Overview

• You can use Oracle HRMS to set up your recruitment procedures exactly as your enterprise requires.

• Within any recruitment function, there is a common cycle of tasks:

– Recruitment Preparation

– Selection Process

– Appointment

• Oracle HRMS can be used at a basic or advanced level within each area

Recruitment Preparation

Preparation is concerned with the identification of a vacancy, the authorization to take some action and running recruitment activities

Selection Process

Selection begins with the receipt of applications and ends with the issue of offer or rejection letters

Appointment

Appointment takes the applicant from the recruitment process to employee administration where the initial tasks include entering terms and conditions and payroll information

Standard Paperwork

Each task in the recruitment cycle is supported by automation of the standard paperwork that accompanies any recruitment process

Applications and Assignments

• Oracle HRMS lets you record addresses, personal details, application information, competencies, qualifications, school and college attendance's, and work choices for all applicants

• You track an application as one or more assignments for the applicant, similar to employee assignments. This:

– Speeds up the hiring process as most of the important information is already on the system

– Makes it easy to track several applications from one applicant as separate assignments

– Enables you to enter an application from an existing employee

Application Entry Methods

• Oracle HRMS gives you the flexibility to enter an applicant’s details in one of two ways:

– Quick entry using the Applicant Entry window. This enables you to enter basic information and a single assignment for an applicant. You can only enter one address and assignment.

– Detailed entry using the People window and the Application window. This enables you to enter an application if you need to record multiple assignments for an applicant, record more than one address for an applicant, or update applicant information.

Tracking Applicant Progress

• The progress of all applicants through the selection process is controlled by applicant assignment statuses

• Each stage of the selection process is identified by a single assignment status

• By changing the status, you can record the progress of any applicant assignment:

– Active application

– Offer

– Accepted

– Terminate application

Self Service Functions for Recruitment

Overview

• Using Oracle Self Service Human Resources (SSHR), you can:

– Give your line managers and employees at a glance view of all vacancies and enable them to apply for a job

– Identify which applicants are most suited to the position

– Compose a job offer and route it to the appropriate managers for approval

SSHR Users

• There are two predefined views of information accessed via SSHR, an Employee Responsibility and a Manager Responsibility.

• The Employee Responsibility will allow an employee, amongst other things, to apply for an internally advertised job.

• The Manager Responsibility includes all the functions available for an employee plus some career management tools, such as Suitability Matching.

Viewing Vacancies and Applying for a Job

The Apply for a Job function enables employees to:

• Apply for an internally advertised vacancy

• Search for a job

• View or modify their resume

• Prepare an application

This function is integrated within Oracle workflow.you can set up an approval process, so that thesubmitted application must be approved by amanager before it can be forwarded to a recruiter.

Viewing Vacancies and Applying for a Job

• To enable you to advertise vacancies using self service access, you define vacancy categories (Lookup Type VACANCY_CATEGORY), then select the appropriate category while completing the Requisition and Vacancy window.

Suitability Matching

• If you want to match applicants with skill requirements during the selection process, you can enter competence requirements for jobs, positions and organizations.

• You can then use the suitability matching function to compare and rank a person’s competencies against the requirements of a job or position.

Suitability Matching

• You can also enter work choices (such as relocation and willingness to travel) against jobs and positions. In the same way, you can record the work choices of your applicants.

• You can hold a person specification or a job description on the system as attachments or user defined fields (called descriptive flexfield segments). As with requirements, these can be held at both job and position level.

Candidate Offers

• The candidate offers function is used by line managers to seek approval for a job offer, send it to the successful applicant, track the applicant’s response and issue offer letters to candidates.

• To create a job offer using Candidate offers a user must first complete a candidates application information in a predefined template.

• Any number of different templates can be created by an implementation team and these can be designed to suit the specific procedures that exist in your organization.

Candidate Offers

• A candidate offer profile enables you to recruit people to your organization.

• You can design a profile to reflect your organization, the job or position or the department recruiting the candidate.

• The offer profiles that you design display Web questionnaires that record candidate information through the whole hiring cycle.

Candidate Offers

• Although the installation of Candidate Offers has no specific offer profiles, sample data is provided for demonstration purposes.

• The profile supplied is the Generic Proposal Profile. It includes a set of generic offer questions and categories that are your starting point to set up all the text paragraphs required to generate the offer letters for your profiles.

• Using Oracle Workflow you can then set up an approval chain for the offer letter and also add notification messages to remind key players of the actions they must take at each stage.

Candidate Offers Responsibility

Candidate Offers is offered with its own responsibility. Amanager with this responsibility can manage thecomplete job offer process; They can:

• Enter details of the candidate they want to hire

• Review the workflow enabled notification process

• Maintain job offer profiles

• Create job offer letters and templates
