The Secured Area Management module within Access Commander™ is used to input and maintain all secured area records.
Within this module, secured area records can be:

The following secured area information can be tracked:
� Accreditation History � Industry partners � Waiver history � Facility inspection � Facility associated documents � Secured area inspections � Alarm/Access control � Equipment � Amenities � DSS147 information
The following can be assigned to and unassigned from a secured area:

Secured Area Management Search Screen
Overview
The Secured Area Management Search screen contains the fields that can be filled in and/or selected as search criteria. This allows you to narrow down the search for a specific secured area, or group of secured area records.

Accessing Secured Area Management Search Screen
Depending on where you are in Access Commander, there are four ways to access the Secured Area Management Search screen:
� Secured Area Management icon � Secured Area Management icon, Search option � Secured Area Management Listing or Secured Area Management Info screen, Search link � Main Menu link, Secured Area Management option
To use the Secured Area Management icon: 1. Access the Main Menu screen. (Need help? See Accessing Main Menu Screen in Chapter 2.)
2. Click the Secured Area Management icon. The Secured Area Management Search screen displays.
To use the Search option: 1. Access the Main Menu screen. (Need help? See Accessing Main Menu Screen in Chapter 2.)
2. Place the cursor on the Secured Area Management icon.The Secured Area Management pop-up menu displays.
3. Click the Search option. The Secured Area Management Search screen displays.
To use the Search link: 1. Access the Secured Area Management Listing or Secured Area Management Info screen. (Need

The Secured Area Management Listing screen:
� Displays the results of your search on the Secured Area Management Search screen. Records are displayed in table format. The columns in the table display key data for each record (e.g., Facility Code, Area Type, Security POC).

Overview
The Secured Area Management Info screen is used to:
� Add new secured area records to the system when in Add New mode � Modify existing secured area records when in Update mode � View existing secured area records when in View (read-only) mode

The data fields and sections on the Secured Area Management Info screen (in Update mode) are listed in the following tables. They are organized by tab, as they display on the screen from left to right, as shown in Figure 18-4.

AREA INFO TAB:
Area Type If the default is not correct, select the secure area type.
Classification If the default is not correct, select the secured area’s classification.
Area ID REQUIRED. When adding a new secure area, TBD displays in this field.
Facility Code REQUIRED. If the default is not correct, select the facility code.
SCIF ID Enter the SCIF identification.
Access(es) REQUIRED. Select the secure area’s accesses.
SCIF Accreditor Enter the SCIF accreditor’s name.
Select Security POC Click the button, search for the POC on the Secured Area Security POC Search screen, and select the POC on the Select Visitor/Employee(s) to Assign screen. The selected POC’s name populates in this field.
Phone Enter the POC’s phone number.
Gov’t PSO/SSO Enter the government PSO/SSO.

Secured Area Management Reports Screen
Overview
The Secured Area Management Reports screen displays the preformatted reports available for the Secured Area Management module. Reports can be customized as specified and requested by your employer.

The records upon which the selected report is based is determined by:
� Records displaying on the Secured Area Management Listing screen.
In other words, those records that matched the search criteria entered on the Secured Area Management Search screen during the most recently completed search. For example, a user may want to include only active secured areas, so he/she would complete a search for secured areas with Active secured area status. Then, on the Secured Area Management Reports screen, the Row(s) in List radio button is selected.In some cases, you may need to complete a search prior to running a report to ensure that the appropriate records are included for the specific report. If you need to include all records in the system, you will do so by selecting the All radio button on the Secured Area Management Reports screen, in which case it doesn’t make a difference what search was last completed.
� Records selected on the Secured Area Management Listing screen.
To include only a single secured area record, or specific secured area records, in a report, check that record’s checkbox(es) on the Secured Area Management Listing screen. Then select the Selected Row(s) radio button on the Secured Area Management Reports screen to include only the selected records in the report.Radio button selected on the Secured Area Management Reports screen. Depending on the report selected, the applicable button(s) display: Selected Row(s), Row(s) in List, and All.

Delete a Secured Area Management Record
Deleting secured area records must be done with care. Once a secured area record is deleted it cannot be restored. Follow your employer’s guidelines when using the Delete button.
To delete a secured area record:

Overview
Secured areas can be assigned to, and unassigned from, contracts within the Secured Area Management module in Access Commander™.
On the Secured Area Management Info screen, Assignments tab, the following buttons display in the Assigned to Contracts(s) section, as shown in Figure 18-39:
� Assign Contract(s) � Unassign Contract(s) � Select All � UnSelect All

Secured areas are assigned to contracts using the:
� Assign Contracts button in the Assigned to Contract(s) section on the Assignments tab (on the Secured Area Management Info screen in Update mode), or
g A secured area’s clearance must match or exceed the clearance level of the contract, unless the Ignore Clearance in People Assignments checkbox is checked on the contract’s Contract Info screen. Also, a secured area’s special access(es) must match or exceed the access requirements of the contract, if any, unless the Ignore Clearance in People Assignments checkbox is checked on the contract’s Contract Info screen.
Secured areas are unassigned from contracts using the:
� Unassign Contracts button in the Assigned to Contract(s) section on the Assignments tab (on the Secured Area Management Info screen in Update mode)

Contracts to which a secured area was assigned in error can be deleted using the:

Assign a Contract
To assign contract(s) to a secured area:

7. Click the Select checkbox(es) next to the contract number being assigned to the secured area. The screen refreshes and the contract(s) display(s) highlighted (in black) with a checkmark(s) in the checkbox(es).

g If the secured area(s) cannot be assigned to the contract(s) (e.g., the secured area does not have the proper clearance), an error message displays: “XXXX does not have the correct access for the contract.” in red under the navigation links.

9. To assign another contract(s), repeat from step 4 above.
10. To return to the Secured Area Management Listing screen, click the Update button.The message, “The information has been updated.”, the Re-Edit This Record link and the Done button display.
11. Click the Done button.The Secured Area Management Listing screen displays.The updated secured area record displays highlighted (in black) and its checkbox is checked.
12. To assign a contract to another secured area, repeat from step 2 above.
Unassign Contracts
To unassign a contract:
� Secured Area Management Info screen, Assignments tab, Unassign Contract(s) button in the Assigned to Contract(s) section
g After a contract is unassigned it can be deleted.
To use the Unassign Contract(s) button: 1. Access the Secured Area Management Listing screen. (Need help? See Accessing Secured Area
Management Listing Screen in this chapter.)
2. Click the Update button in the column next to the secured area’s facility code.The Secured Area Management Info screen, Area Info tab displays.
3. Click the Assignments tab. The Secured Area Management Info screen refreshes and the sections on the tab display.
4. Click the Select checkbox(es) in the column(s) next to the contract number in the Contract(s) section. To unassign all contracts, click the Select All button.
5. Click the Unassign Contracts button in the Assigned to Contract(s) section.The Secured Area Management Info screen refreshes.The unassigned contract(s) display(s) Delete in the Select column and the Unassigned Date field(s) is/are populated.
6. To unassign another contract(s), repeat from step 4 above.

g This is a read-only document that cannot be modified.
9. To add another associated document, repeat from step 3 above.

To remove an associated document record:

Associated documents can be downloaded only if the Secured Area Management Info screen is accessed in Update mode.
To download an associated document:
� Secured Area Management Info screen, Associated Doc(s) tab, file description link in the File Description column
To use the file description link: 1. Access the Secured Area Management Listing screen. (Need help? See Accessing Secured Area
Management Listing Screen in this chapter.)
2. Click the Update button in the column next to the Facility Code.The Secured Area Management Info screen, Area Info tab displays.
3. Click the Assignments tab. The Secured Area Management Info screen refreshes. The fields on the Assignments tab display.
4. To download an associated document, click its file description in the File Description column in the Associated Doc(s) section. A window opens with options for what to do with the file (i.e., Open, Save, Save as).
5. Click the Save As option.The Save As window displays.
6. Change the file name, if needed.
7. Navigate to and select the location to which the document should be saved.
8. Click the Save button.The file is saved to the designated location.
9. Return to the Secured Area Management Info screen, Assignments tab.
10. To download an associated document for another secured area, repeat from step 4 above.

Delete Secured Area Inspection Information
Deleting secured area inspection records must be done with care. Once a secured area inspection record is deleted it cannot be restored. Follow your employer’s guidelines when using this command.
To delete a secure area’s inspection record:

To use the View button:

1. Access the Secured Area Management Listing screen. (Need help? See Accessing Secured Area Management Listing Screen in this chapter.)
2. Click the View button in the column next to the secured area’s facility code.The Secured Area Management Info screen, Area Info tab displays.
3. Click the Equipment/Amenities tab.The Secured Area Management Info screen refreshes and the sections on the Equipment/Amenities tab display.
4. Click the View button in the column next to the Name in the Equipment section. The Equipment Info screen displays.
5. View the information.
6. Click the Exit button.The Secured Area Management Info screen, Equipment/Amenities tab displays.
7. To view another equipment record, repeat from step 4 above.
8. To return to the Secured Area Management Listing screen, click the Exit button.The Secured Area Management Listing screen displays.The viewed record displays highlighted (in black) and its checkbox is checked.

Overview
Access Commander™ provides comprehensive amenities tracking capabilities within the Secured Area Management module.
A secured area’s amenity records are added, updated, deleted and viewed using the:
� Amenities section on the Equipment/Amenities tab on the Secured Area Management Info screen (in Update mode)

Amenity Info Screen
The Amenity Info screen displays when the:
� +Add New, Update, and View buttons are clicked in the Amenities section.

g The fields on this screen can be customized by a System Administrator. A field can be renamed, designated as required or not required, and be hidden from view. The table lists the default fields, which may differ from what you see on this tab.
Field Name ExplanationName Enter a name for the amenity.
Type If the default is not correct, select the amenity type.
In Building Check if the amenity is located in the building.
Address 1 Enter the first line of the amenity’s address.
Address 2 Enter the second line of the amenity’s address.

Field Name ExplanationCity Enter the city of the amenity’s address.
State Enter the state line of the amenity’s address.
Zip5 Enter the five-digit zip code of the amenity’s address.
Zip4 Enter the +4 zip code of the amenity’s address.
POC Enter the POC’s name.
Phone Enter the POC’s phone number.
Ext Enter the POC’s phone number extension.
Fax Enter the POC’s fax number.
Website URL Enter the amenity’s website URL.
Date Terminated Click the calendar button to select the amenity’s termination date, or enter the date in MMDDYY format.
Remarks Enter remarks.
Add Amenities Information
To add a new amenities record for a secured area:
� Secured Area Management Info screen, Equipment/Amenities tab, + New button in Amenities section
To use the + New button:

2. Click the Update button in the column next to the secured area’s facility code.The Secured Area Management Info screen, Area Info tab displays.
3. Click the Equipment/Amenities tab.The Secured Area Management Info screen refreshes and the sections on the Equipment/Amenities tab display.
4. Click the + New button in the Amenities section. The Amenity Info screen displays.
5. Complete the fields as needed.
6. Click the Add button.The message, “The information has been added.” displays.

7. Click the Done button.The Secured Area Management Info screen, Equipment/Amenities tab displays.In the Amenities section, the new record displays in the list.
8. To add another amenity record, repeat from step 4 above.
9. To return to the Secured Area Management Listing screen, click the Update button. The message, “The information has been updated.”, the Re-Edit This Record link and the Done button display.
10. Click the Done button.The Secured Area Management Listing screen displays.The updated record displays highlighted (in black) and its checkbox is checked.
Update Amenities Information
To update a secured area’s amenity:

4. Click the Update button for the amenity record in the Amenities section. The Amenity Info screen displays.
5. Complete the updates.
6. Click the Update button.The message, “The information has been updated.” displays.
7. Click the Done button.The Secured Area Management Info screen, Equipment/Amenities tab displays.In the Amenities section, the updated information displays in the columns, as applicable.

Delete Amenities Information
Deleting amenities records must be done with care. Once an amenity record is deleted it cannot be restored. Follow your employer’s guidelines when using this command.
To delete a secure area’s amenity record:
� Secured Area Management Info screen, Equipment/Amenities tab, Delete button in the Amenities section
To use the Delete button:

4. Click the Delete button in the column next to the Name column in the Amenities section. The Amenity Info screen displays.
5. Click the Delete button.The Secured Area Management Info screen, Equipment/Amenities tab displays.The amenity record no longer displays in the Amenities section.
6. To delete another amenity record, repeat from step 4 above.
7. To return to the Secured Area Management Listing screen, click the Update button.The message, “The information has been updated.”, the Re-Edit This Record link and the Done button display.

View (Read-Only) Amenities Information
Some amenity information fields are displayed in the Amenities section on the Equipment/Amenities tab (Secured Area Management Info screen). To view all fields follow the steps below.
To view a secure area’s amenity record on the Amenity Info screen:
