Preface The Internship Manual is a guide to assist students who wish to participate in the Real Estate Services (RES) internship program. In order to carry out a complete evaluation of our internship program. It is essential that upon the completion of an internship that internship coordinators, work supervisors and interns complete and submit the evaluation forms. This will help us to evaluate participants’ internship experience and the effectiveness of the overall program. It is important to us to obtain your feedback on this internship program. We request that you provide suggestions to help us optimize the program to provide a valuable experience for participants and the RES. Our goal is to broaden our program and to continue to provide internships that challenge and supplement the academic experience of students at University of Colorado Boulder. I. DEPARTMENT OVERVIEW

Real Estate Services (RES) operates under the supervision of the Vice Chancellor of Infrastructure & Sustainability.

RES is responsible for managing 13 properties located on the main and east campuses. The Research Building System has approximately 1.2 million gross square feet of building space, typically leased to university, governmental, not-for-profit and private affiliated research organizations. We also own and manage eight student houses in the Grandview Development.

Services include leasing of facilities, asset and property management, acquisitions, capital renewal and replacement, real estate consulting, strategy, long-term planning, off campus and internal leasing.

Mission To provide real estate services while developing mutually rewarding relationships with our customers.

Vision To provide a full-service real estate development and asset/property management department that provides a lasting value to the University and community. We recognize the need to be sustainable, flexible, and entrepreneurial to meet the humanitarian, social and technological challenges of today’s educational environment.

Real Estate Services Organizational Chart Department Overview

Department Roles: Derek Silva, Executive Director of Real Estate Services – Implements mission-driven

real estate use and development strategy. This strategy includes: (i) acquisitions of land, buildings, mixed-use properties, assemblages of land and buildings for future university development, (ii) strategic planning, (iii) land use and (iv) overall direction of the RES.

Rebecca Fell, Director of Real Property Asset Management – Responsible for

managing the RES’ real estate portfolio, transactions and leasing, creation and implementation of office systems and procedures.

Steven Stasica, Senior Property Manager – Manages day-to-day portfolio operations, tenant relations and the portfolio’s expenses to stay within budget.

II. GOALS OF THE INTERNSHIP PROGRAM

The RES internship program is a structured opportunity that allows CU students to apply acquired academic skills and knowledge in the workplace. The experiential education based on a set of specific learning objectives helps students to prepare to meet career responsibilities after graduation. The goals of the program are:

To allow students to apply, evaluate, and integrate academic knowledge and

theoretical concepts in a professional work setting.

To develop and expand students’ knowledge about themselves and their abilities, goals, and career interests in a professional work setting.

To expand students’ awareness of the world beyond the campus by exposure to the world of commercial real estate from the perspective of a public university in its interactions with internal university departments as well as with public and private entities.

To provide students with valuable commercial real estate experience related to the diligent acquisition, discernment, and use of information and evidence in making decisions, solving problems and achieving goals in a university real estate office.

III. POLICIES OF THE INTERNSHIP PROGRAM

Intern Eligibility To be eligible for consideration for the placement in the RES internship program, interns must: be a current University of Colorado Boulder undergraduate;

be in good academic standing to apply for an internship; have cumulative grade point average of at least 2.5;

be a sophomore, junior or senior; have a strong academic background, preferably in business or real estate; and be self-directed and motivated.

Timeliness The submission deadline for application: March 20, 2019.

Intern must comply with hours set with work supervisor and notify supervisor if there

is a conflict. Supervisor and intern will agree on appropriate notification regarding a scheduling conflict or requested time off.

The work supervisor will outline all deadlines for completion of work.

Inclement Weather/Campus Closures During times of inclement weather, interns should contact their work supervisor for information on whether the site will be open, delayed, or closed and adjust their schedule accordingly.

Incident Report Policy and Procedure Interns are required to report and document any incidents, occurring on the job or in connection with the performance of internship responsibilities that may potentially lead to personal injury or harm to oneself or others. When such an incident occurs, interns are required to report the incident immediately to their work supervisor. If an employee is NOT eligible and the waiting period has been met, URM will pay the employee directly based on the number of hours lost at 66 2/3 percent of their normal salary on a bi-weekly basis as defined under Colorado Workers’ Compensation law.

IV. EXPECTATIONS AND RESPONSIBILITIES Intern The intern will complete and execute both an Intern Agreement and a learning

contract that defines the nature of the work experience and learning objectives (the “Learning Contract”). Though the Learning Contract is collaboratively developed with the intern coordinator and the work supervisor, the intern needs to reflectively plan for the internship since it represents another aspect of his/her academic program. The internship experience reflects a level of professional rigor comparable to the academic rigor encountered in the classroom.

The intern must complete all of the work stated in the Learning Contract, including, at

upon completing the internship, the completion and submission of an evaluation of the intern’s experience.

Work Site Supervisor The work supervisor must assist with developing and agree to the terms established

in the Learning Contract.

The work supervisor will take an active role in mentoring and guiding the intern to help meet learning goals, and shall generally be available for meetings or conversations with both the intern and the intern coordinator.

The work supervisor will complete the evaluation forms in a timely fashion and return

them to the intern coordinator.

V. GUIDELINES FOR WORK SUPERVISOR

The work supervisor is responsible for the intern’s work activity and schedule. The work supervisor will facilitate the transition between the academic environment and the workplace, thus providing an opportunity for the intern to expand his/her education and experience beyond the classroom.

Assistance with learning contract Assist intern in developing the Learning Contract, which is an outline of what he/she

intends to learn and accomplish during the internship. The Learning Contract is an effective way to establish memorialize agreement about mutual intentions and expectations for the internship, and to establish criteria for supervision and evaluation.

Orientation RES will share literature and some pertinent documentation to intern in advance to

save time. This material will help the intern understand where his/her position fits in the “big picture” of the RES.

The work supervisor and intern will discuss reporting time and place, hours, dress,

degree of independence, on-the-job supervision, and confidentiality. Evaluation A prompt return of the evaluation form by the intern is required at the end of the internship.

The work supervisor will also complete an evaluation of the intern at the end of the internship. This evaluation will include topics such as: 1. Did the intern perform as expected?

2. How did the intern’s performance compare with people in comparable positions? 3. What will the intern face as a professional, and what sources of information to

anticipate potential concerns?

VI. GUIDELINES FOR INTERNS

What are the benefits of participating in an internship? Provides an opportunity to explore career fields through first-hand experience prior to

graduating and entering the workforce.

Promotes development of confidence, maturity, responsibility, and skill in interpersonal relations.

Increases the development of decision-making and analytical skills through

experience in actual work environments working with experienced professionals.

Creates a better understanding of theory through actual application in practice. Assists to illuminate the correlation between academic coursework and on-the-job

application.

Provides professional experience to include on resume, which can significantly improve marketability to future employers.

Provides useful contacts and industry exposure that may increase future

employment opportunities.

Property Asset Management – Real Estate Services Tips for Maximizing The Internship 1. Make a positive, professional first impression

• Dress appropriately (business casual) • Always be prompt – arrive to work on time • Maintain a positive attitude • Follow department and university rules and regulations • Respect the time of others

2. Orientation

• Read everything you can about the department • Introduce yourself to co-workers and others • Make a list of questions so that you can use your supervisor’s time wisely

3. Getting the job done

• Schedule your time; keep a to-do list • Ask questions and ask for help when are unsure or need clarification • Space out your tasks; one big task can be broken down into stages • Pace yourself. Too much enthusiasm at first may overwhelm you and leave you

burned out at the end.

Problems During The internship 1. Pressure. Meeting deadlines is your responsibility, but if the pressure to finish

assignments on time begins to overwhelm you, please let your supervisor know. The quality of your work is as important as the time element. The best planning can fall through, so do not be afraid to say you cannot finish on time or think that the project is too much for you to handle.

2. Overtime. Your commitment to the department may demand that you put in extra

work. It is your responsibility to balance internship expectations with personal life outside of work. If you experience a time conflict or uncertainly about work hours and time expectations, talk with your supervisor and negotiate a solution that takes into account both your needs and those of the organization.

Keeping a Journal – Optional A journal can be on the of the most effective learning tools in an internship; helping you to monitor your own learning; record problems and solutions and keep track of new information.

3. Recording of perceptions. What did you observe? How does your position fit into the

entire system? How well does your academic theory coincide with reality? 4. Recording of feelings. Most interns go through several phases from being the

uncertain observer to feeling “part of the establishment,” to experiencing boredom and inertia, to assessing the placement as a critical outsider.

5. Discussion section. Take one facet of the week’s experience and deal with it in

detail, or view the week’s experience in its totality. 6. New vocabulary journaling. Each internship environment has its own specialized

language. The act of writing down new terms can assist you in assimilating new concepts, understanding the scope of the work and communicating more succinctly.

VII. BACKGROUND CHECK

JOB DESCRIPTION Form 2

The Real Estate Services (RES) Internship is designed for current University of Colorado Boulder undergraduates seeking a career in commercial real estate. The intention of the internship program is to provide insight into the university operations and commercial real estate as well as to develop valuable skills, facilitated by working alongside talented professionals. The internship program accelerates learning and development by providing you with a strong foundation upon which to build a commercial real estate career. Program participants will partake in projects and activities designed especially for interns. Essential duties may include: • Assist in property management operations • Analyze financial reports • Contribute to drafting leases & licenses • Learn about Asset Management • Assist with site inspections • Exercise due diligence collection and review • Assist with marketing campaigns

Qualifications: • Candidate must have a strong academic background, preferably in business or real estate. • Sophomore, junior or senior at University of Colorado Boulder • Minimum GPA of 2.5 • Self-directed • Self-motivated

INTERNSHIP AGREEMENT Form 3.1

THIS INTERNSHIP AGREEMENT (hereinafter referred to as the “Agreement”), is made on May xx, 2019, by and between University of Colorado Boulder Real Estate Services (RES) (hereinafter referred to as the “Department”) and Name of Intern (hereinafter referred to as the “Intern”) of Leeds School of Business at University of Colorado Boulder.

WHEREAS, the Department is desirous to obtain the services of the Intern for an internship position (hereinafter referred to as the “Internship”) with the Real Estate Services for the purposes of gaining valuable knowledge and experience within the Real Estate Industry, and the processes related to facilitating university & Commercial Real Estate;

WHEREAS, the Intern is desirous to provide the Internship Services to the RES to obtain valuable learning experiences in the areas in which the RES operates pursuant to the terms and conditions contained herein;

NOW THEREFORE THIS AGREEMENT WITNESSES, that for good and valuable consideration of the mutual covenants and agreements contained herein, the receipt and adequacy of which is hereby acknowledged, the RES and the Intern hereby covenant and agree as follows:

DESCRIPTION OF INTERNSHIP 1. The main purpose of the Internship is to provide the Intern the opportunity to acquire practical

and theoretical knowledge with respect to the university and commercial real estate field.

a. The Internship shall consist of the Intern performing the following Internship Services:

i. Performing the assigned duties related to the process and documentation preparation for commercial real estate services transactions.

2. Daniel Greenberg shall be the direct supervisor of the Intern throughout the duration of the

Intern’s Internship with the RES and the Intern shall report to the Intern’s supervisor at all times throughout the duration of the Internship.

3. The Internship shall commence in May 2019 and shall end in August 2019 (actual dates are negotiable).

4. The Intern shall perform the Internship Services during the days of Monday through Friday

and the hours of 8:00 am to 5:00 pm (Hours and days are flexible and can be negotiated with supervisor)

5. The Intern agrees that he/she shall comply, at all times, with the policies, rules and regulations

of RES and the University of Colorado while performing the Internship Services contemplated herein.

6. In the event the Intern breaches any of the rules or regulations of RES or commits any act of serious misconduct, the supervisor of the Intern reserves the right to immediately terminate this Agreement without prior notice to the Intern.

7. The Intern shall at all times keep the information relating to RES confidential and shall not at any times divulge any information relating to RES, its operations or clients to any third party without the prior written consent of the Executive Director of Real Estate Services. This condition shall survive the termination of this Agreement.

8. RES agrees that it shall take all reasonable steps necessary to ensure that the Intern’s Internship with RES provides valuable experience and information relevant to the Intern’s needs and expectations as set forth in the Learning Contract.

9. RES will not reimburse the Intern for any out-of-pocket expenses incurred in relation to the

performance of this Agreement, unless pre-approved by the supervisor.

IN WITNESS WHEREOF the parties have duly executed this Agreement under their hands and seals as of the day and year first written above.
