Efficient, streamlined, and user-friendly dual-grid entry screens are throughout the entire core accounting suite in Sage MAS 90 and 200, including Accounts Payable. You’ll be able to work the way you want to, adjust column order, organize your more frequently used fields in a primary grid, and your lesser-used fields in a secondary grid.

Assign separate accounts payable general ledger accounts to each department or division. All reports can provide divisional totals.

Apply invoices automatically or selectively to the vendor’s balance, eliminating the manual matching process of issuing checks and posting payments. This is especially helpful for accounts receivable customers who are also accounts payable vendors.

Access the invoice history file for a detailed record of accounts payable invoices, including detailed distribution of expense amounts to various general ledger accounts. The detailed Check History report provides a complete record of invoices and payments for each check.

Flag the entire document for use tax and specify which general ledger account to expense for freight.

Designate vendors who represent credit card companies. When entering invoices for a credit card vendor, you may classify individual expense lines to alternate vendors for tracking purchase history or for 1099 purposes.

Select invoices for automatic payment based upon the due date, discount due date, or vendor. Select individual invoices for full or partial payment. Place vendors on hold to prevent disbursal of automatic payments.

Automatically calculate due dates, discount due dates and discount amounts, and expense invoices to any number of accounts.

Automatically process repetitive billing such as rent, loan payments, and utility payments. Recurring invoices are automatically prepared without repetitive data entry.

Print Accounts Payable checks on standard or custom check stock, or use blank check stock with MICR encoding. Print two check stubs on a single page to accommodate laser-printed checks.

Print an optional Extended Stub report that can include invoice detail for all checks, or for checks where information does not fit on one stub.

Record handwritten checks, reversals, and voided checks, then print individual checks from the manual check entry program.

When reversing a check, you are asked if the invoice should be recalled. If yes, the entire invoice is put back on file.

Handle international addresses with vendor masterfiles that include three address lines, country codes, international postal codes, and expanded telephone number fields.

Memo attachments flow through the system and you can maintain memos in history. Enter and maintain vendor memos for individual vendors using full text-editing capabilities. Flag selected vendor memos to automatically pop up during data entry programs, enabling you to see your most critical information.

Audit changes, deletions, or additions that are made to the vendor masterfile.

Business Alerts is a separate module that monitors your Sage MAS 90 or 200 database and can send e-mail notifications to appropriate staff, customers, or vendors based on specific business events. Available predefined Accounts Payable alerts include: Invoice exceeds the specified dollar amount, a discount over the specified amount is due to expire, invoices past 90 days due, and check exceeds a specified amount.

Sage MAS 90 and 200 offers a progressive series of modules and hundreds of industry-specific add-ons. Our integrated accounting, e-business, customer relationships management (CRM), distribution, and manufacturing software helps you transform data into thebusiness insights your organization needs to prosper. The Accounts Receivable module gives you the data and reporting ability to makesound business decisions for the future, by efficiently managing cash flow today.

Divisional accounting allows you to assign a separate accounts receivable general ledger account to the receivables for each division. All reports can provide divisional subtotals.

Forecast future cash receipts using three user-defined aging categories, and forecast requirements based upon the average-days-to-payinformation for individual customers.

Canadian GST/PST, tax schedules for multiple jurisdictions, and tax-on-tax calculations are all part of this feature.

Store multiple credit cards per vendor, including cardholder name and billing address. Storing this information for each credit card allowsyou to take advantage of AVS (Address Verification Service) and potentially reduce credit card processing charges.

Process all accounts receivable on a balance-forward or open-item basis, and assign the open-item or balance-forward method toindividual customers.

Customer masterfiles include three address lines to handle international numbers: country code, international postal codes, and anexpanded telephone number field.

Posting of credit card payments can be done with or without the Credit Card Processing module. When the module is integrated,functionality is further enhanced through automated authorizations and integration with credit card settlement reports.

Automatically delete, renumber, or merge customer numbers without having to manually renumber or merge customer information.

Automatically calculates due dates, discount due dates, discount amounts, and commission amounts for invoice entries. Use sales codes toobtain price and cost-of-goods-sold information. Enter unlimited sales codes, miscellaneous charges, and comment lines for each invoicein an easy-to-use grid based entry window..

Automatically process repetitive billing, such as membership fees, maintenance contracts, and rent.

Prints history invoices for customer numbers, invoice numbers and invoice dates. Reprint Accounts Receivable, Job Cost, and Sales Orderinvoices separately or all at once using the same form code, or print only unpaid invoices for open-item customers. Reprint individualinvoices from the drill-down screen in invoice history.

Automatically applies cash receipts against the oldest invoices or against specific invoices. It allows you to post miscellaneous cashreceipts directly against general ledger accounts and process any prepayments against invoices not yet recorded.

Print statements for a billing cycle, for example monthly or quarterly, on standard or custom forms for all customers or for a specificgroup of customers. You can also print statements based upon a minimum balance. Statements can be faxed directly from within SageMAS 90 or 200, either individually or in batches.

This feature provides an audit trail of changes made to the Accounts Receivable customer masterfile. Use the Customer Masterfile AuditReport to review any changes, deletions, or additions to the customer masterfile.

Apply checks, cash, or credit card payments simply and accurately.

Assign memos to specific customers and have them automatically display from related data entry points throughout the system includingsales order entry and cash receipts. View attachments associated with the memo in addition establishing expiration dates.

The Internal Revenue Service Government Regulations outline the procedure for submitting year-endW-2 and 1099 information on computer-based magnetic media. According to these regulations,companies reporting 250 or more W-2 or 1099 forms must file this information using magneticmedia. The simple, easy-to-use Magnetic Media Reporting module for the Sage MAS 90 and SageMAS 200 ERP systems is designed to assist you in complying with these regulations.

The Magnetic Media Reporting module provides the capabilities for reporting wage and paymentinformation from the Payroll and Accounts Payable modules and 1099-INT, 1099-DIV, and 1099-MISCinformation on electronic media required by the federal government.

Several states have also adopted magnetic media reporting regulations, using the federal reportingrequirements as guidelines. Purchase orders can be automatically generated for inventory items when on-hand quantities fall below specified reorder levels.

Purchase orders can be created for items shipped directly from the vendor to the customer. When Purchase Order is integrated with theSales Order module, the customer number and address information can be automatically retrieved.

Requests for goods for internal use can be processed with purchase orders, and material requisition orders can be printed.

Landed cost information is entered in receipt of goods with an unlimited number of user-definable costs for each general ledger clearingaccount. You can select any allocation method for each type of cost, including freight allocation. You can calculate landed costs usingthe same method you currently employ or based on the volume field in the item file.

Purchase orders can be automatically generated for a selected range of sales orders. You can control how the ordered items appear onthe purchase order—either individually or summarized.

Receipt labels with bar codes can be printed for inventory items as part of the Daily Receipt Registers Update, once Purchase Order hasbeen integrated with the Inventory Management module.

There are a variety of reporting options available in the Purchase Order module that allow you to analyze variance information, cashrequirements, month-end reconciliation, and more.

Inventory alias item numbers can be accessed during Purchase Order Entry. When you select an alias item number, the correspondingpart number from your inventory list is automatically selected.

Purchase Order allows you to flag individual lines as Use Tax, track the tax to pay on items purchased, then specify to expense the tax toinventory items.

Items that are not stocked in your inventory can be entered on purchase orders. Charges, such as service fees, can also be entered formiscellaneous non-inventory items.

Price schedules for specific vendors, product lines, or inventory items can be set up based on the standard cost or a specified discountmethod.

All deliveries expected within a range of dates are listed on this report.

All Sales Order back orders, which can be filled as a result of goods received, are listed on this report.

When viewing an inventory item, you can drill down to lot and serial information from the receipt history inquiry.

A cost override flag may be set in inventory for each product line and item, thus enabling changes to costs of certain items duringreceipt of goods to be controlled. This feature can be password protected for added security.

User-defined fields can flow from inventory items to sales order and purchase order lines and can be printed on reports and forms. Theycan also be stored in history files.

Selected vendor memos can be set to automatically pop up critical information that the operator can view during Purchase Order Entry.

Customers have their choice of returning items for credit, replacement, or repair. You can credit the customer’s account, or apply it to acredit card. Replacement returns can be exchanged for the same item or an alternate item. A single entry marks an item for repair, andprovides customer return instructions.

Actions can be assigned to each item after it is received and inspected. Items returned to stock can be sent to a return warehouse or theoriginal selling warehouse. Unusable items can be returned to a scrap warehouse. Repair items are returned to a repair warehouse, fixed,and returned to the customer.

When the Purchase Order module is integrated with RMA, vendor actions of return for credit or return for replacement can be assignedto each item. Selecting these actions in RMA Receipts Entry causes the appropriate documents to be automatically created during theRMA transaction generation process.

If a customer can’t wait for you to receive the return before you ship the replacement, cross shipments can be originated by clicking onthe Xpress Order Entry button from within RMA Data Entry. This activates Sales Order Entry, and populates a new order with the urgentlyrequested item.

Restocking fees can be assigned by inventory product line or by individual item. You can even waive restocking fees for selectedcustomers at the time of RMA entry, giving you the utmost in flexibility.

RMA automatically calculates warranty expiration dates based on Inventory Management options and warranty codes. When processingreturns, the operator is alerted to any expired warranties and can opt to extend the warranty on any item.

Returns may arrive at your warehouse without prior approval, on occasion. Warehouse personnel can enter these unannounced returnsafter inspection and easily process them through the system.

Easily track each type of return by identifying specific (actual or virtual) warehouses for returns, scrap, and repair items.

You don’t need to know whether an RMA is still pending or has been received in order to find it. After entering an RMA number, theprogram automatically determines if the RMA is open or received, and displays the requested record.

This powerful program uses the information entered in RMA Receipts Entry, along with historical and customer information, to create allnecessary documents, including sales orders, credit memos, vendor return orders, and purchase orders.

During RMA Entry, a return reason is assigned to each line. The reasons print on the Return Reason Report to help you identify potentialquality or other customer satisfaction issues.

Full receipts history is tracked and all returns can be reviewed on the Receipts History Report. You can drill down to RMA informationthroughout the Sales Order and Accounts Receivable modules.

Bar codes can be printed in either Bar Code 39 or Bar Code 128 format, and can be set up to print to as many as 10 separate printers.

With the click of a button, data transactions are automatically imported to the Sage MAS 90 or 200 database from the RF unit. Onceimported, inventory, purchase order receipts, sales order invoice, bill of material assembly/disassembly, and other transactions areprocessed using standard Sage MAS 90 and 200 procedures.

When used in conjunction with a bar code label, you can verify that the item shippedmatches the item number on the sales order.

A bar coded picking sheet can be generated for use during shipping. Bar coded sales order numbers, item numbers, and quantities areprinted and can be scanned as goods are shipped.

If you scan additional quantities of an item previously scanned, the Inventory Physical Count quantity will be accumulated rather thanoverridden.

Job numbers and cost codes can be entered on the handheld computer for inventory issue transactions and imported into InventoryTransaction Entry.

1. When your warehouse workers finish filling in the Sage MAS 90 or 200 Shipping Data Entry screens within Sales Order, they click the StarShip button.

2. The StarShip entry screen automatically appears, populated with all the necessary customer, shipping, and pricing fields.

3. If a scale is integrated, the worker places the package on the scale and freight charges are automatically calculated based on the shipping method.

4. Optionally, the warehouse worker can select different carriers to shop for the best rate.

5. When data entry is complete, the shipping label prints from StarShip, it’s affixed to the package, and your shipment is on its way. Shipment trackingnumbers can be automatically stored within Sage MAS 90 and 200.

6. Pressing the Save button triggers StarShip to write all the appropriate customer, shipping, and pricing information back into Sage MAS 90 or 200 forfollow up and rapid response to customer inquiries.

The standard StarShip module processes shipments using UPS® and FedEx. Additionally, you can purchase functionality for processing shipments for theU.S. Postal Service, DHL (formerly Airborne Express), Spee-Dee Delivery Service, and a user-definable carrier.

UPS• StarShip is UPS Online certified, so you can rest assured the software is fit to electronically upload shipment files and reference data to the UPS Data

Center. This allows your customers to track their packages without calling your busy customer service staff.

• Easily print UPS Maxicode labels and COD tags on thermal label printers for high-quality, scanable labels.

• Print the return label so it can be included in the package or e-mail a return label to the customer.
