Directory integration with Polycom® phones and GENBAND
™ address books enables you to incorporate
the GENBAND Global Address Book (GAB) and Personal Address Book (PAB) with the Corporate and
Contact Directories available on Polycom phones. When Polycom phones are registered with the
GENBAND Call Server, you can search for contacts in the GAB or import contacts from your PAB to your
Polycom phone.
The features described in this feature profile are available on the following Polycom phones running UC
software 4.0.5 or later registered with the GENBAND Call Server:
VVX® 500 and 1500
SoundPoint® IP 321, 331, 335, 450, 550, 560, 650, and 670
SoundStation® IP 5000, 6000, 7000 and SoundStation Duo

System administrators must update all Polycom phones with UC software 4.0.5 or later and register the
phones to work with the GENBAND Call Server before enabling the GAB and PAB.

Settings: Local Contacts Inaccessible with Server Control Enabled
Pre-existing contacts stored in the Contact Directory on Polycom phones are not accessible after server control of the Contact Directory is enabled (dir.local.serverFeatureControl.method is set to GENBANDSOPI). If local contacts are present on the phone, the contacts may be deleted to free memory space for PAB contacts.
Use the Global Address Book GENBAND’s Global Address Book (GAB) feature functions similar to the Corporate Directory—a
company directory enabled and populated by system administrators—available on Polycom phones. The
GAB is a read-only directory that is enabled by system administrators and contains contact information for
an organization.
Using the Global Address Book (GAB), you can perform simple and advance searches, save contacts to
the Contact Directory or Personal Address Book, and call contacts in the GAB. You can also modify
settings for the GAB on your phone.
Note: Global Address Book is Read-Only
The Global Address Book is a read-only directory that you can use to search for contacts. If you want to modify a GAB contact’s information, you need to save the contact to the Contact Directory or the Personal Address Book. For instructions on saving contacts, see Save Contacts from the Global Address Book.

Access the Global Address Book
You can access the Global Address Book from the Features menu on all supported phones, from the
Directory menu on VVX 500 phones, and by pressing the Directories key on the SoundPoint IP 650 and
670 and the VVX 1500 phones. You can also access the GAB during a call.
To access the Global Address Book from the Features menu:
» Select Menu > Features > Global Address Book for SoundPoint IP, SoundStation IP and Duo,
and VVX 1500 phones, as shown on the SoundPoint IP 560. Or select Settings > Features >
Global Address Book for VVX 500 phones.
A search screen displays.
You can access the GAB during a call if you need to transfer a call to another contact or add a contact to
initiate a conference call.
To access the Global Address Book during a call:
1 In an active call, select Transfer > Directory.
2 In the Directories menu, select Global Address Book.
Search the Global Address Book
You can perform a simple or advance search of the GAB on your phone. A simple search enables you to
search for contacts using either their first name, last name, or by typing a few letters in their name. An
advance search enables you to choose to search for contacts by first name, last name, or phone number.

To search the Global Address Book:
» Enter your search criteria and select Submit.
The search results display with a list of contacts that match your search criteria.
To perform an advance search of the Global Address Book:
1 In the Global Address Book screen, select AdvFind.
2 Select a search parameter and select Next. You can choose to search by a contact’s last name,
first name, or phone number, as shown next.
3 Enter your search criteria and press Submit.
Your search results display with the contacts name and phone number.

Call Contacts from the Global Address Book
You can call a contact in the GAB directly from the search results screen or by selecting a number to dial
in the Contacts screen. Note that when you call a contact from the GAB search screen, the phone dials
the SIP address.
To call a contact from the Global Address Book search results:
» After you submit your search criteria, select a contact and select Dial, as shown next.
To call a contact from the Contacts screen:
1 Select a contact and select View.
2 Select a contact number and select Dial, as shown next.
Save Contacts from the Global Address Book
You can save contacts from the Global Address Book to the local Contact Directory available on Polycom
phones. You can also save contacts to the Personal Address Book, if enabled.

Note: Contact Directory Read-only When Personal Address Book is Enabled
The Contact Directory is read-only on VVX 500 phones when the Personal Address Book is enabled. You can save contacts to the Contact Directory, but you cannot edit contact information in the directory. Contact your system administrator for more information on using the Contact Directory on VVX 500 phones.
To save contacts to the Contact Directory or Personal Address Book:
1 After you find your contact, select View.
2 In the Contact screen, select Save.
The contact is saved to the Contact Directory or your Personal Address Book. When you save a
contact from the GAB to the PAB or Contact Directory, you can modify the contact’s information
and save the new contact information in the PAB or Contact Directory. For instructions on
modifying contacts in the Personal Address Book, see Modifying Contact Entries.
To edit a contact in the Contact Directory:
1 Select Menu or Settings > Features > Contact Directory.
2 Select a contact and select Edit.
3 Edit your contact’s information and select Save.
Modify Global Address Book Settings
You can modify settings for the Global Address Book on your phone. For the GAB, you can enable or
disable View Persistency, which enables you to view your most recent search results in the GAB after you
have left the Directory screen.

To enable View Persistency:
1 Select Menu or Settings > Basic > Preferences > Global Address Book > View Persistency.
2 Select Enable, as shown next.
View Persistency is enabled and you can view your most recent search each time you return to the
GAB.
Manage the Personal Address Book The Personal Address Book is a cloud-based directory that enables you to modify your personal directory
using your Polycom phone or on your computer using a GENBAND Personal Agent. When the PAB is
enabled and registered on your phone, your PAB contacts are automatically downloaded to the Contact
Directory available on Polycom phones.
Polycom phones can support a maximum of 99 to 100 PAB contacts. The following table lists the
maximum number of PAB contacts available on supported Polycom phones.

Polycom Phones Maximum PAB Contacts Supported

Note: Phone’s Available Memory Can Affect the Amount of Supported Contacts
Polycom phones can support 99 to 200 contacts depending on the phone’s available memory. Configured settings and features can affect the amount of available space on your phone. If all of your PAB contacts do not load onto your phone, check with your system administrator for help with getting additional space on your Polycom phone.
View the Status of the Personal Address Book
You can view the status of the Personal Address Book on your phone. You can use the status information
to determine any issues with the PAB.
To view the status of the Personal Address Book:
1 Select Menu or Settings > Status > Contact Directory.
The following information displays:
Control Method The protocol used to sync the Personal Address Book with the GENBAND
Call Server.
Status The connection status of the PAB, which is connected or disconnected.
Mode The mode of the PAB, which can be Read-only or Read/Write.
URL The GENBAND Personal Agent URL address for the phone.
Username The phone’s registered user name.
Line The phone registration connected to the Personal Address Book.

Use the Personal Address Book The Personal Address Book integrates with the Contact Directory available on Polycom phones. After
your phone is registered with the GENBAND Call Server, you can import contacts from the GENBAND
Call Server to the Contact Directory and save contacts from local call logs and the Global Address Book
to the PAB. Additionally, you can search for contacts, edit contact information, and dial contacts in the
PAB.
Note: Adding Additional Contacts to Address Books
Before importing contacts to your Polycom phone, make sure you save all of your contacts to your Personal Address Book using your GENBAND Personal Agent on your computer. Saving all of your contacts to the PAB ensures that your contacts are downloaded to the Contact Directory on your phone.

Access the Personal Address Book
You can access the Personal Address Book from the Features menu on all supported phones, from the
Directory menu on VVX 500 phones, and by pressing the Directories key on the SoundPoint IP 650 and
670 and the VVX 1500 phones.
To access the Personal Address Book:
» Do one of the following:
On your SoundPoint IP and SoundStation IP and Duo phone, select Menu > Features >
Contact Directory
On your VVX 500 phone, select Directories > Contact Directory.
On your SoundPoint IP 650 and 670 and the VVX 1500 phones, press the Directories soft key
and select Contact Directory.

To view contact entries in the Contact Directory:
» Select a contact and select Edit, as shown next.
The contact’s information, including first and last name, directory number, nickname, and other
information displays.
Search the Personal Address Book
You can search for contacts in the PAB on your phone by first name or last name.
To search the Personal Address Book:
1 In the Contact Directory screen, select Search. Select the More soft key if you do not see the
Search soft key.

The Directory Search screen displays, as shown next.
2 Enter your search criteria and select Search.
The search results display with a list of saved PAB contacts.
Call Contacts from the Personal Address Book
You can call contacts in the Personal Address Book from the Contact Directory screen.
To call a contact from the Personal Address Book:
» In the Contact Directory screen, select a contact and select Dial.
The phone dials the primary number for the contact. If there are multiple numbers available for a
contact, your phone displays the option to choose a number to dial, as shown next.

Modify the Personal Address Book
You can add, edit, and delete contacts and contact information in the PAB on your phone or in your
GENBAND Personal Agent on your computer. If you modify a contact’s information on your phone or
computer, the changes are automatically updated on the GENBAND Call Server and in the PAB on your
phone.
Modify Contacts Locally
You can add, edit, and delete contacts in the Personal Address Book on your phone.
To add a contact to the Personal Address Book on your phone:
1 In the Contact Directory, select Add, as shown next.
2 Enter your contact’s information, create a nickname for the contact, and select Save.
The contact is added to the Contact Directory on your phone and the PAB on the server.

Note: Nicknames Required for All Contacts
When you add a new contact to the Personal Address Book, you must enter a unique nickname that is at least one character long for each new contact. If you try to save a contact without a nickname, a message asking you to enter a nickname displays.
To edit Personal Address Book contacts on your phone:
1 In the Contact Directory screen, select a contact and select Edit.
2 Edit the information in the contact fields and select Save.
The contact’s information is updated in the PAB.
To delete a Personal Address Book contact:
1 In the Contact Directory screen, select a contact and select Delete, as shown next.
A message asking for confirmation to delete the contact displays.
2 Select Yes to delete the contact entry.
The contact is deleted from your PAB on your phone and the GENBAND Call Server.
Troubleshooting: Modifying A Contact Entry Fails
If adding, editing, or deleting a contact fails, a message displays with the reason the modification failed. Depending on the reason for the failure, the database state can change to ‘out of sync’. The phone periodically tries to reconnect to the server. If the phone is unable to reconnect, contact your system administrator if an ‘out of sync’ message displays.
Modify Contacts Remotely
When you edit a contact’s information in the GENBAND Personal Agent on your computer, the contact’s
information is updated on the GENBAND Call Server. After your contact’s information is updated on the
server, your PAB contact’s information is updated immediately on your phone. Note that the phone does
not notify you when a contact’s information is updated or a contact is deleted.

Save Contacts from Local Call Logs
You can save contacts from the local call logs to the PAB on your phone. Note that you cannot save
contacts to the PAB on the VVX 500 because the Contact Directory is read-only when PAB is enabled.
To save contacts from call logs to the Personal Address Book on your SoundPoint IP,
SoundStation, and VVX 1500 phone:
1 Select Menu > Features > Call Lists
2 Select a call list.
3 Select a contact and select Save.
After you save a contact from the call logs to the PAB, you can edit the contact’s information in the
Contact Directory.
Troubleshoot If you are having issues accessing the Global Address Book, you can view the status of the GAB in the
Status menu on your phone and contact your system administrator for further troubleshooting help.
To view the status of the Global Address Book:
» On your phone, select Menu or Settings > Status > Global Address Book.
The status information and the server URL for the GAB displays.
