HAT WE REFER toas the “enter-prise” is oftencomposed of manyapplications refer-ring to multiple,sometimes disparate

sets of data that are intended to repre-sent the same, or similar, business con-cepts. And although in many organiza-tions the administrative control of datais still aligned with operational businessapplications, there is a growing desireto consolidate common data concepts,subject that data to analysis and ulti-mately turn it into actionable knowl-edge to benefit the common good.In order to exploit that information

for both operational and analyticalprocesses, an organization must be ableto clearly define those business con-cepts, identify the different ways thatdata sets represent those concepts,integrate that data and then make itavailable across the organization. Thatneed has introduced an opportunity fororganizational information integration,management and sharing, thereby cre-ating a truly integrated enterprise. Andthis is the challenge of what is knownas master data management (MDM):integrating tools, people and practicesto organize an enterprise view of theorganization’s key business informationobjects, and to govern their quality, use

and synchronization and use thatunified view of the information toachieve the organization’s businessobjectives.

UNDERSTANDING MASTER DATAAND MASTER DATA MANAGEMENTIf (either deliberate or inadvertent)replication of these “key business infor-mation objects” impedes the achieve-ment of organizational business objec-tives, then creating a unified view of“master data” will reduce barriers tosuccess. We can define master data asthe key business information objectsused in the different applications acrossthe organization, along with their asso-ciated metadata, attributes, definitions,roles, connections and taxonomies.Typical examples of master data includeCustomers, Suppliers, Parts, Products,Employees and Locations.In turn, MDM uses business applica-

tions, information management meth-ods and data management tools toimplement the policies, procedures andinfrastructure that support capturing,integrating and sharing the use of accu-rate, timely, consistent and completemaster data.In essence, MDM should give users

the ability to uniquely identify represen-tations about each master data entityacross the infrastructure.

Master Data HubIntegration:Acquisition

MDM TECHNICAL CAPABILITIESLaunching a comprehensive MDMprogram, by virtue of its position as anenterprise application, requires coordi-nation and planning in addition to tech-nology acquisition. When your organi-zation is at the point where criticalstakeholders are aligned and preparedto commit to implementing MDM, itis valuable to know what goes into anMDM project in order to assess organi-zational business needs and appropri-ately evaluate vendor offerings.To create a unified view of master

data, the MDM platform must have anindex or database of each unique entityto be managed. There are several de-ployment methods. On one side of thespectrum is the “registry,” which is avery thin index that only containsenough information to differentiatebetween unique entities while maintain-ing links to all managed data instances

of each unique identity. The other sideof the spectrum is the “transaction hub,”which is a single consolidated databasecontaining all attributes associated witheach entity. Variation in the degree ofattribution managed within the imple-mentation of a master data environ-ment along that spectrum is determinedby the organization’s business applica-tion operational and analytical businessapplication requirements and corre-sponding need for synchronization.Layered on top of the core repository,

no matter how it is implemented, areadditional components and services.We can group MDM technical capabili-ties into seven general infrastructureand service areas, as shown in Figure 1:

Different organizations’ scenariosfor using master data may reflect differ-ent underlying requirements, whichmay or may not be met by a singleMDM vendor.

CORE MASTER DATA HUBThe master data hub combines theinfrastructure supporting the unifieddata models, metadata management,reference data management and busi-ness rules management. The MDMarchitecture enables the instantiation ofthe selected implementation model(e.g., registry vs. transaction hub) uponwhich the models for each master dataconcept will be deployed. Some vendorproducts come packaged with datamodels that can be extended; othervendors expect the implementers tointegrate their own models within thearchitecture.Because of the variant syntax (struc-

ture and semantics associated with thedistributed source data sets), a criticalcomponent is metadata management,including data element catalogs withbusiness definitions, data structure andtype specifications, as well as a catalogof master reference data concepts andcorresponding enumerated valuedomains, such as country or currencycodes. In addition, data hierarchies(such as regions, organization struc-tures, cost centers and product cate-gories) are managed as master data forboth transactional and analytical appli-cations. Likewise, business rules that

are applied in different applications notonly govern the consistency and com-pleteness of master data, the rulesthemselves are potentially replicatedand therefore are subject to mastering.

DATA INTEGRATION AND CONSOLIDATIONTwo aspects of MDM are critical whenit comes to the data managed inside themaster data hub: getting the data intothe hub and getting the data out of thehub. The first part requires data integra-tion and data quality components, suchas connectors to different source datasystems, data transformation, dataquality validation, parsing and stan-dardization, data cleansing and loading.Some vendors bundle their MDM plat-forms with data integration and dataquality/cleansing capabilities, whileother vendors have partnership arrange-ments to provide these functions.

MASTER DATA SERVICESThe second part, getting the data out ofthe hub, relies on data delivery services.At the basic level, standard data objectlifecycle services are implemented,such as “create a customer record” or“update product price.” For each mod-eled master object, basic master dataservices can be configured to create,read, update and delete—either theobject itself or its associated attributes.MDM products may provide either aservice library or the means for creatingmaster data services as master objectmodels are integrated or enhanced.

the core master data services. The waywe view it in Figure 1, delivery focuseson adding value to the business servic-es, allowing you to reduce replication ofcommon functions implemented multi-ple times across different applications(such as “create a new customeraccount” or “look up product”). In turn,these basic business services can pro-vide more complex business services,implemented once and used multipletimes. Creating a standardized interfacewill also help in transitioning existingapplications to use the master data sys-tem by facilitating application interop-erability.

ACCESS CONTROLWhile not typically seen as a value-added component of an MDM productper se, access control is nonethelessnecessary as the unified master dataobjects are exposed to a greater spec-trum of applications (and correspon-ding users).

SYNCHRONIZATIONAcross the implementation spectrum(from registry to transaction hub), thereare different requirements for synchro-nizing data from the numerous sourcedata systems. For reporting purposes, adaily synchronization may be sufficient,while certain operational activities maydemand immediate coherence acrossall views of master data.Every MDM vendor should be able

to describe how its product synchro-nizes data across the enterprise andshow how to adjust the frequencyand monitor the guarantees of consis-tency.

OPERATIONS AND DATA GOVERNANCENot only must the quality of the databe continuously monitored to verifyacceptability, there must be operationalgovernance and stewardship servicesin place to support the inspection, rootcause analysis, correction of data andpropagation of corrections across themaster data environment, as well asdata quality and data governance re-porting. Note that the inspection of dataquality issues will be closely tied to thedata quality capabilities of the data in-tegration layers and to the businessrules managed within the master datahub.

WHAT TO LOOK FOR IN A MASTERDATA MANAGEMENT PLATFORMWhen evaluating and selecting MDMplatforms, look for the following corefunctionalities:

1. Identity resolution: Since the objec-tive is to provide a unified view of eachmaster data concept, an MDM productmust either provide identity resolutionand matching as a built-in componentor as an add-on from another vendor.

2. Core data models: Some standardsimilarities can be encapsulated into atemplate model that can be adjusted tomeet customer needs. Same goes forother standard data concepts, like prod-uct, agreement, account (as in chart ofaccounts) and so on.

3.Data services: In relation to the coremodels, the product should suggest orprovide a library of services used to cre-ate, modify and retire instances of mas-ter data objects.

4.Hubmanagement functionality: Ifthe MDM tool is used to collect andconsolidate a single copy of master dataobjects, there must be a systemic capa-bility to instantiate and manage thatmaster database.

5.Data governance utilities: If issuesare identified, usually because of a falsepositive merge or a false negative non-merge, there should be an interface toallow for manual remediation (eitherunlinking a merged record into its origi-nal constituents or linking two recordsthat the tool may have missed).

6.Data federation: To support synchro-nization with application replicasor to capture and communicateupdates, some data federation function-ality (e.g., change data capture andmessage queues) should supportobservance of the specified expectationfor coherence.

7.Data integration: The product shouldinclude tools with extract,transform and load capabilities.

8. Standardization and enhancement:When merging records together, thesecapabilities, which are often part of adata quality suite, will help reduce vari-ance and improve matching and linking.

9.Data profiling:While technically thisis often a standalone component, itsuse for assessment of quality and formetadata discovery makes it indispen-sible, and someMDM tool vendorseither bundle it or offer it as a separateproduct.

SUMMARYTransitioning to a master data man-agement program is a strategic decisionthat’s intended to modernize and sim-plify the horizontal integration of enter-prise business applications while pro-viding data consistency and predicta-bility. Organizations that want to suc-ceed in building their master data envi-ronment must consider how their busi-ness processes intersect with theirinformation needs and assess theirinformation requirements before select-ing a tool. Because of the complexityinvolved in transitioning to MDM, iden-tifying key business drivers and theirtechnical needs informs the technologyselection process and enables a mod-ern, staged implementation. As theMDM vendor market continues tomature, look for improvements in inte-gration, development, deployment andespecially governance capabilities for asuccessful implementation. �
