Accessing HBK’s GIS Portal

LoginClick the link below to access the HBK application login page

https://apps.hbkengineering.com/

The login page can also be accessed through the HBK Engineering website by clicking ‘login’ in the top right corner.

The geographic information system (GIS) portal, that is unique to HBK Engineering, allows efficient and accurate utility mapping, all within a web-based system. Create, design, edit, analyze, and manage, all within one software.

Accessing HBK’s GIS PortalFor login, enter both Username and Password, and click log on.

If issues occur logging in, administrators found at the end of this tutorial guide can assist with a new username or password.

User Home PageAfter successful login, a user home page will appear.

Layouts are saved custom views of services on a map. All users layouts are listed under ‘My Layouts’ and are highlighted with a green box.

A Service is a data set that can be loaded onto the map; usually based on a project or task.

Services are listed under the Map Services box and are organized under tabs. These tabs include my services, shared services, and the user’s groups.

User Home PageMy Services: Services created by the user. These appear under the my services tab.

Shared To Me: Services that have been shared to the user by another user. These appear under the Shared Services tab.

Groups: Organized lists of related services on the user’s homepage. Users have access to certain groups based on what projects or tasks they may be working on. Each group has its own title and appears as a tab under the Map Services box.

Viewing a Map Service or LayoutOnce a map service or layout is selected, the map viewer will appear. This may take a moment to load depending on the amount of data in the service. To return to user home page, click the HBK logo at the top left corner of the page.

Click the magnifying glass icon to open the search bar. Type in latitude/longitude or address, and the map will zoom with a pin at the location. To clear, click the X in the search bar.

There are multiple map views. These include streets, satellite, hybrid, topography, and gray.

ServicesData is stored on the map in layers; layers are listed under services. To access services, click the Layers button at the top left of the screen. A tab listing service names will appear below.

To add an existing service to the current map, click the tree icon at the top right corner of the Layers tab, choose a service from the drop down menu and click Select. The service will now load onto the map. Multiple services can be open on one map. To remove a service from showing on the map, select the service name and click the minus sign at the top of the layers tab or right click the service name and select remove service.

ServicesTo create a new service, click the tree icon, select New Service from the drop down menu, type a new service name in the text box and click Select. The new service will appear under the Layers tab.

Creating/Removing a ServiceTo remove a service, select the service name and click the minus sign at the top of the layers tab or right click the service name and select remove service.

ServicesService DetailSet Unselectable: Makes all objects in the service layers un-clickable. The objects only exist on the map as a visual reference. Zoom To: Zooms the map inward to existing objects in the service layers. Pan To: Moves the view of the map to center on the location of objects in the service layers. Delete Service: Permanently deletes service. Requires user to type in password to complete. Manage Service Security: Displays pop up screen to edit and share permissions with other users. Save Service: Saves any additions or edits to service layers.

Sharing Services To share a newly created service, right click the service name and select Manage Service Security or select the service name and click the Manage Service Security under it’s properties tab. A screen that lists users will appear. Underneath, click the check box next to the user names to share the service with.

ServicesAfter selecting user names, a list of the specific user permissions will appear at the top of the pop up screen. Choose Yes in the drop down menu next to each action to allow permission to the user and choose No or Default to disallow.

Click Done at the bottom to finish. The service will now appear on the shared user’s home page under Map Services.

LayersData is stored on the map in layers; layers are listed under services. To access layers, click the Layers button at the top left of the screen. A tab listing services and layer names will appear below.

Viewing LayersTo expand the list and view layer names, click the small triangle next to the service name. Layers can be turned on and off from the map by clicking the check box next to the layer name.

Layers Creating a New LayerA layer can only be created within a service that the user has created or has editing permissions to. To create a layer in a service, Click to highlight the service on the layers tab and then click the leaf at the top of the tab.

Select New Layer from the ‘Select a Layer’ drop down menu. Type the name of the new layer into the ‘Name’ text box. There is the option to type up a description in the ‘Description’ text box.

Creating FieldsA field is a single piece of data listed within a layer. To add fields to a layer, click the drop down menu with text as default and select the desired data form.

Another way is to right click the service name and click Add Layer.

Data FormsText: Supplies a text box control for entering a small amount of text. Extended Text: Supplies a multiline text control for entering a large amount of text. Date: Supplies a date selector control. Boolean: Supplies a single checkbox. Select: Supplies a drop-down control. Only a single value may be selected at one time. Numeric: Supplies a text box specialized for numeric entry.File Path: Supplies a text box whose contents are to be interpreted as a file path.

For ‘Select’ and ‘Radio’ types, when selected, an additional text box will appear below the field name. There is no limit to the number of ‘Option Text’ entries. An additional space will appear when text is entered in the last space.

Type a name in the field of the text box. Click Create to finish.

Layers Editing LayersTo edit the appearance of objects within a layer, open the Layers tab and click the layer name and select Edit Layer. A Layer Detail tab will appear on the right side of the screen to edit multiple aspects of the layer’s appearance.

Opacity: A slider for specifying the opacity of objects in the layer

Color: A color selector for specifying the outline color of objectsFill Color: A color selector specifying the fill color of objects. May be linked to “Color” by selecting the link symbol between the two fields. Line width: A numeric field for specifying the width of lines in pixels

Marker Size: A numeric field specifying the size of point markers in pixels

Marker Style: A selector for specifying the appearance of point markersLine Style: A selector for specifying the appearance of lines

Fill Style: A selector for specifying the appearance of filled regions

Layer name and fields can be edited by clicking the pencil icon or by right clicking the layer name on the Layers tab and selecting Edit Layer.

Sharing Layer PermissionsTo share specific layer permissions to other users, right click the layer name and select Manage Security. A screen that lists users will appear. Underneath, click the check box next to the user names to share the service with. After selecting user names, a list of the specific user permissions will appear at the top of the pop up screen. Choose Yes in the drop down menu next to each action to allow permission to the user and choose No or Default to disallow.

Creating a LayoutTo create a layout, click the plus sign located at the top right of the Layers Tab.

Layouts are saved custom views of services on a map.

A ‘Create Layout’ screen will appear prompting to type the layout name and an optional description. It will create a default layout name but this can be changed. Click Create to finish. The new layout will now appear in a green box under layouts on the user home page.

LayersLayersLayersLayoutsTo delete a layout, open the layout from the user home page. Open the Layers tab and click the trash can/Delete Layout icon. To re-save a layout after editing the custom view, click the Save icon on the layers tab.

Sharing the LayoutTo share the layout with other users, first open the layout from the user home page. Open the Layers tab and click on the briefcase/ ‘Edit Security’ icon at the top. A screen that lists users by groups will appear. Select the group from the drop down menu or keep as all users. Underneath, click the check box next to the user names to share the layout with.

ObjectsObjects are clickable shapes within layers that contain information. When an object is selected, it is highlighted in pink and the data within the object will appear to the right of the screen under the Properties tab. To unselect an object, click elsewhere on the map.

Objects Drawing ObjectsThere are multiple options for drawing objects on the map listed under the “Draw” drop down menu. These options can also be accessed by right clicking anywhere on the map. To create an object, select an option from this menu.

Creating a PointTo create a point, select Point from the draw drop down menu or right click anywhere on the map and select ‘Draw Point’. Click the location on the map to place the point and a dot will appear.

Creating a Point ListA point list is a collection of points that are interpreted as one object. To create a point list, select ‘Point List’ from the draw drop down menu and click on any desired locations on the map. To finish drawing the point list, double-click or press ENTER when creating the last point. (ESC will cancel point list)

Creating a CircleTo create a circle, select Circle from the draw drop down menu or right click anywhere on the map and select “Draw Circle.” Click on the map to place the circle, hold down and move the cursor in or out to draw the desired size. Release to finish the object. When the circle is selected, its shape can be edited by adjusting the dots along the perimeter.

Objects Creating a LineTo create a line, select Line form the draw drop down menu or right click anywhere on the map and select ‘Draw Line’. Click on the map location to start the line and proceed to connect points until drawn. Double click or press the ENTER key to finish the line and unattach from the cursor. (Press ESC to cancel line). When selected, its shape can be edited by adjusting the dots along the line.

Creating a PolygonTo create a polygon (a closed shape having three or more sides), select Polygon from the draw drop down menu or right click anywhere on the map and select ‘Draw Polygon’. Click on the map at the location to begin drawing the object. Proceed to connect the lines attached to the cursor until the object shape is created. Double click or press ENTER at the end point of the shape to complete and fill the object. This will then unattach the line from the cursor (ESC will cancel polygon). When the object is selected, its shape can be edited by adjusting dots along perimeter.

Objects Duplicating/Copying ObjectsAny object displayed on the map may be duplicated by selecting the object, right clicking and choosing Copy from the menu. Right click again and select paste. The copied object will be placed on the active layer. No data is retained during duplication (This can also by done by pressing Ctrl+C followed by Ctrl+V).

Saving ObjectsOnce an object is created, the Properties tab for that object will appear to the right of the screen. The object is then added to a new layer, existing layer, or will exist unsaved in the workspace.

WorkspaceWhen objects are created in a workspace, they are unsaved and unable to have information attached. They simply exist on the map until closed out or logged off. To have objects in your workspace, create the object and click the X in the properties tab that appears on the right.

Working in an Active Layer Working in an active layer is a more efficient way to add objects to a layer. To select an active layer, click the Layers tab and select the desired layer from the ‘Active Layer’ drop down menu. When an object is drawn, it will automatically be put into the active layer and the properties tab will appear to the right with the field text boxes ready for quickly typing data.

Objects Adding Objects to Existing LayerIn the object Properties tab, click Add To Layer. Select the service to add the new layer under and click next. A pop up on the screen reading ‘Service Select’ will show. Select the service that the existing layer is under and click Next.Under the ‘Select a Layer’ drop down menu, choose the existing layer name and click Next.A Save Object screen will appear. Fill out the information fields for the object by typing the data into the field text boxes and click Save. The object has successfully saved to a layer and can be selected to edit data at any time.

Adding Objects to a New LayerOnce an object is created, the Properties tab for that object will appear to the right of the screen. Click Add To Layer. Select New Layer from the ‘Select a Layer’ drop down menu. Type the name of the new layer into the ‘Name’ text box. There is an option to type up a desription in the ‘Description’ text box.

To add fields to a layer, click the drop down menu with text as a default and select the desired data form. Type in a name for the field in the text box. A new line to add another field will appear below. Once complete, click Next, type the object’s data into the newly created fields and click Save.

Uploading FilesAttaching a File to an ObjectTo attach a file to an Object, select the object so the Properties tab appears to the right side of the screen. Open the Files tab and click Upload.

Uploading Files The ‘Upload File’ box will appear. Type in a name for the file in the Name text box. Next to the File text box, click Browse, select the file and click Open. To attach a hyperlink to an object, select Hyperlink from the Entry Type drop down menu and copy/paste the hyperlink in the box below.

Multiple files can be quickly added at once by dragging them from your desktop into the area above the upload button. The files will then automatically attach to the object. The file will appear under the File tab in the Object’s Properties. To delete a file, click the X next to its name.

Viewing Files by LayerTo view all files attached to objects within a layer, right click the layer name and select View Files or select the layer name and click the View Files button on the Properties tab.

Map ToolMap MeasurementsThere are multiple options for making measurements on the map listed under the ‘Measure’ drop down menu. To make a measurement, select an option from this menu.

Map ToolTo measure the latitude and longitude of a point on the map, select Location from the Measure drop down menu. Click a location on the map and a pin will drop at that point. In the Measure-Location screen, it will show the pin’s latitude and longitude. It also has an additional line that calculates the latitude and longitude of the cursor’s location on the map.

To measure distance on the map, select Distance from the measure drop down menu. Click at a starting point and use the line to draw the route of the distance to measure, double click to finish. Pins will drop showing the route and the Measure-Distance screen will display the measurement results.

To measure an area on the map, select Area from the measure drop down menu. Click a location on the map to start the measurement. Continue to connect the lines attached to the curser until a shape is created around the area for measurement and double click to finish. The Measure-Area screen will show the area’s measurement results. There is also an option to view different units of measurement from the Select Units drop down.

Map ToolSearch ToolsUse the Basic and Advanced Search to quickly find details of objects. The Search Tool is located on the top right side of the screen.

For a general search, select all boxes and type in the Keyword Search box.

To perform an advanced search, select specific Services and Layers within the Service. Check the boxes, then click on ‘Advanced’ to view the advanced search parameters. If all Services are selected, the Advanced Search may not show any parameters. Specify Service AND Layer.

If a search error occurs, it may be because you have selected incompatible layers. Try selecting fewer layers. Even for a basic search, it may not be desirable to select all layers because the search finds fields common to ALL selected layers. Contact Admin if help is needed.

Exporting Data

To view service data in a table with columns and rows, right click the service or layer name in the Layers tab and select View all Records. A small pop up of the data in a table will appear. Click the arrows to expand the view.

Each row is an object, with its fields organized by column.Objects can be moved from layer to layer by clicking on the layer drop down next to the objects information and selecting a new layer. It will automatically save the change. (This does not permanently delete the data from the object’s original fields. When an object is moved back to its original layer, the data will reappear.)Data for objects can easily be entered and edited in the table by typing in the data box below each field’s column.

To export service or layer data into Excel, right click the service or layer name and select View all Records. Click the Download as Excel button. Excel will appear as a download. Open with excel to view data in a spreadsheet. To export a specific object’s data, select the object so the properties tab appears to the right. Click on the export to table button and click Download as Excel.

Exporting DataTo perform a spatial search, first click search at the top right of the screen. Select the desired “target” layers from search tab.

Spatial Query

Next, draw a polygon in the workspace to use as the boundary. If polygons are already present on the map, one may be used to form the query boundary. While holding down the “Ctrl” key, click on the desired query polygon. Once complete, the results of the search will be available in the properties tab. Click the numbers at the bottom to page through different results.The spatial query data can then be exported to a table by clicking the Export to table button on the top of the properties tab.Spatial Query can also be done with a line or a point. Follow the same process as the polygon, but draw a line or point. A prompt will ask for a search radius (in feet). Example: For a 50 foot search radius, results within that radius will be highlighted.

Objects and map imagery within a specified boundary may be exported as an image for printing. To do so, find or create a polygon specifying the area to be printed. Select the area, then in the properties tab select the printer icon.

User SettingsEditing User ProfileTo view user profile, click My Profile at the top right of the screen.

To edit user profile, click the pencil icon to the right. Username, first name, last name, email and phone number can be changed.

User Settings To change user password, click the plus sign at the bottom of the edit profile page and fill out the prompted form.

Admin have a ‘Groups’ row. To edit groups, click the plus sign on the Groups row at the bottom of the page and check boxes to add into groups.

Tips• When drawing a polygon, double-click at the last point to close the object.

You can also press ENTER or right click--Complete Drawing

• Remember to have your Active Layer turned on, if drawing a specific

object for a specific layer

• When drawing a Point List, press ENTER to finish the drawing, or ESC to

erase and cancel points

• Use the Legend to edit layer details. Click Legend->Layer to quickly edit

layer details

• Under Layer Detail, the Geometries tab counts how many objects are

within that layer

Administration Tips• Add users under the ‘Users’ tab. Click the plus sign, then add information

to the fields.

• View allowed actions for users under the ‘Permission Viewer’ tab. This will

show what services and groups the user has access to.

• Use the ‘Inverse Permission Viewer’ tab to view a list of users for a specific

service or layout.

• The Map Services, Layouts, and Groups tabs are easier methods to look

up simple permissions and users.

• Use the Global Permissions tab with caution. Any changes will release all

data to entire groups of users.
