A narrative follows: ___X__ Yes _____ No Submission Deadline: 1 April 2014 The Santa Clothes Project took 30 students from Lunalilo Elementary School shopping for school supplies and clothes. Each student got a $100 gift card to spend. The school picks the students based on need. This project involved our members, co-workers of members, potential members, 2 different interact clubs and club members from 3 other clubs. It is a yearly project that we have been doing for over 7 years. The Keiki Vision and Dictionary Project for Lunalilo Elementary School helped to screen about 90 students in the 3rd Grade. The students were also given dictionaries as a part of our dictionary program on the same day. This project allowed the school to identify about 50% of those students as needing additional vision screening. A letter was sent by the school sent to the parent with the results and informing them that their child failed the screening and needed additional screening by an eye doctor. There will be a follow up letter to try and determine if the children went for screening. There is information available to assist those that cannot afford the exam. Our Dictionary Project added one more school for distribution – Lani Kai Elementary Charter School. We provided dictionaries to all of the students of the school from 3rd grade and above, because there school was not serviced previously. Next year we will just provide them to the 3rd graders and continue on a yearly basis. Other projects include Salvation Army Bell Ringing with our interactors, dictionaries for Punahou 3rd graders, FoodBank Food Collection, Rotary Rice Rally, and assisting our interactors with the Relay for Life.

Assemblies: Assemblies were held to get as most members updated on information and progress with our club. District and RI International Convention promotion: Every opportunity to promote the conference and convention especially since the President will be attending both to put spirit in our members. Club Fundraiser event at Christmas: Our annual Christmas auction invites families and friends of Rotarians enjoy a holiday event to prepare for Christmas. Lots of great gifts to begin the season. Monies netted to be used for scholarships. Club event=winetasting with okonomiyaki:: An enjoyable evening with Rotarians,spouses, friends was had by all. Club Event-pizza at Round Table Pizza: Another enjoyable evening, relaxing over pizza, beverages, and great conversation.

A narrative follows: __s__ Yes _____ No Submission Deadline: 1 April 2014 Club Service Award Nomination-2013/14 The while a medium sized club, is very active and has a large impact upon the community and upon our membership. The club has a strategic plan which was developed with participation from the membership, and which has provided a template for the activities this year. We held three club assemblies which were well-attended, conducted on August 1, September 26 and on January 9. The club regularly promoted the District Conference, District Assembly and the RI Conference, and solicited member sign-ups for these events. Our club uses ClubRunner as our website, and updates regularly. In addition, our president sends weekly mailings to the members to provide an update on coming events. Our membership directory is comprehensive, useful and is updated quarterly or more frequently as needed. Our most recent club fundraiser was a successful golf tournament which provided funds for eleven scholarships, plus affording recognition to scholarship winners. This fundraiser involved very high club member participation. We have a talented club member who works with suggestions form members and his knowledge of the community to schedule interesting speakers for our meetings. These speakers are a highlight of our programs. For each speaker, books are donated by members for our speaker to autograph for presentation to the Kapolei High School business academy for their library. Families are encouraged to attend our events. Many family members attended our Invigorating Party, featuring Clint Schroeder as motivational speaker. Families also helped in our Rotarians at Work Day and our very successful Mini-RYLA project.

District 5000, Hawaii AWARDS SUBMISSION FORM 2013-2014 We are very proud of our successful projects. In addition to the golf tournament above, RCK held very successful events for the U.S. Veterans at Barber’s Point, where we provided meals at Thanksgiving and at New Year’s Day. On Thanksgiving, we also provided a range of toiletries and business clothing. Our dictionary project provided individual dictionaries and instruction to every third grade student at area schools. Our Mini-RYLA, which we combined with a work project for students and Rotarians at Camp Timberline, was a huge success, with nearly 100 student participants. We have proudly recognized Natasha Clarin as our District 5000 Spirit Awardee. Malia Schwartz is our Quiet Rotarian. Both are superbly qualified for these awards.

Our Club Administration program works off a design that has worked successfully for us since our move to Mulligan’s on the Blue Wailea in 2008-09. It aims to involve as many members as possible on the committee and club activities.. One member of the committee is responsible for assigning Club Duties, assigned randomly and posted on our website http://www.mauirotary.org and emailed to assignees. Members who cannot perform duties are responsible for replacement: e.g. March 13, 2013 Set-up: Carol Perry; Greeter/Inspiration: Jim Calandra; Cashier: Kim Dobson; Audio/Video:Stuart Karlan; Photographer: Cynthia Clark; Minutes: Carol Perry; Breakdown: Larry Shapiro. The Program Chair assigns the Speakers Chair for each month, who is responsible for recruiting speakers and placing PSAs in the Maui News and Maui Weekly. The website subcommittee is responsible for weekly updates to our website, our web-based newsletter, our web-based members-only membership database, and our social media (see Public Image). We also video our programs and feature them on the Newsletter. Newsletters and Program videos are archived on the website. Some of our members post daily on our website www.RCKW.org and our Facebook page https://www.facebook.com/pages/Rotary-Club-of-Kihei-Wailea/276278484495?ref=hl . Our website is now based on Club Wizard, so that member data, attendance, Ignite data are all available to members and the District Membership Chair. As a result of our Strategic Planning in 2012-13, we began to experiment with new approaches to our meetings. A number of members complained that there is not enough time for fellowship. We are starting meeting at 12:00 with 15 minutes of fellowship and ending at 1:30. We are already dark on 5th Wednesdays, with pau hana socials including family members and potential new members instead of our regular meeting. One of our most successful innovations has been to take advantage of Mulligan’s three flat screen monitors. Once we switched from the projector/screen format (which never worked very well in our sunny meeting room) to PC/HDMI projection, speaker PowerPoints are exponentially more effective. Moreover, President Stuart Karlan has brilliantly combined the new format with access to our website, newsletters, and Facebook page to present recaps of Club activities and announcements of upcoming events on screen using the internet sites (while at the same time marketing them Club members and our many guests). For examples, here is the latest version of our Home Page http://www.clubrunner.ca/Portal/Home.aspx?accountid=2162 and here is our FaceBook page: https://www.facebook.com/pages/Rotary-Club-of-Kihei-Wailea/276278484495 The CA Chair is generally responsible for the Club Socials and Fundraising subcommittees. Our upcoming fundraiser, Maui Melodies on March 29, will feature George Kahumoku Jr. and DJ celebrity (and Kihei Sunrise member) Dr. Love. Club member Mike O’Dwyer is the owner of our meeting venue, Mulligan’s on the Blue in Wailea, and also hosts of our fundraisers. President Stuart Karlan and Mike O’Dwyer created a new whiskey tasting fundraiser at Mulligan’s on December 6th. We plan to expand this event to include wine tastings and coffee tastings. We believe that the new “Future Vision” Grants structure will offer exciting opportunities to leverage club cash, but it has also presented new budget and administrative challenges. We have obtained a debit card for our TRF Grants account to accommodate internet purchases (Amazon) by the Club for DG project purchases. On April 21, we have arranged a reception and off-schedule Club meeting for our Sister Club from Nara, the Rotary Club of Kashihara.

We have been actively involved in their projects, and they are participating in school supply and food drives with our Club. Club Administration -

Effort to continue “One Community, One Club”. The idea was to get all 3 West Hawaii Rotary Clubs

working together for our community. While there were fewer activities this year, we have continued to

support each other’s fund raisers and continue communication about future joint activities. We st ill

participate together in the Christmas Parade and Food Drive . Our three clubs together raised over $16,000 in

cash and 22,000lbs of non-perishable foods for the Food Drive. Our club was also the primary organizer of

the joint club Polio Plus fund raiser.

We continue to grow our new membership category, called “Ohana Member”, for our snowbird members who

are with us several months of the year. They have permanent Ohana Member badges, attend meetings and

participate in activities. It allows them to continue to be active Rotarians while they are away from home.

One Ohana Member has transferred membership to our club because he finds he is able to be more active

while he is in Kona than he was at his home club.

Club Website: This year we increased membership use of Club Runner by keeping the calendar and members

up to date.

We have worked hard to build a relationship with our host Hotel, the King Kamehameha Marriott. As a

result, our meetings are very comfortable, and our food is great. The relationship is so good that the hotel is

now a corporate member and we have two regular attendees from the hotel.

We use Project Compassion events as an opportunity to get together and socialize. We have those events

once a month. We typically have 10 or so members there. Participation varies.

We have improved the check-in process by making all of the check-in electronic. We have implemented a

meal card which allows members to buy 5 meals at a time so that check-in requires only a punch of the card.

Check-in has become much faster. We keep the information on a spread sheet so that all information is

maintained in hard copy and electronically in DropBox.

We are setting up processes and procedures for club leadership and members. We have established efficient

and easy ways to share documents through DropBox and Smartsheet, both cloud and internet based systems.

• Rotarians will be hosting members from the Friendship Exchange from Australia in their home

– CLUB SERVICE NARRATIVE DESCRIPTION Created a new Strategic Plan for the Club before this RY started; attended by all board members. The session lasted ½ a day with Nancy Varner conducting the session. We published the results and began implementation. The second ½ of the day was the follow session to establish the budget for the RY with the strategy fresh in our minds.

We conducted 4 Club Assemblies for this RY. The first was on 10 MAY 13 (for the new budget presentation to the entire club, then 19 AUGUST 13 for the DG’s visit, the 27 JAN14 to vote on the new officers and board, then 3 FEB 14 for the club’s mid-year review, and again we have scheduled 12 MAY 14 for next year’s budget presentation.

Have shown slides and encouraged the wearing of a Rotary pin. Various pins have been distributed this year – many PHF pins have been earned, and more than one pin per member of the “Engage Rotary, Change Lives” pins have been purchased and distributed.

Promoted the District Conference and RI Convention in weekly meeting slides and emails. The President, PE and one member will attend the District Conference so far. The CD has been shown to the club and the President has informed members who have never attended, what happens at a District Assembly. Attendance is still being encouraged. District 5000, Hawaii AWARDS SUBMISSION FORM 2013-2014 Two major club fundraiser events: SWIRLS (April 26) and Harmony on Ice (June 2). Jeff Deer is our Program Director and coordinates all speakers. The President publishes the speaker schedule. Members also suggest speakers. Our “calabash” member often asks our speakers to speak at his home club. So we provide quality speakers to two clubs! J

Held 6 joint club meetings and events: 1) meeting with RC’s Mililani, Pearlridge and Wahiawa at Pearl CC; 2) work project with the RC Waianae at the Waianae Watershed rehab; 3) meeting with RC East Honolulu at Oahu CC; 4) joined Mililani at IHS for feeding the homeless; 5) joined RC Windward Oahu at a Christmas party; 6) meeting with RC Hiroshima Tonan. We include members’ families at SWIRLS where we have a reduced rate for minor children, as well as our plant tours and follow on lunches.

Ernest Anderson, our Club Service Director, Seniors’ Luncheon Leader and TRF Chairman has been submitted for the Avenues of Service Citation.

Dudley Fullard-Leo, and major donor to TRF and unsung supporter of club dictionary purchase, as well as participant in the Seniors’ Luncheon and other projects has been nominated in this submission for the Quiet Rotarian Award. Jeff Deer, our Program Director, part-time SAA, and emcee for all major events, has been nominated in this submission for the Rotary D5000 Spirit Award.

District 5000, Hawaii AWARDS SUBMISSION FORM 2013-2014 Overview. Even though we had four quarterly presidents, club service was maintained at a high level. For example, the Strategic Plan was updated at a Club Assembly, one of three assemblies this year. We also returned to a weekly Club bulletin, which we used to promote upcoming club projects, the District Conference, and the RI Convention. Our Secretary, Treasurer, the four Presidents, and PDG Dick Mosko worked diligently to keep the club directory current and distributed. The Programs Chair used a proven method to schedule and coordinate weekly speakers. Club fundraisers. Upon hearing of the new goal to raise money for Polio, PP Doreen took the initiative and made her signature tsukemono (pickled vegetables) and sold it to club members. Doing this twice, she raised and also donated her own money towards this year’s PolioPlus campaign for a total of $411. During the Holiday party, we held a White Elephant auction and raised $165. Fellowship activities / Special Club activity including members’ families. We had four (4) fellowship activities, which were held in the evening to come together, celebrate being Rotarians, and also mark the transition of one quarterly president to the next. The first fellowship activity was Oktoberfest Potluck at President Lasar’s house, in which 15 members, their spouses, and children showed up, along with members from Mililani Sunrise and Pearl Harbor, to enjoy good food and a bunch of laughter and smiles. President-Elect Jarrett was subsequently installed to govern the second quarter . The second fellowship activity was our annual Holiday party at Skip and Itsuko’s home off the Pali, setting up for President-Elect Doreen, who took the reins as soon as the New Year began. The third fellowship activity consisted of two Spring get-togethers, first at President Doreen’s home--where she cooked a hearty meal and the attending presidents and Treasurer Ralph discussed budget, strategic plans, and preparations for 4th quarter. The fourth fellowship activity was held at Alex’s home where he hosted an annual wine tasting event with all members. Joint Club events. These joint club events raised our level of awareness of District fundraising and North Cental Oahu (NCO) club networking and coordination. We formed two teams for the Strike Out Polio fundraiser in October, joining other District 5000 clubs. We banded together again in January to raise $1100 for the Rotary Rice Rally. Our joint meeting with the other NCO clubs was held in November to host University of Hawaii (UH) Athletic Director Ben Jay to discuss the UH Rainbow Warrior season, economics and the importance of Hawaii fan loyalty to the State of Hawaii. District Assembly. Per Strategic Plan objectives, our club made a commitment to learning as much as possible about the Rotary Avenues of Service, Foundation, Qualification, and Tax Obligations. Thus, we attended the District Assembly in full force, with ten (10) members, representing 100% of the

participating from start to finish. We also attended the Membership and Foundation Seminars, as well as the President’s Meeting on the way to Turtle Bay for a site survey. Increasing knowledge of Rotary among our membership will undoubtedly build a strong base for our future leaders and future contributions to Rotary Foundation. Recognitions. For the Quiet Rotarian Award, we recognized Linda Tsark, the new member who led our Dictionary Project for an unprecedented 12 schools. For the D5000 Spirit Award, we recognized Dr. Skip Suzuki who quietly went above and beyond to put on a successful Wine Tasting event as well as publish the weekly bulletin. The club continued to recognize members for their birthdays and anniversaries, sightings in the newspaper and media, and for Rotary recognitions such as Paul Harris, during the meetings as well as in the weekly bulletins.

BBQ at members’ home for returning exchange student from Denmark and his family. A catamaran sunset cruise for members and families on member’s boat Holo Holo Charters. An offsite meeting at the National Tropical Botanical Gardens with families and guests invited. Upgraded club By-laws and Constitution. Developed a 3 Year Club Strategic Plan. Updated it quarterly. 3 Club Assemblies, 2 on coordinating fundraisers and 1 on membership. Participated with other clubs on the island at parties (summer BBQ, Chinese New Year), potluck with the DG, and fundraisers (Polio Plus). In honor of Rotary Family Month, we had opportunities for Rotary families and friends to have 5 great opportunities in December for service and fellowship. All Kauai Rotarians and their families and friends marched in the Lights on Rice Parade in Lihue on December, along with DG Phil Sammer. Our club officer elections for 2014-2015 were held on December 18. We had three off-site meetings at member’s businesses. We sponsored the Rotary float at the Rose Parade.

We had the 57th annual David Malo Award program and we had fellowships. We keep everyone engaged with a weekly bulletin and facebook and we have interesting speakers each week. For our signature event in November, the David Malo Award banquet, we recognized Richard “Buffalo” Keaulana and Joseph “Nappy” Napoleon Jr. For 57 years, our club has recognized an individual of Hawaiian ancestry whose accomplishments and life have portrayed the idea of high achievement in such fields as art, music, dance, education, science, community service, government, religion, business or sport. Co-Chairs Dr. Nalani Blaisdell and Richard Ing, organized the event, which was attended by almost 200 people. Past recipients included Oswald Stender, Judge William Richardson, Genoa Keawe, Abigail Kawananakoa, Danny Kaleikini, Senator Daniel Akaka, Herb Kane, and many more. This event is a great to see old friends and network. As a tradition, we have gone Christmas caroling just before our a holiday celebration. For the past years, we have visited Hospice Hawaii, but this year, we went to the Manoa Cottages in Kapahulu and sang for the elderly residents. Our holiday celebration at Oahu Country Club proved to be joyous with our in-house stand-up comedian, John Choi, and our serenaders. The Rotarian families and friends joined in the celebration. To celebrate Chinese New Year’s, we organized a joint meeting on January 25. Members from the Metro, Downtown Honolulu, Honolulu Sunrise and Rotary Clubs gathered at the Empress Restaurant for a delicious chef-selected Chinese dinner, complete with wine pairing. We were visited by a lion troupe to bless the group. Those drums and cymbals, certainly sent good vibes throughout the group. After dinner, members could stroll among the many vendors at the Chinese Cultural Center. We have a committee to select interesting speakers at the weekly meetings. We try to bring in speakers that pertain to the Rotary monthly theme, such as Marco Schlesser for Membership month, Claude Thompson for New Generations month, Christy MacPherson from Family Promise for Vocational Service month, Rich Zegar for Foundation month, Suzanne Skjold from Hawaii Literacy for Literacy month and Chris Malano from the United Nations Development Goals group for world understanding. We have entrepreneurs, non-profit groups, and many others to expand our horizons.
