To be eligible for funding, a student must meet two requirements*.

1. Must be in membership/enrolled during one of the five days during FTE week, and

2. Must have attended school during 1 of 11 days within the attendance window.

* Not counting certified teachers, valid course codes, etc.

Friday is ‘date certain’ for all FTE weeks.

FTE Eligibility

The student’s course schedule on Friday of FTE week is captured for FTE reporting and funding unless the student withdrew earlier in the week. In the case where the student withdraws before date certain, and leaves the district’s public school system, the schedule from the last day of membership will be captured.

If the student moves to another public school in the same district during FTE week then the school of enrollment on Friday ‘date certain’ claims the FTE.

Recommended FTE Procedures

Use the FTE diagnostic reports the weeks before FTE week to get the database as accurate as possible before FTE Week. This includes

1) Teachers checking extended class rolls. 2) School review of

a) ESE Subsystem report, b) Student/Course Verification List, and c) Student Course Edit Error report.

Recommended FTE Week Procedures

Updating the database the weeks before FTE week will make FTE week much easier as you only have to make edits just for those changes occurring during FTE week.

Recommended FTE Week Procedures

The FTE reports are updated by TIS each Sunday evening and should be available Monday morning. We recommend that the previously mentioned reports be looked at a minimum of 3 times.

1. The Monday of FTE week to see how your edits went that you put in the week before FTE week,

2. The Monday after FTE week to check those changes from FTE week, and

3. The Monday after ‘clean-up’ week for final review.

Remember, the database should reflect a ‘snapshot’ of enrolled students and their course schedules as of Friday ‘date certain’ of FTE week. This ‘snapshot’ is frozen the Friday after FTE week.

* If the student leaves the school district during FTE week and will be counted for FTE then their schedule on the last day of enrollment during FTE week willbe used for funding purposes.

Scenario One

A student in a Leon County public school at School A on Tuesday of FTE Week enrolls at School B (another LCSD public school) on Wednesday of FTE Week?

School B gets FTE credit for them assuming they are still there on Friday, “Date Certain”.

School A does gets FTE credit for them!

School A still gets FTE credit for them! Actually both school districts can claim full FTE funding.

Scenario Four

A student in a Leon County public school at School A on Tuesday of FTE Week moves out of the state on Wednesday of FTE Week?

School A gets FTE credit for them.

Any FTE changes made by the school before the end of clean-up week will be incorporated into the file sent to DOE (amendments not needed).

FTE Amendments are required only for changes needed after ‘clean-up’ week.

The 11 day attendance criteria should be checked the Monday of Clean-Up week. This will allow changes to be made as needed if a student did not meet the attendance requirement.

If this process is completed by the end of Clean-Up week, amendments are not needed as the database is not ‘frozen’ until Friday of Clean-Up week.

If not completed by Friday of Clean-Up week these changes must be completed via the amendment process.

During clean-up week a common problem is schools making corrections to student schedules and using the date they make the change as the beginning date in the students course code record. For the student to be eligible for FTE, the beginning date must be before or on ‘date certain’ of FTE week.

FTE Amendments

FTE amendments are required only for those changes occurring after Friday of clean-up week.

Amendments must be completed in Genesis. Step 1 – Print screen with incorrect student schedule. Step 2 – Make corrections as needed and save. Step 3 – Print corrected schedule. Step 4 – Clearly define the changes that were made. Step 4 – Send copies of both, incorrect and corrected

schedules, with amendment cover sheet to me via mail.
