PrinterOn Enterprise Installation Guide | 4
1. Introduction
This guide explains how to install and configure the PrinterOn Enterprise Server.
PrinterOn Enterprise allows your users to print without installing drivers and without a difficult setup or
complicated configuration. Using the PrinterOn Enterprise web page, users submit print jobs to any printer that
you enable within your PrinterOn Enterprise Service.
The PrinterOn Enterprise software consists of several components that work together to enable web-based
printing from PCs and laptops with Internet access. Components installed with PrinterOn Enterprise include:
PrinterOn Central Print Services (CPS) web services – includes the CPS web printing pages, which you
host on your network to allow uploading of documents to the service, and the CPS Administration
Console
PrinterOn PrintAnywhere server – adds Internet and wireless printing into your web services or back-end
applications
PrinterOn Print Delivery Station – collects print jobs and provides privacy release capability
PrinterOn Print Delivery Gateway – provides support for printing from a variety of devices and systems
including iOS, Google Cloud Print compatible applications or traditional print queues.
The PrinterOn Enterprise Solution can be configured for several popular system integration models or customized
as needed using the available HTML and Java source code. PrinterOn Enterprise is easy to deploy and may be
hosted in multiple local or remote network scenarios. PrinterOn Enterprise has been designed for optional
integration with existing network infrastructures, including LDAP and Print Management Systems.

2. Before you begin
Prior to starting the setup of your PrinterOn Enterprise Server, please review all of the system requirements,
recommended applications to install and other installation requirements.
2.1. System requirements
You must have local administrator access on the computer which will run the PrinterOn Enterprise software. The
administrator account must have a password (blank password is not allowed). It is suggested that you create a
dedicated PrinterOn Service user account.
PrinterOn recommends the following minimum system requirements for the computer running the PrinterOn
Enterprise software:
A dedicated physical server or virtual machine
Intel compatible processor with 2GHz multi-core processor
2 GB RAM minimum (4 GB recommended)
2 GB of free disk space for PrinterOn Enterprise software and third party applications
Windows Server 2008 including 2008R2 (32 or and 64-bit) with current patches installed
‒ All Editions supported except HPC
Windows Server 2012 including 2012R2 (with current patches installed)
‒ All Editions supported
Internet Explorer 9 or greater, with current patches installed
Internet access is available at all times
NOTEL: IIS (Internet Information Services) must be disabled if installed; otherwise the Apache/Tomcat Web
Server must be configured to run on a port other than 80
2.2. Recommended Applications
To ensure compatibility and highest quality print output, installing the following applications on the PrinterOn
Enterprise server is highly recommended:
Microsoft Office, with current patches installed (Word, Excel, PowerPoint, Visio).
LibreOffice 4 or OpenOffice 4 later (PrinterOn recommends using LibreOffice for improved document
quality)
‒ If you require OpenOffice, you must install OpenOffice v4.0 or later.
‒ Please note: PrinterOn Enterprise is capable of printing Microsoft Office documents with
OpenOffice or LibreOffice
Ensure that each application is fully installed and activated using the PrinterOn Service user account before
installing the PrinterOn Enterprise software.
2.3. Email Print Support
PrinterOn Enterprise supports three email protocols; select the option that best fits your environment.
2.3.1. Microsoft Exchange using MAPI
MAPI is Microsoft’s proprietary messaging API. Use this if your server does not support the IMAP4
protocol.
PrinterOn Enterprise Installation Guide | 6
PrinterOn Enterprise uses a printer’s SMTP email address to determine the destination printer name,
therefore if using Exchange servers prior to 2007 ensure that SMTP services are enabled and the server
is capable of using SMTP addressing. X.400 addressing is not supported.
If using an existing corporate Exchange server for email printing as well, Exchange 2007 or later is
required. If using a separate Exchange server strictly for email printing, Exchange 2003 is supported.
PrinterOn Enterprise must be on the same Windows domain as the Exchange server to connect to the
server.
The PrinterOn Enterprise PasPort Windows service must be configured with user credentials that have
read and write access to the mailbox configured on the Exchange server.
2.3.2. IMAP4
IMAP4 is a commonly used protocol for Internet email; the PrinterOn Enterprise server may connect to
your mail server using IMAP4.
Most modern email servers support IMAP4 including Microsoft Exchange.
PrinterOn Enterprise will only respond to users using the SMTP, which must be enabled on your mail
server.
When supporting email printing, a mail server must be available and a dedicated email print mailbox should be
created. To fully support PrinterOn Enterprise email printing email addresses must be configured in one of 4
ways:
An email catchall configuration should be applied to the mail server. This will allow users to forward
messages to the mail server and all email print jobs will be directed to the pre-configured print mailbox.
Multiple email addresses configured for a single mailbox on your mail server. This is feasible when the
number of email addresses required is minimal.
If using Microsoft’s ActiveSync to enable mobile devices to connect to your Exchange server: Configure
individual mailboxes for each printer email address, and one central mailbox. For each printer mailbox,
“automatic e-mail forwarding” must be configured to automatically copy messages from the printer’s
mailbox to the central PrinterOn mailbox.
If using Lotus Notes Client integration, the Domino server must be configured to leverage the ‘Domino
Group’ feature. The Domino Group can be configured to function as a mailing list.
As part of the deployment, a dedicated mail server may be installed and deployed on the PrinterOn Enterprise
server. The hMailServer (www.hmailserver.com) is a free, Windows-based email server that is both simple to
install and configure. It may be used to enable email printing on your PrinterOn Enterprise Server.
2.3.3. IBM Domino Server using Notes API
Notes API is IBM’s proprietary access protocol that encompasses a set of subroutines and data
structures to grant third-party applications authorized access to Domino Server and Lotus Notes Client
databases.
In order to support Notes API integration, you must ensure that IBM Lotus Notes Client software is
installed on the PrintAnywhere Server and configured to do the following.
Establish communication with the IBM Domino Server.
Notes Client mailbox configured to receive emails.

NOTE: These settings inform print clients such as the PrintWhere driver where to locate authentication
services. For simple Web or mobile print jobs this informs CPS that the authentication services are local
and hosted by CPS itself.
If you require custom authentication services, PrinterOn enables you to develop your own authentication
module and direct CPS to your custom authentication module using this same method.
PrinterOn Enterprise Installation Guide | 24
7. Print Delivery Gateway Configuration
The Print Delivery Gateway is an extension of the PrinterOn Enterprise server that enables iOS devices to submit
print jobs directly to PrinterOn Enterprise.
The Print Delivery Gateway advertises selected PrinterOn Enterprise printers on the network.
7.1. Deployment Overview
The Print Delivery Gateway creates a bridge to your PrinterOn Enterprise printers. Printers are configured and
enabled in the Central Print Services (CPS) administrative dashboard on the Enterprise server. From there you
may enable individual or multiple printers and configure whether authentication is required for the printers.
The Print Delivery Gateway acts as a relay for print jobs and securely delivers print jobs to the Enterprise server.
This module approach extends advanced capabilities to the solution including:
LDAP/Active Directory authentication – including multiple concurrent authentication services
User-based access control
Print management integrations
Guest print workflows
In addition to providing the capabilities above, PDG and the Enterprise extends a network to reach printers in
different networks and even different countries by leveraging the flexible print delivery infrastructure included in
PrinterOn Enterprise.
PrinterOn Enterprise Installation Guide | 25
7.2. Enabling Printers for iOS Devices
Support for printers is managed in CPS, under the Printers Tab. Enabling a printer for iOS device printing is as
easy as selecting the “Discover” checkox for the intended printer.
The Print Delivery Gateway will automatically update its configuration during its next scheduled synchronization
automatically. No additional configuration is required,
7.2.1. Authentication and Guest Printing
Authentication for printers is controlled along with all authentication services. If either LDAP/AD or PrinterOn ACL
authentication is enabled on the Enterprise server, users will be prompted for their authentication credentials.
Authentication may be disabled for any printer by also enabling Guest printing for the printer.
NOTE: PrinterOn Enterprise only supports LDAP/AD or PrinterOn ACL authentication. Single Sign On and
PrinterOn Job Accounting API are not supported.

8. Email Printing
8.1. Prerequisites for Email Printing
To configure your server to accept email print jobs, you will need to configure some details in PrintAnywhere.
When configuring your mail service it is important to know prior to configuring what method your service will use
to connect to the mail server. Options include Microsoft’s Messaging APIs (MAPI), IMAP4 mail protocol and
Notes API. The PrinterOn Enterprise Server uses the standard SMTP protocol for sending emails for both IMAP4
and MAPI installations.
8.1.1. MAPI Prerequisites (with Outlook installed)
If you have installed Microsoft Office with Outlook on the PrinterOn Enterprise server, Microsoft Outlook may be
used to assist configuring and testing the Exchange mail profile to be used by the Enterprise server. When
communicating with MAPI, the PrinterOn Enterprise Server will use a pre-configured Microsoft Mail Profile to
communicate with the Exchange Server.
1. Start the “Mail” Windows Control Panel.
2. In the “Mail Setup” dialog box, click Show Profiles.
3. On the “General tab”, under “When starting Microsoft Office Outlook, use this profile”, click Prompt for a
profile to be used, and then click Add.
4. In the “Profile Name” box, type the name that you want to use for the new email profile, and then click
OK.
5. In the “E-mail Accounts” dialog box, click Add a new e-mail account, and then click Next.
6. Click the appropriate server type for your new email account, this should be Microsoft Exchange, and
then click Next.
7. Type your account information in the required boxes, and then click Next.
8. Click Finish, and then click OK.
Test the Mail Profile
The PrinterOn Enterprise Server will use this newly created mail profile to communicate with the Exchange
Server. The simplest way to test the profile is to launch Microsoft Outlook, select the newly created profile and
confirm that Outlook can successfully communicate with the Exchange Server.
From another source you may send an email to the mailbox and confirm using Outlook that the email arrived at
the mail server.
NOTE: Microsoft Exchange supports both MAPI and IMAP4 protocols, if your Exchange server is located
on a separate domain than the PrinterOn Enterprise Server or you encounter other difficulties configuring
your mail server, enabling IMAP4 may assist.
NOTE: When creating the Mail profile with the steps below, you must be logged into the server as the
user who will be running the PrintAnywhere services. This user should be both a local admin, and an
admin of the mailbox you’ll be using with the mail profile.
PrinterOn Enterprise Installation Guide | 27
8.1.2. MAPI Prerequisites (without Outlook installed)
In order to support MAPI communication, you must ensure that MAPI is installed on the PrintAnywhere Server.
MAPI is not included with a Microsoft Windows installation and must be installed separately.
When communicating with MAPI, the PrinterOn Enterprise Server will use a pre-configured Microsoft Mail Profile
to communicate with the Exchange Server.
If you are installing PrintAnywhere without Outlook installed you must download Microsoft’s MAPI installer
from Microsoft’s website.

When communicating with MAPI, the PrinterOn Enterprise Server will use a pre-configured Microsoft Mail Profile
to communicate with the Exchange Server. When Microsoft Outlook is not installed, PrinterOn has supplied a
small utility to assist in creating the required mail profile.
1. Browse to the PrinterOn PrintAnywhere Server installation Directory
a. i.e. C:\Program File\PrinterOn Corporation\PrintAnywhere
2. Locate and launch the “CreateProfile” application
a. NOTE: The “CreateProfile” application is a small utility that launches Microsoft’s built in mail
profile wizard. When Outlook is not installed this application may be used to launch the wizard.
3. Follow the steps provided by the wizard to create a new mail profile.
8.1.3. IMAP4 Prerequisites
To use PrinterOn’s IMAP4 connector for email printing the following information is required to configure the
server:
A mailbox and account created on the IMAP4 server.
Username and password associated with the mailbox created on the mail server.
The IMAP4 server name or IP address and communication port (if not the default).
8.1.4. SMTP Prerequisites
The PrinterOn Enterprise server uses the SMTP protocol to respond to users after processing email print jobs.
SMTP is used to respond to users for both MAPI and IMAP4 implementations. To successfully respond to users
the following information is required:
The SMTP server name or IP address and communication port (if not the default)
Username and password required to deliver emails from the SMTP server (if required).
8.1.5. IBM Domino Server Prerequisites
To use PrinterOn’s Domino connector for email printing the following information is required to configure the
server:
NOTE: Do NOT install MAPI if you have installed Microsoft Outlook. PrinterOn does not recommend or
support installing the PrinterOn Enterprise server on a server that is also running as an Exchange Server.
PrinterOn Enterprise Installation Guide | 28
A mailbox created on the Domino server.
Password information associated with the mailbox created on the mail server.
The Domino server name or IP address (For Domino Address Book LookUp feature).
The following are the guidelines recommended by PrinterOn for Domino Server Mailbox creation.
Last Name <PrinterOn Printer Object Name> Ex: Print2Lobby, IBM-Printer-45
First Name <Leave it blank>
Middle Name <Leave it blank>
Short Name
<Do not modify>
The Domino server admin application is expected to set it to match the ‘Last Name’
entered. If it does not, please consider changing the ‘Last Name’ or ‘PrinterOn Printer
Object Name’.
SMTP Address
<Do not modify>
The Domino server admin application is expected to make use of the ‘Last Name’
information entered. The SMTP Address format will most likely match
‘LastName@Domain’. Please ensure that this SMTP address is unique in your
directory. If the SMTP address, thus formed using the format ‘LastName@Domain’ is
already taken up or the Domino server suggests a different SMTP address, please
consider changing the ‘Last Name’ and the ‘PrinterOn Printer Object Name’.
If the mailbox account is created using the recommendations made above and the PrintAnywhere server
application is configured to leverage the ‘Domino Address Book LookUp‘ feature, it will help avoid problems
pertaining to printer name resolution.
To fully support PrinterOn Enterprise email printing to multiple email addresses, the Domino server must be
configured to leverage the ‘Domino Group’ feature. Creating a Group in the Domino world involves launching
the Domino Server Administrator application and creating a new Group Document in the Domino Directory. After
the Group document is created, modify the ‘Group Type’ property value to ‘Mail Only’. This will allow the group
to function as a mailing list. There is no limit to the number of Domino user accounts that you can attach to a
group.
8.2. Configuring Email Printing
To configure your server to accept email print jobs, you will need to modify some details in PrintAnywhere.
Choose Start > All Programs > PrinterOn Corporation > PrintAnywhere > Configuration Tool
Select the “Email Plugins” section and enable either Use Microsoft Exchange (for MAPI integrations) or
Use IMAP4
PrinterOn Enterprise Installation Guide | 29
8.2.1. MAPI Configuration
1. Select the Mail Profile created for the PrinterOn Enterprise Server
2. The Configuration Utility will attempt to determine the default address configured for the mailbox
associated with the mail profile. If one cannot be determined the “Response Address” field will be left
blank.
3. You may manually enter the response address by selecting the “Override default” option. This will ensure
that the server does not respond to email print jobs sent to this address.
4. Leave “Accept request to response address” unchecked.
5. Save your settings.
8.2.2. IMAP4 Configuration
1. Enter the IP address or host name of your IMAP4 server.
2. The configuration tool will automatically set the default IMAP4 port; supply an alternate if this does not
match your server configuration.
NOTE: When configuring the mailbox for your email print account, it is recommended that the primary or
default address for the mailbox is set to an email address such as [email protected]. The
PrintAnywhere Server will respond using this email address. If any requests are submitted to this email
address the server will ignore them and automatically delete them. This ensures that incorrectly
configured mail clients that mail automatic responses to the mailbox do not receive additional responses
from the server.

3. Enter the username and password associated with the mailbox created on the mail server.
4. Enter the default email address associated with the mailbox.
5. Save your settings.
6. Click Test to confirm the configuration settings.
8.2.3. Lotus Domino Configuration
In order to configure the PrintAnywhere server to start retrieving jobs from the Domino Server, you must first
ensure that IBM Lotus Notes Client application is installed on the same machine and the client mailbox is
configured to receive emails.
Lotus Notes MUST be installed and configured as a “Single-User” installation. This type of installation would
allow both the Notes executable files and the Domino User Account data files to be stored in directory locations
that are accessible to the PrinterOn Service
The “Multi-User” installation mode is NOT supported
1. Enter the IP address or host name of your Domino server. This information is used by the Domino
Address Book Look-up feature to retrieve the SMTP address of the recipient.
2. Enter the mailbox account password information that will be used to connect to the Domino server and
monitor the incoming mailbox.
3. Enter the email address that will be used by the mail server when responding to email job requests.
4. You may choose to specify the destination PrinterOn printer name that will be used for all incoming email
job requests.
5. Specify the Lotus Notes (Notes.ini) configuration file path. This file is usually found inside “C:\Program
Files(x86)\IBM\Lotus\Notes”
6. Click Synchronize to confirm and apply the configuration settings.
7. Save your settings.

8.2.4. SMTP Configuration
1. Enter the IP address or host name of your SMTP server.
2. The configuration tool will automatically set the default SMTP port; supply an alternate if this does not
match your server configuration.
3. Enter the username and password required to deliver emails using the SMTP server (if required).
4. Enter the Name you wish to appear on emails sent from the PrinterOn Enterprise Server.
5. Enter the Email Address you wish to appear on emails sent from the PrinterOn Enterprise Server.
6. Enter the Reply-To Email Address you wish to appear on emails sent from the PrinterOn Enterprise
Server.
7. Save your settings.
8. Click Test to confirm the configuration settings.
NOTE: The Reply-To is generally the same as the SMTP Sender Address. It should also match the
default email address associated with the inbound mailbox. This will assist in ensuring that unwanted
emails are not processed by the server.

9. Appendix A – Additional Configuration Information
9.1. Configuring Internet Explorer Enhanced Security
In order to print web pages that are submitted through CPS, Internet Explorer’s Enhanced Security must be
disabled. The server will need to be able to connect to and open the URL a user submits.
9.2. CPS API Keys and Access
To communicate with CPS, PrintAnywhere and the Print Delivery Gateway must be given access rights and
credentials to request user information. The following section will describe the steps necessary to create the API
credentials to be configured in PrintAnywhere or PDG.
1. Ensure you are logged into CPS.
2. Click on the Admin tab and scroll to the “CPS API Management” section.
3. Under the “API Users” section click Add User.
4. Enter a new username and password for the CPS API user. This information will later be set in the
PrintAnywhere Configuration tool. (This will be described in detail further in this documentation.)
5. Under the “API Access Keys” click Generate.
NOTE: The username, password and API key will be configured in the PrintAnywhere server. In order to
request user information, PrintAnywhere must first authenticate itself using these credentials. Please note
that PrintAnywhere does not transfer the password directly to CPS to authenticate. It will instead use the
API key to generate an encrypted token used to verify the API credentials. Changing or removing any of
the three values will disallow API access.
