Treasurer Guidelines for Fees and Reimbursement
The Treasurer’s Report will be issued annually in August of each year. The report will include all expenses and
income from each program and show the financial status of Magic Valley MTA.
Money collected for MVMTA events must be submitted to the treasurer in the form of checks or cash. Checks
must be issued to Magic Valley Music Teachers Association. All money collected from an event must be
turned in to the treasurer by each chairman within 15 days of the event deadline. (For example, if the theory
test deadline to turn in money is January 1st, all money collected must be submitted to the treasurer no later than
January 15th
.)
For the following MVMTA events, teachers will turn in the fees directly to the treasurer. These events include
the Publication Contest, the Composition Contest, the Duet Jubilee and the World of Music Exams.
In some cases, teachers may be reimbursed for their out of pocket expenses to facilitate a MVMTA event (such
as costumes for the ensemble program). If you would like to be reimbursed for money spent out of pocket, all
receipts along with the Reimbursement Form must be submitted to the treasurer within 30 days of the receipt.
Any receipts turned in after 30 days will not be reimbursed by MVMTA.

PURPOSE
The TMTA Ensemble Program gives the beginner, intermediate, and advanced piano student the unique
opportunity to perform in an ensemble, perform in a large venue, and advance their own personal
performance art.

ELIGIBILITY
All students who are Student Affiliates, or as otherwise specified, are eligible.
PREREQUISITE
Students must take and pass the State Theory Test on grade level or one below if this is their first
time taking the test.
NOTE: If an older beginning student desires, he may test at grade 4 the first year as declared by
his teacher; a passing grade allows his participation in the ensemble. The next year he must
advance at least one grade
FEES (Non-Refundable)
$85: Student registration ($68 reserved for costumes)
$30: Student registration for Prep Ensemble
A refund of costume fee is only possible if students did not pass the state theory exam or
ensemble audition.

in cash teachers need to write a check to MVMTA.

NEW GUIDELINES
Prospective ensemble members must participate in and pass the Ensemble Team Auditions held
February 18 and 19. There will only be one audition day and one audition per student. NO
SECOND AUDITIONS WILL BE GRANTED.
Teams will be formed based on the following grade level designations:
o Prep Ensemble – K – 2nd
o Group I – 1st – 4
th
o Group II – 5th
– 8th
o Group III – 9th
– 12th
Exception:
o Students playing below performance level may be asked to move to appropriate group,
and/or students playing at an exceptional performance level can petition to move into a
higher level group.
o Ensemble chair and director will have final call regarding this request.
Ensemble directors will have the final decision to determine student’s placement in the ensemble
based on performance ability on their audition day. Studio teachers are responsible for
communicating to their students the audition results. Directors will not comment to families,
regarding ensemble placement and results.
All students offered a position on a state ensemble team and accept it must commit to learning and
memorizing the music, attend ALL rehearsals, and attend the TMTA Convention in costume, and
perform at convention on assigned day.
All students offered a position on the local team, the Prep Ensemble, must also commit to learning
and memorizing the music, attend ALL rehearsals, and perform at the Dress Rehearsal on June 14,
2017.
Students and parents will be required to sign an audition contract before the audition date. This form
is due February 4, 2017
o A $20 late fee is assessed for forms turned in after due date.
Costumes: $68 is budgeted for costumes. It is not guaranteed that this fee will cover the entire cost
of costumes. Many times parents are asked to buy extra items such as shoes, jeans, etc.
Measurements/fittings are necessary as some costumes and/or accessories are ordered. Every effort
is made to stay within the costume budget.
Students do not have to be present for the entire convention, only for the dress rehearsal and
performance. These are usually held Saturday and Sunday. Students, teachers, and parents must
remain for the entire ensemble performance. Leaving early from a performance can disqualify the
entire team from participating the following year.
Every teacher is responsible for supplying in writing their students with ALL information about the
ensemble experience including: location, registration, information about costumes and when they are
to wear them.
The Dress Rehearsal at Valley Keyboards prior to the Convention is open to family and friends. Just
a friendly reminder that ALL participating students MUST attend this event.

EXPECTATIONS for students, parents, and teachers are listed below:
STUDENTS

Rehearsals:
-Attend ALL rehearsals in a respectful and punctual manner.
Unavoidable conflicts must be cleared with the director in advance
-Three missed rehearsals eliminate a student from participation; fees will NOT be refunded.
-Each Tardy will be noted (10 minutes late arrival or early departure). Three Tardy marks count as
one absence.
-Spring Rehearsals will be May 7 and May 20 (TBA).
-June Rehearsals will be June 5-13, 2017 (TBA)
-June Dress Rehearsal is June 14, 2017 at Valley Keyboards. (7:00 pm)
PARENTS

Plan in advance for all fees, participation in Theory Test prerequisite, individual preparation,
costume fittings, all rehearsals, and all travel arrangements
Facilitate their student’s music preparation , and their prompt attendance to ALL rehearsals
Arrange transportation, supervision, meals and lodging for their own children at
the convention
Parents acting in a disrespectful manner during any portion of ensemble experience will result in
their student being dropped from the team and loss of entry fees.

Magic Valley Music Teachers Association Ensemble Performance Information
Dear Parents,
Every year the Ensemble Program is available to students across the state as part of the Texas Music Teachers Association
Program of Student Affiliate Activities. TMTA teachers prepare teams of students within a grade-level designation to
play duets on multiple pianos culminating in a performance, in costume, at the TMTA Convention in June of each year.
This year the Convention is June 15-18 in Dallas, Texas.
Passing the Theory Test on grade-level and passing the ensemble team audition are prerequisites to participating in the
Ensemble. Students prepare all year for this event: Theory Test in February, Audition in February music preparation and
costume fittings in the spring, daily rehearsals prior to the Convention, and performing at the Convention.
There can be up to 20+ performers on a team; therefore a lot of preparation and planning are necessary for the Ensemble
Program to be a success. This activity provides an ensemble experience on a grand scale for each participating student
and for the Convention audiences.
Expectations for students and parents are listed below:
Students:
1. Sign the Student/Parent Contract.
2. Pass the Theory Test; Pass the Ensemble Team Audition; Prepare ensemble music; Attend and be punctual for ALL
rehearsals; and be respectful to ensemble director and fellow team members prior to and during the Convention.
3. Attendance and Absences:
Attend ALL rehearsals.
Unavoidable emergency conflicts must be cleared with the director in advance.
If a student misses three rehearsals he/she will be dropped from the team and fees will not be refunded.
Spring Rehearsals will be May 7 and May 20 for Ensemble Groups Prep, I and II.
June Rehearsals will be everyday the week prior to the Convention.
June Dress Rehearsal is traditionally the Wednesday evening prior to the Convention
weekend at Valley Keyboards. Family and Friends are welcome!

NEW PROCEDURES:
Students with special scheduling needs (adjacent time for siblings, etc.) are to be noted by
attaching a sticky note with the request to the registration form to which it applies.
Ensure that you select the appropriate “Thursday” or “Saturday” box at the top of each
registration form.
NO changes can be made to the festival performance schedule once it has been typed on
March 24, 2017.
If you find that a student has a conflict before that date, inform the chairman ASAP. After March
24th, students not able to attend at their assigned time will forfeit their performance time.
2016-2017 NEW GUIDELINES
CONTEMPORARY REPERTOIRE (as of JULY 8, 2016)
The Festival Chairpersons and committee have reviewed all the music formally used in the “Federation Repertoire” series
and have changed the name of this series to “Contemporary Repertoire”. Included are former “Federation” pieces, and
some current “Federation” listings. Other new pieces have been added to increase the selections for each level.
The committee undertook a major review of each music piece in our Festival “Contemporary Repertoire”. They have
realigned the music to correspond with the levels of the Snell Baroque and Classical and Snell Romantic and 20th Century
series. Some of the former music from 2014 has been relocated to a different level; these titles are highlighted in
GREEN. Some solos have been removed because they are duplicated in the newly added books. New music
selections have been added to the levels; these titles are highlighted in YELOW.
Each level contains solos and books. When a book is listed in a specific level, any solo piece in that book may be selected
for that level. We have eliminated multiple levels within a book. Minimum required measures are indicated at the
top of each level’s list. Primer A and B must play 8 or more measures. Preparatory Level and Levels One through Ten
must play 16 or more measures. All music is to be played by memory and all repeats are to be played. It is each
teacher’s responsibility to check and count measures to meet the minimum measures required and make sure the piece is
a qualified piece.
In a few of the new books are duets, and music from the Baroque, Classical, Romantic and/or 20th Century periods. These
are not to be selected. We have indicated in the table of contents and on each page of a piece the word “NO” meaning it
does not qualify. In the copy binders, those pieces have been left out. It is each teacher’s responsibility to ensure that
NO Duets, Baroque, Classical, Romantic or 20th Century music is given to the student.
The checkout binder with copies of the “Contemporary Repertoire” has been updated with copies of all the new music and
changes to the levels. The binders will be available to borrow beginning in the summer, 2016, for a one week period to
ensure all teachers have time to review the repertoire. Please call Sherri Guerra to schedule a review of the binders. Pick

EIGIBILITY
All students, grades 1 through 12, and post-12 (high school graduates) can be Student Affiliates.
Pre-K and Kindergarten students can participate in local chapter events only.
PREREQUISITE
Teachers’ membership in MTNA and TMTA must be current prior to registering students.
No Exceptions.
FEES (Non-Refundable)
$10/per student due in September; $11/per student due by October 25, and December 1
$5/per Kinder and Pre-K
Submit ONE check payable to MVMTA for the total number of students times appropriate fee.
NEW: A $20 late fee is assessed for forms turned in after due date.
EVENTS
Student Affiliates can participate in the following MVMTA and/or TMTA events:
Duet Jubilee, Festival, Recitals, Publication Contest, Theory Test, and World of Music Test
Student Affiliates can participate in the following events upon meeting Theory Test requirements:
Composition Contest, Ensemble, and Performance Contest
NEW ENROLLMENT GUIDELINES
The TMTA website is NEW. Student Affiliate Enrollments are now done on the website.
INSTRUCTIONS : Online Enrollment
Renew your membership with MTNA, which includes TMTA and MVMTA.
Go to TMTA.org homepage.
Create a profile to include your email and a password. This is new for everyone.
Sign-in:
o If you are a returning teacher a list of your students will appear
o If you are new this year, your page will be blank. Click the “Edit” button to proceed
You must use the “NOTES” box to enter information for each student. Such as:
o “student affiliate” for each student to be enrolled this year
o “student affiliate – new” for students you are adding to your enrollment
o “keep in profile” to keep a student in your list, but not enroll them as a SA this year
o “remove from profile” if student is no longer taking lessons, or has graduated
Fill in the contact information for each student who is, or who might participate in Ensemble or
the Performance Contest
Transfers are handled by the state coordinator. Send information to me and I will forward

Instructions for Local Student Affiliate Enrollment Instructions for Teachers
1. Sign in on tmta.org. A blue sign-in button is available on the upper right hand corner of the site.
2. Once you sign in, the list of your students will appear.
3. Click the Edit button next to the student’s name.
4. Choose the current grade level for the student.
5. Select “Student is Homeschooled,” if applicable.
6. Students participating in TMTA events throughout the year (such as Ensemble, Composition,
Publication, Performance, etc.) need to have parent name, email, address, and phone number
information.
7. Students who will participate only in the Theory or World of Music Test do not need further contact
information.
8. Teachers will be able to add new students who are not transfers in their teacher profile along with
needed information such as address, parent’s name, etc. Click on Save Student when done editing or
adding.
9. Teachers must inform the Local SA chair of any students who have transferred from another TMTA
teacher. Do NOT enter transfer students as new students. The Local SA Chair will transfer the
student to the new teacher’s list. Type “transfer” in the notes section of the transfer student.
10. Type in the notes section for each student the words "student affiliate" if you want your student
enrolled in student affiliate.
11. If the student is a transfer student, type in the words "transfer from..." and then the words "student
affiliate."
12 .If you want a student removed from your profile, type in the notes section "remove from profile."
13. Add your new students to your profile by clicking on the "add" button.
14. Students may remain in your profile and not be a student affiliate. Simply leave their notes section
blank.
Exceptions: Students may be entered in the member profile and not registered as a Student Affiliate member.
Submit dues to your Local SA Chair.

February 7, 2017 9pm deadline for turning in make-up tests
NEW GUIDELINES
This year, kindergarten students will be allowed to take a kinder level theory test.
This test is for students wishing to participate in the Prep Ensemble.
Students must be registered student affiliates and in kinder (no preK students).
The test will be read to the students and will be graded locally by the chairman. Students must pass this theory test in order to be eligible for the Prep Ensemble.
Students who take the kindergarten theory test will not be eligible to earn a medal
from the state.
