4 people from each class. Class reps to help source volunteers and coordinate.

ACTION: Kevin to send out a note on FB and engage class reps to assist in filling roster. (Kevin Duguid/Class Reps)

6.2.9 Sushi Day (Tuesday, 2nd July – Week 10)

COORDINATOR: Christine Reger After extensive research, agreement was to engage Sushi Blue in Kingsway who offer $3 for a 5 pack of sushi which we would sell at $5.

ACTION: Christine to organise posters, order forms and general info for parents with assistance from Shelley and Nichole. Christine to place orders and collect. (Christine Reger/Shelley Webb/Nichole Everett)

6.2.10 Big Fundraiser – Term 3

Nichole has researched Bogan Bingo with external providers and quotes have come in around $2000. 2 ‘entertainers’ from an agency would be provided for around 2 hours and this time can be extended if necessary. To make a saving, we could look to facilitate this internally by running something simple such as a quiz. A more affordable option which could raise us a good amount of income would be a ‘Races Night’. These start at around $350. You are provided with a DVD with 8 pre-prepared races, bookie slips, fake money, etc. Those attending can dress up as though they are heading out to the races. Something different that hasn’t been done locally before. We would look to offer a bar as other schools have commented that this is where money is made. RSA licences would be required but only cost $39 (previously $59). The school have offered to donate a staff parking bay for a period of time as an auction prize.

ACTION: Nicole to provide more detail at the next meeting. Fundraising Committee to work out a suitable date in Term 3 and decide on a venue. (Nichole Everett/Helen Hopkins)
