What is QUICKR?

IBM Quickr is a self-service Web tool for Team Collaboration.

Lotus Quickr enables the publishing, sharing, and tracking of all information relevant to a project with Team members & activities.

Teams can use Lotus Quickr to store resources (such as files, thoughts, and schedules) related to a project in a common place, where everyone can find and respond to the latest information.

Lotus Quickr enables you to share content with Team members in places, store content in libraries, foster team collaboration across organizations and time zones, both inside and outside of the Atlas Copco network.

Lotus Quickr Is a content library to share and organize office documents via the Microsoft office Connectors.

Provides a live feed for new and updated content. And much more …

How do I Login to Quickr?You are able to connect to our QUICKR server both from inside the Atlas Copco network and externally from the Public Internet.

What do I need?• A browser, Internet Explorer and Firefox are supported.• Internal User - A Lotus Notes account, with an Internet password

defined (Sametime/AC Village password)• External User - A user account & password assigned to them via

the ‘Place’ manager.

Atlas Copco users should use the url https://acquickr.atlascopco.com

External users must use the direct url for the ‘Place’ they need to access.

When reaching the Welcome screen use your Name and Internet Password to login.

QUICKR ‘My Places’/Home page

Once logged in to Quickr the Home or ‘My Places’ page will be shown.

Login details – The user you are logged in as and a ‘Log Out’ option are displayed in the top right hand corner (Highlighted in Blue below)

My Places – Lists all ‘Places’ you have been given access to, simply click on the Place name to enter… (Highlighted in Red below)

Navigation – Click on the ‘Home’ link at any time to return to the ‘My Places/Home page’. (Highlighted in Green below)

Quickr Training Place

All Atlas Copco users have access to the ‘Quickr Training Place’ by default. This ‘Place’ can be used to explore the possibilities within Quickr before moving on to a production ‘Place’.

…Find and View the Content I want?From the ‘Place’ home page it is possible to navigate to any of the content by using the items that are listed in the Table of Contents (TOC). There are also ‘breadcrumbs’ available so that you can easily return to any point in your navigation.

As well as items that are specific to the content for that place, there are also some useful options available, e.g. Index, What’s New & Help.

The What’s New Page is generated by Quickr to display a list of all the changes made in a ‘Place’ either daily or weekly.

The QuickBrowse icon can be used to list all the links displayed on the News Page in a separate window for quick easy browsing.

…Find and View the Content I want?IndexThe Index is a special folder that contains a listing of all the content in the current Place or Room…

To View or Print the contents of an item in the list, click the item’s title.

If there are attachment(s) associated with that particular content item, the download icon can be seen to the right to enable the attachment to be opened or saved without the need for opening the item itself. Hovering the mouse pointer over the icon will display the name of the document that can be downloaded.

If there is more than one item that can be downloaded, then a dropdown icon will be displayed which when clicked will show all the attachments that can be downloaded individually or completely.

HelpTextual help instructions are provided to assist you with any questions you may have about Quickr and its functions. Help can be found in the Top right hand corner of all Quickr pages.

Note: These functions are also available by clicking on the drop-down icon beside the item name and choosing the required action from the context menu.

…Customize my Place?The ‘Customize this Place’ item in the Table of Contents will only be present when the Place Manager logs in. The options available include:

Basics - Change the basic features such as the order of items in the Table of Contents, the place logo, which features to display/hide.

Forms - Create custom forms that relate directly to the place or room for use by Authors and Editors when creating content.

When the Basics page is displayed, the following items can be amended:

Name your place – Option to change the name given for the place.

Describe your place – a short description of the place.

Reorder – Change the order in which the contents are displayed.

Show/Hide - Select functionality you require within your ‘Place’.

Calendar - Enable this option (default) to display the Calendar option in the table of contents.

Tasks - Enable this option so that the Tasks list can be displayed and users can manage tasks as needed.

Room Index - Enable this option so that all items in the place are displayed that Users have access to.

Members - Enable this option to access the Members page, see member profiles and make changes to it if needed.

What’s New - Enable this option so that place members can be kept up to date with any changes in the place.

Room Map - Enable this option so that Users can display a graphical overview of a place’s rooms.

Notifications - Choose how members are notified about important events in this place

Incoming Mail – Choose if you want people to be able to send email to ‘Placename’@acquickr.atlascopco.com as a means of adding content to your ‘Place’? (Mail will arrive in the Index.)

Disable ActiveX –ActiveX can be disabled here. However your team would then not be able to use some advanced authoring features.

Disable Java Applets – Java Applets can be disabled here. However your team would then not be able to use some advanced authoring features.

Updates – Choose whether your ‘Place’ should receive updates from its source PlaceType when the PlaceType changes.

Encrypt Offline Places – Encrypt the database files comprising your ‘Place’ on the offline user's machine?

Offline Passwords - If you check this box, members of this place who have not defined an offline password in their Member Profile will use their regular login password instead, when taking this place offline.

…Manage the Members of my Place?Existing members of the Place, or additional Members that need to be added, can all be managed through the Members item on the Table of Contents.

Only Managers can change the Members that are assigned to a particular Place.

Each role within Quickr is defined as follows:

Authors can contribute and update their own content,

Editors can add and update their own content as well as the content of other place members.

In addition to Editor permissions, Managers can remove content added by any Place members, customize the place, and control membership of all rooms.

The final role is that of an Owner. This is the person that was assigned when the place was created.

You can either add existing network users by selecting them from a directory (Add Members), create new users specially for this place (Create Members), or add them as a group as follows:

…Manage the Members of my Place?Adding a Member to a Permission level

First of all you will need to decide whether the new member should have Reader, Author, Editor, or Manager permissions.

Add Members : (Internal Atlas Copco users in the Domino Directory)

Click on the ‘Add Members’ button

Select the tab with the correct access role for the new Member.

Start typing the users ‘lastname’ into the box provided, A list of options matching the name entered will appear in a drop down menu, when the name you want appears select it…

If you want an invitation sent to the users mail file select the ‘send invitation’ option, then click OK.

Create Members : (External users not in the Domino Directory)

If a person is to be added specially for this Place from outside of the Directory, then the Create Members option should be selected.

Selecting this option will display a window which the name of the person needs to be typed in the format ‘firstname lastname’. Enter as many names as you require by pressing the + icon on the window.

The option to add additional information about the new special member is now possible, e.g. password (mandatory) and email (optional).

Once the details of all person(s) have been added, choose if an invite to the place is to be sent (only if email address added), click the OK button.

…Manage the Members of my Place?

Demote or Delete a Member :•Select the users checkbox•Click on More Actions•Select actions from the drop down menu.

…Add Rooms to my Place?A room contains folders and documents but can also contain other Rooms. Each Room has a Members folder that defines who can enter the room and what they can do once inside.

If you create a Room within a Room, the new (child) Room automatically takes on the scheme that you established for the first (parent) Room. You can then change the characteristics for the new room, if you choose to.

Click the ‘New Page or Folder’ link to Create a room either within the Place or another room.

Select the Room option from the bottom of the list of available items.

Add the Room name and choose from the Menu position drop-down list the position in the Table of Contents where you want this room to be displayed.

Tick the Inherit membership from the parent room box if you want to inherit the membership permissions that have been setup in the parent Room.

With all areas completed click Create.

When you create a Room, QuickR automatically creates the following content and folders in the Room’s Table of Contents:

Instructions - which contains information on how to use the room – this will effectively become the Room’s ‘home page’

Room Index - a listing of all the content in the current room

Room Security - where you can change the security settings for the room.

Customize this Room - where you can change the attributes of the room, such as the order of items in the Table of Contents

Note: As creator of a room, you are assigned Manager access. In addition to creating forms, content, and folders in the room, you can set security for the room,.

Customize this Room:

In addition to the standard options within Basics, such as changing the room name, entering a description, reordering the Table of Contents and choosing which features to show or hide, the following buttons are also available:

Note: The Inherit membership from parent Room option is only available when the room is first created, it cannot be selected at a later date.

Cancel – Returns to the Room Options folder without making any changes. A pop-up window will appear asking the User to confirm that they are sure that they want to Cancel their recent changes.

Move Room – Will move the current room to a new (outer) room within the TOC.

Delete Room – Will delete the room and all its content. The User is asked to type the word ‘Yes’ into a field and then again click the delete room button to confirm that the delete action needs to proceed.

Done – Saves changes made to the current room.

…Manage My Room(s)?

Room Security:

If the Inherit membership from parent Room option was not selected during the creation of the room, the only member that would be currently added to the Room Security is the person who created the Room.

Additional members can be added to the new child Room, with appropriate permissions, depending on the role that they will be expected to perform.

Add New Members or change a users permissions in the same way detailed earlier in the ‘Manage Members of My Place’ section.

Note: It is important that additional Managers are added to any new Room so that the room can be managed in the event of the Room creator no longer being available.

It is also important to note that if named members are added to the Readers list then that will exclude all other Users from being able to read any content within that room (excluding those who have been given a higher level of security, e.g. Editor or Manager).

It is also important to make sure that Default and/or Anonymous are selected on the Readers list if the room content is meant to be visible to anyone viewing that place.

…Add a Folder?Only Room Managers can add Folders.

Click the ‘New page or Folder’ link and scroll down the list of content options, then Click the option Folder.

Select the type of folder required depending on how the content needs to be displayed:

Discussion

Lists the titles of all the items in the folder and allows readers to add new content in response to existing content.

Simple list

Lists the titles of all the items in the folder.

Headline

Can contain up to five items. The titles appear in a row near the top of the screen, like “tabs” on typical Web sites.

Ordered list

Lists the titles of all the items in the folder. Contains up to 60 items.

Slideshow

Shows one item at a time. Can contain up to 30 items.

Complete the title and description fields for the new folder and who is permitted to add content to this folder.

Select position in the Room’s TOC where the folder should appear.

Click to save the changes.

Links displayed for the new folder are:

New Post – The function of this link is dependent on the selection made on the Folder Options page

Folder Options - This link is only visible to Managers and allows folder settings to be decided. Includes the option to change the name of the folder, amend the description of the folder, add images and change permissions.It also provides the option to choose which template (form) the Author will be presented with when adding content to this folder.

…Add Content to a Room or Folder?The Place/Room manager will have decided the function of the predefined forms link when creating content in this Folder/Page.

For example, if the choice made by the Room Manager is to be able to upload content then the upload link will be displayed.

Click this link to display the edit page where the content and any supporting attachments are entered.

To add file(s) click the select file(s) icon to display the Open window.

Navigate to the files you want to upload using the Look in field and, with the file(s) selected, click the Open button to add the files.

When all the required files have been added, additional details can be entered, e.g. a title (mandatory) and summary text (optional).

With all the relevant information entered onto this page, click either check in or check in with options... depending on whether additional actions are required.

If ‘Check in’ is clicked then the content will be saved without any further actions to be taken, however if ‘Check in with options’... is clicked then the additional options page will be displayed.

On this page you will be able to:

Notify members via email that content has been added

Add additional named members as authors for this content

Restrict read access to the content

Choose the location that the content should be stored.

…Add Content to a Room or Folder?

Click Next

Once checking in has been completed the new content is loaded.

Because there are attachment(s) associated with that particular content item, the download icon can be seen to the right to enable the attachment to be opened or saved without the need for opening the item itself.

If there is more than one item that can be downloaded, then a dropdown icon will be displayed which when clicked will show all the attachments that can be downloaded individually.

Click the new… link and scroll down the list of options until you find the type of content you want to create.

When the type of content is selected, e.g. Word or Excel pages, then the edit page will be displayed as before and the same steps will need to be completed.

Differences between ‘Check in’ and ‘Check in with options’

Check in - Publish content that’s ‘Checked out’. Automatically ‘Checks in’ the edited version so other members can read & edit it (if allowed).

Check in with options – offers other options to checking in the content, e.g. adding additional authors and saving as a draft if the Author wants to save a draft version of the content so work on it can be interrupted and resumed later.

You can ‘Check out’ content if:

You created it.

You have been granted authoring rights to the content

You have editor or higher access permissions.

There are two options for checking out content, ‘Check out’ and ‘Check out and edit’.

The differences are:

Check out - Locks the content and creates it as Draft in Progress for working on at any time now or in the future.

Check out and edit - Locks the content and opens the default editing tool so that the content can be changed immediately.

Note: For some content it is also possible to perform these tasks by using the drop-down list icon beside the content title. This will display a context menu which includes amongst other things the options to ‘Check out’ and ‘Check out and edit’.

Check out:

Select the item that you require. This may be an item within a folder, or it may be the content of the Folder or Room page itself in which case the checkout links will already be visible.

The options to check out or check out and edit are now displayed in the drop-down list.

Select the check out option.

The options available now from the drop-down list are:

Check In – publish the draft so that others can see, and if permitted edit, the content

Cancel Checkout – permanently delete the draft and check in without any changes being made to the original

Edit – resume editing the draft as required

View - opens the content ready for either resuming editing on the draft or to see the original content by selecting the Published Version option below the content title.

Note: The lock icon to the left of the content type shows when the content is locked, if you hover the mouse over the icon you will see the username of the person who has the content checked out.

…Check Out Content?

In order to be able to work on the content select the option edit.

With the edit page now displayed it is possible to change or add further details to the original content, e.g. the title, summary text, add or remove attachments and define any email notifications required.

When the editing has been completed, the options to check in, save as working draft, cancel, or check in with options are available.

With the reworked content checked back in, the Updated By and Modified On details will be updated accordingly.

Alternatively, if you want to work on the content immediately then select ‘Check out and edit’….

This time the system takes you directly to the edit page so that you can make changes or additions as required.

The options from here are now identical to the check out explanation……

Specific Groups - which will need to be by clicking on the ‘To’ field and selecting the appropriate members of the ‘Place’ from the list displayed.

…Check Content back In?When you are ready to check content back in, you can click either ‘Check in’ or ‘Check in with options’.. depending on whether additional actions are required.

If ‘Check in’ is clicked then the content will be saved without any further actions being undertaken, however if ‘Check in with options’... is clicked then the options page will be displayed.

On this page you will be able to:

The connector installation package can be found on the Quickr homepage or via https://acquickr.atlascopco.com/qkrconn.exe

Once the code is downloaded run the install program using the default values.

Note: Users that use Sametime via the Notes Client will NOT be able to install the Sametime Connector during installation. At this time Connectors will only work with the stand-alone Sametime Client.

…Use the Quickr Connector?After the installation of Lotus Quickr, you need to launch the Quickr Connector software and add one or more Places you are a member of.

Server address is https://acquickr.atlascopco.com

User ID & password (same as your details used to login to Quickr/Sametime/AC Village)

Check any ‘Places’ that you have access to that you want Connectors to be linked with

From within your PC environment you should now be able to open, edit and save documents that are stored on the Quickr Places you are Members of.
