Infor|Lawson RQC & Staples Access Request Process Training

WHY ARE WE DOING THIS? As part of Supply Chain Management’s vision to "fill the hands that heal," Supply Chain IS analysts are standardizing access to Infor|Lawson RQC (Requisition Center) and Staples ordering. Standardizing access requests will:

    • Facilitate faster service turnaround • Enhance stewardship • Improve setup accuracy

By having one shared work queue for all Infor|Lawson RQC and Staples access requests, Supply Chain IS analysts will be better able to deliver excellent customer service.

If you have questions, please contact Michael German, manager, Supply Chain Management Information Systems, at [email protected].

OLD PROCESSES RQC Access Request Under the current process, Requesters submit requests for RQC access using:

    1. A PDF form. This form is filled out by the Requester and emailed to a core leader for approval. Once the form is signed by the core leader, the form is scanned and emailed to Supply Chain IS analysts.

    2. Requesters can also request RQC access by emailing their information to Supply Chain IS analysts and cc’ing their core leader.

    3. Another way to request RQC access is through an ITSM or Service Catalog request. These requests are then forwarded to Supply Chain IS analysts.

Staples Access Request Renton caregivers use a form on SharePoint to submit requests for Staples access.

New Process The new process will use a new SharePoint form for all Infor|Lawson RQC and Staples access requests. As a result of this change:

    1. The PDF form, ITSM/Service Catalog and email requests will not be used anymore to submit access requests.

    2. As of October 21, the Staples Advantage form will not be available for Staples access.

Please note that, if you already have RQC and/or Staples Access, the new SharePoint form process will not change your current access and no immediate action is needed.

Infor|Lawson RQC and Staples Access Below is the description of how to submit a request for Infor|Lawson RQC & Staples Access under the new process.

    1. Go to the Supply Chain Customer Service Page (see Figure 1).

    2. Click on the Infor|Lawson RQC & Staples Access link.

    5. Once a Requester submits a request using the new form, the caregiver’s core leader will receive an

email stating that the request was submitted and needs to be approved.

    6. After the SharePoint form is approved by the core leader, access requests will be automatically routed to Supply Chain IS analysts.

    7. Supply Chain IS analysts will validate the accounting units on the Staples Access Requests

(New/Change/Troubleshoot) to ensure only active accounting units are submitted to Staples.

Submitting an Infor|Lawson RQC Access Request As mentioned above, a Requester will be able to submit three different request types (new, change and troubleshoot) related to RQC access. There are three different Infor|Lawson RQC forms for submitting each of these request types.

Header Section Each form has a header section, which allows the Requester to select the request type and access type by clicking on the dropdown menu. Once the New Account request type is selected, a Requester will select the RQC Account as its account type.

Selecting the Request Type (see below) will enable the Account Type option to be selected.

Once the appropriate Account Type is selected, the rest of the form is enabled.

If the request is urgent, a Requester should also check the URGENT check box. This will enable the Requester to describe the reason for the urgency. This option should only be used to expedite processing of the request in the case of a sudden change to a caregiver’s status or access and should not be used as a result of a Requester’s failure to submit the request in a timely fashion.

New Account The form for the New Account has three sections. Header, User Information and RQC Set-up.

Header See Header Section for details.

User Information The User Information section is where the Requester enters employee-related information, which is essential to building RQC Access.

RQC Access Set-up The RQC Access Set-up section is where the Requester enters information, which is needed for Supply Chain IS analysts to build an account in Infor|Lawson (ProvConnect).

Please avoid filling out the form with generic information. For example, the facility/clinic field needs to be the correct facility/clinic name of where the caregiver is physically located. This will help Supply Chain IS analysts build the RQC Access properly.
