Integration Guide for ConceptShare 1

Overview This guide contains procedures on how to integrate ConceptShare with WorkBook. It applies to on-premises, client/server, and cloud deployments of WorkBook.

Scope This document applies to WorkBook 10.3.

Intended Audience This guide is for system administrators and advanced users who install and configure ConceptShare and WorkBook.

Prerequisites Before you can integrate ConceptShare with WorkBook, ensure that you:

Update your ConceptShare instance to the latest version.

Install or update WorkBook to version 10.3 or later.

For information on how to install WorkBook, see the Deltek WorkBook 10.3 Installation Guide.

Have a ConceptShare account and login credentials

Note: Only the cloud version of ConceptShare can be integrated with WorkBook.

Additionally, only cloud customers on the Standard Release Schedule (SRS) are eligible for the integration. If you have your own ConceptShare instance on the Fixed Release Schedule (FRS), you will need to switch to the SRS to use this integration.

WorkBook-ConceptShare Integration Integrating ConceptShare with WorkBook enables you to:

Associate a WorkBook company with a ConceptShare account.

Associate a WorkBook job with a ConceptShare project.

Manage existing ConceptShare projects in WorkBook.

For example, you can create a new ConceptShare project, which is automatically associated with a WorkBook job. You can also associate an existing ConceptShare project with a WorkBook job.

The integration also gives you the flexibility to perform the same actions in either WorkBook or ConceptShare. You can:

Create a project

Create a review

Add a participant to a review

Add an asset

Your changes are applied and synched in both systems at the same time. The integration allows you to access components from each system.

Components The integration specifically allows you to link your WorkBook company to your ConceptShare account. Once you have established the link, you can then link a WorkBook job to a ConceptShare project in WorkBook.

The following table shows the WorkBook and ConceptShare components per level and how the integration impacts each component:

Instance Instance WorkBook and ConceptShare allow you to have one or more instances of each system.

Company Account A WorkBook instance can support multiple WorkBook companies in the same way that a ConceptShare instance can support multiple ConceptShare accounts.

The integration allows you to establish a link between a ConceptShare account and a WorkBook company.

Job Project A WorkBook company can support multiple jobs. A ConceptShare account can support multiple projects.

The integration allows you establish a link between one ConceptShare project and one WorkBook job. There is a one-to-one mapping between these components from each of the systems.

Reviews Each ConceptShare project can have multiple reviews.

With the integration, you can create and manage ConceptShare reviews within WorkBook, and access these reviews from both systems.

Configuration Use the procedures below to integrate ConceptShare with WorkBook.

Link a WorkBook Company to a ConceptShare Account Link a WorkBook Company to a ConceptShare Account to view and manage your ConceptShare projects from WorkBook.

Prerequisite: Before you can link a WorkBook Company to a ConceptShare Account, you must have an existing ConceptShare account. If you do not, check with your organization about how to get one.

To link an account to a company: 1. Log into WorkBook using your System Administrator credentials.

2. On the main toolbar, click Settings » Global system settings » ConceptShare Settings.

Alternatively, you can type conceptshare in the search field.

3. On the menu header, click Add New .

4. In the dialog box, select the WorkBook company that you want to associate with your ConceptShare account.

5. Click OK. WorkBook displays the new entry on the grid.

6. Click under the ConceptShare URL column, then specify the URL of the ConceptShare account that you want to link.

WorkBook saves your changes automatically.

Log into a ConceptShare Account from WorkBook Log into ConceptShare from WorkBook to create a project or link an existing project to a job.

To log into an account from WorkBook: 1. Log into WorkBook using your Administrator credentials.

2. On the main toolbar, select Jobs » Jobs list.

3. In the Jobs grid, select a job that belongs to the WorkBook company that you just linked with a

ConceptShare account.

The Company column displays the company that owns the job. If this column is not visible, modify the grid:

a. Right-click anywhere in the grid, then select Modify Grid.

b. From the list, ensure that the Company option is selected.

c. Close the dialog box. WorkBook adds the Company column to the grid.

Note: WorkBook displays all job entries associated with a WorkBook company whether or not they are linked to a ConceptShare account.

4. On the left sidebar, click Reviews. WorkBook displays the ConceptShare Login page.

5. Click Log in.

6. In the ConceptShare Login dialog box, enter your ConceptShare account credentials:

Username: Specify your email address.

Password: Specify your password.

7. Click Login. WorkBook displays the option to either create a new project or link an existing project.

Add a ConceptShare Project to a WorkBook Job Create a new ConceptShare project in WorkBook to automatically associate that project with a specific job.

To add a new project to a job in WorkBook: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. On the ConceptShare Project screen, click Create New. WorkBook displays the option to create a review.

Link a WorkBook Job to an Existing ConceptShare Project You can associate an existing project with a specific job in WorkBook.

To link an existing project to a job: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. On the screen, click Link existing.

3. In the Select an existing project to link it dialog box, select a ConceptShare Project from the drop-down menu.

4. Click OK. WorkBook displays the reviews associated with the project.

Note: Your session expires 30 days after your last log in, after which WorkBook prompts you to log in again to ConceptShare.

Note: The default project name will be the same as the job name and ID.

Review ConceptShare Projects in WorkBook Use the procedures below to add reviews, participants, and comments to a project.

Add a Review to a ConceptShare Project Use this functionality to create a review for a project.

To create a review: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. Create a ConceptShare project or link an existing ConceptShare project.

For instructions, see Add a ConceptShare Project to a WorkBook Job or Link a WorkBook Job to an Existing ConceptShare Project.

3. On the Reviews screen, click CREATE NEW.

Alternatively, you can click Add New Review on the menu toolbar.

4. In the Create New Review dialog box, specify the following:

Review Name: Specify a review name. This is a required field.

Assets to Review: Upload an asset. You can upload a file from your machine or a content from the web. This is a required field.

To upload an asset:

a. On the Assets to review panel, click Add assets to review .

b. To upload an asset from your machine, click Browse, then click Open.

To upload an asset from the web, click Web Content Capture. Specify the URL, then click OK.

Alternatively, drag-and-drop an asset from your machine to the Assets to Review pane.

Participants: Add participants to a review. You can add both ConceptShare users and external users as reviewers. This is an optional field.

For instructions on how to add an external user, see Add an External Reviewer to a Review.

Review Instructions: Specify the review instructions. This is an optional field. Review Type: Select the review type. This is an optional field. Due Date: Select a due date. This is an optional field. Reminders: Select the time remaining in hours, days, or weeks. This is an optional field. Review Status: Select a review status. This is an optional field. Auto Approval Rule: Select an auto-approval rule. This is an optional field.

Note: The CREATE NEW option is only available when there is no review associated with a ConceptShare project.

5. Click OK.

Add an External Reviewer to a Review You can add external reviewers or those who are outside of ConceptShare or WorkBook.

To add an external reviewer: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. Click a review to select it, then click Edit Current Review .

3. In the Edit Selected Review dialog box, on the Participants panel, click Add .

Specify an email address in the field then select Add as ConceptShare External Reviewer.

Delete a ConceptShare Review Use this functionality to delete a review.

To delete a review: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. In the Reviews grid, click a review to select it.

3. Click Delete Review .

View a ConceptShare Review Use this functionality to view the details of a review, including the assets and feedback. In the ConceptShare proofing workspace, you can add comments to an asset, view asset information, and approve or reject a review.

To view the details of a review: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. In the Reviews grid, click a review to select it.

3. Click View Current Review . WorkBook opens the ConceptShare proofing workspace in a new tab.

Alternatively, double-click the review item.

Preview Details of a ConceptShare Review You can preview the details of a review, such as the review instructions, review type, users, number of comments, and status.

To display a preview of a review: 1. Log into ConceptShare from WorkBook.

2. In the Reviews grid, click Review Details on the right sidebar.

Preview Comments in a ConceptShare Review Preview the comments added to a review. You can also see the name of the participant who commented, the date a comment was added, the number of replies made to a specific comment, and whether the comment was flagged.

To view the comments in a review: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. In the Reviews grid, click a review to select it.

3. On the right sidebar, click Comments .

Double-click a comment thumbnail to open the ConceptShare proofing workspace in a new tab. ConceptShare displays the specific comment within the proofing workspace.

Edit a ConceptShare Review Use this functionality to view and modify the details of a review, such as the review name, assets, participants, and due date.

To modify the details of a review: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. In the Reviews grid, click a review to select it.

3. Click Edit Current Review .

4. Edit Selected Review dialog box, make the necessary changes, and then click OK.

Note: The values in the preview panel cannot be modified. For information about making changes to a review, see Edit a ConceptShare Review.

Troubleshooting Use the procedures below to fix WorkBook-ConceptShare integration errors.

Edit Account Callback Configure account callbacks so that ConceptShare and WorkBook automatically reflect your most recent changes.

To edit an account callback: 1. Log into your ConceptShare account.

2. On the top right of the page, click the gear wheel » Account Callbacks.

3. On the Account Callback page, click Add .

4. In the Add Account Callback dialog box, specify the following information:

URL: Specify the URL of your WorkBook instance.

If you only have a ConceptShare account/accounts from the same instance that is/are linked to Workbook, append the following to the URL of your WorkBook instance: api/integration/conceptshare/callbacks/

Sample URL: http://yoursite.com/api/integration/conceptshare/callbacks/

If you have ConceptShare accounts from different instances that are linked to WorkBook, append the following to the URL of your WorkBook instance: api/integration/conceptshare/callbacks/ID/

Sample URL: http://yoursite.com/api/integration/conceptshare/callbacks/ID/

Where ID refers to the URL ID that WorkBook assigns a WB company-CS account link. For instructions, see Find a Callback URL ID.

Method: Select POST.

Authorization Header: Use default values.

Enabled: Select Yes.

Retry on Failure?: Select No.

Number of Retry Attempts: Use default values.

Delay (in seconds) between Retry Attempts: Use default values. Events: Click Events and select an event from the drop-down list. You can select multiple

events for a given callback and a request will go out for each instance of the given event.

5. Click Save.

Event Callbacks The WorkBook-ConceptShare integration allows you to use ConceptShare’s callback functionality so you do not have to refresh a page for ConceptShare changes to reflect in WorkBook.

For example, by configuring the callbacks, you will be able to see updates if new comments were added in a ConceptShare review related to that job, without having to refresh the page. Additionally, you will see if new reviews were added for that job, or if other relevant activities took place related to that job.

The following table lists the relevant callbacks to the WorkBook-ConceptShare integration.

Find a Callback URL ID Use the WorkBook URL ID when configuring ConceptShare callbacks in order to send relevant event notifications back to WorkBook that are related to a specific company and its jobs. This procedure is only relevant when linking multiple ConceptShare accounts, otherwise, it can be skipped.

To find a WorkBook URL ID: 1. Log into WorkBook using your System Administrator credentials.

2. On the main toolbar, click Settings » Global System Settings » ConceptShare Settings.

Alternatively, you can type conceptshare on the search field.

3. On the ConceptShare Settings page, locate the URL Id column.

Unlink a ConceptShare Project from a WorkBook Job Unlink a ConceptShare project from a WorkBook job so you can link the project to a different job.

To unlink a project: 1. Log into ConceptShare from WorkBook.

For instructions, see Log into a ConceptShare Account from WorkBook.

2. In the Reviews grid, click the hamburger icon .

3. Click Remove Project Link.

4. Click Delete.

Note: After you unlink a project from a job, the project or reviews associated with it are not deleted from ConceptShare.

Unlink a ConceptShare Account from a WorkBook Company Unlink a ConceptShare Account from a WorkBook Company if you no longer want WorkBook to be able to create projects and reviews in ConceptShare.

To unlink an account: 1. In WorkBook, select Settings » Global system settings » ConceptShare Settings.

2. Click a grid item to select it.

3. Click Delete . Review the connected job(s) that will be affected when you perform this action.

4. Click Yes.

Unable to Log in If you are unable to log into your ConceptShare account from WorkBook, it could be due to one of the following reasons:

Reason Recommended Solution

You do not have a ConceptShare account. Check with your organization about how to get a ConceptShare account.

Note: When you unlink an account from a company, the ConceptShare projects are not deleted. Only the references to the ConceptShare projects are removed from WorkBook. For more information, see Link a WorkBook Company to a ConceptShare Account and Link an Existing ConceptShare Project to a WorkBook Job.
