A BIT ABOUTCYCLING SAFARISWe enlist the help of the fantastic team atCycling Safaris to plan our route andmanage all aspects of our cycle for theentire duration of the trip.

Cycling Safaris have been organising biketours in the west coast of Ireland since 1989.Since then they have expanded their cyclingholidays to cover the length and breadth ofIreland as well as numerous locations all overEurope. The Irish Hospice Foundation hasbeen working with Cycling Safaris from thebeginning of our annual cycling challengesback in 2009. This San Sebastian to Barcelonacycle will be our 9th adventure with them andwe are very pleased to have them on theteam again.

Cycle Challenge 2014Join the Irish Hospice Foundation (IHF)for the challenge of a lifetime and takeon our 2014 Atlantic to Med Challenge,from San Sebastian to Barcelona!

Travel from ocean to sea by bike, while taking in all thatNorthern Spain has to offer. This cycle route is a mix ofdays cycling beside the foothills of the Pyreenes toriding across the plains!

Departing from Dublin on Saturday 19th July, we will flyto Bilbao and travel to our hotel in San Sebastian. Thefollowing morning we will begin the first of five dayscycling through beautiful Basque style towns andvillages, before spending our first night in Pamplona,famous for its charm and the running of the bullsfestival!

From here, we leave the city following the river Elorzand take in some very scenic views of mountains beforefollowing the edge of the Embalse de Yesa, a welcoming large man-made lake.

Leaving Murillo de Gallego, with the terrain losingheight, we continue through lovely quiet backroadsacross the plains that link together small villages andunique heritage sites.

As we move toward our final destination we see awonderful backdrop of mountain scenery and forestedroads and as the mountains give way to the foothills,we start to pick up views of the fabulous cultural city ofBarcelona!

You will be cycling a total of 700km (incl. climbs) or550km (ex. climbs) over the five days, while raising vitalfunds for the Irish Hospice Foundation’s work to ensurethat everyone in need has access to hospice care.

There will be options along the way for those who arekeen and capable cyclists to tackle the Pyreenes andtake on the Vuelta climb and the Coll de Jou, beforearriving into our final destination – the beautifulBarcelona.

You can then look out onto the Mediterranean andsoak up the atmosphere as you contemplate thechallenge you have just achieved and conquered!

SAN SEBASTIAN

to BARCELONA

San Sebastian to Barcelona Cycle 2014The challenge is to ride from one coast to the other, essentially from San Sebastian on the Bay ofBiscay to Barcelona on the Mediterranean. Although not flat, the basic route sticks to the foothillsof the Pyrenees and does not seek out any great climbs. The route in fact mixes days of beingbeside the mountains to riding across the plains. As always, we do cater for thrill seekersamongst us and there are options for the more experienced cyclists looking for a greaterchallenge to tackle some hillier terrain in the Pyrenees. Although, perhaps notas well known as the Tour de France climbs, the Vuelta still offers an excitingcycling experience and features some challenging climbs!

ITINERARY

We set off from Dublin Airportfor the short flight to Bilbao. On arrival you will be collectedfrom the airport and transfered(1hr 25mins) to our hotel in SanSebastian by coach. You will bereunited with your bike at thehotel as all bikes will have been shipped from Dublin by CyclingSafaris. Known as Donostia in Basque, San Sebastian isprobably one of the most wonderful cities in Europe. Thefabulous Playa de la Concha Beach sweeps around in a curveseparated from the lush surrounding countryside by acosmopolitan old town. It is in the old town that the famouslocal Pintxo can be tried.

A challenging day ahead as weleave sea level and follow the rioUrumea into the surroundinghills passing the Parque Naturalde Aiako Harria where pine treesof the park offer passer-by’ssome cool shade. Those lookingfor some optional afternoon climbs can take on El Hachueta,from the Vuelta at 12km long and an average gradient of 7.4%. Our resting place that evening is Pamplona. It is known theworld over for its running of the bulls festival. But once themadness of San Fermins is over then Pamplona is a charmingcity with great food and friendly people. It is the first main cityon the Way of St James (Camino de Santiago) and has abeautiful medieval centre, historic citadel and many parks.

We leave the city following theriver Elorz. Along this road, wewill take in some beautifulmountainous scenery beforefollowing the edge of theEmbalse de Yesa, a large manmade lake. Our route then headsthrough the village of Murrilo offering great views of thespectacular conglomerate rock formations of the Mallos deRiglos. Our destination is Huesca, a charming medieval townwith a lovely cathedral.

Leaving Huesca we follow sometranquil backroads across theplains that link together anumber of small medievalvillages. Our Lunch stop isMonzon, notable for its castlebelonging to the KnightsTemplar. As we cycle on the arid like landscape starts togive way to the mountains of Lleida. Balaguer is ourdestination point for day 4, and has much to offer.There is a wonderful atmosphere here as Balagueroffers a unique heritage and boasts a Moorish Quarter,Jewish Quarter and medieval quarter as well as agothic cathedral.

Another climbing option is onoffer today for those wishing totackle the Coll de Jou. At 6km itis not the longest climb, but it is7.9% average. There are alsotwo climbs to get to the start, soan additional 1100metres and45km are added to the day making it a verychallenging but satisfying climb. The town of Cardonais a wonderful historic place boasting a spectacularcastle originally constructed in the 9th century. Thiscastle is also the stunning Parador Hotel and ouraccommodation for the night!

The last day sees us venture intothe Sant Llorenç del Munt il’Obac national park. Here thereis a wonderful backdrop ofmountain scenery and forestedroads. And as gradually themountains give way to foothills,we lose elevation and start to pick up views of our finaldestination as the city of Barcelona opens up before us!

INFORMATION WEEKEND

An Information Weekend will take place in May 2014, and is anopportunity to meet the IHF team and Cycling Safaris as well asother participants. We can answer any queries you may have,give you advice on equipment and training and give youadditional information about the trip. We will also have amodest cycle on this day. This is a really useful day to pick uptips and advice on the route, training and your fundraising. We strongly encourage you to come to the InformationWeekend as it provides an important and valuable opportunityto discuss all matters of the cycle. This is a great chance to getwell acquainted with everyone involved in the cycle and anopportunity to gauge your fitness levels! All presentations from the day will be made available toeveryone afterwords, however this does not replace the valueof being there in person.

PRE TRIP BRIEFING

A detailed pre trip briefing will be sent outto participant’s approximately one monthbefore departure with all the necessarydetails including travel arrangements.

HOW DO I SIGN UP?The total participation fee is €2,950 for the San Sebastian to Barcelona Cycle challenge.

Team DiscountOFFER!Sign up as part of a team of 4 ormore (this can include previousparticipants) and receive adiscounted Participation Fee of€2,650 per person. Sign upbefore the 4thApril 2014 to availof the discounted rate.

The Total Participation Fee of €2,950 is split intotwo elements:

n Tour Cost of €1,000

n Sponsorship of €1,950

The Tour Cost of €1,000 must be paid as follows:

n Registration Fee of €250 on sign-up.

n Balance of €750 due 14 days after receipt ofRegistration Fee

Note: Tour Cost of €1,000 can only be guaranteed up to4th April 2014.

The Sponsorship of €1,950 must be paid as follows:

n First payment of €975 due 23rd May 2014

n Second payment of €975 due 27th June 2014

DISCOUNTED RATES:Participants can avail of a discount of Sponsorship (€1950reduced by €300 to €1650) by availing of ‘Refer a Friend’ or‘Team Discount’ in which case each of the Sponsorshippayments above are reduced to €825 each.

This Fee can only be guaranteed for participants that register and pay their Registration Fee byFriday 4th April 2014. This is because the costs of flights and accommodation increase the closerwe get to departure date.

We at the Irish Hospice Foundation (IHF) need your help to ensurethat everyone has access to hospice care when and where they needit. We believe that this is a right. However, the reality is quitedifferent. Sadly, access to hospice services in Ireland today largelydepends on where you live, and your illness. We are working tochange this and we can’t do it without your help – but together wecan do it.

This July (19th – 25th), cycle across Spain from ocean to sea (SanSebastian to Barcelona), all the while raising vital funds for the IHF’sNurses for Night Care service.

Quite often people die in a setting that is not their first choice.Currently 66% of us would choose to die at home if given achoice, but the truth is that only 25% of us actually do so atpresent.

We are trying to change this!

The IHF’s Nurses for Night Care is a free service that providesnight time nursing care in the home to people with diseasesother than cancer who are at the end of their lives. This serviceenables more people to fulfil their wish to die at home withdignity.

Nurses for Night Care works across Ireland, reaching every county.

The Nurses for Night Care service facilitates, where possible,people’s choice to die at home. Night time can be a vulnerable timefor people who are at the end of life and families, with fewer servicesavailable to them. But our service maintains the continuity of carethat this person has experienced during the day, supported by thepalliative home care team and surrounded by family.

These nurses stay in the home throughout the night, providingnursing care, practical support and reassurance to both the personwith the life limiting disease and their family. The service is a verysignificant support in providing respite for families, as they in turncare for their loved one at what can be a very difficult time.

The demand for this service is increasing yearly, and in order to fundthe service in 2014 we must raise €410,000! With your help we cancontinue to increase our fundraising and reach our target for this vitalprogramme.

By signing up for the San Sebastian to Barcelona cycle you can helpus make a difference.

Each day spent in the saddle will mean at least one night of comfortand reassurance for a those nearing the end of life and their family.The amount raised by each cyclist (after costs) will fund six nights ofnight time care.

n TRAINING SUPPORTThis cycle crosses the naturally undulatingterrain of Spain. Although not a flat routewe will stick mostly to the foothills of thePyrenees and not seek out any great

climbs. However for the more experiencedcyclists and those looking for a greaterchallenge you can tackle some hillierterrain in the Pyrenees. It has to berecognised that strong legs and a goodcardiovascular fitness are essential - youwill be in the saddle for approximately 6hours a day. We can provide you with thefollowing support to help you train:

• Professionally prepared training guide• An information weekend that includes aquestion and answer session with eventstaff.

• A list of regular open cycling events tohelp with your training.

Self motivation is essential!

n SUPPORT TEAMA support team of several staff andvehicles will organise the ride and beresponsible for:• Transporting your bike to and fromSpain.

• Transferring your luggage from hotel tohotel.

• Mechanical support.• Medical support.• Signing the route.• Organising water/snack and lunch stops.

n FOOD & ACCOMMODATION• Accommodation is provided for everynight of the trip. It is shared twin roomsin 2H, 3H or 4H hotels. Please indicateanyone that you would like to share aroom with on your registration form.Single rooms are available for anadditional fee. If you choose to stay onfor the weekend in Spain, you will beresponsible for organising your ownaccommodation and flights.

• Water/snack stops. At least 2 stops (onein the morning and one in the afternoon)will be organised on each day of cycling.Snack stops will consist of energy bars,fruit, and other snacks suitable forcyclists. However if you have particularsnacks you eat whilst cycling werecommend you bring them along foryourself.

• Lunch. Lunch stops are organised to takeplace in Cafes/pubs, consisting ofsandwiches/baguettes. As we arestopping in small villages for only brieflunch stops it is not practical to have ahot meal at the lunch stops. Lunch is notprovided on day 7.

• Dinner. On days 1, 2, 3, 4, 5, 6 dinner willbe provided to the group either in alocal restaurant or in the hotels. On day7 participants are responsible for buyingtheir own dinner.

• Special dietary requirements.We are onlyable to accommodate food allergies,specific diets i.e. vegetarian, vegan,and/or religious or medical dietaryrequirements, personal preferencescannot be accommodated. Pleaseremember to fill them in on the medicalquestionnaire that you receive once youhave registered. If any individual hasparticular snack preferences they shouldconsider bringing a quantity with themon the trip.

n TRANSPORT• Flight to Bilbao on 19th July and returnflight from Barcelona 25th July (includedin cost). For those staying on for extranights you will receive a credit amountas determined by the Irish HospiceFoundation for the cost of the flight. Youmust make your own return flightarrangements.

n WEATHERCycling at this time of year is usuallypleasant and sunny, but you should comeprepared for all weathers. Ensure you havepacked a waterproof cycling top andsunscreen.

n BIKE INFORMATIONYou will need to bring your own bike toCycling Safaris in Dublin approximately 1week in advance of the trip for it to betransported to Spain. Please ensure that ithas been recently serviced. We willarrange for your bike to be transportedsafely back to Ireland where it will beavailable for collection from Cycling Safraisin Dublin.

n WHAT IS NOT INCLUDED?• Travel insurance – mandatory – youmust provide us with evidence of yourcover. Note: You will not be allowedparticipate in the trip without Travelinsurance.

• Bike insurance• Personal spending money• Lunch and dinner on day 7

QUICKFACTS

1. Anyone taking part in this event are acting as volunteersfor the Irish Hospice Foundation and are responsible forand obtaining all necessary permits and permissions inrespect of public collections.

GENERAL

2. The Irish Hospice Foundation has appointed Irish CyclingSafaris Ltd (The Company) to organise transport,accommodation, a medic and guides for the IrishHospice Foundation Cycle Challenge (“the Event”) andaccepts no liability for any loss or damages howsoeverarising or for cancellation of the Event for any reason.

3. The Irish Hospice Foundation has no control over theorganisation and running of the Event and allparticipants take part at their own risk.

4. The Irish Hospice Foundation has no control over whathappens on the Event from the time it departs fromDublin to the time of its return to Dublin. The IrishHospice Foundation is, therefore, under no liability incontract, negligence, or otherwise for any matteroccurring during those dates or for any loss or damagesustained by any participant during those dates. Anycomplaint must be notified directly to the Irish CyclingSafaris Ltd within 14 days of the end of the Event, inaccordance with Irish Cycling Safaris Ltd BookingConditions below.

REGISTRATION FEES AND DONATIONS

5. To secure your place you will need to: Fill in and returnthe enclosed registration form by 4th April 2014 alongwith your €250 non-refundable registration fee. Youwill need to pay the balance of Tour Cost, €750, 14days after receipt of the application form andregistration fee to secure your place on the trip. N.B.No travel arrangements will be made for you untilthe balance of the tour cost is paid. Before 23rdMay 2014 you must have raised and paid €975 of yourSponsorship balance. By 27th June 2014 you musthave raised and paid a further €975 bringing your totalParticipation Fee to €2,950, otherwise you jeopardiseyour place on the trip.

6. If you are unable to obtain the minimum target amountof sponsorship (€2,950) you are liable to forfeit yourplace on the Event and your non-refundable registrationfee of €250; donations will only be refunded directly tothe donor, upon written request by the donor.

7. You must make it clear to all your prospective sponsorsthat €1,000 of the €2,950 comprises the cost ofregistration and participation in the Event.

8. Should the Irish Hospice Foundation cancel the Event,the registration fee of €250 will be refundable to you;donations will only be refunded directly to the donor,upon written request by the donor.

9. Should you not be able to take up your place on theEvent, donations and registration fees will not berefundable to you; donations will only be refundeddirectly to the donor, upon written request by the donor.

10. All funds raised in the name of The Irish HospiceFoundation in connection with the Event must be paid assoon as practicable to the Irish Hospice Foundation [inaccordance with the method of payment provisions inthe attached Application Form].

SAFETY RULES

11. Safety approved cycling helmets are compulsory.12. You may not deviate from the official route.13. You are to obey the local traffic regulations, traffic

officers and authorised marshals at all times.14. You may not use your mobile phone or a personal music

system while cycling.

IRISH CYCLING SAFARIS LTD BOOKINGCONDITIONS

15. Irish Cycling Safaris LTD (The Company) acceptsbookings subject to the following conditions:

n Passports, VisasClients are responsible for arranging, and must be inpossession of a valid passport and any visa requiredfor the whole of their journey. Information aboutthese matters or related items (climate, clothing,baggage, personal gear etc) is given in good faith butwithout responsibility on the Company. Clients with aEuropean passport will not need a visa and it is theresponsibility of any other passport holders to checkwith their embassy.n Insurance &Cancellation InsuranceTravel insurance is mandatory for all clients whilst ona tour organised by the Company. Clients togetherwith their personal property including baggage are atall times solely at their own risk. Clients are whollyresponsible for arranging their own insurance. Clientsnot taking out the Company’s specially arrangedTravel/Cancellation insurance are responsible forensuring that they are in possession of private TravelInsurance with protection for the full duration of thetour in respect of at least medical expenses, injury,death, repatriation, cancellation and curtailment,with adequate cover. Clients making their ownarrangements should ensure that there are noexclusion clauses limiting protection for the type ofactivities included in their tour. Clients should satisfythemselves that any travel insurance arrangedthrough the Company is what they require andshould arrange supplementary insurance if need be.Clients will be deemed to have read the insurancecover.n ItineraryWhile we endeavour to follow our itinerary there maybe exceptional circumstances when this is notpossible.We reserve the right to cancel or modify theitinerary as necessary. Due to the nature of the tripsarrangements have to be planned well in advance, sochanges may have to be made and the Companyreserves the right to do this. Should a material changebe necessary the Company will inform you as soon asreasonably possible. A material change includes, forexample, a significant change of destination or routetime by more than 12 hours.n Medical FormPrior to the event you will be asked to complete amedical questionnaire. If you are over 60 years of ageor if you have any medical condition that could beadversely affected by exercise, particularly a heartcondition or asthma, you must provide the Companywith a medical certificate from your doctor. Bysigning this form you are confirming that, to the bestof your knowledge, your general state of health isgood and that you take full responsibility for yourhealth and personal well being. All medical forms willbe independently reviewed by a doctor prior todeparture.n Minimum AgeParticipants must be over the age of 18 on the day ofdeparture. The Company reserves the right to refuseparticipation to anyone at any time without having todisclose the reason.n Challenge ParticipationWe accept your booking on the understanding thatyou realise the hazards involved in this type of tour,including injury or death, disease, loss or damage toproperty, and that you come on the tour at your ownrisk.We accept no liability for any injury resulting

from the hazards of cycling or any other activityincluded in the itinerary, or for any other mishaps toyourself or your property, and in particular as aconsequence of strikes, wars, riots, sickness or othersuch happenings. Any independent travelarrangements that you make are also at your ownrisk. While on the cycle, illegal behaviour or conductconsidered unsuitable will not be tolerated and couldresult in the participant being asked to leave the cyclewith no refund. The decision to participate in thecycle or parts therein lies with each individual. n EquipmentClients taking their own equipment on tour areresponsible for any charges for transportation leviedby the transport provider including excess baggage.You must wear a helmet on this trip. Clients areresponsible for ensuring that their bike is in a suitablecondition for participation in a cycle of this nature.The company will endeavour to accommodateclients, but cannot guarantee that correct tools andspares will be available. Clients will be expected topay for any spares they require during the trip.n If you have a complaintShould you have a complaint about any of the tourarrangements, you must tell both the relevantsupplier and the Company’s representative whilst onthe trip or within 14 days of the end of the Event. It isonly if the Company and the relevant supplier knowabout problems that there will be the opportunity toput things right.n DelaysThe timings of road, ferry or flight departures areestimates only. We cannot accept liability for anydelay in your travel arrangements from or to Irelandwhether the cancellation or delay is caused byadverse weather conditions, rescheduling by atransport provider, port authority, mechanicalbreakdown or industrial action. Where long delaysresult in lost challenge time, no refunds are given byhotels or suppliers. Similarly, transport providers donot offer compensation for delays. WAIVER

16. Participants hereby acknowledge that they take partin the Event and all functions and events relatedthereto at their own risk. Participants hereby agreefor themselves, their executors, administrators,heirs, next-of-kin, successors and assigns to waiverelease and discharge and to neither have norinstitute any claims whatsoever against The IrishHospice Foundation or Irish Cycling Safaris Limited.This waiver covers death, disability, personal injury,damage to and loss of property of a participant andis effective whether or not such death, injury,damage or loss may have been caused directly orindirectly or wholly or partly by any act or omissionincluding negligence, of The Irish HospiceFoundation or Irish Cycling Safaris Limited or theirrespective servants, agents and contractors and willbind the heirs, executors and/or trustees of theestate of a participant.

If you are not returning with the group you must inform IHF beforethe 4th April 2014 otherwise it will be assumed that you will NOT bereturning with the group and no return flight will be booked or anadditional cost may incur after this date. If travelling separate to thegroup you are responsible for booking your own accommodation for theextra nights and your return flight home. We will be happy to provideyou with the name and details of the hotel in Spain.
