AUTO CREATE IMPORTANT DATES

This new feature will update or create the applicable Important Date records for state reporting and report

purposes (Run A Report, Important Date Report) upon the finalization of a form. The table below describes

the Code Table setup needed and the rules for creating/updating Important Dates. There is also a System

Option to enable this feature by form (see Setup and Configuration section for more information).

SETUP AND CONFIGURATION

CODE TABLE SETUP

The ‘Auto Create Important Dates’ feature will require specific Alternate Codes in various Code Tables. The

necessary Alternate Codes (including Type and Description) are defined in the previous section of this

document. To add, edit or lookup a code, do the following:

1. Navigate to Maintenance > Manage Code Tables.

2. Select the name of the table from the drop down list (see Data Mapping section herein for details on

the required Alternate Codes and Code Tables).

3. To Add a Code, choose ‘New’ from the top menu. Enter the Code in the provided textbox and then

choose the Update link.

4. To add or edit an ALTERNATE Code, first click the Show Alternate Codes link at the top of the page.

Then choose Edit on the Code record that you would like to add\edit the alternate code to.

5. Remember to click the Save icon at the top of the page, when you are finished.

SYSTEM OPTION

‘Auto Create Important Dates’ has to be enabled in system options. Navigate to Set System-wide Options >

Form tab. Refer to the screenshot below. Check the boxes to select the forms and Save the changes. *Note:

The ‘Track Historical’ option applies to IEP, GIEP and 504 Implementation Dates and determines whether

or not existing records will be updated or not. When ‘Track History’ is selected, a new Important Date

record is always created and prior records are kept for historical purposes.







IEP PRESENT LEVELS (ER/RR/IEP)

A new system option has been developed which can copy the Present Level data from the student’s ER, RR

or IEP into the newly created IEP during the IEP creation process. If the system option is set to copy (roll

over) the Present Level data, an additional section within Step 5 of the IEP form creation process (wizard).

The new section is called ‘Select a form to copy Present Levels from:” and includes a drop down menu

which will list the most recent Evaluation Report, Re-Evaluation Report and IEP for the student. By

selecting a form, the program will use the Present Level data and copy it into the newly created IEP.

SYSTEM CONFIGURATION

The district has the ability to turn on this option at the system level. From the Home Page, select

If the system option within the Forms tab is set to roll over Present Levels (option would be unchecked),

the IEP creation process (wizard) will display a section on Step 5 called ‘Select a form to copy Present

Levels from:”. A drop down menu will list the most recent Evaluation Report, Re-Evaluation Report and

IEP for the student. The drop down menu displays the name of the form as well as the date / date range of

the form. (See Figure 1 below). By selecting a form, the program will use the Present Level data and copy it

into the newly created IEP.

Select the applicable form and proceed to creating the IEP.

ER to IEP - The following sections will copy into the new IEP from the selected Evaluation Report:

Sections 5a (all 3 text areas) will copy into the IEP, Section II. Present Levels of Academic Achievement.

Sections 5b (all 3 text areas) will copy into the IEP, Section II. Present Levels of Functional Performance.

RR to IEP – The following sections will copy into the new IEP from the selected Re-Evaluation Report:

Summary of Findings section: II. Item 1A or 2A. ii. Summary of Findings Student’s Educational strengths

and needs and Present Levels of academic achievement and related developmental needs (all 3 text areas).

Copies in the Present Levels Strengths and Academic, Development and Functional needs section.

IEP to IEP – The following sections will copy into the new IEP from the selected IEP:

Pulls all text boxes in Section II Present Levels of Academic Achievement and Functional Performance with

exception to “Parental Concerns for Enhancing the Education of the Student”.

IEP/GIEP/504 PLAN WIZARD

On Step 3 of the IEP/GIEP/504 plan creation wizard, a message will appear when the user hits ‘Next Step’

warning the user that the ‘Next Recommended’ dates are blank. The program will proceed to the next step.

The user can click the ‘Previous step’ link to go back to Step 3 and update the dates (GIEP/IEP only).




EVALUATION REPORT – NEW VALIDATION RULES

Two new validation rules were added to the Evaluation Report; Date of Report, Date Report Provided to

Parent. The Date of Report validation rule is an important rule to have activated as it is a Penn Data Table

8A reportable field.
