Congratulations for your student’s participation in the 2018 Alabama Vocal Association’s All-State Choral Festival. Please note the following important information regarding the festival. Dear Colleague: Directors are required to: Attend the All-State Festival in its entirety with your students. Monitor student behavior during one rehearsal and/or monitor attendance at the beginning of each rehearsal (if assigned). Please check the attached schedules carefully and determine your assignment. Attendance monitors will receive separate communication with specific instructions. Print and complete the enclosed registration form (page 3 of this letter) and bring it to registration. Students are required to: Attend every minute of every rehearsal. AVA policy states that students must attend all rehearsals and the entire final concert. This policy will be strictly enforced. Missing rehearsal for ANY amount of time disqualifies a student from participating in the concert. Have original copies of all music for their choir. Students will not be allowed to participate in All-State without original copies of music. Wear name tag (acquired at registration) in a visible location at every rehearsal. No student is allowed in the rehearsal without this name tag. If lost, see the Assistant Coordinator for directions about how to purchase a new name tag. Wear school-appropriate clothing at each rehearsal. Have a black folder for the concert. Wear appropriate formal choral uniforms for the concert. If your choir does not have formal concert attire (formal dress and suit/tux or robe), your students should acquire appropriate formal clothing, with skirts at least knee-length or longer, as All-State is a formal event. School uniforms, show choir uniforms (sequins, spaghetti straps, etc.) jeans, t-shirts, polo shirts, short skirts, and sports shoes are not considered appropriate for this event. Be familiar with assigned voice part for the enclosed copy of the Star Spangled Banner, which will be performed at both the Middle School and High School concerts. 2018 All-State Choral Festival Procedures for Rehearsal Monitors

• Check-in with the Assistant Choir Coordinator at the beginning of your assigned duty

period.

• Rehearsal monitors will be assigned a section to watch.

• Monitors should walk around and check for name tags, pencils, music, gum,

sleeping, talking, etc. (Gentle reminders unless further action is necessary)

• If there is a serious or repeated infraction that gentle reminders do not solve, contact

Assistant Coordinator or Coordinator to take further action.

• All students must have original copies of music---no photocopies! Any student

observed using photocopied music must be reported immediately. Obtain the

students name/school/director and report this infraction to the Assistant Coordinator

who will then report to the registration desk.

• Do not allow a student to remain in the rehearsal with no name tag. Notify the

Assistant Coordinator.

• Any use of cell phones is prohibited during a rehearsal. Remove cell phones from

any student who is observed using a cell phone during a rehearsal. There are no

second chances. Take the phone and give it to the Assistant Coordinator or the

Coordinator. Be sure to write down the students name and school. The teacher of

the student will have to come to the Coordinator to retrieve the phone.
