WELCOME TO LLOYD’S ELECTRONIC CARGO CERTIFICATE (LECC)

Lloyd’s Electronic Cargo Certificate online system provides an interactive end-to-end solution that allows the entire market to capitalize on the Internet’s low communication cost by offering real-time collaboration to the Assured, Brokers and Underwriters through a centralized database. The system also allows you to issue certificates online and provides you with reporting and query capabilities.

Issue Certificates instantaneously. Use of templates to reduce the need to key in information. Web browser access simplifies rollout to branch offices on a global level. Real-time referrals for Clients and their Brokers. First Notice of Loss to Underwriters and/or Brokers via the Lloyd’s Agency network. Generate claims and shipping reports on-screen and export them to PDF or Microsoft® Excel formats. Secret questions package to enable easy re-set of password. Work in a secure environment.

Using LECC

Initial Account Setup

Log into LECC at www.leccerts.lloyds.com. Your User ID and Password will be sent to you via email from [email protected]. Please note you will receive two separate emails with the subject “Genoa Confidential Email,” one with your User ID and the other with your password.

1. Enter the password provided in the confidential email received with your User ID into the Log In box as shown below. Check the box I agree to terms and conditions and then click Log On.

2. You will be presented with a Change Password box as shown below. In the Old Password field copy the password you received from [email protected] and then paste it into this field.

3. Provide a new password in the New Password field which should be a minimum of 6 characters

and is also case sensitive, then confirm the password you provided by re-typing this password in the Confirm New Password field.

4. Once complete click the Change Password button.

Secret Question Next you will be asked to provide a secret question that will allow you to retrieve your password if forgotten.

1. Enter your current password into the Current Password field.

2. Select a system question from the Select Secret Question drop-down menu.

3. If you do not want to use a system-provided question omit Step Two and enter your own question in the Enter Secret Question field. (Note: Leave this field blank if you are using the system-provided questions.)

4. Provide the answer to your question in the Answer field and then confirm the answer by retyping

it in the Confirm Answer field.

5. Click the Submit button to submit the question and answer.

The first time you log into the system you will be prompted to accept the full wording of the Lloyd’s Terms and Conditions of Use before proceeding (Full details of these conditions can be obtained from the Terms and Conditions link via the LECC website ).

Forgot Your Password? If at any time you forget your password click on the Forgot Your Password? link. Enter your User ID and Email Address. You will then be asked the Secret Question which you must answer correctly. Provide the answer to the question in the Answer field and click the Submit button. If the answer is correct your password will be reset and sent to you via email to your email address.

NAVIGATING IN LECC

When you enter the system you will be directed to the Welcome screen. It contains the Navigation Bar and the Active Policy Bar.

To navigate within the system use the system Navigation Bar located (in light blue) across the top of the screen. The grey bar below the Navigation Bar displays your policy information. If you have more than one policy, select Policy from the Navigation Bar to change policies.

Note: Depending on your security rights, some options on the system Navigation Bar may vary from user to user.

A brief description of the items found on the Navigation Bar follows.

Navigation Bar

Policy: Provides the ability to change the active policy if there are multiple policies attached to your account.

Shipments: This section is where you will issue Certificate and do a search for all shipments via Query/List.

Claims: Provides the ability to query existing claims.

Tools: Provides the ability to access Assured and own user Profile and Vessel Search database.

Help: Provides the ability to access help guides provided by the software vendor.

Log Off: Use this to exit LECC.

Issuing a Certificate

Policy

The first step in issuing a certificate is to confirm you are using the correct policy. The grey bar below the navigation bar lists your default policy. If you have more than one policy, select Policy to choose from a list. Important: Be sure to select the policy term that your shipment date fits into.

Certificate

Select Shipments and Certificates from the navigation bar to be directed to the certificate issuance screen.

Entering Shipment Information

Complete the SHIPMENT DETAILED INFORMATION screen with the information associated with your shipment.

Shipment Information Screen

Date of Departure: Type (or select using the lookup feature ) the date on which the insured shipment is scheduled to depart.

Primary Assured: This is the Named Insured listed on your policy. In some cases if you have multiple offices this field may be a drop-down list from which you select.

Named Assured: This is the Assured/certificate holder. Use the dropdown list to select from a list of existing assureds, or if your shipper is not in the list, choose “New Assured” to create a new named assured.

Bill To: This information will default based on your policy setup.

Reference Number: Optional. Enter an internal reference number to enable quick and easy retrieval of saved templates and confirmed/filed certificates.

Commodity: Select the Commodity being shipped from the drop-down menu. This may vary depending on what you may have requested in the set-up of your policy otherwise it will always default to “All Goods and Merchandise”.

Packing / Shipment Method:

Select the Packing Method from the drop-down menu (if provided). Otherwise select “Standard”.

Coverage Option: Select the Coverage Option from the drop-down menu (if provided). Otherwise select “All Risk”.

Insured Value: Enter the amount being insured against for the current shipment. Use the Currency Converter to convert foreign currency if required.

Valuation Clause: This hyperlink will view the valuation clause if specified on setup within your policy.

Conveyance: Select the conveyance type from the drop-down menu.

Depending on the conveyance type selected, one or more of the following areas may be required to be filled: Vessel, Carrier and Voyage.

Vessel If shipment is by Ocean Vessel, type the first couple of characters of the vessel name in the “Vessel” field or use the lookup feature This will list only those vessels that are in commission. If the vessel required cannot be found, check the Override Vessel Validation box to bypass the lookup and generate a referral.

If you select a vessel, the Carrier name will automatically be filled in for you.

Carrier Type in the carrier name, or use the lookup feature after typing in the first few letters of the desired carrier. If the carrier listed against the Vessel does not match the Bill Of Lading then you can amend this field.

Regardless of whether a lookup is forced by the system, you must enter a carrier or vessel to proceed.

Voyage Optional. Enter a voyage/flight number, or any other transit reference number.

Origin: Select the country where insurance coverage begins from the drop-down list. Some countries require an entry in the State/Province/Other field – use the lookup feature and type the city in the City/Place field.

You may overwrite the Text to Appear on Certificate field to match wording required by a Letter of Credit only if this security feature is switched off.

Place of Loading: Select the Place of Loading country from the drop-down list, or default to Same as Country of Origin. Use the lookup feature (if applicable) to choose a loading facility. Check the box “No Risk Prior to Loading” if coverage does not apply before loading.

You may overwrite the Text to Appear on Certificate field to match wording required by a Letter of Credit only if this security feature is switched off.

Final Destination: Select the country where insurance coverage ends from the drop-down list. Some countries require an entry in the State/Province/Other field – use the lookup feature. Type the city in the City/Place field.

Place of Discharge: Select the Place of Discharge country from the drop-down list, or default to Same as Country of Destination. Use the lookup feature

(if applicable) to choose a loading facility. Check the box “No Risk After Discharge” if coverage does not apply after un-loading.

You may overwrite the Text to Appear on Certificate field to match wording required by a Letter of Credit if this security feature is switched off.

Claim Settling Agent: Select the Lloyd’s Claims Settling Agent from the drop-down list.

Full Description of Cargo: Enter a complete description of the cargo.

Marks & Numbers: Optional. Enter specifics of the cargo being shipped (i.e. 1 x 40 ft container, said to contain 50 pallets of new goods, serial number, seal number, etc.)

Letter of Credit Conditions: Enter any special terminology required by a letter of credit.

Note: Terms and conditions entered in this section may not be broader than those offered by your policy.

Certificate Issued: Ticking this option ensures that the date the certificate was printed matches the Shipment Date.

Insured Under Condition Number:

This option is only enabled if you have more that one insuring conditions specified on your certificate.

Notes: Enter any internal comments regarding this shipment. These will not appear on the printed certificate.

Verifying Coverage

When all fields above have been correctly completed click the Verify Coverage button. LECC will compare the shipment against the conditions of your policy. If the shipment is outside the scope of your policy conditions, it will go into a referral process. If the shipment is not referred, LECC will refresh the screen against the specific shipment.

Creating a New Named Assured

If New Named Assured was selected on the Shipment Information screen, a blank Named Assured form will appear at the bottom of the screen after refreshing the screen.

Complete the form and check Add New Assured. Checking Allow Other Assureds Access to This Named Insured will allow your other offices to use this assured, if you have multiple offices set up. Click the Verify Coverage button to save your shipment record.

Printing a Draft Certificate

Important: Adobe Reader will open in a separate window outside of your browser so it is extremely important you DO NOT have any pop-up blockers enabled. Please consult your browser or third-party pop-up blocker software instructions to learn more about disabling pop-up blockers on your computer.

You may print a draft certificate any time after coverage has been verified. Select the certificate format available from the drop-down menu and click Print Draft. A draft version of the certificate will generate in Adobe PDF format for review/printing.

Save Template This feature is used to create templates for frequently occurring shipments. Enter a description of the shipment in the Reference field, and click the Save Template button at the bottom of the page. You may retrieve this template later by using the QUERY/LIST screen to search on the Reference Number. Then modify the information to match your current shipment.

Confirming a Shipment Complete the Certificate by clicking on Confirm Booking. If any required fields are not sufficiently completed a red message at the top of the screen will advise what information is needed to proceed. If all fields are completed as required, the REVIEW SHIPMENT screen will display the Certificate Number and new shipment status.

Printing a Certificate To print a Certificate, select the proper certificate template from the drop-down menu, and click on Print Certificate.

LECC will only allow for the printing of the original certificate (labeled “Original”) once. If you have difficulties printing original certificates please contact the Lloyd’s Certificate Office via email. (Contact details will be specified on your initial set-up on LECC).

Change Even though this option is enabled, LECC DO NOT allow for any changes to be requested. If a change is required on a Booked Shipment then we would advise that you either use the Copy or the Cancel and Replace buttons.

Copy If you have to make several shipments which all have similar shipping details and destinations then you could use the Copy button and make minor amendments before proceeding to Confirm Booking.

Cancel There are two ways to Cancel a shipment either via this screen or from the Shipment tab on the Navigation Menu, select Query/List.

There are several reasons you may need to cancel a certificate.

• Certificate was booked and confirmed, but the shipment never moved • Certificate was booked and confirmed, but changes are needed on the document

Click the Cancel button.

Enter a reason for cancellation (i.e., duplicate certificate, change in insured value, etc.). Click Confirm Cancellation.

Cancel and Replace If you have booked a shipment by mistake and realized that you need to make a minor amendment then this can be achieved by using the Cancel and Replace button.

Certificate Referrals

A certificate referral indicates your shipment is outside of the terms and conditions of the policy and requires further review from the appointed Lloyd’s Broker and/or the Underwriter. After clicking on Verify Coverage a notification will appear advising you of the reason for the referral.

To proceed, click the Confirm Referral button, which will send an email notification to the Lloyd’s Broker and your Underwriter. Once reviewed you will receive either a confirmed (accepted) or rejected email notification. If your referral is confirmed, use the QUERY/LIST feature to find and print your certificate.

Additional Features

Query/List

To generate Query/Search or Reports from LECC click on the SHIPMENT link on the system navigation bar and the Query/List drop-down menu. This will direct you to the Shipment Search screen where you can specify what data variables you would like to include.

Select any combination of criteria to define your Query/Search or Report. Once the desired data variables have been entered, you may choose either to view on screen or generate an Excel spreadsheet, or an Adobe® .pdf format. Click the Search button to run your query. If you choose an Excel or Adobe® .pdf format you will be prompted to either open or save the file to your computer.

Assured

From the TOOLS link on the system navigation bar, if you have the required rights as assigned by the Lloyd’s Certificate Office, you can create and maintain your additional Assured Users Login accounts and set their system preferences. You will be able to update contact information, revoke suspensions, issue new passwords, give them specific rights and disable their accounts.

Profile From the TOOLS link on the system navigation bar, under Profile, you can maintain your LECC account and system preferences. You may update contact information, system preferences, viewable status tables and change your password.

Vessel Search From the TOOLS link on the system navigation bar, under Vessel Search, you can access the Informa database to get information on a vessel. Enter the desired criteria from the search screen and click Search to locate the desired vessel information.

Claims If this functionality is switched on then you will be able search for any claims raised against your policy through the Claims link on the system navigation bar under Claims Query/List.
