1 IntroductionThe Aeronautical Engineering program is concluded by a graduation period of five months (30 EC). This manual gives specific information about this period and has been written for all parties involved : the student, the company supervisor, the university supervisors and the examiner.

Whenever ‘student’, ‘he’, ‘himself’, ‘tutor’ or ‘supervisor’ is mentioned, it can also be read as : ‘female student’, ‘she’, ’herself’, ‘female tutor’ or ‘female supervisor’.

In this manual it is described which competences the student should minimally develop and what is expected from the student, the tutor and the company in this educational unit.

First of all, chapter 2 gives an introduction about the graduation in the context of the total curriculum, the competences and the didactic concept. Chapter 3 describes the steps for acquiring and preparing for the graduation project and also lists the conditions for a graduation project.Chapter 4 explains the roles of the supervisors and examiner, and chapter 5 the assessment.Chapters 6 and 7 describe the various forms of assessment the student will be subjected to and the different interactions with the graduation coordinator and university supervisor.Furthermore, all relevant forms have been included.

Finally, the appendices provide further information, such as the graduation agreement, information on graduation abroad and guidelines for making the reports.

2 The context of the graduation projectThe Aeronautical Engineering program is aimed at the application of technical-scientific knowledge in the day-to-day practice of designing, constructing, selling, using and maintaining aircraft.

To an increasing extent, other branches of industry use knowledge and techniques that initially were used only exclusively in aviation and aerospace. Because of this, also outside the aviation industry there are numerous opportunities for traineeships, graduation and employment.

2.1 In the context of the curriculumThe program takes four years, approximately 30 % of which is spent in industry: the second-year traineeship, the third-year traineeship and the graduation period. These periods are intended to gain practical experience in the field of technology and also to develop a number of more general competences. The set-up of the program is shown in Diagram 1.

For an overview of the courses in year 1, 2 and the LS, DD and GT minor, the reader is referred to the program information contained in the Student’s Charter (OER) on Insite, Section 20 : Composition of the Programme.In Dutch, this is referred to in Artikel 20: Inrichting van de opleiding : propedeutische fase, AD-programma, hoofdfase.

2.2 In the context of the didactic conceptIn the programs, the method of Jos de Kleijn and Dick de Bie is applied as a didactic concept. In this method five learning tracks are distinguished, see diagram 2.

2.3 Learning objectives As the objective for graduation it applies that the student learns to perform interdisciplinary as a trainee engineer in a company to test, apply and deepen the theoretical and practical knowledge achieved in

the training, or the knowledge to be newly obtained to independently analyse and elaborate a given assignment, and to come to a

result, possibly with realization of a product, within the time available for that to develop his communicative and social skills and problem-solving ability to further develop insight into his own career wishes and opportunities.

Keywords are organization and planning of the work, collaborate, be coached / supervised and consult. The student has knowledge, insights, skills and attitude with regard to carrying out, as independently as possible, the graduation assignment. The student is able to reflect, both in writing and orally, on his actions and learning process.

2.4 CompetencesAll students will be assessed on four general competences (as mentioned below in paragraph 2.4.2) with regard to the performing as an engineer.In view of the very broad range of possible graduation assignments, the student will be assessed on three self-chosen competences that fit the nature of the assignment and the student’s ambitions. These competences are selected from the Competence Card, which can be found on Blackboard >> GEN AE Aeronautical Engineering >> Curriculum / Block Books >> Competence cards). See also paragraph 6.2.4 and form AS-11.

At the end of the graduation period, the student is assessed for his performance on all seven competences. This performance should be on level 3, as specified by the performance indicators on the Competence Card.

2.4.2 Description of competences 7, 8, 9 and 11Competence 7: Conducting applied researchTo carry out research for a product or process on the basis of a research assignment resulting from a stock listing of the primary requirements of the relevant interested parties, which have been laid down in requirements or a preliminary set of specifications.

Competence 8: Work planningThe ability to work with a systematic approach, taking into account the company’s vision and policy as well as various aspects, such as financial feasibility, commercial aspects and cooperation.

Competence 9: Leadership / management The ability to carry out managerial tasks in a project.

3 PreparationsGraduating requires much organization :

The student has to acquire his own graduation position including a suitable assignment. This requires a good preparation (application letters and CV) and execution (application interview).

The companies hold interviews with one or several students on the basis of open or specific applications, draft the assignment(s) and take care of the internal organization with regard to supervision, administration, traineeship agreement (appendix 3), etc.

In this chapter, more information follows about these various aspects for all parties involved.

3.1 PrerequisitesA student is only allowed to start his graduation project after :

he has achieved all credits of year 2 and has completed the Engineering Internship

he has a maximum of 2 unfinished examinations to complete year 3 and the first semester of year 4

This should be validated by a PeopleSoft printout.

If the student has no access to the graduation project based on the prerequisites as described above, he may send a motivated request to the examination committee to start with the graduation assignment.

3.2 Acquiring a graduation assignmentApplying The companies expect the students themselves to apply for a graduation position. Therefore it is best to orient yourself well on companies in The Netherlands and / or abroad, to select from these a number of companies that suit your own interests and to approach these with a good letter plus curriculum vitae (see appendix 2) and university information about the graduation. Consultation with the graduation coordinator may be helpful here.

Graduation coordinatorIt is necessary to keep the graduation coordinator informed about the actions and the state of affairs in time.

Graduating abroadSpending a graduation period abroad is certainly advisable. It produces many additional experiences apart from graduation itself. Arranging this, however, often costs (considerably) more time. Therefore the best thing is to start very timely with this. Do contact the graduation coordinator about this, he can tell you more about it and give good tips. More information on graduating abroad can be found in Appendix 1.

3.3 Graduation project requirementsTo the graduation assignment a number of requirements apply. These are listed below.

Start dates Four dates per year are available for the start of the graduation project,

each at the start of a new period: February 1st , mid-April, September 1st and mid-November. Exact dates can be found on Blackboard.

Duration The graduation project has a study load of 840 hours, to be spent in a period of

approximately five months. For the exact dates you are referred to the actual time schedule for the relevant graduation period available on Blackboard.

The student sticks to the working hours of the company. School holidays do not apply; taking a day off should be authorised by the company supervisor.

Level The assignment should be a technical assignment at bachelor level: see the

objectives in chapter 2 and the competence card for aeronautical engineers The assignment requires sound analytical skills and research skills

Individual The student should be able to carry out the assignment independently.

Group assignments are possible, though each student should be able to get his own final review, graduation report and individual assessment.

The company Companies should have a minimum company size of five employees, so

that sufficient supervision of a satisfactory level is guaranteed. For adequate supervision minimally one employee is available with an HBO

- level or with an MBO - level with ample practice experience. In general, it is advised not to graduate at the same company as where the

third-year traineeship was done. There may not be any family relationships. A company that is new to the university will be checked by the graduation

coordinator, in accordance with the nature of this company, he may delegate this to one of the tutors.

Relevance The assignment should be relevant for the company and therefore the

results must be useful for the company. The assignment must be assessable by the staff of the AE department.

Scope The scope of the graduation assignment should be such that the

assignment (including the reports) can normally be completed within the indicated period.

Confidentiality If the assignment has a confidential character, it is necessary that the

assignment can be assessed by the university in accordance to the applicable procedure. Consult the graduation coordinator for issues regarding confidentiality.

3.4 Request for approval of graduation project To obtain approval for your graduation project, submit the following items to the graduation coordinator :

Description of the graduation assignmentThis description is drafted by the company, thus providing a formal project description, and has a minimum length of 1 page A4. This description should provide sufficient relevant information for the graduation coordinator to be able to assess if your proposed project complies to all criteria as listed in paragraph 3.3, therefore it should provide a good insight in the level and tasks of the project. It should state at least :

Project title Background information on the assignment Content of the assignment and tasks that the student will perform Expected result / output

The assignment description will always be added to the final report as appendix A.

Hand inBy e-mail to the graduation coordinator.

Approval processUpon the receipt of the request for approval, the graduation coordinator will assess whether the assignment is approved, possibly in consultation with the relevant subject tutors.In case of doubt, additional information is requested, and / or it is possible that the assignment is approved ‘with reservation’, the final approval (or disapproval) will then take place on the basis of the (far more extensive) information in the project plan.

In case of disapprovalIn case you do not agree with the disapproval of your proposed graduation project and you still want to pursue it, you can contact the examinations board (examencommissie).

3.5 Traineeship agreement (Appendix 3)Make sure that you have a traineeship agreement that is signed by the company, the graduation coordinator and yourself before the start of your graduation project.

Make sure to have three copies of the agreement signed by the company and yourself and send them to Inholland University (to the graduation coordinator). These copies will be signed by the university and two of them will subsequently be sent back to the company (of which you will receive one).

Appendix 3 contains the agreement that is used by Inholland University. It is based on the format discussed with, among others, the VSNU, the Ministry of Education, Culture and Science, the Labor Inspection, VNO - NCW, MKB Nederland and the HBO - council.

N.B.: Please pay attention to the clause about copyright (second last bullet of article 3). If the company wishes so, the contract can / has to be complemented / adapted at this point.

3.6 InsurancesInsurance by the studentEvery student should have his own liability (WA verzekering) and health insurances, or is included in the insurance of his parents. It is important that the student checks he is properly insured and that the insurance is valid during the graduation project.

Insurance by the companyThe company should have an insurance against company damages for the student. Check this with the company and make sure it is mentioned in the traineeship agreement.

Insurance by the educationInholland University of Applied Sciences Delft has taken out a collective liability insurance for all students and staff members. Please note: This liability insurance, however, only covers damages inflicted upon third parties by students or staff members during school activities and for which Inholland University can actually be held liable. Also see info of the All Risk Shop on www.inholland.nl.

3.7 Tasks of the studentThe tasks of the student, obviously apart from carrying out the assignment, are listed below.In preparation of the graduation project

discuss the chosen company and assignment as soon as possible with the graduation coordinator.

obtain a description of the graduation assignment from the company. This description is essential for obtaining approval for your intended graduation project. See paragraph 3.4.

submit all required documentation to apply for approval of the intended graduation project (see paragraph 3.4).

check whether your liability insurance (WA verzekering) applies during the graduation period in the company.

check if the company has an insurance for traineesDuring the graduation project

behave as a good employee of the graduation company. regularly check the Inholland e-mail address, communication always takes

place through this address. maintain contact with the university supervisor. This is very important in

particular for students abroad.

regularly consult the company supervisor to check your progress on the assignment and your personal development. Form AS-06 is a good basis for a discussion on your performance.

perform literature research; this is a standard element of an assignment; use reliable literature, and provide a relevant literature list in the final report.

take action if during the graduation period the assignment proves to be too extensive and cannot be completed within the given period. The assignment should be adjusted in consultation with the student, the company supervisor and the university supervisor so that completion within the period becomes possible. The student is to write a new assignment description and adjusted work packages and time planning (and if necessary, also adjusts the self-chosen competences). In case of doubt about the level of the adjusted project, consult the graduation coordinator.

4 Supervision The graduation coordinator, company supervisor, university supervisor, examiner and SLB coach take a role in the supervision (and assessment) of the graduation project. Their tasks are described below.

4.1 Graduation coordinatorTasks

4.2 Company supervisorThe company supervisor receives this manual, the general time schedule (form AS-05) and the actual time schedule (Blackboard) from the student.

Supervising tasks Sign the traineeship agreement (appendix 3)

NB : Please pay attention to the clause about cop right (second last bullet of article 3). If the company wishes so, the contract can / has to be complemented / adapted at this point.

Provide clarity about any additional insurances. Introduce the student at his workplace, inform him about the daily routine

and how to deal with any requirement of confidentiality. Make the student familiar with the subject matter of the graduation

assignment. Regularly discuss the progress and planning of the graduation work and any

questions or indistinctnesses with the student. Check the progress of the graduation work, timely interfere in case of

unsatisfactory results, and in that case contact the university supervisor. Offer the student the opportunity to give a presentation about the

graduation assignment at the company Check the project plan, the progress reports and the draft reports, before

these are handed in with the university supervisor.

Assessing tasks* Fill out form AS-06 (interim assessment), discuss this with the student and

4.3 University supervisorWithin two weeks after the start of the graduation period, the graduation coordinator will assign you a university supervisor. In case of questions or problems, you may contact him, preferably through e-mail. The university supervisor may call you in for a discussion at the university.

improvements need to be made* Visit the student once or twice at the company. This does not apply to

students abroad. * Coach the student on the process : check the student’s progress, through

visits, progress reports and contact by e-mail and / or telephone. * Provide feedback on the draft reports * Supervise student in case the graduation report was graded < 55.

Assessing tasks Assess the project plan (pass or fail) Discuss the results of the interim assessment (form AS-06) with the student

(during a meeting at the university, a telephone conversation or a visit at the company)

Participate in the final review

4.4 Examiner The graduation coordinator will appoint an examiner (one of the tutors), halfway during the graduation period. The examiner has no supervising tasks. Assessing tasks

Final assessmentThe grade for the final assessment is based on the following components (AS-07):

The review forms are attached to this manual as forms AS-07 to AS-11.

Pass gradeFor a pass, the final grade has to be 55 or higher on a scale of 10 to 100.

5.2 In case of a final grade < 55If the student’s graduation assignment is assessed as unsatisfactory (grade < 55), the student has one chance for retake. If also the retake is graded insufficient, the graduation assignment must be repeated, with another company and with another university supervisor. To this end, the student takes action with the graduation coordinator.

For the retake procedure for separate parts of the graduation project, refer to the respective paragraphs.

This complete assessment procedure is displayed in diagram 4.

3. 6 Reports During the graduation period the student keeps in touch with the university supervisor. A number of assignments have been installed to structure the supervision.

The enclosed time schedule (see form AS-05) gives a general time schedule; for the exact deadlines you are referred to the actual time schedule, which is available on Blackboard.

6.1 Form AS-02: Contact informationShould anything change during the graduation period, please pass on this information as soon as possible.

Hand inBy e-mail to the graduation coordinator within the first week of your internship, and to the university supervisor when known.Also make sure that the graduation coordinator has a copy of your traineeship agreement (paragraph 3.6).

Note: All information regarding the program is sent by e-mail to the Inholland mail address of the student.

6.2 Project planThe project plan includes :

The project plan must be assessed as satisfactory; if not, it has to be corrected based on given feedback, to be able to continue the assignment. The project plan is part of the formal assessment (see chapter 5).

Hand inBy e-mail to your university supervisor. Refer to the time schedule on Blackboard for the deadline : generally within two weeks from the start of your graduation project.

6.2.1 Project planThe project plan is indispensable for a good planning and execution of the assignment. The project plan should be in accordance with the guidelines from the booklet ‘Project Management’ by R. Grit.

In Chapter 5 of Grit (Table 5.1 and Figure 5.1) 10 sections are suggested for the project plan. Discuss with your supervisors (at the company and the university) whether or not section 9 is appropriate. Pay extra attention to sections 3, 4 and 8.

estimated number of hours for the work packages should add up to 840 hours.

Section 4 : Project limitsDescribe what is within the scope and what is not, in order to prevent delay and unclear situations.

Section 8 : ScheduleThis section should contain a clear planning of the graduation period, specifying a work load of 840 hours (30 EC). The work load calculation is based on the work package descriptions from section 3. It is advisable to visualise your planning with help of MS Project and / or a Gantt chart (see Grit, Figure 4.2).

6.2.2 Research questionsFormulate the main question you will answer during your graduation project.Also formulate sub questions : questions of which the answers together form the answer to the main research question. Refer to Elling paragraphs 3.1 and 3.2 for more information on main and sub questions.

6.2.3 Selection of competencesOne of the aims of the graduation project is to improve your skills on the competences : 7. Conducting applied research 8. Systematic working 9. Leadership / management 11. Self-management

Select another three competences on which you wish to improve your skills from the list on Blackboard (GEN AE Aeronautical Engineering >> Curriculum / Block Books >> Competence card). Make sure the chosen competences fit the assignment and the host company.

Performance indicatorsInclude the performance indicators for level 3 for all seven competences (copy these from the Competence Card, available on Blackboard). Your supervisors will use these performance indicators to assess your progress.

FeedbackConsult your supervisor(s) to get feedback on those competences regularly. At the end of your internship, you will write a reflection report on your progress on the seven competences and discuss this with your SLB-coach. This is a prerequisite to obtain your graduation credits (see chapter 5).

6.3 Progress updatesTo prevent setbacks delaying your graduation, you are required to evaluate your progress (compared to your project plan) and, if necessary, adjust your planning (and possibly even the scope of your project) accordingly.

In case your planning is met, the progress update will not be longer than one paragraph.

In case your planning is not met : Indicate the causes Describe your expectations : Will you be able to catch up? What activities

will take less time than planned ? In case you expect you cannot catch up, describe what measures you will

take. What will be the priorities ? Will you adjust the scope of the project ? In case of serious delays, it might be necessary to adjust your project plan. Consult your supervisor in time.

Also mention any change of the scope or aims of your project. Such a change might arise because of unexpected results or availability of measurement equipment.

Also mention circumstances or issues that arise during your project (f.e. issues with colleagues, delayed delivery of equipment and / or test samples, sickness, etc.).

6.4 Draft reportsThe graduation report is the crowning glory of your engineering education. To support your efforts on the graduation report, you will hand in three draft reports and discuss these with your university supervisor.

6.4.1 First draft report The first draft report is meant to help you structure the graduation report. It should show your intended set up (table of contents). Additionally, it should show that you have done a solid literature research and that you are able to discuss the results thereof. Included are at least :

Preliminary title for your graduation report Draft table of contents Introduction Literature research chapter Literature list (use APA guidelines)

It is advised to include also results of your project so far. Refer to Appendix 5 for the requirements for the introduction and literature research.

6.4.2 Second draft reportThe second draft report will contain at least half of the contents of the graduation report. The second draft should show that you are able to convincingly formulate the results of your project. Visualise your results : Use tables and / or graphs where appropriate. After the deadline of the second draft report, you will have only three weeks left to improve these parts, wrap up the project and write the last chapters of your graduation report.

6.4.3 Third draft reportAfter the second draft, only three weeks are left to write the additional chapters with the results of the project, the conclusions, recommendations, summary and abstract and to discuss these with your company supervisor. NB : Make sure to agree on beforehand with your supervisor what chapters you send for feedback and when your supervisor has time to check your work.

6.5 Graduation reportThe requirements for the report can be found in Appendix 5. For more information, refer to Report writing for readers with little time by R. Elling a.o.

ImportantCheck your report for the list of criteria on ‘Checklist reports’ (form AS-10). In case your report does not fulfil one or more of these criteria, you will automatically be referred to the retake.

DeadlineThe general deadline for the retake of the report and the final review sessions can be found in the time schedule on Blackboard. The delay will be six to eight weeks.In case more time is needed to improve the report, consider handing in the report at a later point in time (there are eight deadlines per year). Discuss this with your university supervisor and mention the agreed deadline in the improvement plan.

7 Presentations and other methods of assessment

7.1 Interim assessmentHalfway during the graduation period an interim assessment is made, see the form AS-06. Have your company supervisor fill in form AS-06 and discuss it. This enables you to set up improvement actions when necessary.

7.3 Presentation at the companyThe student concludes his graduation assignment at the company with a presentation. With this, the results are presented to a broader internal audience. Because of this new target group, this is a relevant new and valuable experience.

AssessmentThe presentation will be graded by your company supervisor based on the criteria as set out on form AS-08. This is part of the final assessment (Form AS-07).

7.4 Poster sessionAt the end of the graduation period the graduation work is presented during a poster session at the university. The exact date can be found in the time schedule.

RequirementsThe poster, A1 or A0 format, gives a clear and well-organized picture of the graduation project and should be readable independently (i.e. without verbal explanation). The poster :

clearly bears the name of the student, the title of the assignment and the name of the company

gives a clear and well organized presentation of the graduation assignment contains text, schedules, photos and figures should be readable independently, i.e. without explanation. should be in one piece: a number of loose pages A4 or A3 does not suffice.

Every student may count on a posting wall. You should arrange yourself more facilities and bring with you any necessary aids, such as extension cords. Every student remains on his post during the poster session, lunch break excepted.

AssessmentThe poster presentation will be graded by your examiner based on the criteria as set out on form AS-09. This is part of the final assessment (Form AS-07). Participation in the poster session is compulsory; this is a condition for admittance to the final review session.

AudienceYour company supervisor and colleagues are welcome, as are your relatives, friends and other interested people. Additionally, the examiner, university supervisor, external experts and fellow students are present.

7.5 Reflection sessionSubmit you reflection report (paragraph 6.6) to your SLB coach in time and schedule a reflection session to discuss your personal development.Tip: schedule the reflection session on the same day as the poster presentation.

7.6 Final review sessionThe final assessment takes place in a final review session.

Appendix 1: Graduating abroad

For students with a graduation assignment abroad, the following additional rules apply: In general, the project plan, additional competences, progress reports and

draft reports are sent, in consultation with the university supervisor, per e-mail. Here, please note the size of the file: files smaller than 10 MB normally give no problems. This may also be sent by surface mail, to the attention of the university supervisor, to :

The final report is handed in upon your return in The Netherlands, on the indicated date, but not later than upon the start of the poster session.

When you hand in your reports through the Education Service Centre, inform the addressee by email that you handed in your reports there.

The communication with the university takes place through Inholland e-mail. When abroad, the student will not be visited by the university supervisor, The student participates in the regular poster session (see paragraph 7.4).

Only if agreed otherwise, the student will give a separate (poster) presentation. All reporting is done in the English language.

Furthermore, the information below is important:

International OfficeThe International office of Inholland University does not provide any graduation projects, but can act as a mediator to help obtain the necessary documents such as visa, tax arrangements and work permits. Furthermore, students can contact it with any questions regarding possible scholarships for a graduation period abroad, as well as various informative brochures.

VisaWith graduation assignments outside the European Union, often a visa is required. This is also valid for a limited number of countries within Europe. The student can only start his application for this if the company has officially and finally confirmed the graduation assignment and has drafted the description, and the assignment has been approved by the university. For a graduation in the United States of America, often the J-1 visa is required. At the International Office, application forms are available for this visa. This can only be obtained including an insurance for the traineeship period. To the application, some things have to be added, such as a task description / time planning of the assignment(s) set up by the company, and a declaration of creditworthiness.

InsurancesWith a stay abroad, the student himself has to take out a (travel) insurance. The university is not insured against loss or theft of properties. It is also important to enter into a good health insurance and a liability insurance. Well before his leaving, the student should check how he will be insured during the traineeship

period abroad. If his own insurance is not sufficient, there is a possibility to take out additional insurance. By the way, it is advisable to not cancel current insurances because of possible problems regarding acceptation upon return.

Especially for students who go abroad for their study, Lippmann Verzekeringen offers the Insurance Passport for Students (IPS). This insurance covers medical and dental costs, exceptional costs and assistance, accidents, liability, legal assistance and luggage. Brochures are available from the International Office. For this, see www.acepolis.com

FinanceSometimes there are (limited) possibilities for a compensation of travelling expenses and accommodation for graduation periods abroad. Always inform at the International Office about possible scholarships, well before the start of the graduation period. By the way, students usually do not qualify for this when they receive a financial compensation from the company.

Furthermore the DUO in Groningen should be informed about the temporarily changed situation. The public transport season ticket should be stopped and the student is entitled to a compensation of the public transport ticket (about € 85 ) and to a scholarship for students living away from home.

AccommodationAccommodation will have to be arranged, for this you may ask for help from students who did a traineeship or graduated there in the previous period. Arranging accommodation for the whole period from The Netherlands is not advisable. For example, you can arrange accommodation for the first one or two weeks and use that period to find suitable accommodation locally.

MedicationThrough the Municipal Health Service GG&GD information can be obtained about any compulsory preventive health measures, such as malaria pills and vaccinations. CNSLD -, diabetes - and epilepsy patients should take a statement signed by their family doctor with them, clearly showing which medication should be administered and in what dose. If you take medication, also arrange for a medication passport from the pharmacy.

Find out as much as possible on the above matters, inform yourself well.

At the end of the traineeship, the educational institution requires a report from the student / trainee, the requirements of which are available to the student before the traineeship begins. The host organization will be offered a copy of this report.

The host organization will offer the student an evaluation of his traineeship, as well as a written confirmation that the work program has been carried out and completed. The educational supervisor will get a copy of that.

As part of the evaluation and assessment of the traineeship, at the end an interview may take place between the student / trainee, the company supervisor and the educational supervisor.

The findings will be laid down in the assessment form to be set up by the educational supervisor. On the basis of that, the final assessment by the examiner will take place. The educational supervisor may also be the examiner. The assessment criteria have been published beforehand.Explanation: A joint interview at the end will in principle always take place in case of a larger or more complex traineeship and furthermore depends also on the course of the traineeship. Depending on the requirements and desires of the relevant faculty and the host organization, additional agreements may be added.

Article 3: Traineeship agreements

The number of credits (ECTS points) for the traineeship will be: 30.

The traineeship will take place with the exception of the (parts of) days on which the staff of the host organization are not working from …………. to …………..

The daily schedule of the host organization applies to the student. The minimum number of hours per week of the traineeship will be ….. .

The student / trainee will not be present at the host organization on …….. Besides, the student / trainee has …. holidays.Explanation: In the first sentence, this may involve days on which the student / trainee has a comeback-day or other obligation at the educational institution or because an already known urgent private matter prevents him to be present. For the remainder, a limited number of holidays may be agreed upon, also depending on the length of the traineeship period.

The student / trainee will observe all regulations of the host organization. The company supervisor will report leave because of illness or for other reasons also to the educational supervisor in order to determine whether this affects the traineeship and if so, in what way.

The gross traineeship allowance for the student / trainee per month will be € …….Explanation: Agreeing upon a (travelling) allowance(s) and / or traineeship allowance is a matter between the host organization and the student / trainee. For the traineeship allowance, the term gross is used because the host organization is obliged to withhold taxes. With an explanatory traineeship – short traineeship – an allowance does not apply.

The host organization provides the student / trainee with the necessary facilities to carry out his tasks and to achieve his objectives. All materials and documents put available to the student / trainee by the host organization remain the property of the host organization, unless agreed otherwise. At the end of the traineeship or earlier, if requested by the host organization, these materials and documents will be returned again.

The student / trainee is obliged, both during and after the traineeship, to observe confidentiality with regard to anything that he becomes cognisant of, insofar as that obligation arises from the nature of the matter or where requested by the host organization. In view of the confidential nature of information, the student / trainee submits reports for the educational institution to the company supervisor.

The copyright and industrial titles for results / products will lie with the student / trainee, unless explicitly stipulated otherwise, for example in case the result / product, to a crucial extent, was developed as a result of the contribution and supervision of the host organization. Both the student / trainee and the educational institution may use the results for internal purposes without consulting the host organization.Explanation: As regards the educational institution, results concern a report, minutes of meeting, or for example final papers; documents made by the student / trainee (also) for the educational institution within the framework of progress monitoring, evaluation and assessment. Industrial rights mainly are an issue in the so-called graduation traineeship, that means the traineeship at the end of the study. During this traineeship a large appeal on the student’s independence is made and there is a more complex assignment, which may connect with innovation and development issues presented by the host organization.

The written reports will be offered to the company supervisor before it is submitted to the educational supervisor.

Article 4: Social protection / insurance

The host organization will protect the student / trainee from any form of intimidation or discrimination in the workplace. The principle of equal rights will always prevail. At the start of the traineeship, the host organization will inform the student / trainee about the facilities in that context, such as the presence of a confidential counsellor, a complaints procedure or any other facilities that safeguard due consideration.

In accordance with Dutch law (art. 7:658 subsection 4 Civil Code) the host organization is liable for any injuries or damages the student / trainee may sustain during the traineeship.Explanation: It also follows from the aforementioned article from the Dutch Civil Code that the above shall not be deviated from to the detriment of the student / trainee.

The student / trainee will make sure that insurance is taken out for accidents and liability in accordance with Dutch law, either by the host organization or by the student / trainee himself.Explanation: In view of the meaning of the previous provision, an insurance to be taken out by the student / trainee himself will, in principle, solely concern accidents and liability unconnected to said previous provision. As regards an accident insurance, the educational institution has taken out a collective accident insurance with limited coverage for the students, which applies during the activities of the university – including traineeship -, including the hours spent travelling. The student / trainee himself should assess whether he considers that sufficient. The amounts insured are: A. € 4,538.— in case of death, B. € 68,068.—in case of permanent disability, C. € 2,269.-- for medical expenses because of an accident, E. € 2,269.-- for dental costs because of an accident; policy number: 1803768.

Generally, taking out a separate private liability insurance by the student / trainee is not necessary, since he as a student will usually be covered by the third-party liability insurance of his parents and traineeship is not excluded. Students who do not live at home will also fall under this coverage. In case of doubt about the question whether a separate insurance is necessary, it is best to contact the parents’ insurer. In case of a traineeship abroad, it should be checked whether the third-party liability insurance includes foreign coverage.

Article 5: Disputes

In case of a dispute, the student / trainee will initially approach the company supervisor of the host organization.

If the dispute cannot be settled amicably between the company supervisor and the student / trainee, it will be presented to the educational supervisor in order to try to find a solution acceptable to all parties.

Article 6: Ending and terminating the traineeship

1. The traineeship will end:

a. After the period as intended in article 3.

b. If the student / trainee ends his study at the educational institution and in any case from the moment that the student / trainee is no longer enrolled as a student for the program at the educational institution.

c. If all parties agree with termination of the internship.

d. If the student / trainee should die.

e. In case of bankruptcy, moratorium of payments or dissolution of the host organization.

2. The host organization may terminate this agreement, having heard the student / trainee and the educational supervisor:

a. If the company supervisor concludes that the student / trainee does not comply with

b. the regulations of the host organization or the directions of the company supervisor.

c. If the student / trainee does not comply with the agreements with regard to confidentiality as intended in article 3.

d. If the student / trainee behaves in such a way that the host organization cannot reasonably be expected to accept this.

The company supervisor informs the educational supervisor about any termination of the traineeship.

3. The educational institution may terminate this agreement, having heard the educational supervisor, the student / trainee and the company supervisor, if the educational institution concludes that the traineeship does not comply with the educational objectives and / or the tasks laid down in this agreement, and / or if the student / trainee cannot reasonably be expected to continue the traineeship. The educational supervisor informs the company supervisor about any termination of the traineeship.

Article 7: General provisions

1. Deviation from the articles of this agreement is only possible through further written agreement between the traineeship coordinator, the educational supervisor, the student / trainee and the company supervisor.

2. This agreement is governed by Dutch law.
