3.2 GENERAL DESIGN INSTRUCTIONS

All fittings, furnishings, accessory stocks, materials and products on display, as well as the installation and

use of spaces need to comply with current Italian and European safety regulations as well as with standards

for fire safety, accident prevention and protection of the environment. All parts of the exhibition stands

must be constructed to be stable and lasting, in order to prevent any possible danger to visitors, above all

relative to people’s health and safety.

The exhibitor is solely responsible for the stability and safety of all stand structures, systems and fittings

inside same, both during the fitting and disassembly stages and during the exhibition itself, holding Fiera

di Vicenza free and harmless from all damages that may occur to other parties as a result of defects in

design and construction, including the sizing deduced from the detailed drawings of occupied surface

area.

Fiera di Vicenza S.p.A. reserves the right to change or remove fittings installed without approval or which

do not comply with the authorised design project.

The Operations Management at Fiera di Vicenza (or external organisation in case of events organised by

other parties) will send the exhibitor a floor plan (scale 1:100) for the stand, to be used as the basis for the

fitting design.

The floor plan will show:

• areas with flooring of different capacity or characteristics to the general characteristics of the

pavilion;

• free heights;

• overall dimensions of existing structures in the stand area: fire pilasters and small columns,

electrical cabinets, fire hydrants, fire buttons, other technological systems, sprinklers, etc.

• position of technical wells;

• position of junction boxes for available tech systems (wiring, water, compressed air, etc.);

• positions of any fixed structures that need to be kept accessible (e.g., the position of fire safety

equipment);

• indication of emergency exits that need to be kept free.

The exhibitor must check on site and before the commencement of fitting works, the exact position of

tech services and the measurements of the space assigned. Any differences will require the exhibitor to

contact the Exhibitor Technical Assistance Service (S.A.T.E. 0444 969/333).

13. MANAGEMENT OF EMERGENCY SITUATIONS

13.1 INFORMATION ABOUT THE EMERGENCY AND EVACUATION PLAN FOR THE

EXHIBITION CENTRE

In the event of fire or other dangerous situations, Fiera di Vicenza has its own Emergency Plan (including all

of the possible cases and the relevant codes of conduct) and an Emergency Management Team, as well as

Fire Service and First Aid workers present during the event.

- call number 2555 from the internal telephones in the pavilions;

- call number 0444 969 555 from any telephone;

- verbally informing Fiera di Vicenza staff of the danger.

In case of emergency, as well as using the above methods, each firm must ensure that its employees keep

calm and follow the instructions of staff or over the speaker system.

At the pavilion exit, the team leader must ensure that all workers are outside.

If the order is given to evacuate the building, all workers must move towards the closest marked

emergency exits, without running or using lifts.

In case of necessity, during the emergency call, it is necessary to state the following:

1. location of the event:

- pavilion

- outside area

- offices

2. type of emergency (fire, flooding …)

3. size of the event (damage to people or property)

4. whether there are injured persons and how many

5. name

6. telephone number, if any

7. qualification (exhibitor, fitter…)

8. other indications requested at the time

For the favourable management of an “emergency” it is necessary for each one to perform a few basic

steps, in the right order and above all to coordinate them with operations being performed by others.

For this purpose, during the normal performance of expo activities (outfitting, expo, disassembly), all of

the staff present must comply with the Emergency and Evacuation Procedures of ANNEX II and also

annexed to the DUVRI published on the event’s website.
