What's NEW in Sametime Meeting 9.0.1:-

→ Highlight, point to, or draw on files while sharing: When you share a file, you can highlight, point to, or draw on that file, using new annotation tools.

Note: Drawing tool is available only in meetings that you host in a browser.

→ Clear annotations: After drawing or writing on a file, the owner has the option to clear all the markup annotations.

→ Invite to a meeting in progress (browser only): Send someone a chat invite to a meeting in progress by clicking Invite others and searching for their name.

→ Improved meeting room theme (browser only): Meetings have a new look: new colors, new icons, and a new banner.

→ Security improvements: To improve security, only room owners or managers can create a meeting report. Meeting reports are summaries of what happened in the meeting. They list the meeting room chat, polls, who shared, and more.

How to enable Whiteboard in the meeting room for all users:-

→ Sametime Meeting Server supports real-time collaboration through screen sharing and a shared whiteboard.

→ Whiteboard is not enabled by default.

→ To enable the Whiteboard, it is pretty easy.

● Go to Enterprise Applications → Sametime Meeting Server → Manage Modules, Map Core Whiteboard Services to STMeetingServer

● Go to Enterprise Applications → Sametime Meeting Server → Virtual Hosts,Map Core Whiteboard Services to the relevant VH

● Go to Sametime System Console → Sametime Servers → Sametime Meeting Servers, change whiteboard.enabled to be true and whiteboard.fileio.codebase to a different path as shown. Sync the node and restart the meeting server.

● Provides central meeting place for members of the community● Runs on IBM WebSphere Application Server & stores meetings data in an IBM DB2 database● With Sametime Media Manager component, meeting rooms can be enhanced with audio & video● Meeting rooms accessibility over browser, rich client, integrated client, mobile devices

→ The following components must be deployed in order to deploy meeting server:

● WAS, Sametime System Console & IBM DB2 along with LDAP directory● Sametime Community Server● Sametime Meeting Server● Sametime Proxy Server

Sametime Meeting Server Roles:-

→ Base Meeting Server: ● The Base Meeting Server role provides meeting rooms with optional audio and video. ● Users can have multiple meeting rooms because each room is created on demand. ● Content in meeting room libraries can be used for specific meeting rooms or audiences. ● You can install a Base Meeting Server on IBM AIX, IBM I, Linux and Microsoft Windows. ● Chat and awareness within a meeting room is provided by the Sametime Community Server. ● Use Sametime policies to determine which features will be available in meetings

→ Document Conversion Server:

● It transforms files stored in the Meeting Room Library for optimal display.● You can install Document Conversion Server on IBM AIX, IBM I, Linux and Microsoft Windows. ● The following formats are supported by the Document Conversion Server:

xls, xlsx, ppt, pptx, doc, docx, odp, ods, odt, pdf, bmp, gif, jpg (and jpeg), png, tif (and tiff), rtf

→ Steps to configure document conversion technology on a Linux server. Typically, MeetingServers that run on Microsoft Windows do not require conversion services becausedocuments and presentations display clearly without any intervention.

→ Document conversion is supported on all Linux servers except for those running on IBM System z.

Procedure (Linux Server) { Document Conversion configuration role }

→ If you have legally licensed true-type fonts available, copy them to /opt/IBM/WebSphere/STMeetingsServer/stellent/fonts

→ Make sure that the extensions for fonts are lowercase (*.ttf) & each font has the correct permission level (755)

Sametime Meeting Server Roles:- (Contd...)

→ Recording Capturer Server:-

● Recording Capturer Server hosts the real-time recording of online meetings. ● Want to enable recorded meetings, then at least one Meeting Server must be configured with this

role. ● In small deployments, the Recording Capturer Server typically installed on the same server as the

Base Meeting Server. ● In large deployments, the best practice is to install the Recording Capturer on a dedicated server. ● You can install a Capturer Server on IBM AIX, Linux and Windows.

→ Recording Renderer Server:-

● A Recording Renderer Server opens files stored by the Capturer Server, transforms them into movie files, and stores the files so that users can download and view them.

● You can only install a Renderer Server on Windows. If the Renderer Server shares a computer with any other Meeting Server configuration roles, then the computer must be running Windows.

Sametime Meeting Room Statistics:-

→ In WAS, Go to Applications → Application Types → WebSphere enterprise applications → Sametime Meeting Server → Security role to user/group mapping → Select the role Admin and click Map Users... or Map Groups. Click OK

→ Only administrators can view statistics for meeting rooms. Other Sametime users cannot view meeting room statistics. Deleted meeting rooms are not included in these statistics.

→ You can prevent unauthenticated users (guests) from accessing the Meeting Room Center

→ Unauthenticated users have limited access to the Meeting Room Center. They can view information in the Meeting Room Center, but they can never create meeting rooms or edit meeting room information

→ You can change this default value to completely deny them access to the Meeting Room Center. This change does not prevent guest access to an actual meeting; it only prevents access to the Meeting Room Center

Note: If you want to grant unauthenticated user access, change the value to 1. This configuration change immediately takes effect.

→ Meeting rooms are not required to have passwords by default. You can change this configuration setting so that meeting rooms are required to have passwords.

→ In WAS, Sametime System Console → Sametime Servers → Sametime Meeting Server → click meeting server → Locate meetingroomcenter.passwords configuration key. You can only edit the value; you cannot edit a configuration key name. Change the Configuration Value as per the table below.

→ IBM Sametime WebPlayer is a browser plug-in that is required for using Sametime Web Meetings features such as audio/video conferencing, as well as the Screen Share and Screen Capture features in web chats.

Supported operating systems: Windows 7, Windows 8, Windows 10, Mac OS XSupported browsers:→Windows: Internet Explorer, Firefox, Chrome→ OS X: Safari, Firefox

Note: Only 32-bit browser are supported.

→ You can install WebPlayer plugin Manually or Auto install (where it promptsautomatically when you are in meeting room to install the plug-in

User Install: (Only this user on this machine)

→ Clear the cache and cookies to be sure that you download the latest plug-in file. Once you download the plugin, Run setup.exe

→ Choose Custom as the set-up type if you want to install the WebPlayer for Internet Explorer or Firefox or Chrome. Follow on-screen prompts, complete the installation.

Machine Install: (All Users on this machine)

→ By default, the installer will only install the WebPlayer for the current user. To install for all users on the system, set the INSTALLSCOPE property to machine from the command line as shown in the following examples:

Install with GUI: setup.exe /S /V"/Lvx* WebPlayer.log INSTALLSCOPE=machine "Install in silent mode: setup.exe /S /V"/Lvx* WebPlayer.log /qn INSTALLSCOPE=machine "

Mac OSX: Execute STWebPlayer.dmg and complete the installation.

Installing the Sametime web audio-visual plug-in automatically from a browser:

→ You can install the IBM Sametime web audio-visual plug-in automatically when prompted to do so from a Meeting Room or Sametime Chat window

Procedure:

1. In the browser, unblock popups for the IBM Sametime Meeting URL, if applicable. If the plug-in was already installed on the client computer, empty the browser's cache to ensure a successful upgrade

2. On the operating system, verify that the deployment's Sametime Meeting Server and Sametime Proxy Server hosts are registered in the client workstation's DNS

If not, make an entry for both the hosts in the etc\hosts file. On the Macintosh, add the host name and IP address to the /etc/hosts file using a super user account

3. When they are prompted to install the plug-in from a Meeting Room or Sametime Chat window, they start the process by clicking Install now. Follow the steps for the respectives browser as shown in next slide

Internet Explorer:

→ If a warning appears about installing an add-on, click Install This Add-on. Click Install→ After a short wait, the plug-in is installed and the page refreshes Mozilla Firefox:→ If a warning appears about installing an add-on, click Install Now→ After the plug-in is installed, click Restart Now

Note: If the plug-in does not install, check if "Block pop-up windows" is selected in the browser options Content panel. The option must be cleared for the installation to work

Chrome:→ If a warning appears about installing an add-on, click Continue→ After the plug-in is installed, go to the Downloads folder and find the STWebPlayerWin.crx file→ Copy this file to the chrome://extensions page, click Add when prompted to install the extension manually Safari:→ The plug-in downloads automatically→ Run the downloaded STWebPlayer.dmg file to install the plug-in and reopen the Meeting Room or Sametime Chat window

Instructions to un-install:

1. From Control Panel → Programs and Features, select “IBM Sametime WebPlayer” entry and click Uninstall and follow the setup instructions.

2. Run the same setup.exe and it would prompt for option Modify/Repair/Remove. Select Remove option and follow the setup instructions.

Note: Uninstall will only remove files/folders copied on file system by installer.

Instructions to un-install in Mac OS:

To uninstall the plug-in, delete the following directories. You must have administrative privileges:

$HOME/Library/Application Support/IBM/Sametime WebPlayer/$HOME/Library/Internet plug-ins/NPRTPlugin.webplugin

Clean up folders that are no longer needed:

Windows 7: Delete the folder %USERPROFILE%\AppData\LocalLow\ IBM\Sametime WebPlayer\.

Mac OSX: Delete the folder $HOME/Library/ApplicationSupport/IBM/Sametime WebPlayer/.

Client logs: Logs for the Sametime web audio/video plug-in are stored in the following locations:

Windows Vista, Windows 7, Windows 8, Windows 10: %USERPROFILE%\AppData\LocalLow\IBM\Sametime WebPlayer\Mac OS X 10.6, 10.7, 10.8: $HOME/Library/Application Support/IBM/Sametime WebPlayer/

Set the LogFileLevel parameter in the WebPlayer.ini file, using the following options:

0 (default - no log information) 2 (errors only) 8 (errors and traces) 16 (maximum level of errors, traces, and notifications)

Set the SoftphoneLogFileLevel parameter in the WebPlayer.ini file; using the following options:

0 (default - no log information) 2 (errors only) 8 (errors and traces) 16 (maximum level of errors, traces, and notifications)

Collecting Logs: Compress the Logs folder located in the Sametime WebPlayer folder and send it to the person diagnosing the problem.

Enabling diagnostics for audio & video in Sametime web audio-visual plugin:

WebPlayer plugin Installation keeps loading in Internet Explorer browser: → Check the UAC setting in client, "Never Notify" level to be changed to other level for it to work.

WebPlayer plugin failed to install on Firefox browser: → In Firefox → Tools → Add-ons → Extension section, look for IBM Sametime WebPlayer, it should be Enable

After installing plug-in on the Firefox, it does not prompt to restart:→ User should manually restart the browser

After Firefox upgrade, it is prompted to install WebPlayer plug-in, even though the latest version of plug-in is already installed:→ To resolve the issue, restart Firefox browser one more time.

→ Add certificates to avoid the "Publisher is Unknown" error. In Internet Explorer, click Unknown Publisher link, click View Certificate. In Certificate Path tab, click Install Certificate. Select Place all certificates in following store, click Browse, and then select Trusted Root Certification Authorities.

→ In WAS, Troubleshooting → Logs and trace → STMeetingServer → Diagnostic Trace → Change log detail levels.

→ Click the Configuration tab if you want to save the changes after a server restart.→ Click the Runtime tab to make changes that are not saved & will apply until the server is restarted.

Tip: If you make changes on the Runtime tab, and then decide you want to preserve your changes after a server restart, select Save runtime changes to configuration as well
