guidelines listed here will allow us to prepare and organize for your event in a timely manner, avoiding potential mistakes
and misunderstandings that can come from last minute changes.
FOOD AND BEVERAGE SERVICE: Please view these menus as suggestions; our culinary staff is happy to customize menus to
reflect your tastes and needs. As a standard, tables, chairs, linen tablecloths/napkins, glassware, flatware and china are
supplied. All food and beverage served must be provided by the Doubletree by Hilton Rochester - Mayo Clinic Area. No
food or beverage of any kind may be brought into the hotel by the planner or any of the planner's guests.
MENU: Menu selection and set-up details should be arranged at least 30 days in advance of your event. The Doubletree by
Hilton Rochester – Mayo Clinic Area Catering Menus are subject to a proportionate price increase based on the cost of
food, beverage and labor. Prices will not be guaranteed until 60 days prior to the event date. Pricing does not include 19%
service or applicable sales taxes.
GUARANTEE: The guarantee number must be submitted to the hotel four (4) business days prior to the event. It is the
responsibility of the group representative to provide the guarantee number. If a guarantee number is not provided four
days prior, the original agreed number will become the guarantee for the purposes of preparation and billing. Once guest
counts are guaranteed, they cannot be lowered. The hotel will prepare 2% above the guaranteed number. Changes to the
room set-up made after the guarantee may result in additional charges. Increases made to the guarantee within 24 hours
of the event start will result in an additional cost of $2.00 per person. The final billing will be based on the guarantee or
the actual number of guests served, whichever is greater.
DISPOSAL OF LEFTOVER FOOD ITEMS: Any and all food prepared by the Doubletree by Hilton Rochester - Mayo Clinic Area
and not served at the event remains the property of the Doubletree by Hilton Rochester - Mayo Clinic Area. Minnesota
Department of Health Food Code regulations and risk preclude allowing leftover food from leaving the premises.
SERVICE CHARGE AND TAX: All food, beverage and audio visual are subject to a 19% service charge. Sales tax on food and
audio visual is 7.625%; sales tax on liquor is 10.125%.
BANNERS AND SIGNAGE: No items may be affixed to the walls or doors. With advance notice, our engineering staff will
be happy to hang up one banner at no charge. Additional requests will incur a labor charge. All customer signage must
have the approval of the Doubletree by Hilton Rochester - Mayo Clinic Area prior to posting.
SHIPPING: If you are shipping boxes to the Doubletree by Hilton Rochester – Mayo Clinic Area, please inquire with your catering manager regarding our shipping policies and charges, if applicable. PARKING: The Doubletree by Hilton Rochester - Mayo Clinic Area is conveniently attached to the City of Rochester First
Street Ramp. Rates range from free (for the first hour) up to $13 (for over 12 hours). Complimentary parking in City of
Rochester Parking Ramps is also provided free after 5:00PM in the evenings and on weekends from 9:00AM until 2:30AM.
There is a charge of $13 for overnight (2:30AM- 9:00AM) parking in City of Rochester Parking Ramps. For your
convenience, parking incidentals may be included in event billing. Please speak with your catering manager for details.
RESPONSIBILITY: The hotel will not accept responsibility for damage to or loss of any merchandise or articles left in the
hotel prior to, during or following the event.
PAYMENT: Payment can either be in the form of cash, check or credit card. If direct billing is requested, credit history must
be submitted to the Doubletree by Hilton - Mayo Clinic Area at least 60 days prior to your event.
