Deploying Gamification with EventStream Engage Introduction EventStream Engage is a comprehensive gamification platform to provide you with numerous games and goals to encourage interactions and engagement with your attendees, speakers, sponsors and exhibitors. Gamification is all about engagement, finding activities, games, quests and goals to encourage your attendees to engage in many ways: Connect with other attendees Install the Attendee App Visit with exhibitors Participate in social networking (EventStream) Participate in Live Polling Answer trivia questions Check into sessions and functions Much more! These games or activities are built around goals, which are the specific engagements or actions you want to see happen. Attendees can earn points accumulate badges, win prizes and redeem coins to purchase items and gifts. Deploying Gamification with EventStream Engage Introduction EventStream Engage is a comprehensive gamification platform to provide you with numerous games and goals to encourage interactions and engagement with your attendees, speakers, sponsors and exhibitors.

Gamification is all about engagement, finding activities, games, quests and goals to encourage your attendees to engage in many ways:

• Connect with other attendees • Install the Attendee App • Visit with exhibitors • Participate in social networking (EventStream) • Participate in Live Polling • Answer trivia questions • Check into sessions and functions • Much more!

These games or activities are built around goals, which are the specific engagements or actions you want to see happen. Attendees can earn points accumulate badges, win prizes and redeem coins to purchase items and gifts.

Gamification, when deployed in the EventStream Engage platform, can be as simple or comprehensive as you wish. EventStream Engage comes with a library of suggested goals, badges and prizes to help spark ideas for your meetings, and this white paper will also provide useful ideas and suggestions.

A few Definitions • Gamification – the process of creating games, activities, challenges or quests to encourage

your attendees to participate in different aspects of your event

• Goals – these are the specific objectives you will define that provides the structure for a specific game or activity. Goals are tied to a specific objective, such as checking in with an exhibitor, participating in an activity, participating in social media and more. Goals typically will award points to the attendee for completing a goal.

• Badges – Badges are recognitions for completing specific goals, typically associated with a theme. Example badges would be social badges for accomplishing a set amount of social media activity or a Handshake badge for visiting a pre-defined number of exhibitors. Badges service as a recognition of attendee’s participation at an event.

• Prizes – One aspect of gamification is awarding prizes to attendees using a ticket draw or letting attendees use accumulated points (coins) to purchase items such as food, beverages, clothing, and more.

• Points – Points are earned by attendees for completing a goal. It is up to you to determine how many points are awarded.

• Mystery Points – this setting lets you hide the actual number points a specific goal would earn until the attendee completes the goal.

• Coins – Coins are automatically allocated at 1 coin for 10 points. Coins are used for attendees to redeem for gifts and prizes.

• Beacons – Beacons are small devices that are battery powered and are used to transmit a Bluetooth signal to nearby smart phones and tablets. EventsAIR uses beacons to allow check-ins to different locations such as functions, sessions or even exhibition stands.

• QR Codes – These codes are used for Engage check-ins in a similar way to using beacons. Instead of the beacon scanning for and recording a check-in, the attendee can use EventStream Engage from their attendee app to scan the QR code to record their check-in.

• Display Time – This setting lets you set the date and time that a specific game is visible in the Attendee App

• Active Time – This date and time setting defines when a specific goal is available to be earned. Note, it still be visible in the app, but not available to be earned until the preset time and date begins.

Creating Goals

Goals are the heart of EventStream Engage. Goals are the specific objectives you define that you want attendees to accomplish.

Goals are tied to a specific objective, such as checking in with an exhibitor, participating in an activity, participating in social media and more. Goals typically will award points to the attendee for completing a goal.

When you define a Goal, you will also define important settings such as:

• Goal Type • Points/Mystery Points • Display and Active Time • Inventory and Personal Limits • Descriptions and Additional Instructions

Goal Library

To help you build your Goals, we have provided a Goal Library – a list of sample Goals for you to review and use for your own event.

This Goal Library includes important settings such as goal types, points and personal limits, are you are always able to modify a goal once you have selected it to use for your own event.

Creating a Goal (Except for Trivia Questions)

Here are the settings you will define when setting up a new Goal for your event:

• Name – Enter the name of your new Goal here

• Description – Enter a description of your new Goal. This description appears in the Engage function in the attendee app.

• Type – Choose your Goal Type here. See Goal Types for additional information on Goal Types.

• Icon – You can use the default icon or import your own custom icon here. Imported icons must be 144x144 pixels in size.

• Points – Points are earned when an attendee completes this Goal. Accumulated points are displayed in the Engage function in the attendee app, and are used to earn tickets for prize drawings and are converted to coins for use in prize redemptions.

• Mystery Points Check Box – When you check this box, points that a goal earns are hidden until the goal is completed.

• Goal Order – you can order the view of Goals in the attendee app by setting the goal order here. Zero (0) will place the goal at the top of the list, with descending numbers controlling the order of goals.

• Restrict Display Time – if you set a time and date, you can control when a specific goal is visible in the attendee app.

• Restrict Active Time – this setting controls when the current goal becomes available to be earned by the attendee.

• Inventory – You can set an inventory for each goal. Once an inventory is used up, the goal will disappear from the attendee app.

• Personal Limit – You can define a personal limit, which is the number of times an attendee can earn points from a specific goal.

• Additional Instructions – You can enter any additional instructions here.

• Make Inactive – Check this boss to make the goal inactive. You can always return to make the goal active whenever needed.

Creating a Trivia Question Goal

Trivia Question goals have a different format than other goals, as shown here:

For Trivia Questions, you will have these different options:

• Trivia Question • Correct Answer • Incorrect Answer 1 • Incorrect Answer 2 • Incorrect Answer 3

Like all other goals, you can create as many trivia questions as you need. A good use of Trivia Questions is to use Display Time to have Trivia Questions appear at different times during your event.

A Few Example Goals

Every event planner and every event will have different objectives and requirements for gamification. Only you and your team will know what your objectives are for engaging your attendees with different aspects of your event.

Example One – Trivia Questions and the Trivia Master Badge

Every year you have a trivia contest about your organization. Who founded the company, how many countries do you have offices in, and more.

So, this year, you create a series of five trivia questions, and have them appear in the attendee app at random times throughout the event.

To really encourage participation, you also create a badge called the Trivia Master Badge, which recognizes attendees who answer all five trivia questions correctly.

Example Two – Morning Exercise Check-In

You’ve introduced morning exercise sessions as a way for attendees to connect with each other and start the day on positive mental note. Since this is a new addition to your event, you want to encourage participation at the morning sessions.

Since you aren’t ready to start using beacons, you decide to post a QR code on a sign at the Exercise Event. You announce that 5,000 points are awarded for every day that an attendee participates in the Exercise event. To earn points, they simply open their Attendee App,

open the Engage option and scan the QR code posted on the wall.

Since your event is four days, you give everyone a personal inventory of 4 so they can earn points for each morning’s exercise session.

You also create a Superstar Badge to recognize attendees who attend at least two of the exercise sessions.

Example Three – Encourage Attendee Networking

Every year at your conference you start the first evening with a networking reception. It always takes a while for attendees to warm up and start talking with each other, even though by the end of the conference, everyone says that networking is one of the most important aspects of the event.

So, you decide to create an attendee networking goal that encourages your attendees to swap contact details using the Attendee App Contact Exchange function.

Using the Contact Exchange goal type, you decide to award 1000 points for every contact exchange that occurs.

Also, you decide to create a couple of badges called the Silver Handshake and the Gold Handshake badge, which recognizes attendees who make one exchange (Silver) and Gold (five exchanges).

Example Four – EventStream Goals

Along with EventStream Engage, you are also rolling out the EventStream Private Social Network at your annual conference. Since you are a little nervous about getting your attendees to use EventStream, you decide to gamify a few aspects to encourage participation.

So, you a few EventStream Goals! You decide that posting photos and commenting on posts are the two most important aspects of your program, so you decide to create two new goals:

• Photo Maven • EventStream Rockstar

Photo Maven awards points for the first five times that an attendee posts photos in EventStram. EventStream Rockstar awards points for the first five posts that they add a comment to.

Of course, you decide to create corresponding Badges to recognize your attendees for their efforts!

Goal Types

The following Goal Types are available to create your goals:

• Check-In - Event • Check-In - Function • Check-In – Any Session • Complete Session Survey • Contact Exchange – Exchange Contact Information • EventStream – Comment on Post • EventStream – Post • EventStream – Post with Photo • EventStream – Post with Video • EventStream – Others Comment on Your Post • Exhibitor Lead Scan • Exhibitor Stand Visit • External API • Install and Log into Attendee App • Live Poll Feedback • Live Poll Participation • Location (scan QR code) • Location (using beacon) • Trivia Question • Upload Photo

Each Goal type can have points assigned to its completion, and you can always use goal types more than once.

Defining Badges

Badges are a visual recognition of an attendees engagement efforts. While not necessary for your gamification and engagement efforts, badges can be a fun and entertaining addition to any event or program.

Badges are defined by you and are based on goals. If you decide to implement badges, you should think about what activities you feel would be well served by the additional recognition of a badge.

To help you create your badges, EventsAIR includes a library of sample badges that you are welcome to use and modify as you require.

These example badges encourage social networking, trivia question answers, participation in EventStream and recognizes attendees who visit a minimum number of exhibitors.

Creating Badges

There are three essential steps in creating a badge:

• Naming Your Badge • Connecting the Badge to One or More Goals • Defining the Goal Target • Creating the Badge Icon

Naming Your Badge

Your should always try to create a fun and interesting name for your badge, something that makes the meaning of the badge obvious to the attendee.

Connecting to Goals

This is the heart of badge creation. A badge recognizes an attendee for completing certain goals, and somethings a combination of multiple goals is appropriate. For example, if you are awarding a Social Badge, you may want to include by submitting photos and videos to EventStream, which would be two different goals.

Goal Targets

This is where you define the number of goal completions needed to earn the badge. You are also able to create a badge series, where, for example, 3 completions earns a silver badge while 10 completions earns a gold badge.

Creating Your Badge Icon

EventsAIR will let you create badges using our built in library of icons along with choosing the color of your badge background. These badges are professional in design and offer you ease and flexibility in deployment:

However, you can also import your own artwork, as long as the image is 144 x 144 pixels in size. EventsAIR will place the badge name below your icon.

Awarding Prizes and Redeeming Coins The heart of gamification in EventStream Engage is encouraging attendees to participate in various aspects of your event. One way to do this is by awarding points (and coins) for completing various goals.

What do these points and coins get you? It’s really up to you and what you want to do with them!

The general assumption is that you can offer one or both of the following:

• Prize Draws (using points) – based on each attendee getting prize draw tickets based on a calculation of their points. This calculation is up to you to define, such as 10,000 points equals one ticket for example. You can award large or small prizes from a pool of earned prize tickets.

• Coin Redemptions – This where attendees earn coins (based on 1 coin per ten points) and use those coins to purchase items, such as t-shirts, food items, or even large items such as complimentary event registrations.

About Points and Tickets

While we suggest points in our Goals library, this is strictly up to you to determine the point value you want to assign to different goals. Obviously, you should rank and value your goals based on importance or complexity to achieve.

When you are assign prize giveaways, you will be able to determine how many points equals one prize draw ticket.

About Coins and Redemptions

Many conferences reward attendees by letting them purchase items with the points they earn. To differentiate between redemptions and prize draws, we use coins as our method of redeeming points for gifts.

Points are automatically converted to Coins at a ratio of 10 to 1. So, 10,000 points would equal 1,000 coins.

Setting Up Prizes Draws

The following fields are available when setting up Prize Draws in Eventstream Engage:

• Type – Choose Prize Draw

• Name – Enter the name of the prize

• Description – Enter the description of the prize

• Image – Upload an image of the prize. It is recommended that images do not exceed 1440 pixels in width and you should always test these images in both smart phones and tablets to make sure it displays correctly

• Attendees Receive 1 Ticker for Every (Ticket to Points Earned) – enter the amount of points needed to earn one ticket here

• Order – you can order the prize listing attendee app by setting the order here. Zero (0) will place the prize at the top of the list, with descending numbers controlling the order of prizes

• Additional Instructions – You can enter any additional instructions here

• Make Inactive – Check this boss to make the prize inactive. You can always return to make the prize active whenever needed

Setting Up Coin Redemptions

The following fields are available when setting up Coin Redemptions in EventStream Engage:

• Type – Choose Redemption

• Name – Enter the name of the item

• Description – Enter the description of the item

• Image – Upload an image of the item. It is recommended that images do not exceed 1440 pixels in width and you should always test these images in both smart phones and tablets to make sure it displays correctly

• Order – you can order the item listing attendee app by setting the order here. Zero (0) will place the item at the top of the list, with descending numbers controlling the order of items and prizes

• Coins Required – enter the number of coins needed to redeem for the listed item

• Restrict Display Time – if you set a time and date, you can control when a specific item is visible in the attendee app.

• Restrict Active Time – this setting controls when the current item becomes available to be earned by the attendee.

• Send Reminder Alert – If you are displaying the item redemption for a specific time, you can send a time reminder to all attendees from 5 to 60 minutes before the item is removed

• Inventory – You can set an inventory for each item. Once an inventory is used up, the item will disappear from the attendee app.

• Personal Limit – You can define a personal limit, which is the number of times an attendee can earn points from a specific item.

• Additional Instructions – You can enter any additional instructions here

• Make Inactive – Check this box to make the item listing inactive. You can always return to make the item active whenever needed

Engage in the Attendee App

Installing EventStream Engage in the Attendee App takes just a few seconds. You simply drag and drop the EventStream Engage component into the Attendee App builder, and make any changes you wish to the icon, heading and visibility.

Once installed, it will automatically synchronize with the attendee’s Engage points and goals whenever they log into the app.

There are four major screen views in the EventStream Engage function:

• Points

• Goals

• Badges

• Prizes

Points

The opening view displays the following information:

• Points Earned • Goals Achieved • Leaderboard Ranking • Top Ten Attendees (based on points earned in Engage) • Scan Now Bar (used to scan QR codes to earn Goals)

Goals

This view displays all available Goals. Attendees can view an overview of all currently available goals and click on the right arrow to learn more. In some cases, a QR code scan will need to happen at this stage.

If Goals are completed, a green check mark will be visible on the overview screen as well.

Badges

This view displays all available badges, including ones that have been earned and ones that have not been earned.

• Earned badges will be fully visible with a green check mark underneath it.

• Unearned badges will be dimmed and show a number indicator of how many goals are required and how many have been earned to date

Prizes

This view shows all available prize drawings and coin redemptions. This screen is for information only, with prize drawings being managed by event management and coin redemptions managed separately by the Redemption App.

EventStream Engage Redemption App The EventStream Engage Redemption App is an onsite tool for managing redemption of items using coins earned by achieving goals in EventStream Engage.

The App will let you search for attendees by name and then display contact details along with a display of total coins earned and coins remaining after current redemptions are made.

That Statistics page displays all items available for redemption with a listing of coins needed, inventory, number of redemptions, remaining inventory, personal limits and display/active times if set.

Content Tab

• Login – you can edit the heading and add any content to view on this opening page of the app

• Search – edit the search page name here

• Statistics – edit the statistics page name here

Users Tab

Use this panel to set up who can run the Redemption App. To add a new user, click the Plus Sign next to "App Users", and complete the fields below. When done adding users, press Save.

Note: You must set up Users here before anyone can use the Redemption App.

Details

• Email Address - the unique email address of this user is used to sign in to the Portal.

• Password - it is recommended to always use a strong password, with a combination of upper and lower-case letters, numbers, and symbols.

• First Name - the First Name of the App user.

• Last Name - the Last Name of the App user.

• Organization - the Organization of the App user.

• User Type - select the Basic option

• Is Disabled - check this box to turn off Portal access for this user.

• Last Logon - the date and time that this user last signed in to the Portal.

Leaderboard App The Leader Board App is a projection to display the following leaderboards:

• EventStream Contributors • EventStream Mentions • EventStream Tags • EventStream Commenters • EventStream Engage Points

Each category displays both the Overall leaders for that category as well as Today’s leaders for the current category.

Note: Only the photo of the Attendee in the number 1 position will be displayed in the Leaderboard.

Leaderboard Settings

All settings are made in the Leaderboard section. Options you can modify include:

• Background Image • Heading • Sub Heading • Text Color • Leaderboard Heading Background Color • Rank 1-3 Background Color

• Display Time (in seconds)

EventStream Engage Analytics Portal This portal provides a broad selection of graphical reports and statistics about the EventStream Engage platform.

The following pages are included in the Analytics Portal:

Dashboard Analytics

• Attendee Statistics – a graphical chart of the number of attendees participating in the different Engage Goals

• Points Statistics – a graphical chart of the number of points earned for each of the different Engage Goals

• Goals Completed – a graphical chart of the number of goals completed per goal

• Points Distribution – a pie chart showing the number of participants broken down in different point levels

Goals Analytics

This chart displays each goal, along with this information:

• Goal Description – the description you provided during Engage setup

• Number of Points per Goal – the number of assigned points for each goal

• Images of Each Goal – the image you provided for each goal

• Points Earned – total number of points earned for each goal. Clicking on this number will display an exportable list of all attendees and the points they have earned for this goal

• Attendees – the number of attendees earning points for this goal. Clicking on this number will display an exportable list of all attendees and the points they have earned for this goal

• Total – the total number of goals completed. Clicking on this number will display an exportable list of all attendees and the points they have earned for this goal

Badge Analytics

This chart displays each badge in Engage, along with this information:

• Images of Each Badge– the image you provided for each badge

• Badge Description – the description you provided during Engage setup

• Total Badges Earned – this number is the total number of badges earned for the current badge. Clicking on this number will display an exportable list of each attendee earning the current badge.

Prize Draw Analytics

This chart displays each Prize Draw in Engage, along with this information:

• Images of Each Prize– the image you provided for each prize

• Prize Description – the description you provided during Engage setup

• Attendees – this number is the total number of attendees who have tickets for this prize draw. Clicking on the number will display an exportable list of attendees with tickets, including the number of tickets each attendee has.

• Tickets – this number is the total number of tickets generated for this prize draw. Clicking on the number will display an exportable list of attendees with tickets, including the number of tickets each attendee has received.

Pick Winner Animation

Clicking on Pick Winner will display an animated Prize Draw that can be projected in real time.

When you click on Pick Winner, you will see a spinning circle rotating through all names in the prize draw. When it stops, it will announce the winner.

You can then click on Announce Winner to send a message directly to the winning attendee.

EventStream Engage Redemption Analytics

This chart displays each Redemption in Engage, along with this information:

• Images of Each Item– the image you provided for each item that an attendee can redeem with coins

• Image Description – the description you provided during Engage setup

• Attendees – this number is the total number of attendees who have redeemed coins for the current item. Clicking on the number will display an exportable list of attendees that has redeemed coins for the item, along with coins used in the redemption.

• Redemptions – this number is the total number of redemptions for each item. Clicking on the number will display an exportable list of attendees with details about the number of coins used for the redemption.

EventStream Engage Search This search page is used to search for specific attendees. When you locate an attendee, you can display a detailed report of their Engage activities, redemptions, prize winnings and a display of their coin and points remaining totals.
