1. Consolidation Introduction Consolidation:- It is used for either external (statutory) reporting of accounts as well as internal (management) reporting

A statutory (or legal) consolidation refers to company consolidation and business area consolidation for the group's balance sheet valuations in the consolidation group currency.

Internal or managerial consolidations such as profit center consolidation are used for controlling areas of corporate enterprises.

The main focus of the consolidation tasks is on the elimination of the effects of the delivery of goods and services within such enterprise areas.

So we have three types of consolidation that can be done1) Company consolidation2) Business area consolidation3) Profit center consolidation

This example is on Company consolidation

There are many tasks (activities) to be done in EC-CS for Consolidation. 1) Financial Data collection into EC-CS 2) Carry forward of Balances required for the first period of every year3) Validation of the data in EC-CS using validation rules4) Standardisation of financial data: Posting Manual Adjustment entries to eliminate any

discrepancies etc. 5) Currency Translation into the Consolidation group currency6) Again validate the data post adjustment entries and Consolidation 7) Preparation for Consolidation group changes if the group structure changes due to

disinvestments etc.8) Roll up: To summarise CS unit data for speedy reporting.

The first activity is to get the data into the EC-CS module. Data is stored in the EC-CS ledger. From there the data is subjected to the tasks (2 to 8) mentioned above. This document as yet covers only the collection of Financial data using the real time update.

The Financial data too has two classifications a) Normal financial data from SAP FI with the totals or journal postingsb) Additional financial data: This pertains to data regarding Interunit Purchase sale,

Investments in Group companies, Interunit profit and loss elimination. These too have to be collected in addition to the normal data for purposes of consolidation.

This document as yet covers only the collection of Normal Financial data using the real time update. Also we have attempted only Company consolidation

The following methods are available for collecting data.

Method Use Remarks

Options with FI data from SAP Systems

Realtime update You can use this method for integrated data collection if one or more units keep their financial data in the same SAP

The G/L-related postings are updated in the Consolidation system in "realtime".Real Time could be

system and client.Restriction:You cannot use this method for profit center consolidation.

A) with creation of journal entries in EC-CS and postings to total ledger

B) Without Creation of journal entries but postings to the total ledgers

Periodic extract You can use this method for integrated data collection if one or more units keep their financial data in any SAP system.The data collection takes place with an extract from the consolidation staging ledger ((stored in ledger 9).Restriction:You cannot use this method for profit center consolidation. In addition you cannot copy the functional area, as this field is not contained in the totals table of the consolidation staging ledger.

This method allows you to run data collection for a single unit as well as an entire group.

Rollup With this data collection method, you can transfer the reported financial data from any ledger into Consolidation.Note:You can transfer the reported financial data for integrated profit center consolidation per rollup from the profit center ledger.

 

Options with FI data from non SAP Systems / SAP system

Offline data entry, flexible upload

If the financial data is on an non SAP system and has to be uploaded into EC-CS

Get the Consolidation FS item in a File and upload it into EC-CS. This method allows you to run data collection for a single unit as well as an entire group.

Online data entry Manual data entry using data entry layouts is available for any consolidation scenario.

Its sort of a direct entry into the CS of the FS item wise totals and other data. Perhaps you could write a BDC to push data in.

2. Master Data – Organisation units, Chart of Accounts, FS items There is to clear assignment of the organisational units in SAP R/3 FI and in EC-CS.

2.1 Organisation units 2.1.1 Company Code in FI

We have used the Copy functions to create the above Company Codes from the SAP Delivered company Codes.

2.2 Chart of Accounts. You have three Chart of Accounts in operation here

Assigned to the Company code ( T Code OB62)

Assigned to the Transaction Chart of account (Tcode OB13)

The consolidation chart of account is assigned to the Transaction Chart of accounts (Tcode CXNF)

GL Account The GL accounts of the Group chart of accounts is assigned to the Master data of the Transaction Chart of accounts (T Code FS01)

The FS item number in Consolidation chart of accounts is the same as the number of the Group Chart of accounts GL account

2.2.1 Create a Transaction COA and the GL accounts for the company code

(T Code OB13, OBY7). We have used an existing COA: INT and CAUS

2.3.4 Create the FS items for the Consolidation Chart of account

Note: The FS item number in Consolidation chart of accounts should be same as the number of the Group Chart of accounts GL account. i.e Group GL account 110100 in Consolidation COA (CONS) is FS item 110100 in Consolidation COA

2.4 Dimension This is used to represent each type of consolidation; for e.g. company consolidation, business area consolidation etc. It defines corporate structure as a hierarchy of consolidation units and consolidation groups.Consolidation- ----- Master Data----- Define dimensions

The field length of the consolidation unit and group are defined. Also the screen selection is defined.

2.5 Ledgers Transactions are stored Ledger wise in EC-CS. A ledger represents transaction figures & documents and changes resulting therein from accounting documents.Consolidation ----- Master Data----- Currencies ------- Define Ledgers

Observations: Unless you tick the Write line items – Real time entries will not be generated. The currency maintained here represents the consolidation group assigned to this ledger report their financial data. This is automatically pulled up when defining the group.

2.6 Creating the Consolidation group and the Consolidation unit

2.6.1 Consolidation Group This represents a grouping of consolidation units for the purpose of consolidation and reporting.Consolidation ----- Master Data----- Organizational Units---- Consolidation Groups

Create the top most node: Z2 Consolidation Test

Create the Consolidation Group: ZCGIA1 and ZCGIA2

A hierarchy is formed for reporting.

Assign the Consolidation Ledger to the group. The currency dictated by the ledger currency. So if you require a separate currency for another consolidation group then you will have to create a different ledger with a different currency.

Tax rates are maintained and currency translation methods are defined. Translation methods are used for Currency translations between local currency to Group currency. This will be used during final consolidation (not required at the moment for this e.g.)

The period for which the consolidation is valid is maintained with a consolidation group and unit assignment.

2.6.2 Creating the Consolidation units A Consolidation unit is the smallest element in the hierarchical corporate structure on the basis of which the consolidation is performed. It can be represented by company, or business area or profit center. .

You can create the consolidation units by clicking on the Push Button ‘Companies’The list of Companies Created in Enterprise structure is displayed here. Select the companies for the consolidation group.

Observation: The number of characters selected is dependent on the Derivation rule The consolidation unit is derived from the key of the FI company and the derivation rule you specify (Consolidation-----Integration: Preparation for Consolidation -----Preparation in the EC-CS Consolidation System -----Converting Organizational Units---Define ID combination rules) - see section 6.1

Say the Company is ‘ZCOEU1’. If in the ID rule you specify 5 then in the hierarchy only ZCOEU will be displayed. If you want ZCOEU1 then you have to specify 6. The following table explains the derivation of the Consolidation unit from the derivation rule.

Financial data type: For determining the layout during online entry of data. Not required for this example Tax rate: Used during final consolidation.

Observation: The method of update (Real Time ) in consolidation is maintained here along with the type of consolidation. Unless this is maintained no data will flow to EC-CS from FI.

2.7 Consolidation chart of accounts This is classification of FS items based on the requirements for either legal requirements or internal reporting requirements. There could be multiple chart of accounts within a single dimension.Master Data ----- Financial Statement Items---- Define Consolidation Chart of Accounts

We have created Z1 as the Consolidation Chart of accounts. (Copied from 01 Consolidation chart of accounts)

Observation Break Down category: This is to have a further break up of the FS item based on some categorisation - say regions, Functional areas, Type of transaction etc. For E.g. In the case of Assets the following applies

The Sub item category is assigned to the Break Down category. The sub item could be a) Transaction type: Assigned to assets for which transactions can be identified by the transaction type Acquisition, retirement etc. b) Regions: If you want to have sales by region then you assign this sub item type to the Sales FS item.

This needs to be done for all purposes in consolidation. We have selected realtime update

Observation: 1) Unless this step is done data does not flow to EC-CS. 2) The fiscal year variant should also be the same. This is an important point to note. – there are some implications of different fiscal year within the same group. This needs to be further explored!!!!3) If the check box for Treatment of Errors Real time update: errors trigger express mail is ticked then mail is sent to the user showing any errors on the updates in consolidation.When we did not assign the Chart of accounts to the Consolidation chart of accounts we received mail in the inbox describing the error.

Definition of data streams from the above screen…..The Consolidation type is linked to the dimension and for the same we assign the active data stream. This specifies which Consolidation Chart of accounts is updated when transaction data is passed to EC-CS. We can assign more than one Consolidation Chart of accounts here if we want to for real time update.

7. Checking the assignments Most of the Customisation related to Real time update is done. To check if the assignments are correct:

Preparation in the Consolidation System----Copy Organizational Units----Evaluate the Master Data of the Organizational Units.

Observation : If this report does not show any output then the configuration will have to be revisited.

8. FI Postings updated in EC-CS.8.1 Carry out a FI GL posting in FI.

ObservationDo not post the Debit and Credit to the same Group Account to nullify and have an effect of Zero Balance. You will not see any record in EC-CS. The Document numbers are used from the range but no posting is made to EC-CS. Choose different Group accounts for the debit and the credit.

8.2 Updates in EC-CS

Check Table ECMCA for the journal postings

Check Table ECMCT for the Total Posting

8.3 Check postings in EC-CS/ Manual subsequent processing

You can check whether the documents have been posted using the following Or In this step you can subsequently post FI documents. This can be used to rectify error postings. The following documents can be subsequently posted: o General Ledger documents o Documents that originated from Asset Accounting o Documents that originated from Materials Management or Sales & Distribution.
