Documenting this wide range of scope slows down the writing process since each time a larger document is saved, longer time is also required. The following list of filenames is the breakdown of the whole documentation:

Introduction-1

INTRODUCTION

PURPOSE OF THE DOCUMENT This document is created to serve as a user guide for navigating and utilising the Global Marketing System (GMS).

ABOUT GLOBAL MARKETING SYSTEM Formally known as North American Marketing System (NAMS), GMS is a database management system for the global academic marketing team. It provides users with functionalities to create bespoke marketing plans for the Press’s book authors.

PROJECT HISTORY

Though the project was originally called Global Marketing System and initially intended to be a global marketing database to be used by both the North American and the United Kingdom regions, it consequently became the North American Management System to entirely focus and address the marketing requirements of the North American offices. Now it’s finally called Global Marketing System.

WHAT GMS CAN DO?

GMS facilitates the management of marketing activities and information. The application basically helps you create, manage, and implement your own marketing plans. It assists you in monitoring the progress of a marketing plan through a series or set of activities necessary to implement it. There shall be more details about the Marketing Plan and its activities in the sections to come.

This document shall also provide step-by-step procedures to accomplish the marketing activities that will be involved.

GMS also facilitates the capabilities of different user types such as Super User, Marketing Associates, Publicity and Sales, Textbook Promotions and Editorial to effectively carry out their functions. The users are able to create, update, save, view, search, generate outputs, and print necessary information in order to monitor the development and implementation of a Marketing Plan, the primary objective of which is to promote the Cambridge titles. Any result would help users determine if it is necessary to change or revise anything on the marketing plan so as to better promote sales of Cambridge titles.

SCOPE AND DELIVERABLES Due to the system’s scope, content, and navigational range the Super User guide is documented into 10 major modules:

INTENDED READERS This document is intended for use by the Super Users of the Global Marketing System.

UPDATE MANAGEMENT AND RESPONSIBILITIES The GMS Administrator shall be responsible for updating the topics on this user guide. Whenever there is a need to add or remove or update any topic, the Administrator gathers and identifies these changes. However, updating this documentation does not necessarily suggest that the Administrator shall also be the one writing the updates. The Administrator may forward the information to the Technical Writers to apply all the changes in the documentation.

LOGIN PROCEDURE Only the Global Marketing staff of the Press may access the GMS and there shall only be one entry point to the system, the Press’s Intranet site. You may only access this application once you entered the Intranet by logging into the List of Applications page or the Applications Homepage.

2. Click Applications option under the My Intranet menu.

4. Input Email Name/Password.

ABOUT THE HOMEPAGE The GMS homepage features the following sections: Two functional sections, the Search and the Maintenance menu, a Welcome section, and a section about the application (see image and indicators).

The Welcome section indicates the user who logged in. The example shown below is user Hanamel Viloria.

The About section provides a brief description about the Global Marketing System.

The Search section allows user to find any information within the GMS database.

The Maintenance menu section allows the User to manage his contact information and Marketing Outputs.

1.1. SECTION OVERVIEW This section is essential reading as it provides the following procedures:

• Perform Basic Title Search

• Perform Detailed Title Search for Books

• Perform Detailed Title Search for Journals

• Perform Detailed Title Search for Contacts

1.2. ABOUT THE GMS SEARCH FEATURE The search feature allows you to find any information within GMS database. The Search CUP GMS functions in two ways (see both descriptions below).

1.2.1. BASIC SEARCH

1.2.2. DETAILED SEARCH

The Detailed Search feature is composed of three-link selection. You may perform this by selecting any of the three search links.

Link will be visible (see image at left, i.e., underlined text) once you hover the mouse over a selection. The tool tip will also be shown (see boxed text just below the link).

NOTE: Selecting radio buttons is not related to the detailed search feature. It will rather ‘tag' the data criteria for the Basic Search feature.

Any information provided in the input field is based on the selection of one of the three radio buttons. The radio buttons act as criteria for the input field.

The Basic Search feature makes use of the input field.

1.3. PERFORM BASIC SEARCH Follow the procedure provided below to perform Basic Search.

System displays results in Hardback (HB) and Paperback (PB) formats by default unless you specify differently in the Formats option in the Detailed Title Search page.

The link ‘There are related eBooks for this Title’ redirects you to the list of related titles of the clicked record in eBook format .

For simultaneous HB and PB, the Marketing Plan owner of one format automatically owns the other. For some titles the Marketing Associate is owner of only the PB. The same Associate must also own the HB.

However, if the PB is FTPB, this requirement does not apply. Also, if a title's answer code is RPL, the code is displayed beside the format.

Moreover, search result is sorted by publication date in descending order, see

enclosed dates on the image, i.e., 2009, 1997. For titles without publication date,

they will be under one heading, i.e., No publication date and this will display ahead of the latest publication date.

BASIC SEARCH PROCEDURE

1. Go to the Search CUP GMS section.

2. Input keyword into the Search input

field, e.g., The Cambridge Companion to the Beatles.

3. Select criteria by clicking the corresponding radio button.

NOTE: If you don’t select, the system will perform search based on the default criteria which is Title / Author / ISBN link.

4. Click Search button.

5. System displays Title Search Results page.

1.4. PERFORM DETAILED TITLE SEARCH FOR BOOKS Follow the procedure provided below to perform Detailed Title Search for Books.

2. Click Title / Author / ISBN link.

3. System displays the Detailed Titles Search page.

4. Provide preferred details.

First parameter required is to determine source of data. Default values are UK and US only. Select Australia and Asia to include them as options.

This filter allows you to select the Division Code for your search result. Default value is All. Follow dotted lines to see screen capture.

This filter allows you to select if data will come Datacare releases. Default value is Yes. Follow dotted lines to see screen capture.

This filter allows you to select the Responsibility Code for your search results. Default value is All. Follow dotted lines to see screen capture.

Flags are now in check box format. You can select the check box of the corresponding flag that you want to include in the search parameters.

This filter allows you to select Price currency. Default value is UK (GBP) only. Australia (AUD) and Asia (USD) are now included as options. Follow dotted lines to see screen capture.

Default Format is Hardback and Paperback. The Press also uses different formats, such as CD-ROM, Mixed Media, etc. these formats will NOT appear in the search result if you don’t change the default format. To display ALL format select blank.

Clicking this link will prompt pop-up page with list of Vista Subject Codes. Follow dotted lines to see screen capture (actual page may be longer than the screen capture).
