1 Purpose The purpose of this document is to summarize and communicate the new features, known issues and best practices for Equitrac Office/Equitrac Express 4.2.0. It is intended for Equitrac staff and partners that support and service Equitrac Office/Equitrac Express 4.2.0.

2 Overview Equitrac Office 4.2.0 and Equitrac Express 4.2.0 are updated releases of Equitrac Office 4.1.1 and Equitrac Express 4.1.1. This document will summarize the changes from Office 4.1.1 and Express 4.1.1.

3 Scope The scope of these release notes includes new features and known issues at the time of release and observations about best practices and policies.

4 What’s New in This Release?

4.1 New Features

The following new features are available with Equitrac Office/Express 4.2.0. Feature availability varies by server. Refer to section 4.4 for server requirements. Feature Equitrac

4.1.1 Offline Campus Card Authentication

With Equitrac Express 4.2.0 it is possible to charge walk-up and print release activities to a cashed campus card account when the campus card server is offline. This feature maintains the availability of the transaction charging mechanism while enabling the IT staff to take the system campus card offline for maintenance. While the campus card server is online, valid campus card accounts will be cached with a specified offline limit. When the campus card server is offline, the transaction costs will be applied against the offline limit until it is exhausted. Once the server is back online the campus card accounts will be updated with any offline activity and the offline limit will be restored to the default.

4.1.2 Set Account Balance & Color Quota by Windows Group

The scheduled task for setting the account balance and color quota now includes a Windows OS group criterion. This feature means administrators no longer have to depend upon department membership alone when re-setting student balances.

4.1.3 Sagio Value Card Reader Support

Login to a device secured with a supported Equitrac end point using a Sagio value card and a Sagio card reader is now available. Transaction payment off of the value card or an Equitrac account (user is prompted to choose) is also enabled. This allows for using free money (free prints) in the Equitrac account and real money managed through Sagio. Note: this feature is only intended for supported endpoints that support copy stop; initially PageCounter and Ricoh PCC403. This option requires one Campus Card Connector license.

4.1.4 Re-queue Unprinted Release Jobs on Logoff

Released jobs will now only print while the user is logged into the Equitrac endpoint, ensuring job security and reducing print waste. Logging off prior to actual printing will cause the job to be put back into the queue for release during a subsequent login. Re-queued print jobs will not be charged to the user. This feature prevents print jobs that are halted due to an error on the MFP from being printed once the error has been cleared if the user has logged off and walked away from the MFP. Note: This feature is limited to DRE and DRC printing. Applies to PageCounters, WebRelease Station and the following embedded endpoints: Canon MEAP 1.4 & 2.0, HP LaserJet 1.2, HP Edgeline, KyoceraMita, Ricoh PCC4, Sharp OSA and Xerox EIP. This feature will only handle jobs that have not yet left the print spooler. An additional feature that purges print jobs from the printer’s buffer is described below for Ricoh MFP devices.

4.1.5 Purge Print Jobs

The new re-queue feature for unprinted jobs will only handle jobs that have not yet left the print spooler. For the case where the job has already been delivered to the printer’s buffer, a new purge feature will clear the job from the printer’s memory upon logoff. This feature ensures job security and reduces print waste. Note: This feature applies to Ricoh MFP devices using PCC4 or PageCounters for DRE and DRC printing. Not all models may support this feature. Validation was conducted on the Aficio MP 6001. Note: When using PageCounters, you must set the "Override Copier Type" dialog box for the PageCounter in System Manager.

4.1.6 SNMP Page Counting

A new control in the port summary dialog enables SNMP page counting ensuring an accurate page count when a print job is not fully printed due to an error with the MFP. Note. This feature is initially supported on Ricoh and Xerox MFPs. Not all models may support this feature. Testing was conducted on the following devices: Ricoh

4.1.7 LRS VPSX Integration

With this release, Follow-You printing will display and release print jobs held by and LRS (Levi, Ray and Shoup) VPSX PersonalQ print queue. Note; This feature applies to Equitrac Embedded, PageCounter and Web Release Station endpoints. One Equitrac External Data Connector license per DCE is required to communication with an LRS VPSX server.

4.1.8 AD & LDAP Synchronization Enhancements

Active Directory and LDAP synchronization enhancements simplify and enhance account synchronization with AD and LDAP:

1. The filtering and test features already present for AD configuration have been added

to LDAP configuration 2. The tiered organization feature in AD synchronization that allows a user’s department

to be specified as field1+field2+etc has been added to LDAP configuration. EQImport.ini also supports this for manual import via EQCmd.

3. The user location attribute from the user account dialog has been added to the AD and LDAP sync menus. This attribute is part of the reporting enhancements in 4.2.

4. In addition to the current “person” type, improved LDAP implementation will support any account type.

5. Active Directory support has been extended to include Microsoft Active Directory Lightweight Directory services (AD LDS). AD LDS is ideal for applications that require directory services, but do not require the complete infrastructure features of Active Directory. When synchronizing account data against an Active Directory Lightweight Directory Service Role on Windows Server 2008 or 2008R2, the use of the Filter functionality is subject to the following restrictions:

a. AD LDS is installed on a server which is a member of an Active Directory domain; and

b. The AD LDS schema is synchronized with the Active Directory schema. Please refer to Microsoft TechNote entitled “Synchronize with Active Directory Domain Service” (http://technet.microsoft.com/en-us/library/cc794836(WS.10).aspx) for further information.

6. It is possible to specify the default port used by the LDAP server. 7. An LDAP Sync test button checks If Persistent Search is enabled. Persistent Search

is a requirement of LDAP Synchronization to avoid having to repeatedly re-import the entire LDAP database.

4.1.9 Multiple Managers for Department Manager

Options have been added to the Department dialog in System Manager that allow one or multiple users to be assigned as department managers. The requirement that the manager is also a department member has been dropped which allows a user to manage more than one department.

4.1.10 Improved Installation and Setup

The following improvements have been implemented:

1. The System Manager shortcut has be pre-configured with –sad options to display system, account and diagnostic data

2. Silent installation of server components such as DRE and DCE, allowing faster installation of server components since they currently cannot be installed without interaction from an administrator. The silent option also applies to hot fixes.

3. Server component hot fixes for 32-bit, 64-bit, Express and Office will consist of a single file that automatically chooses the correct OS version and product.

4.1.11 Offline Caching Improvements

The user email address is now cached in DCE and embedded endpoints that support caching. This makes the email address available for scanning applications when CAS is offline.

4.1.12 Uplink Enhancements

A new option disables the uploading of transactions to the parent CAS. This permits the parent CAS to act as a master license server that distributes user and embedded device licenses. The transactions will remain local to each slave CAS which permits them to use local currencies.

4.1.13 Function Access Control for Color Copying

The function access control options in System Manager now provide separate controls for B&W and Color copying allowing differentiated access to color and B&W copying to be based upon Windows Group membership. Note: This feature will initially apply to Equitrac embedded for FujiXerox, Konica Minolta, KyoceraMita, Océ, Sharp and Xerox EPA. Support may also be model dependent.

4.1.14 Embedded Feature Enhancements

4.1.14.1 Single-Sign-On for EFI SendMe/IKON DocSend with Ricoh PCC4

For Ricoh PCC4 compatible MFPs, a new embedded capability replaces the Equitrac EFI SendMe client which is normally loaded on the EFI SendMe workstation. Logging into PCC4 will provide single-sign-on access to the EFI SendMe workstation and will record scan transactions. This also works for IKON DocSend. Note: Licensing requires one Equitrac Data Connector License per SendMe workstation.

4.1.14.2 Kyocera Mita – Release All Prints Button

A release behavior option to release all prints at login has been added to Equitrac Embedded for Kyocera Mita, streamlining the Follow-You printing workflow.

4.1.14.3 Konica Minolta – Billing Code Prompt

Equitrac Integrated for Konica Minolta now has a billing code field on the authentication window allowing the billing code to be applied to copy, fax and scan activities.

Equitrac Integrated for Océ now has a billing code field on the authentication window allowing the billing code to be applied to copy, fax and scan activities.

4.1.14.5 Konica Minolta – Page Size of Copies

Equitrac Integrated for Konica Minolta now tracks copy page size. Price lists based on page size of a copy provide better cost management. Note: This applies to MFP devices running OPEN API v3.0 or later.

4.1.14.6 Océ – Page Size of Copies

Equitrac Integrated for Océ now tracks copy page size. Price lists based on the page size of a copy provide better cost management. Note: This applies to MFP devices running OPEN API v3.0 or later.

4.1.15 Improved Reporting

4.1.15.1 Device Reports

Each device under the Devices node in System Manager has a location attribute. Devices can also be assigned to a group under the Custom Group View of the Devices node in System Manager.

1. A Device location field has been added to the criteria selection dialog of device reports. Entering a value in this field will limit results to devices in that location.

2. A Custom Group field has been added to the criteria selection dialog of device reports. Entering a value in this field will limit results to devices in that custom group.

3. A new report call Summary Activity by Device Location will provide, under each location, a summary for each device at that location. This report also has the Location and Custom group fields in its selection criteria dialog.

4. A new report called Total Activity by Device Location provides activity information with totals by device location instead of device name.

5. A new report called Total Activity by Device Custom Group will provide activity information with totals by custom group instead of device name. This is a very versatile report since the user can group their devices by any criteria they choose such as color, manufacturer, department, etc.

4.1.15.2 User and Department Reports

Each user has a Location attribute.

1. A user location field will be added to the criteria selection dialog of user and department reports. Entering a value in this field will limit results to users in that location.

2. A new report called Summary Activity by User Location will provide, for each location, a summary for each user at that location.

3. A new report called Total Activity by User Location will provide activity information with totals by user location instead of user name.

4.1.16 Larger Client License Packs for EO Small Business Edition (SBE) and EE Small Campus Edition (SCE)

The ten pack limit for client license packs has been removed with this release. The 100 and 1000 license packs for Workstation Clients and Print Assistants will now be available as add-ons for SBE and SCE. The 10 device limit is still enforced.

4.1.17 Client Billing - Batch Printing Tool for Workstation Client

A previously unpublished workstation application (EQToolTray.exe) has been included with version 4.2. It allows users to suppress the billing code prompt for a specified period of time. During this interval the current billing code will be applied to all print jobs. This capability allows the user to batch print a series of jobs and only be prompted for a billing code once.

4.2 Environment Support Changes

4.2.1 Additional Support

Oracle 11g R2 Database Support Support for Oracle 11g R2 has been added.

4.2.1.1 Discontinued Support

Microsoft MSDE Support Microsoft MSDE is no longer a supported database engine. Existing customers will have to upgrade to Microsoft SQL Express 2005 or 2008. Microsoft SQL Server 2000 Support Due to potential performance issues in high stress situations, Equitrac is no longer supporting Microsoft SQL Server 2000. Equitrac will not support new installations on servers running SQL Server 2000. Equitrac is under no obligation and will not address issues relating to database deadlocks for existing installations. The only resolution path is for the customer to upgrade its database to SQL Server 2005 or 2008. Existing customers will be able to update to EO/EE 4.2 yet it is highly recommended that existing customers upgrade to SQL Server 2005 or 2008. Note that Microsoft mainstream support ended in 2008, and extended support ends September 2013. Windows 2000 Server Support Equitrac is discontinuing general support of Microsoft Windows 2000 Server. Microsoft mainstream support ended in 2005, and extended support ended July 13th, 2010. Equitrac will not support new installations on servers running this OS. Existing customers will not be able to update to EO/EE 4.2. Windows 2000 Professional Support Equitrac is discontinuing general support of Microsoft Windows 2000 Professional as a client OS. Equitrac will not support new installations on workstations running this OS. Existing customers will not be able to install EO/EE 4.2 workstation components.

Print Server Support for IBM AIX, Novell NetWare Operating Systems With this release, Equitrac will not support new installations on servers running this OS. Existing customers will be able to update to EO/EE 4.2 but will continue to use the print server module from EE/EO 4.1.1. Print Server Support for Red Hat Enterprise 3, Solaris SPARC 8, OpenSUSE Linux 8, SUSE Linus Enterprise Server 8 Operating Systems With this release, Equitrac will only support newer releases of this OS listed in the Technical Specifications. Equitrac will not support new installations on servers running this OS. Existing customers are required to upgrade to a supported version of this OS or must continue to use the print server module from EE/EO 4.1.1 Note: Equitrac is not obliged to resolve issues where software is installed on operating systems that are no longer supported by OS vender.

4.3 Installation Requirements

Hardware, operating system software and requirements are outlined in the Technical Specification datasheets available on the partner portal.

5 Customer Continuity Customers using current versions of Equitrac Office/Express, and currently under maintenance, will be able to update to version 4.2.0 at no software charge. This is not a mandatory update. Upgrades from Equitrac Office 4.x to Equitrac Express 4.x are not supported.

21209 AD/LDAP Synchronization

If doing AD or LDAP synchronization and you update an account by clearing out an attribute, instead of assigning a new value, the update will not be reflected in the account information in Equitrac System Manager.

Enter a value in the attribute field when updating.


No users are imported or updated on the LDS sync when a filter is added to the LDS domain controller

LDAP Synchronization test appears to freeze System Manager if a search result set is too large.

Test synchronization with a search that will not return a large result set. Will be addressed in a future release.


LDS delete user synchronization does not work without a default naming context

Using "Purge Print Job Buffer" feature with a PageCounter will not work unless the "Override Copier Type" dialog box is set.

Jobs on the secure spool queue are no longer accessible after an upgrade from 4.0.x to 4.2 when using a cluster.

Starting with EO 4.1.0, the SpoolDir path has an extra subdirectory above that which was previously configured in the registry. So for example, if the SpoolDir path was specified as t:\EQDRECache in 4.0.3, and starting with 4.2.0 the cachefolder parameter is specified as t:\EQDRECache, DRE will look for its spool cache in t:\EQDRECache\EQSpool. In order to preserve the contents of the DRE spool on upgrade from 4.0.3 or earlier, after the previous version has been removed, the contents of the cache directory should be moved to the new location. After that has been completed, 4.2.0 may be installed. DRE will then be able to access the previous cache and spool contents.
