BT MeetMe overview.

• It’s simple to use — just send out your meeting invitation with dial-in numbers and participant passcode to the people who need to join your call.

Service features and touch-tone commands.

The BT MeetMe service with global access provides the following service features and touch-tone commands which the chairperson can use for controlling the conference via the keypad of the telephone:

Commands for chairperson and participants.

*0 Dedicated BT operator assistance. Establishes a connection to the BT help desk conferencing coordinator.

#0 Conference help menu. Lists all touch-tone commands available to the chairperson and the participants.

*4 Adjust line volume. Adjusts the volume of all lines used in the conference and sets them to a uniform level.

*6 Mute on/off. Reduces the background noise in a noisy environment. To deactivate muting, press *6 again.

Commands available to the chairperson only.

#1 Play roll call. Plays back the recorded names of the participants in the conference.

#2 Participant count. Captures the number of participants in the conference.

*2 Stop message. Interrupts all voice prompts or recorded announcements.

#3 Dial-out. Enables the chairperson to add additional participants to the conference. (This dial-out option is a service feature subject to additional charges.)

*5 Mute all participants/deactivate muting. Enables the chairperson to mute the lines of all participants. Using this option is particularly advisable during presentations. To deactivate muting for all lines, press *5 again.

*7 Lock/unlock conference. Enables the chairperson to prevent any further participants from gaining access to the audio conference by locking the conference. To unlock the conference, press *7 again.

*8Recording on/off. The audio conference may be directly recorded and after the end of the conference, the recorded file may be downloaded for archiving or storage. (This recording option is a service feature subject to additional charges.)

#9 Continue conference. Participants may continue the conference, even if the chairperson has left the call.

End conference. By using the ## command to end the call, the chairperson can disconnect all participants at the same time. A notification will be played into the conference when its duration reaches 180 minutes (three hours). The chairperson will then have one minute from the notification to extend the conference by pressing *1. If the chairperson doesn’t respond, then all participants will automatically be disconnected.

BT MeetMe also allows the chairperson to control the conference via the internet.

Desktop applications.

BT MeetMe with Skype for Business Online.*

Launch an ad hoc audio conference — BT MeetMe with Skype for Business Online provides integrated audio conferencing via fixed-line or mobile phone for Skype for Business Online meetings.

BT MeetMe for Microsoft Lync Enterprise.*

BT MeetMe for Microsoft Lync Enterprise is for organisations who want an integrated BT MeetMe service, including BT MeetMe with Dolby Voice, to extend the reach of their Lync on-premises solution.

*Must be enabled on a chairperson’s BT MeetMe account.

BT MeetMe with Skype for Business Online and BT MeetMe for Lync Enterprise are subject to availability in some regions. Please contact your BT account manager for further information.

BT One Collaborate productivity tools.

BT MeetMe web portal.

BT MeetMe web portal is a web-browser-based console that allows you to monitor and control your conference. It can be launched from your internet browser, Outlook toolbar or via a call start reminder feature pop-up.

BT MeetMe add-in for Microsoft® Outlook.

Make scheduling your conference calls easier by downloading the BT MeetMe add-in for Microsoft Outlook which automatically inserts your dial-in details, including global access numbers, into your Outlook meeting invitation.

BT MeetMe web portal.

The BT MeetMe web portal is a web-based interface that allows the chairperson to view and control their BT MeetMe conference call online and in real-time. There are no downloads specific to the BT MeetMe web portal.

The chairperson can launch the BT MeetMe web portal in three different ways:

• URL — the chairperson can simply navigate to https://my.webjoin.com/ or select the appropriate bookmark.

They will then be prompted to enter their account password which will allow the service to dial-out (if the individual has not already dialled in). Alternatively, they can skip this stage and just enter the monitor screen of the call (after entering their account password).

• BT MeetMe add-in for Microsoft Outlook — the chairperson must first download and install the BT MeetMe add-in for Microsoft Outlook add-in (subject to the terms and conditions of the End User License Agreement (EULA) presented upon installation. A copy is available upon request from BT.

Once installed, the chairperson can start a ‘join’ or ‘monitor’ session directly from Outlook, opening the BT MeetMe web portal at the ‘join’ or ‘monitor’ pages. This will automatically insert the BT MeetMe dial-in numbers and participant password in an Outlook invitation. Also, a selection of global access numbers can be selected from the add-in for participants joining from other countries.

• Call start reminder — requires BT MeetMe add-in for Microsoft Outlook to be installed. Just before the scheduled start of a meeting, a pop up alert on the desktop appears. The chairperson can elect to join the conference or view the conference to monitor attendees via the BT MeetMe web portal.

Mobile applications.

BT MeetMe mobile app.

• A chairperson using a iOS or Android mobile device can download the BT MeetMe mobile app. Once downloaded, the application will prompt for the chairperson’s BT MeetMe password and use either data or a wi-fi connection to synchronise with the core BT MeetMe service.

• The service will automatically configure the application with the individual chairperson’s BT MeetMe account details. Once configured, the mobile device will be in real-time contact with the BT MeetMe service. The application will then be accessible by the chairperson and will be tied to their BT MeetMe account via their chairperson password.

• Participants can join a call using the application and the participant code for the meeting.

The key features of BT MeetMe mobile app.

The following options are available via the application:

• Join — the chairperson is given the choice to dial out to him/herself on preconfigured numbers or on a newly entered number. Otherwise they can choose to dial in as normal from their device or via another phone.

• Monitor — the chairperson’s device will show the conference in real-time including who is on the call and their call status, as well as giving access to all the BT MeetMe conference features.

Access.

BT MeetMe web portal access.

Web-enhanced access requires a computer, an internet connection and Internet Explorer 8 or above (or the equivalent in Safari, Chrome or Firefox).

BT MeetMe add-in for Microsoft Outlook.

The add-in requires the following minimum specifications to operate:

• Microsoft .NET Framework 4.5 or later

• Windows OS

• PC running Microsoft Outlook 2010 (32 and 64 bit) or 2013

• Internet connectivity.

Chairpersons can install the BT MeetMe add-in for Microsoft Outlook by downloading and installing it from the online location provided in the welcome instructions. Or you can appoint an administrator to download the instructions file for distribution, and silent install the download to chairpersons through your desktop management solution. All downloads will be subject to the End User License Agreement (EULA) presented at the time of installation.

BT MeetMe mobile app access.

The following devices support the BT MeetMe mobile app:

• iPhone/iPad running iOS v7.0 or above

• Android v4.0 and above.

Supported carriers.

All wireless carrier networks are supported: GPRS, EDGE, 1XEV, 1XRTT– GPRS, Edge, 3G, UTMS.

Application size required: approximately 300Kb.

Toll inbound access.

With toll access, participants need to dial a geographic telephone number. Participants pay the cost from their calling location to the geographic number.

This access method applies for both domestic (relative to the bridge location) and internationally-based participants.

Domestic and international toll free inbound access.

With toll-free access, participants need to dial a domestic toll free number (DTFN) or an international toll free number (ITFN) serving the country where they’re located.

International direct dial inbound access.

Direct dial in (DDI) provides access to our audio conferencing bridges via our global network. DDI Service runs on our global managed voice platform — a robust, intelligent global network, owned and managed by us.

With our global direct dial inbound access, the participant dials an in-country number. The call is then routed through the DDI to the closest in-country BT switch. We then route the call over our network to our audio bridges that are appropriate for the customer (US, UK and Asia Pac). The participant only pays for the portion of the call that connects to our in-country switch.

Using DDI access, customers can provide participants with an in-country number, even though the call terminates abroad.

Dial-out access.

Dial-out is available as an optional feature of the BT MeetMe service.

Available to the chairperson only, this is initiated by a dual tone multi-frequency (DTMF) command on the telephone keypad once in the conference call. The chairperson validates their dial-out request by providing the participant passcode before being prompted to enter the number to be dialled. The chairperson is then returned to the audio conference and the new participant will be joined to the audio conference if they accept the invitation.

IP private circuit access.

We provide connection facilities to allow you to connect your network to our conferencing bridges as an alternative access method. The cost of the circuit provision, installation and ongoing rental to extend your network to our facilities and conferencing bridges is not part of the service and must be covered by you.

On-net direct access.

We can provide a dedicated connection from your private voice network to BT MeetMe. This on-net access is subject to our assessment of your minutes’ volume, IP-PBX infrastructure and the economic geographic reach of our node relative to your site. You can connect in more than one location.

This service will be subject to additional terms and conditions contained in a separate service schedule.

On-net VPN access.

We can provide access to audio conferencing services using one of our voice-capable virtual private network (VPN) products. This allows you to conduct conference calls using our conferencing interconnections with that VPN service.

A connection between our VPN and conferencing services allows the calls to route directly to our audio conferencing bridges. Callers using the VPN to access the BT MeetMe service will not normally need to use the public switched telephone network (PSTN).

On-net VPN service can provide access through BT One Voice or IP Connect — these services will be subject to additional terms and conditions contained in separate service schedules.

Both On-net Direct and On-net VPN support on-net dial-out access.

• BT MeetMe with Dolby Voice (if enabled on a chairperson’s account) delivers an exceptional audio experience, accessed via BT MeetMe web portal, BT MeetMe mobile app or Dolby Conference Phone.

• BT MeetMe video (if enabled on a chairperson’s account) lets you mix both video and audio conferencing, including Dolby Voice, on the same call. You can access the service via your web browser, IM client (Microsoft Lync/Skype, Cisco Jabber), dedicated video device, iOS or Android device. In addition, you can access more than 5,000 immersive devices via BT’s Global Video Exchange.

• By using web or video conferencing, you can enhance your BT MeetMe call and share information seamlessly while you talk.

Please note that web and video conferencing is a chargeable feature and that video hardware/equipment is required to enable a video conference.
