1. Getting started

1.1. Before you start

1.1.1. Purpose

This is a quick start guide to the NT WeedMate weed data collection app. NT WeedMate works on iOS(Apple) and Android (Samsung Galaxy, Google Pixel, LG, Huawei, etc) and uses the ESRI Survey123 mobile application and the ArcGIS Online (AGOL) service.

This procedure describes what you need to get started and the basics of how to collect weed data. A more detailed description of how to download the app and Survey123 mobile application from ESRI on Apple or Android devices can be found in the full user manual.

There is often more than one way to achieve the same task with the Survey123 and NT WeedMate systems. This manual provides one way to complete required tasks but you may find other ways that suit you better than those here. These procedures are recommendations for use only. There are many ways to access and download the relevant software and individuals may choose to adopt other methods and approaches as suit their need.

1.1.2. What to expect

NT WeedMate is a mobile app designed to collect weed data points for general mapping purposes. The app collects information about the weed species, density and location of the weed. Additional information such as treatments, chemicals and growth stages can be collected if desired.

The NT WeedMate works on iOS (Apple) and Android (Samsung, etc) devices under the ESRI Survey123 platform. You will need to install both Survey123 and NT WeedMate on your device.

1.2. Things you need

1.2.1. Install the Survey123 platform

The Survey123 platform must be downloaded and installed on your mobile device. Some knowledge of this process is assumed. Advice on how to download from Google Play and/or Apple store is readily available, and a (free) user account is required from both stores. If you are a regular user of these services it is the easiest way to obtain Survey123. If you don’t use these services regularly it is easier to use the third link below and download the app from ESRI.

1.2.2. Install the NT WeedMate app

The NT WeedMate is a customised survey form made for Survey123. The WeedMate survey is available to anyone via the Internet but it can only be located with the link provided here. The WeedMate has a distinctive logo that helps you locate it and ensure you have the right thing.

2. If the WeedMate logo is already in your Survey123 app (see point 5. Below) then it is ready to use and you can skip ahead to the next section.

3. If you don’t have the WeedMate logo, or you think you want an update, download the survey Survey Link1

4. The survey link will require an ESRI login

A public ESRI login (free) is easily created at https://www.arcgis.com/home/createaccount.html

Your weed data is attached to this account so record the details carefully.

1.3. Start the app

This section is where Survey123 should be when out surveying for weeds. For easiest use arrange the screen so most fields are visible on the device at the same time.

1. The survey123 app symbol looks like …

2. Check the WeedMate survey is downloaded

3. If the WeedMate icon doesn’t show you will need to download the survey.

4. Change app settings if required. You can change things like

a. Font size

b. Offline map locations

2. Collecting weed data in the field

2.1. Recording weed points

2.1.1. Start a new survey

This section is where Survey123 should be when out surveying for weeds. For easiest use arrange the screen so most fields are visible on the device at the same time.

2. Press “Collect to start survey”. The survey start screen should look like this.

3. Open the Survey twist handle to set properties for the survey session. Weed name filters can also be set here under the Filters twist handle. Once set these are applied to all points taken in that session. If you close the session they need to be set again.

4. Enter your organisation key and the organisation name should appear below. This will allow you to enter recorder names specific to your organisation.

If you don’t have an organisation key - Email Weed Management Branch to get your group added in the next release. Until then type the recorder names directly into Recorder field.

5. Filters can be set by opening the Filters twist handle. Full details to set filters are shown in the section Use Favourites and Filters effectively to speed your Survey. You do not need to set filters but they can be very useful to speed up when recording of many points.

a. Filter A-Z divides weed names up alphabetically.

b. Filter Region presents pre-chosen lists of weeds common in that area, more than one region can be selected.

c. Filter Weed Rank presents weeds by priority declaration or other categories.

6. The information in the Survey section is recorded against all weed points. If the observer changes you can return to the Survey section. Also, return to the Survey section to change the type of filtering.

7. Close the Survey section before commencing to record. This will ensure you have the most available screen space for recording weed points.

2.1.2. Collecting points

This section is where Survey123 should be when out surveying for weeds. For easiest use arrange the screen so most fields are visible on the device at the same time. The screen is designed to have the Geopoint and Plus + symbol fitting on the screen at the same time on most devices. This allows the rapid recording of similar points.

The map can be customised or offline maps loaded on your device.

1. To survey the GPS should be on. Click the geometry section to record the location of a weed.

2. Click into the Geopoint:

a. press the tick to ensure the point is recorded in the right place

b. the pointer can be moved by hand

c. if there is no pointer visible a point will not be recorded!

3. Enter the weed name and other details.

To enter a Weed name from the full list, click the drop list on Weed Name and either scroll to the name or type some letters from the name to filter.

5. Open the Recommended Attributes twist arrow if you need to change these. They will default to Not Recorded/No Treatment if left.

6. Treatments can be set at the bottom of the Recommended attribute section. Herbicide values can set only for Treatments that use herbicide.

7. Open the Extra information twist handle to add a comment. Comments should be limited to notes for the recorder, they are not a reliable way to record data.

8. Enter the record

a. Press the Plus + symbol to record the point and continue to the next point

b. Press the tick symbol to end the survey for the day.

2.1.3. End and upload a Survey

When the Survey is ended you will be asked what to do with the data. Options varying depending on if you the device is online or not.

a) ‘Send now’ will only appear when you have an Internet connection

b) to send data you will need the ESRI account login for you region

c) ‘Send later’ will be the required option if you are offline or don’t have an account login.

3. View or get your weed data

3.1. See your data on the web

Webmaps and Dashboards are effective ways to look at your survey data. Contributors can only view and edit data that they have contributed.

3.2. Downloading your data via dashboard

The map provided by the dashboard2 is also an effective way to download data that has been contributed.

Records in the data windows can be selected and copied out to other applications. Excel is suggested as a user friendly application to receive such data.

Filters and selections allow easy selection of a subset of data.

3.3. Make a data request

Contributors can request a KML or Shapefile data download of any/all their data.

Send request with “Request WeedMate data” in the subject line to [email protected]
