IntroductionThe EMC® SourceOne™ Offline Access provides a seamless experience to the user whenretrieving shortcut messages in Outlook. In addition, you can configure Offline Access tocache messages on users’ hard drives so that users can retrieve messages when they arenot connected to the network.

EMC SourceOne Offline Access provides support for Outlook 2013 and the new offlineaccess cache mode feature synchronizes Outlook cache data.

Offline Access benefitsEMC SourceOne Offline Access client application provides the following benefits.

l User access to archived email, online or off-line

l Increased performance when users access email from remote locations

l Reduced Exchange and SourceOne server load and network traffic by caching datalocally

l Automatic synchronization and caching

l Instant resolution of shortcut email

l Preview pane which works fully with shortcut messages

l Ability to open attachments directly from the preview pane

l Improved efficiency in handling shortcut messages and attachments

Offline Access componentsThe following table describes the major Offline Access components.

Offline Access Agent The Offline Access Agent on the client computer:

l Pre-caches messages to be shortcut.

l Monitors network and archive server connection status.

l Backfills existing shortcuts if required.

l Removes cached items that no longer exist in the user’s mailbox.

l Ensures that the cache size is within a few percentage points of theconfigured maximum.

The Offline Access Extension on the user’s computer monitors useractions and intercepts Outlook events:

Offline Access SyncAgent

The Offline Access Sync Agent builds a local database cache anddetermines the connection status to the network.

Offline AccessSourceOne Provider

The Remote Repository Provider accesses archive content by using theEMC SourceOne Web Services host.

Database Provider Offline Access interfaces with the database through the databaseprovider. The Offline Access Add-in/Extension and Sync Agent use thiscomponent to add, remove, or modify items in the database.

Offline AccessCompact component

When the user selects the Compact option, the Compact componentfrees unused disk space. Compacting the cache does not compress data.

Offline Access processesThis section describes the Offline Access processes.

How Offline Access worksOffline Access works in the following way.

1. Shortcut messages are created in the user’s mailbox on the Exchange server andreplicated to the OST file on the user’s computer.

2. The Offline Access Agent on the user’s computer synchronizes the OA cache with theOST file.

3. After initial synchronization with the OST file, the Offline Access cache contains thecontents of shortcut messages.

4. The Offline Access Extension on the user’s computer intercepts user requests to openmessages.

5. If the messages are not in the Offline Access cache, then the SourceOne Provider re-caches messages from the SourceOne Web server.

Synchronization processSynchronization occurs between the Offline Access and Outlook.

l At initial load.

l At the interval specified in either:

n The Cache Sync frequency setting in Offline Access Group Policy.

n If the policy is not enabled, in the Sync frequency field in the Options > EMCSourceOne tab > Cache Settings dialog box.

l When the user requests an on-demand sync by using the Update option.

System requirementsThis table describes the requirements for client computers running the EMC SourceOneOffline Access software.

System considerationsBefore you install and configure Offline Access, refer to the following systemconsiderations.

Installation considerationsReview the following installation consideration when installing Offline Access.

Outlook profileIf you log in as a user without an Outlook profile on a client computer and you installOffline Access by using the installation wizard, then the EMC SourceOne server portsettings are not saved. As a workaround, install Offline Access silently by using theRegistry keys or GPO to push out configuration settings.

Random Uninstall/reinstall behaviorSometimes after uninstalling the Offline Access software and then reinstalling OfflineAccess, the following events might occur:

l The Offline Access Extension does not load.

l The Offline Access Agent does not start.

l The maximum cache size is set to 0 MB

The maximum cache size occurs error during the following scenario:

1. Disable the Offline Access Extension through Outlook.

2. Exit Outlook.

3. Uninstall Offline Access.

4. Install Offline Access. Outlook preserves the cache state when it restarts. There is nosafe method to force Outlook to discard its cached state.

Use one of the following steps as a workaround:

l After uninstalling Offline Access, restart Outlook and then reinstall Offline Access.

l In Outlook’s Add-in Manager, enable the Offline Access Extension.

Uninstall leaves log filesBy design, log files are not removed when you uninstall Offline Access.

Log files are located at: C:\Documents and Settings\<user>\LocalSettings\Application Data\EMC\.

Unused language folderA Korean language folder is created in \Program Files\EMC SourceOne\OfflineAccess\Languages\1042.The Korean language folder is not used.

Security considerationsReview the following security considerations.

Client securityFollow these tip to enhance client security with Offline Access.

l Use strong passwords for the user’s Windows account. Refer to Microsoft bestpractices for creating and using strong passwords.

l Use a password-enabled screen saver.

l Secure the user’s hard drive with Windows encryption.

Windows firewallWindows firewall support is turned on by default.

The following versions of Windows include firewall support:

l Windows XP SP2

l Windows Vista

l Windows 7

If you have problems accessing shortcutted e-mails, try turning off the default Windowsfirewall on your client computer. Refer to the following Microsoft article for detailedinformation:http://www.microsoft.com/windowsxp/using/security/internet/sp2_wfintro.mspx

McAfee antivirus softwareFor EMC SourceOne Offline Access to operate with McAfee VirusScan’s Buffer overrunprotection for Outlook option, you must use either of the following versions.

l McAfee VirusScan 8.0i Patch 13 or later

l McAfee VirusScan 8.5 or later

Using Offline Access with S/MIME encrypted and signed messagesEMC SourceOne Offline Access can be used to open and view email messages encryptedand digitally signed by Outlook mail clients using the S/MIME (Secure/MultipurposeInternet Mail Extensions) protocol. S/MIME is a protocol that adds digital signatures andencryption to MIME messages as described in RFC 1521.

Consider the following:

l Messages digitally signed and encrypted using S/MIME that were shortcut by EMCSourceOne Email Management can be opened and viewed using Offline Access.

l Other Non-S/MIME types of encryption are not supported with Offline Access.

l Digital signing is not supported with Offline Access.

Note

When using Microsoft Outlook Delegate Access, a delegated user will require access tothe delegator's signed certificate to access any encrypted and digitally signed messages.

Display settingsFor the best display of the icons in the Tools > Options > EMC SourceOne tab of Outlook onMicrosoft Windows, set the Color Quality to 32-bit by using the Control Panel > Display >Display Properties > Settings tab option.

Synchronizing computer clocksEnsure that the clocks on Offline Access client computers are synchronized with servers;otherwise, errors can occur.

Considerations for mixed EmailXtender-SourceOne environmentsConsider the following information when installing Offline Access in a mixedEmailXtender and SourceOne environment.

EmailXtender User Cache server is no longer supportedThe Offline Access client works with SourceOne servers. The EmailXtender User Cacheserver is no longer supported.

Uninstalling previous versions of Offline Access clientIf you are deploying the Offline Access client application on a client computer in which aprevious version of EMC EmailXtender Offline Access is already installed, perform thefollowing steps.

1. Uninstall the older version of the client application.

2. Type the following command, and ensure that there is a space before /l*v:

MsiExec.exe /qn /x{53412F82-8F2F-4AAB-90CB-57E39E06308B} /l*v %temp%:\EMC_UC_uninstall.log

Note

The GUID is the same regardless of the Offline Access version, and the originalinstallation executable does not need to be available.

EmailXtender software altered by EMC SourceOne Offline AccessThe EMC SourceOne Offline Access installation program alters the EmailXtender ShortcutAdd-in on EmailXtender client computers.

Both products include a COM add-in used to resolve shortcuts that is incompatible withthe components used by the EMC SourceOne Offline Access application. If this shortcutCOM add-in is detected during installation, you are notified and it is disabled.

Installing the Offline Access softwareYou can install the EMC SourceOne Offline Access software on client computers toprovide transparent access to shortcut email (online or offline).

This section includes procedures for installing this software manually using the MSIinstallation, or silently using a distribution package such as Microsoft SMS.

Note

Do not install the Exchange Management Console on client computers that are runningOffline Access.The Exchange Management Console installs a version of MAPI that Offline Access doesnot support, and which causes the error:

You will specify this hostnameduring the EMC SourceOne Offline Access software installation.If you have configured two or more Web Services computers in a loadbalancing cluster, you will instead specify the virtual hostname during theEMC SourceOne Offline Access software installation. For more information,see the EMC SourceOne Email Management Installation Guide.

Manual installationUse the following procedure to install the Offline Access software manually.

Procedure1. Log in to the host computer by using an account with local administrator privileges.2. Browse to the Setup\Windows directory on the EMC SourceOne Offline Access

software kit.

3. Based on the installation, copy any of the following executables to a temporarylocation on the host computer:

4. Browse to the temporary location to which you copied the setup executable.

5. Double-click the executable and then click Run. The Welcome page appears.

When the installer runs, it validates the system configuration by ensuring that theinstallation of prerequisite components is complete. Depending on the systemconfiguration, the installer can automatically install one or more prerequisitecomponents before displaying the Welcome page. Automatically installedcomponents are listed in the EMC SourceOne Email Management Installation Guide.

6. Click Next to display the Destination Folder window.

Consider the following:

l If the installation process detects an installation of other EMC SourceOnesoftware, or a previous version of Offline Access on the computer, then the Changebutton is not available and you cannot change the installation directory. Continueto the next step.

l If the installation process does not detect an installation of other EMC SourceOnesoftware, or a previous version of Offline Access on the computer, then the Changebutton is available, and you can change the installation directory.

To specify a non-default directory in which to install EMC SourceOne Offline Accessclient software:

a. Click Change to display the Change Current Destination Folder page.

b. Browse to or create the destination folder.

c. Click OK. The destination you specified appears in the Destination Folders page.

You cannot install the Offline Access software in the following protected operatingsystem folders:

l C:\Windowsl C:\WinNTl C:\InetPub

7. (Optional) By default, the cache location is:

C: \Documents and Settings\User\Application Data\EMC\

To specify a non-default location for the cache:

a. Click Advanced to display the Advanced Settings page.

If the cache location is set during configuration of the Offline Access Group Policy,then you cannot specify a cache location on the Advanced Settings page.Do not specify any of the following folders as the cache location: C:\Windows,C:\WinNT, C:\InetPub, C:\Program Files.

b. On the Advanced Settings page, click Change.

c. Select the location for the cache.

d. In the Advanced Settings page, click OK.

8. Configure the server settings by using the Server Settings page.

9. Specify the Server Settings information:

a. In the Real-time message retrieval server field, specify the hostname of thecomputer that includes the Document Management service. The EMC SourceOneWeb Services software includes the Document Management service.

If using load balancing such as Microsoft NLBS, type the virtual hostname.

b. In the Real-time message retrieval server: Port field, specify the primary port of theWeb Services host or virtual host. The default value is 8001.

To retrieve messages, the Offline Access Extension requires the configuration ofthe real-time message retrieval server and the real-time message retrieval serverport.

c. In the Synchronization (backfill) server field, specify the Web Services host (orvirtual host).

d. In the Synchronization (backfill) server: Port field, specify the secondary port ofthe Web Services host (or virtual host). The default value is 8002.

To populate the Offline Access cache, the Offline Access Agent requires theconfiguration of the synchronization (backfill) server and the synchronization(backfill) server port.

Note

If you specify the same Web Services host (or virtual host) for both ports, do notspecify port 8001 for the synchronization (backfill) port. Port 8001 is also used byother EMC SourceOne clients (OWA, Outlook, EMC SourceOne Search, EMCSourceOne Discovery Manager) for message retrieval. If you specify port 8001 forsynchronization (backfill), then the backfilling process for Offline Access couldnegatively affect message retrieval by other clients.

10.Click Next to display the Ready for Installation page.

11.Click Install. After the installation is complete, the InstallShield Wizard Completedpage appears.

12.Click Finish.

Note

Restart Outlook to use Offline Access, if Outlook was running during the installation.

Silent installationYou can silently install the Offline Access software. The ES1_OfflineAccess.exeprogram confirms the version of the Microsoft Installer (MSI) on the system and itlaunches the MSI with the applicable parameters.

The Microsoft Installer documentation provides more information on standard commandline parameters.

Repair Offline Access after upgrading to OutlookIf you install Offline Access on a computer running Outlook 2007/2010, and then lateryou upgrade to Outlook 2010/2013, you must run Repair on Offline Access.

The Repair option registers the Offline Access COM Add-in required for Outlook 2010support, and unregisters the Exchange Client Extension that was required for Outlook2007 support.

IntroductionYou can configure Offline Access using either the Group Policy Object (GPO) settings orRegistry settings.

Offline Access users can configure settings in Tools > Options > EMC SourceOne tab inOutlook, as described in the EMC SourceOne Offline Access User Guide.

Note

To configure Offline Access in a multi-user computer environment, you must use eitherGPO or custom login scripts that deploy a Registry file.

Configuration considerationsBefore you configure Offline Access, consider the information provided in the followingsections.

User permissionsConsider the following user permission requirements.

Required permissions for Offline Access usersIn an EMC SourceOne environment, or in a mixed EmailXtender and EMC SourceOneenvironment, Offline Access users must have the following permissions as described inthis table.

In a mixed SourceOne and EmailXtender environment, where EmailXtender isused to shortcut items in Public Folders, Offline Access users must have thefollowing permissions to retrieve EmailXtender shortcuts from those PublicFolders:

l Edit All permission on the Public Folders. The SourceOne service accountand the EmailXtender service account also need client access permissionson Public Folders.

l Read All permission on the SourceOne mapped folders associated with theEmailXtender archive.

User permissions on mapped foldersTo retrieve messages from the archive, Offline Access users must have permissions onmapped folders.

l For Outlook Delegate Access, a delegated user does not need permissions on themapped folders. If the delegator has permissions on the mapped folders and canaccess shortcuts from the archive, then the delegated user can access the sameshortcuts.

l In a mixed environment (EMC SourceOne and EmailXtender), to retrieve EmailXtendershortcuts in Public Folders, Offline Access users must have “Read All” permission onthe mapped folders associated with the EmailXtender archive.

Configuration guidelinesThis section describes best practices for deploying and configuring Offline Access.

Deploy before shortcuttingDeploy Offline Access on users’ machines before they create shortcuts in their mailboxes,particularly, for the user machines with Cached Exchange Mode enabled in Outlook. Ifyou follow this recommendation, then Offline Access can build its local cache fromOutlook’s cache without having to retrieve messages over the network.

Upgrade before shortcuttingUpgrade Offline Access clients before shortcutting calendar items.

Calendar items are cachedIn addition to messages, Offline Access can now store calendar items in the local cache.When disconnected from the network, users can retrieve attachments in the calendaritems.

Cache start time and shortcut policyTo copy the messages from Outlook’s cache before they become shortcuts, set the OfflineAccess cache start time (Cache messages older than option) earlier than the start time ofthe shortcut policy. During Offline Access synchronization, shortcuts must be retrievedfrom the archive server.

Also, provide a buffer time for users, for example, users returning to the office after anextended period, to ensure that messages are retrieved from Outlook’s cache. Forexample, if shortcuts are created for messages older than 90 days, consider setting theOffline Access cache start time to 60 days, so that messages are copied to the cache 30days before they become shortcuts.

Cache sizeSet the maximum cache size large enough to hold the majority of messages within thecache period. This helps disconnected and remote users to have the messages in thelocal cache and prevents the need to retrieve messages from the archive server.

After the initial installation, by default, the maximum cache size is set to 20 % of the freedisk space. You can modify the percentage before you install Offline Access.

Cache Item TypesTo control which item types are cached (email, appointments, meetings):

l Use the Cache Item Types setting in the Offline Access Group Policy.or

l Type the following Registry entry:HKCU\Software\EMC\SourceOne\OfflineAccess\Config\CacheItemTypes

Caching options and shortcut policyEnsure that the setting for the Cache messages that option (All messages or Haveattachments) matches the similar setting for the shortcut policy.

If these settings do not match, the Offline Access cache either caches more items thannecessary or does not cache items that are in the cache.

Cached Exchange ModeIf users do not enable Cached Exchange Mode in Outlook, consider setting the Cachemessages that option to Don’t cache any messages in Offline Access.

Offline Access creates a local cache file that contains messages similar to Outlook’scache. You can decide to not create a local cache for the same reason that Outlook isconfigured to not use a local cache file. Offline Access continues to operate; however,

each time a shortcut is accessed by the user, Offline Access must retrieve the messagefrom the archive server.

Calendar itemsIf you select to cache calendar items, deploy the new Offline Access client before youcreate shortcuts for calendar items. Offline Access pre-caches calendar items before theyare shortcut. After you deploy the new Offline Access client, calendar items are cachedbased on the existing cache settings.

The All messages and Have attachments options for the Cache messages that settinghave the same results for calendar items as they have for messages.

Accessing EmailXtender messages in a SourceOne environmentPerform the following steps to access EMC EmailXtender messages in an environment inwhich EMC SourceOne is also installed.

Procedure

1. Connect the EmailXtender archive to EMC SourceOne.

Refer to "Connecting Archives" in the EMC SourceOne Email Management AdministrationGuide.

2. Map the EmailXtender archive folders to EMC SourceOne mapped folders.

Refer to "Configuring Mapped Folders" in the EMC SourceOne Email ManagementAdministration Guide

3. Give users permissions on the mapped folders. To retrieve messages, Offline Accessusers must have permissions on those folders.

Refer to "Configuring Mapped Folders" in the EMC SourceOne Email ManagementAdministration Guide.

4. Configure Offline Access to use the EMC SourceOne TCP server settings. Refer to Configuring SourceOne Web Services host settings on page 52.

You can also specify TCP server settings during installation of the Offline Access clientand in the Offline Access user interface.

Offline Access cacheOffline Access can run in the following modes.

To specify the mode, use the Cache messages that option.

Caching mode

l The Cache messages that option is set to either All messages or Have attachments.

l Messages are cached on the user’s hard drive.

l Users can preview and open shortcut messages in Outlook whether or not they areconnected to the network. Shortcut messages are opened from the user’s cache.

l The Update, Rebuild, and Compact options are available on the status icon’s right-click menu and on the EMC SourceOne tab in Outlook.

Non-caching mode

l The Cache messages that option is set to Don’t cache any messages.

l Messages are not cached on the user’s hard drive.

l Users can preview and open shortcut messages in Outlook.

Offline Access cache maintenance on client computersThis section provides information on Offline Access cache maintenance on clientcomputers.

Changing server settings after Offline Access installationIn EMC SourceOne environments, to change the servers used by EMC SourceOne OfflineAccess after installation, edit the TCP server settings in one of the following locations.

Results

Outlook uses the Offline Access cache that was copied from the old computer. The cachehas an ID that is unique for each user, so the cache can be copied. This StoreID is in theRegistry: HKCU\Software\EMC\SourceOne\OfflineAccess\Config.

Configuring Offline Access for multi-user computersTo configure Offline Access in a multi-user computer environment, you must use one ofthe following methods.

l Configure GPO and push the settings out to all users.If you use GPO, then the user cannot edit the settings in the Tools > Options > EMCSourceOne tab in Outlook.

l Use custom login scripts to deploy a Registry file pointing to the HKLM settings will becopied into the HKCU for each user who logs on to that computer and uses OfflineAccess.HKLM\Software\EMC\SourceOne\OfflineAccess\Config.

If you use a Registry file, then the same settings are sent to all users of that computer.However, each user can edit the settings independently in Outlook > Tools > Options >EMC SourceOne tab, and the edited settings are saved under the HKCU for that user.

Offline Access looks under the HKLM Registry key for configuration settings that have notbeen configured by GPO and that have not been set under HKCU. Settings found underHKLM are copied to the user’s HKCU and can be edited by the user in Outlook > Tools >Options > EMC SourceOne tab.

Configuring group policyUse Microsoft Group Policy Editor and the EMC Offline Access administrative template(Offline Access Group Policy.adm and Offline Access Group Policy.admx to manage usersetting).

Offline Access settings managed through Group Policy are written to the Registry, underHKCU\Software\Policies\EMC\OfflineAccess\1.0.

If an Offline Access policy setting exists in the Registry, then the corresponding setting inthe Tools > Options > EMC SourceOne tab in Outlook is unavailable (grayed out). This istrue even if the policy settings were pushed to the client computer before Offline Accesswas installed.

If policy settings are pushed to the client computer:

l While Outlook is running, Outlook will not use the policy settings until it is restarted.

l While the Offline Access Agent is running, Outlook does not need a restart, butOutlook will not use the policy settings until the next synchronization run starts.

1. Based on the version of Outlook you have on the computer, copy one of the followingfiles from the EMC Offline Access release kit to a directory on the computer.

a. Right-click the Administrative Templates folder.

Enabling settings in GPOAll GPO setting have the following three standard options. Most Offline Access GPOsettings also have additional options or fields.

GPS option include the following:

l Disabled

If you select the Enabled option for a GPO setting that requires additional information,but you do not supply that information, then the GPO property will revert to Disabled. Thisis how Microsoft's Group Policy Management interface works.

To enable Offline Access in GPO, you must select both of the following options:

l Enabled option

l Enable Offline Access checkbox

Enabling/disabling Offline AccessThis section describes how to enable or disable Offline Access.

Consider the following:

l If Offline Access is not enabled by Group Policy, then all other Offline Access policysettings are ignored.

Use the following procedure to specify the maximum age of messages to cache.

Note

The maximum cache size that you specify is a target for the synchronization process. The cache size displayed in Tools > Options > EMC SourceOne > Support Information inOutlook may exceed the specified maximum cache size by several percentage points.

Use the following procedure to configure the maximum cache size.

Procedure

1. In Group Policy Editor, expand the Administrative Templates node that contains theEMC Offline Access Policies folder.

2. Click the EMC Offline Access Policies folder.

3. In the right pane, double-click the setting that you want to configure.

The user can change this setting in Tools > Options > EMC SourceOne tab > Cache Settings> Select new option in Outlook.

Consider the following

l Do not specify any of the following folders as the cache location: C:\Windows, C:\WinNT, C:\InetPub, C:\Program Files.

l Do not specify any folder that contains other files.Do not store other files in the cache directory. The cache directory is removed when Offline Access is uninstalled (unless youperform a silent uninstall that includes the EX_SAVECACHE=TRUE argument).

Configuring the synchronization frequencyIf this setting is not configured or is disabled, then the default resynchronizationfrequency of 1440 minutes (24 hours) is used.

The user can change this setting in Tools > Options > EMC SourceOne tab > Cache Settings> Update frequency (minutes) field in Outlook.

Perform these steps to specify how often to synchronize the cache with the user’smailbox.

Messages that are newer than the minimum age you specify are not cached. If this valueis not set, then the default is 30 days.

If these settings are not configured or are disabled in Group Policy, then the user'spreferences are used. The user can change this setting in Tools > Options > EMCSourceOne > Cache Settings > Cache items that are older than (days) field.

Use the following procedure to configure the minimum age of the messages to pre-cache.

l Are moving users from EmailXtender to EMC SourceOne. You must push theSourceOne server type along with the TCP server addresses.

l Install Offline Access on multi-user computers. Uninstall only cleans the Registry forthe user who uninstalls Offline Access.

About the TCP server settingsThe Offline Access Extension uses the Real-time Message Retrieval Server TCP Address:Port setting for retrieval. The Offline Access Agent uses the Synchronization (backfill)Server TCP Address: Port setting to populate (pre-cache and backfill) the cache.

The Synchronization (backfill) Server TCP Address: Port field must beconfigured so that Offline Access caches on user computers can bepopulated (back-filled).

Note

Do not specify port 8001 for the Synchronization (backfill) Server TCPAddress: Port. Port 8001 is also used by other EMC SourceOne clients(OWA, Outlook, EMC SourceOne Search, EMC SourceOne DiscoveryManager) for message retrieval. If you specify port 8001 for theSynchronization (backfill) Server TCP Address: Port, then the backfillingprocess for Offline Access could negatively affect message retrieval by otherclients.

l To disable the setting, select either Not Configured or Disabled.

6. After configuring the setting, perform one of the following steps:

l To go directly to another Offline Access setting, click Apply, then click eitherPrevious Setting or Next Setting.

l To save the changes and to close the Properties dialog box, click OK.

Configuring delay for Requesting Message dialog boxIf an item is taking some time to retrieve, a Requesting Message dialog box is displayed.

If the user does not want to wait for the item to be retrieved, then the user can clickCancel.

You can configure the delay before this dialog box appears. If this setting is notconfigured or is disabled in Group Policy, then the user's preferences are used. The usercan change this setting by using the Tools > Options > EMC SourceOne > Notificationsoption in Outlook.

Use the following procedure to configure the delay for Requesting Message dialog box.

Procedure

1. In Group Policy Editor, expand the Administrative Templates node that contains theEMC Offline Access Policies folder.

2. Click the EMC Offline Access Policies folder.

3. In the right pane, double-click the setting that you want to configure.

4. In the EMC Offline Access Policies window, double-click the Cancel Dialog Delaypolicy. The Cancel Dialog Delay Properties dialog box appears.

Configuring log filesThis section provides information on configuring log files.

Note

Do not operate with a high logging level. By default, the verbosity level for EMCSourceOne trace logs is set to None. For troubleshooting purposes, EMC Supportpersonnel may instruct you to set the verbosity level to Verbose for one or more tracelogs. After you supply the requested logs to EMC Support, lower the verbosity level toNone. A verbosity level higher than None has a negative effect on CPU use and diskspace.

Changes to the log level setting by using the Tools > Options > EMC SourceOne > SupportInformation dialog box take effect for each component at different times.

l For the Offline Access Extension, changes to logging level take effect when a messageis selected or read.

l For the Offline Access Agent, changes to logging level take effect in two minutes, or atthe next synchronization, whichever happens first.

Specifying size and number of log filesWhen a log file reaches a certain size, a new log file is created.

Perform these steps to control the maximum size and number of log files when logging isenabled.

Procedure

1. In Group Policy Editor, expand the Administrative Templates node that contains theEMC Offline Access Policies folder.

2. Click the EMC Offline Access Policies folder.

3. In the right pane, double-click the setting that you want to configure.

4. In the EMC Offline Access Policies window, double-click the Log File Settings policy.The Log File Settings Properties dialog box appears.

l To calculate the disk space used by the log files based on the settings, use thefollowing formula:

Number of log files per component x Maximum size of each logfile x 2For example, if you use the default settings, then the log files would use 200 MB ofdisk space:

5 files x 20 MB x 2 = 200 MB6. After configuring the setting, perform one of the following steps:

l To go directly to another Offline Access setting, click Apply, then click eitherPrevious Setting or Next Setting.

l To save the changes and to close the Properties dialog box, click OK.

l To prevent the log files from filling the hard disk, logging is disabled when the diskfree space reaches 20 % or less of the total space, regardless of the size andnumber of log files that you specify.

Deleting log filesThis section outlines the consideration for deleting log files.

l You can delete old log files at any time, even if Offline Access is running.

l You cannot delete the current, active OfflineAccessAgent.log file until youshut down the Offline Access Agent.

l You cannot delete the current, active OfflineAccessExtension.log file untilyou shut down Outlook.

Configuring the startup synchronization delayYou can specify the delay between the time that Outlook and the Offline Access Agentstarts, and the time that a scheduled synchronization or a rebuild occurs. This delayprevents performance problems that can happen if a synchronization or rebuild occurswhile Outlook is starting.

Note

Users cannot change this setting.

The following procedure describes how to specify how long to delay synchronization atstartup.

Procedure

1. In Group Policy Editor, expand the Administrative Templates node that contains theEMC Offline Access Policies folder.

2. Click the EMC Offline Access Policies folder.

3. In the right pane, double-click the setting that you want to configure.

Configuring Offline Access for User DeleteOffline Access 6.7 and higher supports the User Delete feature.

By configuring Offline Access for User Delete:

l Users can delete email items from the SourceOne archive through Outlook.

l Users can delete single or multiple selected items.

l Users are prompted for confirmation before deleting the items from the archive.

l Users can apply the current action to all future deletions and suppress prompting.

User Delete behavior depends on the version of Outlook, as described in this table.

Considerations and limitations for User DeleteRefer to the following considerations and limitations for User Delete.

l User Delete does not support the following:

n Delegate deletions (the ability for a delegate to remove a delegator’s archivecontent).

n PST deletions (removing the archive content by deleting archived items withinPSTs).

n Public folder deletions (removing the archive content by deleting the archiveditems within public folders).

n Implicit deletions through rules, out-of-store moves and so on.

l Items restored from the Deleted Items folder cannot be re-archived unless the“Reprocess items” option is specified on a subsequent Historical Archive activity.

l Some deletion scenarios can lead to orphaned shortcut items:

n Deleting a shortcut item along with its archive copy, and then restoring theshortcut from the Deleted Items folder causes the shortcut item to be orphaned.

n Offline Access cache copy can be deleted depending on the restore operation andOffline Access cache update.

n Deleting one of the multiple mailbox copies of a shortcut item, and later deletingthe archive copy causes the remaining copies to be orphaned.

n Offline Access cache copy cannot be deleted.

l User Delete operates only on the following archived items:

n Deletion of mailbox items that do not have the ES1 MsgID property is ignored.

n Journaled-only items are not eligible for User Delete activity; Historical Archiveprocessing is required.

n Actions taken at the “Confirm Archive Delete” prompt affect only archived content.

l Supported Delete actions include the following:

n Explicit deletions through delete key and context menu.

n Supported delete actions vary slightly across Outlook versions due to differencesor limitations in the integration technologies used.

l By design:

n User Delete does not intervene in mailbox deletions.

n Both “Soft” deletions (delete actions resulting in messages being moved to theDeleted Items folder) and “Hard” deletions (SHIFT+DEL action to bypass theDeleted Items folder) are monitored.

n Deletions from the Deleted Items folder are ignored.

l In Outlook 2007, EMC SourceOne does not support the deletion of archived contentwhen an Outlook folder is deleted.This behavior is due to a Microsoft defect within the Exchange client Extension andOutlook 2007. Refer to the following Microsoft Knowledge base article for moreinformation.

Overview of using Kerberos authentication with Offline AccessEMC SourceOne Offline Access by default uses Microsoft Windows NT LAN Manager(NTLM) authentication. Sometimes, you may want to change the authentication protocolused by Offline Access to be Kerberos authentication instead of NTLM.

For example, you may want to use Kerberos with Offline Access when using Offline Accesson an Internet Protocol version 6 (IPV6) network, or when using software that allow smartcards for authentication.

To enable Kerberos authentication for Offline Access and verify that it is working, youmust perform tasks on both the Offline Access clients and on the EMC SourceOne Webservers as described in the following sections.

Enabling Kerberos authenticationYou enable Kerberos authentication on the EMC SourceOne Web server by doing thefollowing.

Procedure

1. Modify the configuration files on the EMC SourceOne Web servers to enable Kerberosauthentication.

2. Set the Service Principal Name (SPN) used for Kerberos authentication.

3. Stop and then restart the needed services on the EMC SourceOne Web server.

4. Verify that Kerberos authentication is being used.

Modifying configuration files to enable KerberosTo enable Kerberos authentication, you must modify the two files used to configure theone or more EMC SourceOne Web servers on each computer where the EMC SourceOneDocument Management Service is installed.

Modify the following two files for each server that is running the EMC SourceOneDocument Management Service.

l DocManageSvcHost.exe.configThe DocManageSvcHost.exe.config file is used to configure the EMCSourceOne Document Management Service (DocManageSvcHost.exe). TheDocument Management Service is installed as part of the EMC SourceOne WebServices component of EMC SourceOne Email Management.

l DocManageSvcOAHost.exe.configThe DocManageSvcOAHost.exe.config file is used to configure the DocumentManagement Offline Access Service (DocManageSvcOAHost.exe). This file isinstalled as part of EMC SourceOne Offline Access.

Set the Service Principal Names to be usedTo use Kerberos authentication with Offline Access, you must configure a serviceprincipal name (SPN) to be used for the authentication.

Understanding and using an SPN with Offline Access

A service principal name (SPN) is the name by which a Kerberos client uniquely identifiesan instance of a service for a particular Kerberos target computer.

For additional background information on the SetSPN utility, including usage andinstallation, refer to the following:

The configuration of Kerberos authentication for use with Offline Access differs from thatused for single sign-on configurations. For more information about using Kerberos in asingle sign-on configuration, refer to the EMC SourceOne Email Management InstallationGuide appendix “Single Sign-on Support Example (Windows).”

Registering the SPNs for use with Offline Access

You register the service principal names to be used by Offline Access using the MicrosoftSetSPN utility.

To register the service principal names, perform the following on the domain controllerused by Offline Access, using the service account used by the EMC SourceOne WebServices.

Procedure

1. List the registered SPNs by issuing the SetSPN command with the -L option as in thefollowing example:

setspn -L domain\e5admin

2. Register the Document Management Service (DocManageScv) as an SPN for both the8001 and 8002 ports that are used by Offline Access, by using either of the following:

l The fully qualified domain name of the one or more EMC SourceOne Web Servicesservers (or the load balancer for the servers).

Restart the services after changing the configuration

After you have changed the configuration files and registered the service principalnames, you need to stop and restart two services on the EMC SourceOne Web server.

l Document Management Service (DocManageSvcHost.exe)

l Offline Access Service (DocManageSvcOAHost.exe)

Enabling Kerberos on Offline Access clientsYou enable Kerberos authentication on the Offline Access clients in the organization bydoing the following.

l On installation, using the install option.

l Using group policies to update the Offline Access clients.

Note

When installing or updating Offline Access clients, ensure that when you specify serversettings you use the same fully qualified domain name used in the configuration files.

Enabling Kerberos using an installation optionTo enable Kerberos authentication when performing a silent install of the Offline Accessclient, specify the following option and value.

USEKERBEROS=1

Alternatively, if the Offline Access client is already installed, you can enable Kerberosauthentication for that client by doing the following on the computer on which the OfflineAccess client is installed.

Procedure

1. Change the Registry value of EnableKerberosAuth to a value of 1.

Enabling Kerberos using group policiesYou can enable Kerberos authentication using the Microsoft Group Policy Editor and theEMC Offline Access administrative template (Offline Access Group Policy.adm for Outlook2007 and Offline Access Group Policy.admx for Outlook 2010) to manage user settings.

Perform the following to enable Kerberos authentication through the Group Policy Editoruser interface.

Procedure

1. In the EMC Offline Access policies, select the Enable Kerberos Authentication setting.

2. In the Enable Kerberos Authentication Properties dialog:

a. Select Enabled.

b. Click OK.

Troubleshooting checklistUse the following checklist to troubleshoot Offline Access.

Verify that the client computer is a member of the correct domain.

This step applies only to EMC SourceOne environments that include EMC EmailXtender.

If the following applications are listed in Add/Remove Programs on client computers,uninstall them:

l Legato EmailXtender Add-in for Outlook

l EMC EmailXtender 4.7 User Cache Client

Perform the following steps:

1. Verify that EMC SourceOne Offline Access is listed in Add/Remove Programs onthe client computer.

2. If Offline Access is not listed, install it.

3. After installing Offline Access, close Outlook.

4. Restart Outlook.

Verify that the following prerequisite components are listed in Add/Remove Programson the client computer:

l Microsoft .NET Framework 3.0 (or later)

l Microsoft Visual C++ 2005 RedistributableIf any components are missing, re-install Offline Access on the client computer.

With Outlook running, open Task Manager on the client computer and verify thatExOAAgent.exe is running.If it is not running, repair the .NET and VC ++ runtime components, and repair OfflineAccess.

In Outlook, perform the following steps:

1. select Tools > Options.

2. verify that the EMC SourceOne tab appears in the Options dialog box.

3. If the tab does not appear, repair the .NET, WSE, and VC ++ runtime components,and repair Offline Access.

Verify that the Default Outlook profile matches the logged-in username.For example, if a user logs in with an account that is not mail-enabled, and the Outlookprofile is configured to use a different account, Offline Access may not work correctly.

If EXOAAgent.exe is running on the client computer, but the user cannot retrieveattachments, determine whether the cache size has reached the maximum.

Consider the following:

l To see the cache size, view the Support Information dialog box in Outlook (Tools> Options > EMC SourceOne tab > Support button).

l Port 8001 must display a status of OK.

l Port 8002 may occasionally fail. If port 8001 fails consistently, repair the runtimecomponents.

Note

Verify network connectivity from another computer before repairing components. If theconnection fails on multiple computers, there could be a problem with the back-endservices.

Verify that users can retrieve archived messages with attachments.If Outlook displays the names of archived attachments with the extension .htmlappended to the original extension (for example, Instructions.doc.html), then the OfflineAccess client is not loading correctly. Repair all components.

Repairing the componentsThis section describes how to repair components used with Offline Access, including theOffline Access client software itself.

Note

If any of the repairs fail, uninstall and reinstall the component.

Repairing Microsoft Visual C++ RedistributableThe Microsoft Visual C++ 2010 SP1 Redistributable is integrated into the Offline Accessclient install.

If this redistributable is not already installed on the client computer, the Offline Accessclient install will install it.

Repairing Microsoft .NET frameworkPerform the following to repair .NET 4.0.

Procedure

1. In Add/Remove Programs, select .NET 4.0.

2. Click Change. The Change option may run a brief verification and not a full repair.

If the ExOAAgent.exe still does not run, delete the following Registry key:

The key rebuilds when Outlook is restarted.

Offline Access and Microsoft OfficeThis section contains information about Offline Access and Microsoft Office.

Upgrading to Microsoft Office 2010 or 2013Consider the following scenarios.

Uninstalling Microsoft OutlookIf you install Offline Access, and then you decide to uninstall Outlook, you must uninstallthe Offline Access client software first.

Offline Access and expired passwordsOffline Access prompts users for login credentials when passwords expire.

This issue occurs in an EMC SourceOne environment, when the Offline Access statusagent authenticates with the server.

By default, the Offline Access status agent tries to authenticate with the server amaximum of three times. After the third try, Offline Access is set to an offline state, andusers are no longer prompted for login credentials.

To work online again, users must restart Outlook. Restarting provides the user with theopportunity to log in with the correct credentials. If the user continues to supply the

incorrect credentials, then the Offline Access status agent tries again three times toauthenticate with the server.

Configuring number of retriesTo change the number of times that the Offline Status Agent tries to authenticate with theserver, edit the value of the following Registry entry.

HKCU\Software\EMC\SourceOne\OfflineAccess\Config\MaxLogonAttempts

The MaxLogonAttempts value is the maximum number of attempts every two minutes. Avalue of 3 means no more than three attempts every two minutes.

A value of zero (0) gives the user one chance to input valid information.

Enabling and viewing log files for Offline AccessTo enable logging and view the log files generated during the use of EMC SourceOneOffline Access, refer to the following.

l EMC SourceOne Offline Access User Guide or online help.

l Configuring log files on page 57.

Uninstalling EMC SourceOne Offline Access client softwareThis section provides information on uninstalling EMC SourceOne Offline Access clientsoftware.

Uninstallation considerationsConsider the following information when uninstalling the EMC SourceOne Offline Accessclient software.

Offline Access icon is listed in the tray after uninstallAfter uninstalling Offline Access on a Windows 7 computer, the Offline Access tray iconstill appears as a selection in the Windows taskbar customize menu dialog box.

HKCU Registry entries remain after uninstallIf there are multiple users using Offline Access on a single computer, and if the OfflineAccess uninstall program is run by a privileged user, then the HKEY_CURRENT_USERentries remain in the Registry after uninstall.

Uninstalling does not remove Offline Access log filesBy design, log files are not removed when you uninstall Offline Access.

The location of the log file differs for Windows XP and Windows Vista:

l For Windows XP, the location of the log files is:

C:\Documents and Settings\<user>\Local Settings\Application Data\EMC\

l For Windows Vista, the location of the log files is:

Uninstalling removes the cache directory only for the user performing the uninstallBy design, the Offline Access cache directory is removed only for the user performing theuninstall, who must be a member of the admin group.

After Offline Access is uninstalled on a multi-user client computer, you must remove thecache directory for each user.

The default cache directory is the user's Application Data directory.

EMC SourceOne tab is not removed until you restart OutlookIf Outlook is running when you uninstall Offline Access, then the EMC SourceOne tab isnot removed from Outlook’s Options dialog box (Tools > Options).

Restart Outlook after uninstalling Offline Access.

Uninstalling the Offline Access software manuallyUse the following procedure to uninstall EMC SourceOne Offline Access client software byrunning the EMC SourceOne Offline Access Uninstall wizard in Uninstall mode.

Procedure

1. Close Outlook.

2. Log in as administrator. You can use either of the following options:

l Local system administrator

l User with local administrator privileges

3. In the Windows Control Panel, select Add/Remove Programs.

4. Select EMC SourceOne Offline Access.

5. Click Remove.

6. In the Support Information dialog box, click Remove to start the Uninstall Wizard.

Uninstalling the Offline Access software silentlyYou can silently uninstall the Offline Access software while retaining the cache and usersettings.

Consider the following:

l For 32-bit operating systems, use the following syntax:msiexec /x {64FA2752-8263-43C6-B282-B6CD54CF41A1} /qnEX_SAVECACHE=True EX_SAVE_SETTINGS=True /l*voicewarmup! %temp%\ES1_OA_uninstall.log

l Uninstall from Add/Remove Programs does not create an uninstall log.

l If you use Add/Remove Programs (in Windows Control Panel) to uninstall OfflineAccess, an uninstall log file is not created.
