How does the procedure of applying looks like? What is obligatory for a student?

1. In the LC where I was LEO for the last 2 years (that is Cluj-Napoca), the only mandatory documents are an English certificate and an official paper from the university, which states your average grade for the previous year of studies.these 2 documents are mandatory, and each of them is 25% of your final score (you get different points according to the English level you have). Besides these, there are 2 other categories: volunteering (20%, and you get different points according to your activity) and scientific activity, which means participating in congresses, having published articles, etc.(20%). However, volunteering and scientific activity are not mandatory, you can just get 0 points here. The last 10% of the final score are given as it follows: 10 points if you've never been in an exchange before, 5 points if you've been only in one exchange before, 0 points for 2 or more exchanges. The maximum final score is 100 points. Students apply, and then, some days after the deadline, the leo and lore publish the scores, with the points for each cathegory. This way, we make sure everything is transparent and fair.

2. Our students are able to collect points in our prevention programs, for example teaching on

prevention lectures or taking part in AIDS prevention day. So for all these prevention work they can get as many points as hard they are working. Also they get points for being contact person. In September when they want to apply they give in their documents about the last two semesters, language exams and special researches. They also get points for these. In the end out of all the applicants the LEO makes a list. We have a special meetings where the list of contacts is shown, and the students of the list are able to choose one after the other. So the student who has the less points can choose as the last one. Usually we have a minimum criteria of having at least 10 ponits.

3. Actually we have national regulations. Every LC has to follow them, even if they can choose little

things. Every LC has its own list of students and outgoings. They apply doing an english test (usually oral, but some LCs have also the written part). They get some points (max 60). Then we add the average of our grades (max 30) and one point for some exams (they are different for each LC). We add also some point for the help the student give to our association (2 point for being Local officer, 4 for being National officer, 1 for general partecipation exc.)

4. First they need to submit CV, motivation letter, TOEFL certificate. Each of this documents will be

scored. Then they will have an interview in English. 5. so, everyone who wants to apply, need to do it so 11th month before their desired month. The

NEO out opens the applying-for-an-exchange time which last for one month. Then for the next 6 month the students who applied must do everything they can to earn as many points as the can. By the end of those 6 month the NEO out hands the contracts to the students with the more points depending on the 3 desired NMO, the students had chosen in the application form the fulfill prior that time. The points that the students had earned prior those 6 month also contributed to the final amount of course. You have to take into account that the exchange season in my NMO is from September to March so the application process for a single season begins on September of the prior exchange season.

6. points are given for different activities in our NMO (written under criteria) and for how long the

student have studied. The student also have to write a short (200 words) motivational letter.

7. English exam Have points to make a ranking and they select the exchange according to their position. LCs usually give points for: helping with incomings, participate in local, national or international level of IFMSA, participate in other activities organized by the LC

8. - Motivational letter (in English) - Curriculum Vitae (in English) - registration form (personal details and top 5 countries)

9. Filling the national application form. Nothing else needed in application process. 10. Our selection criteria is based on a point system. The more the contribution to the NMO by

attending events, organising events, media coverage, contact persons. Also on your rank (President/NO/LO..) you get a base starting points.

11. Nothing actually.

Just that the student should be in final year at the time of exchange 12. Fill out an acitivity form - what has the student done for the EstMSA organisation.for example -

how long have you been a member, in what have you participated in, what events have you hosted, have you been in the management.

13. - Sign 3 documents that with our rules and the exchanges rules + Apply online.

- They can also provide a signed document to host an incoming. - Interviews (Motivation, english level and medical knowledge.)

14. english language certificate, proof of enrolment, list of the activities on which student volunteer,

confirmation of passed exams with GPA. 15. We have created a system as follows

Two phases for outgoing selection: Phase1: 1. Applicant must be a medical student who will be a clinical student by summer (time of exchange). The applicant must have a minimum GPA of 2.5 out 4 at the time of application and did not participate in a previously in a professional exchange. 2. 50% will be attributed for Academic performance, i.e. the applicants' GPA. 3. 50% will be for the extra curricular activity ( our NMO has a program called "Student Co-curricular Activity Accreditation Program aka SCAAP" which basically accredits NMO activity and give points points for every activity the student has joined, the more active the student the higher the points) Phase 2: (Those who pass phase 1 come here) 1. The applicant will undergo an interview conducted by the NEO and two experienced doctors. ( also suggested is the SCAAP director) 2. The interview will account for 40% of the selection point. 3. 40% will be attributed for SCAAP points and 20% for the GPA.

16. Candidature (English) exists of: CV (max 2p) including Experience in research Experience with volunteer work / social work / BeMSA Current position in curriculum Motivation letter (max 2p) Top-5 choice of countries State if you would also do RE if not in country of preference. If you don’t state this and your top 5 of countries is no longer available you won't have an exchange. Guidelines motivation letter: Why do you take part in the RE? Why are you suited for RE? What are you going to do with that experience? Explain why you choose the country of your preference Which project would you choose and why? State if you have the credits for the course related to field of interest. Additional documents you can add to make the application stronger: Recommendation letter Outcome of previous research (scientific report, article...) International experience Plan of action: CP (contact person) or finding new projects in Belgium Contact details of proposed Contact Person Project Form of proposed project (stamped/signed)

17. It is a form that includes every single thing that person has donde in IFMSA and not in IFMSA in

their medical career. Each participation has a score and IFMSA participation has the highest scores 18. It's all about points!

We have cons and bylaws that had a score sections, to which we refer in giving points when you participate in something in IFMSA.

19. In IFMSA-Poland obligatory is:

-work in IFMSA-Poland- students get points for their activities/participation in projects, etc. -filling application form, where students choose 3 countries they are applying to in order that is the same as their preferances -English Certificate -attestation of working in Scientif Circles/ abstracts/presenting their work oj conferences

22. We have an online application. There's a great and simple platform called PODIO for the event

management. It's simple to both fill and review the forms. We ask students to answer to questions and write short motivational statement or make 2-3 min video (they can choose whichever option is more appropriate for them). We do not ask for interviews because it would be a waste of human resources. Exams are not necessary because all medical students have English lang in university and it is known well in the country overall.

23. In Latvia there are a special homepage called http://apmainas.lv/ . Students need to register on that

homepage and fill a special application form and upload their documents(I will write down only those ones which I evaluate): 1) Their marks from all the years from whom I calculate an average grade 2) A motivation letter 3) Certificates and outside university activities 4) Their activity points in LaMSA

24. First to all, any Chilean medical student can participate in the IFMSA exchanges, whether they

participate in IFMSA-Chile or not. Our outgoing selection works based on national calls for applications for both SCOPE and SCORE at the same time. These event take place usually twice a year: The "1st call for exchanges" ("1era Convocatoria a Intercambios") is in October and here is where we offer the exchange units agreed (through the signature of the contracts with each NMO) during the last August Meeting for the next exchange season which starts in April of the next year until March of the subsequent year. The "2nd call for exchanges" ("2da Convocatoria a Intercambios") is in April of the next year at the start of the exchange season, where we offer the reamining spots (this is possible because our students usually go abroad during January and February, at the end of the exchange season). After this, we decide to make a 3rd call in July or just give the remaining spots to those who ask for them in a procedure called "Direct selection". Our selection criteria in our calls for applications is currently base on the ranking of the application score of each student obtained as follows: 1) How much does the student's University and its Local Committe participate in our Exchange Program for SCOPE and SCORE in everything related with incomings (whether they participate or not). 2) What year of Medical school the student is. (here we study 5 year + 2 years or internship and during all of them we are considered as students). 3) Whether the student has been host an incoming student. 4) Whether the student agrees to receive incoming students in the future. 5) Whether the student participate in its Local Committe. 6) If the student has organized any IFMSA project. 7) If the student participate in the IFMSA-Chile team of officials. 8) If the student participate in the IFMSA-Chile exchange program, as NEO, NORE, LEO or LORE. Any point has its own score and the sum up makes the application score, then we rank them from highest to lowest and the selection is based on that ranking. If 2 or more student has the same score, we rank them according to the date of payment of the IFMSA-Chile application fee. More details in the following link: http://www.ifmsa.cl/chile/intercambios In our "direct selection" we just give the spots we have left to those who ask for them and pay the IFMSA-Chile outgoing fee. We don't do any interview, english exam or motivational letter. The idea for us is to make the process impersonal and objective. Regarding obligations, we ask to the student applying for SCOPE exchanged are clinical students (from the 3rd year) and for SCORE exchanges been medical students is enough (from the 1st year).

25. Students are ranked according to following formula

Year x 0.5 + Average grade x 2 + Activities in LC (Contact person, volunteer) up to 4 points (or +8 if they were host and that is max a person can get) + up to 4 for english test (they dont doo it if they

present an official certificate of B2 lvl or up) and -4 if they were on exchange before (only for the type they were on)

26. Students need to fill out the form, including their work as medical students, as well as all of the participation in CroMSIC. Each statement is valued with certain amount of points (this point value table is different in each LC). After collecting all of the entries, the exchanges team counts the points, and makes the list of students, and proceed to choosing countries. Also, there are two obligations prior to applying for exchange, to be a contact person and to have certain amount of volunteer hours in CroMSIC (different in each LC)

27. The selection Criteria Selection Criteria for Suez Canal medical students is done upon a Scoring System as follows The Candidate’s assessment depends on: 1. Written exam. Topics to be assessed: English language skills. General knowledge. Medical knowledge. Egyptology (which includes basic history of Egypt and coping with the current events). Intelligence quotient “IQ”. Comprehension. 2. Oral interview. Topics to be assessed: Spoken English concerning pronunciation and vocabulary. Proficiency. Represent ability. Open-mindedness and acceptance of diversities through a group of questions based on real-life situations on debated and controversial topics that might face the student. Proofing any extra spoken language other than English and Arabic.

3.Extracurricular or team work activities. 4. Activity within SCMSA. After the scoring process, a Candidate Pool is made of all the candidates with both their score and their clerk ship priority list. Out of which students with the highest scores will get their first choices as long as they fit with the exchange conditions of the chosen contract. Priorities of selection according to the academic year and exam conditions can be measured according to the exams schedule, vacations and the exchange conditions of each contract

29. We separate the contracts into 4 geographical-desirability categories and then calculate the percentage every LC can have based on the number of incomings they hosted in the previous season. Each LC has its own selection, categories are pretty much the same and the number of given points varies depending on every local comittee needs. Application goes through Google docs. In every LC applicants get most points if they are local/national officers, if they organize/participate in social program for incomings, if they are CP, if they participate in other Standing Comittee actions and projects. Also, we validate year of studies (1st year gets less points then 6th), grades, award of the Dean etc., competitions, active participation on congresses, published scientific papers. If the student has already been on IFMSA exchange he/she starts to collect new points from the date when he got his previous exchange. If the students had cancelled exchange in the past, he/she gets minus points.

30. They pass a special English Exam and according to their score they get priority in selecting a country. The exams are on a local committee level and the outgoings select a country from those

available at each local committee. All outgoing positions get distributed at the LCs each October-November and the exams take place in November-December.

31. there are no restriction for the students (except the fact that they should be Associa-Med membres) who want to apply , they have to present : - Proof of enrollment - Studies record of the previous year - Pay the registration fees

32. show the Academic transcript - pass an english or French or spanish exam organized by the LC where mothertongue professors examine also the motivation for the exchange

33. Writing a motivational letter (up to 3 points) -Filling out an electronic form -Writing an English exam (up to 15 points) - this is mentioned in the English certificate I sign for every student

34. Pass English exam Pass IFMSA exam ( Activities that we had made, general information...) To be member of IFMSA.

35. We have an aplication form in our website that the applicants have to fill out. They have to fill out their information: what LC they are from, in which year of studies they are, how many academic credit points they have etc. They also have to write a motivational letter. The letters are graded by NORE according to pre-decided criteria: for an example highest grades are possible only if the applicant has relevant experience about some of the research projects that he/she is applying.

36. A student has to fill out an online application form. He/she also has to send a motivation letter, a proof of enrollment, student record (subjects passed) and some other documents to our exchange office.

When applying for an exchange - can students choose more countries? If yes, how

many? If you have different system, please describe it.

1. After publishing the chart with the candidates, we organize a meeting with everybody. At that

meeting, according to the position in the chart (first to last), we ask candidates to choose a country

from the ones still available (not chosen by the upper candidates).

2. In September when they want to apply they give in their documents about the last two semesters,

In the end out of all the applicants the LEO makes a list. We have a special meetings where the list

3. No. Usually the first one in each LC's classification choose one of the destination avaible in that LC.

We give randomly our destination to our LC, so each LC has different destinations!

Then the second one on the list choose a destination between the ones left, and so on.

4. yes, we have application form when they first apply. They can right 6 countries with different level.

We divide countries we usually have contract with into 3 level according to the number of

contracts we usually have with them and how popular those countries are,

5. they have to fulfill a application form in which they have to write 3 different NMO in descending

priority, means that NMO #1 is the most wanted NMO and so on. By the time the NEO out hands

the contract to the students. Those who didnt win any of their three desired NMO had once last

chance to choose from the remaining contracts, so that as many students as possible could go to a

exchange with IFMSA. Side note: all the students that are granted with a exchange must fulfill a list

of pre-selection requirements and a list of post-selection requirements as well.

6. Students have to choose up to 4 different countries and put them up as (1. wish, 2. wish, ...)

7. No. There is one day when the LC "hand out" the exchanges so they read their lists of points and

the first person chooses the country he/she wants and so on till they "run out" of exchanges

8. Yes 5.

9. Can choose 1-5 countries.

10. The students can choose up to 3 countries and put in order of most wanted.

11. It might be different in different lcs, but in mine, students make about 6 choices

12. 4 countries

13. They can choose 3 countries. (Exemple : http://ifmsa-

14. Since we have 1 LC, we make a list according to the documents that students send, and then, first

student on the list choose country he wants, and then one by one, all the other students.

15. Students choose up to 10 choices, this is so to avoid the issue that one gets a country they did not

choose

16. Students choose 5 countries, based on the available projects and their interests. However, if they

only want one country, it is possible to leave the other choices blank. Therefore we also ask

whether they would like another country when they couldn't get one from their top5 choice, to

know if we need to pick another candidate or not.

We don't really normalize everything to points, but we look for the students who are motivated,

eager to learn and preferably yet with experience in research. For each city there is a number of

students selected, related to the number of incomings that city will have. Mostly the number of

applicants is correlated with the amount of outgoings-spots. Since we have a very tough selection

(12 selected out of 50 applicants), only the best and most motivated candidates are selected, so it

is not necessary to rank those.

On a national level, all candidates are given the country best matching to their choice, by this, most

of our students had their first or second choice.

17. Students can choose 3 countries, if the spots are already used the student can pick a spot from the

remaning

20. Students can apply to up to 3 countries, 1st country of choice with it's motivation letter

21. 3 Preferences

22. Yes, they can make a list of priorities for 8 countries. Even though the list is long, many students do

not get the contracts they wanted or do not get them at all due to big number of applicants (this

applies more to SCOPE, in SCORE the traffic is not so big).

23. Yes, they can choose up to 4 different countries.

24. Yes, they can apply up to 10 countries, but it is mandatory to apply just to 1.

25. Every city has it's own list of countries assigned by NEO/NORE.

Students are ranked according to the criteria i wrote above.

One day we take an amphitheater where all students applying for exchange in that LC come and

who is 1st on the list gets to pick first etc.

First we give out professional then research exchange. If student doesnt want anything they can just

say skip and they can wait for 2nd circle.

2nd one is same as 1st one where there are unsinged contracts from that LC

If anything remains then we make a 3rd cycle which is nation based.

For that we use a google form similar to this and only thing that matters is who applies 1st.

26. We have a live meeting with all of the students, and student with the highest number of points

chooses first, second on the rank list second and so on.

27. 5 priorities

28. There is a grading with points based on criteria, so the first person from that list chooses first (all

countries available) and so on...

29. After the application period is over, we go through the applications and count the points for every

student.

Then, we make a list - student who has the biggest amount of points is 1st on the list and he can

choose a country first and so on.

30. Yes they make a list with as many countries as they want from the ones available at each LC.

Prioritizing them as they wish.

31. after applying , a ranking is made after calculating the score of every student based on several

criteria ( listed in later questions ) ,

Then , during the "choice day " , we do a kind of "roll - call " following this ranking , every student

called choose one contract , then the second one choose, then the third ect ect ...

32. Every LC after the language exam, makes a list, calculating also the average of the academic votes,

the passing of determined exams and the collaboration with the LC. Then in an established day, all

students are rallied in a room and from the first into the list, the sttudents can choose a country.

33. Yes. They can choose up to 4 countries (if they want they can just choose one)

34. They can choose just one.

We have a list of all students who pass the exam, and that the have points. Students gets points

collaborating with IFMSA. We have a meeting and we start saying names of the list from the

begining to the end and the students has to choose the country they want to go.

35. Students can choose up to 5 different countries (1. wish, 2. wish... )

36. Student can choose up to 3 different countries (1.wish...)

Is the selection based on the points?

The majority answer with »yes«.

additional remarks:

8. Students get points in order to get selected as outgoing student from their own LC. If selected they get

treated equally. The NEO-Out will do a lottery for the countries on national level.

Can student go on exchange more then once? If yes - does he/she get less points if

he/she has already been on the exchange?

1. As I wrote previously, yes, students can go in more than 1 exchange, but they get less points.

2. Yess! After applying for an exchange the student looses all of his/her points, so if next year she/he would like to apply again she/he needs to collect points again.

3. Yes. He/she gets less points after doing 2 exchanges. Every time after his second exchange, he gets less and less points (from 2 for the 3rd time to ten for the 5th time).

4. If she/ he has joined SCOPE exchange before, she/he is not our priorities anymore.

5. yes they can but everytime they decide to go on exchange, they have to start over in the process. 60 points are subtracted from the student's final amount of points everytime they do an exchange. And also they have to be an official and active medical students, as the SCOPE regulation stated. We also provide exchanges for graduated students but depending on the hosting NMO.

6. Yes, but he/she gets less points if he/ she has already been on a exchange. We do not count attended SCORE exchange as negative points. If the student applyed before and didn't get a spot, he get extra points. If the students got a spot and turned it down, he/she get negative points.

7. Yes but they have to do more things the next year to get more points

8. They can go on an exchange multiple times and they this is not one of the criteria in the national document. LC's do rate these students differently. This is up to the LEO's and LC's handle it differently due to the fact that some LC's have less applicants than spots and other LC's have 4 times more applicants than spots.

9. Yes. The points are spent when you get selected, but you can earn new points after your exchange.

10. yes they can go more than once but there is priority for ones who never went on exchanges before. The points determine who goes. When one goes to a country there is a deduction system (eg: 60% of points are used to go to an exchange to France, 80% for US .. ect.) depending on the demand on that country.

11. Students can if there are still available countries.

12. Yes, you just get 5 points less (and those 5 points can make a big difference)

15. For now our policy is not to send one twice.

16. We give preference to students who didn't do a SCORE before, but it is possible to be selected again.

17. Yes, but since a student has already traveled their score is diminished by some points

18. Yes. and Yes, we subtract 40 points for every exchange.

19. Yes, he can go as many times as he wants. but after every exchange his points are deleted. Moreover, when student resigns his points are reduced to 50%.

20. Yes but for each time s/he gets -2 points from the total scored from the total application

21. Yes, you can go more often. Some students go 3 or 4 times.

22. Yes, they can. For 1 exchange you get -3 points. For example, if you were on exchange 2 times, you get -

6. Our criterias are a point system, the student with most points gets the spot in our program. Our criteria: - Membership in NMO: 1 point per year - Studied semester of medicine: 1/2 points per semester - Taking part in activities in NMO (excluding positions): 1/2 points, max 1 point per year - Local position in LC: 1 point - National position in NMO: 2 points - Renting appartment out to incommings: 2 points (+ economical conpensation) - Applyed, but didn't get spot: 1 point - Being CP: 1 point - Got spot, declined: - 3 points - Attended exchange: - 3 points There is no extra points of extraculliculum activities outside the NMO, and nothing for how "good" your studies are going. We think these things has little to do with how usefull an exchange will be for you.

We rate the students based on their motivation letter and curriculum vitae on the following criteria: enthusiasm, suitability, realistic expectation, English skills, extracurricular activities, experiences in the medical or research field, willing to improve medical knowledge or research skills, goals to learn on academical level, experiences in travelling, willing to learn from other cultures, be receptive for other cultures, independence attitude of the student. 11. My lc does a ballot because it's difficult assessing the students. Also, students are being encouraged to participate in exchange so we try not to make it too difficult

activity have 1-2 coordinator 2-3 helpers and as many participant as it can. It is the National Officer's responsibility to tell the members how many points will be granted to them for their work. The only rule is that no activity can exceed 5 points.

get that if she/he is MoMSIC member and was part of all projects NMO organized. 15. as mentioned previously we our NMO has a program called "Student Co-curricular Activity

Accreditation Program aka SCAAP" which basically accredits NMO activity and give points points for every activity the student has joined, the more active the student the higher the points. If you need more clarification I can let the program director contact you:)

16. Based on their CV, motivation letters and mentioned engagement, we try to set up a profile of that

person, and if the profile fits for a SCORE exchange, the person is selected. We select for the profile of highly motivated, responsible, open minded and independent students who are eager to learn and have a decent knowledge of English.

17. There is a scale for projects according to their complexity and a score system that gives points based

on the way the student participates (colaborator, head of the project or just a participant) 18. As i said before we have a cons and bylaws guide which includes everything regarding scoring

system, if you do x you get y and etc. 19. We have special pointing system, e.g. for taking part in 6 hours lasting action he gets 8 points, for

picking up the incomings student from the airport he gets 2 points. 20. This point is distributed among the past IFMSA experience and the past research experience.

For the IFMSA experience we get the points from each secgen and the for each lc we make a scale from 1-5, 5 for the most active and one for the least active and subdivide the points in between according to the points Regarding the past research points the following points are assessed then divided by 2 to get the 2 points: -Research conducted during school years -Research conducted during medical study -More than 3 researches conducted during medical study -SCORE research and exchange related events (participating in two, OCing one)

22. It is a responsibility of local committees directors. They evaluate members by point system. We are still

shaping it, so it is hard for me to describe it. 23. In Latvia we have point system that means that if student is taking part in activities organised by LaMSA

they get points. If the activity is more serious they get more points. For example, 1 point for visiting activity organized by LaMSA, 3 points for making and reading a medical lecture for other students.

committee activities and your level of studies. Each semester of medical school is worth of 1 point so they can get maximum of 12 points from their level of studies. For local committee activities they can get 0,25 points for each month they spend as an contact person for incoming exchange student and 0,25 points for helping to organize some project activity like teddy bear hospital. LOREs, LEOs, and members of NMOs team of officals and executive board all get 12 points per year, so they can effectively jump ahead of all other applicants. For research exchange students can also get 1-5 points from their motivational letter.

36. Our Exchange office is a part of Maribor Medical Students' Association. We value activities in LC the

same way we value activities in any other project (based on hours of work). In our LC students get points for being a contact person and a summer receptor.

Since Morocco is still a young NMO, our main goal is to insure that more people are active in IFMSA... and it worked :D We tried academical evaluation but since the systems in our 4 LCs are very different it's rather hard to fair.

GOOD LUCK :) All of this was modified and updated this term so this year is the first time we tried it, it honestly takes alot of work, but you can make it simpler. In order to make it more competitive so that each individual deserves his place, the whole NMO was treated as one LC and every applicant competes with all the other applications. For the motivation assessment we use a checklist out of 9 points which I can share with you if its helpful :) Regarding interviews, we use a similar checklist, with only one person responsible to avoid difference in judgements. EB members can attend to ensure all the applicants are treated the same. We are also working on the incomings stay in Jordan. I have conducted a national training day for contact persons, let me know if you need any of the related data :) For any further details, please do contact me. I hope this is useful!

Points: 56P per year progress of studies 2P per week of internship 1P per ECTS in extracurricular activities We do not take grades into account, beause we want every student to be able to go abroad once in his studies. Which is also why the progress of studies is by far the most important. Besides, ERASMUS is mainly based on grades. I think this is an amazing idea and great job for putting this together! :) Hope we can learn something from this and use it in the future! :) It would be wonderful if you could share all this information about all NMOs with us. =) In Finland IFMSA is relatively unpopular way to go on an exchange. About 90-95% of the applicants are accepted as outgoing exchange students. If going on an IFMSA exchange is really popular in your NMO, then our criteria might not be the best choice for you.
