Business Need: Provide the filer a standard set of drop down selections for Division, Case Types, Sub Types and Document Descriptions

Solution: Standardize the drop down lists among the counties

Background This document provides a suggested way for a County to standardize drop downs within the Portal in accordance with SRS and Best Practices Workgroup Standards. It is broken down into four parts:

1. Division 2. Case Type 3. Sub Type 4. Document Descriptions



Create Your Work Group Begin with the New Case selection and the Division drop down and compare what appears in your County drop down list to the SRS and Best Practice Workgroup Standards. Where possible follow the SRS and Best Practices Workgroup recommendations and only deviate from the list when absolutely necessary. Then move on to the Case Types and do the same process followed by the Sub Types and then finally to the Document Descriptions.

Part 1 - New Case Divisions Best Practices New Case Division List [Civil]:

Take a look at the Division drop down and make sure it matches the list above. If there is a valid reason [allowing case initiation in criminal cases] differences may be necessary. But at a minimum the list should match the above list exactly.

To make any changes to this drop down, go into the Portal as a County Administrator. Go to the Administration tab on the Menu Bar and select the County Profile.



Then select the Divisions tab. For a Division to appear in the drop down when New Case is selected a check mark must appear in the Can E-File, Enabled? and Allow Case Initiation? columns.

Be sure to click on the Save link at the bottom of the page if any changes are made.



Part 2 - Case Types

To make any changes to the drop downs, go into the Portal as a County Administrator. Go to the Administration tab on the Menu Bar and select CaseType Codes from the drop down.

Select Circuit Civil for the Division and then click on Search.



This brings up the Case Type Codes page where you can make any changes necessary in the wording of the Case Type and Sub Type. Make sure that the Case Type and the Sub Type wording matches the SRS and Best Practice language. You will use this screen to make any necessary changes for the rest of this section.

Part 4 - Document Descriptions Take the list of Document Descriptions provided by the Best Practices Workgroup. If you have a document description that is on the list, make sure that the description your County uses matches the description in the list. Go through the list and make sure that the documents listed that appear on your County’s document description list have the same description. That will ensure that the attorneys will find the document named exactly the same in every County that has that document description. If you have more documents than the Best Practice List has, that is fine. If there are documents in your County that have never been used or used infrequently, feel free to mark those documents inactive to reduce the number of documents in the Document Description List. To make any changes to the document description, log in to the Portal as County Administrator. Go to the Administration tab, select Docket Codes.

Select the Division your Document Description resides in and click on Search.



Highlight from the list the Document Description you wish to change and click on Edit.

On the Information tab, under Document Type you can update the Document Description to match what is on the Best Practices List.

If any changes are made, be sure to click on ‘Save’ at the bottom of the page. That will then change the Document Description found on the Add Documents page to match what the Best Practices List shows which will be the same in all Counties that have that Document Description.
