Provisional bookings

All provisional bookings can be held for 14 days and may be released if written confirmation and deposits have not been received should another enquiry be received.

Confirmation

All bookings are considered provisional until a signed confirmation is received by the Strawberry Bank Hotel, agreeing to our full terms of trading. This confirmation must detail the following:

- Name of person accepting responsibility for the booking. - Full address, telephone number and email address. - Date of function, number of guests, number of bedrooms & catering requirements . - A deposit of £700 will be required from the customer to secure the function. Deposits are non-refundable.

Deposits and payments

A £700 non-refundable deposit is required to confirm your wedding and payments thereafter are required as follows:-6 months prior 30% of estimated remaining balance3 months prior 30% of estimated remaining balance2 weeks prior Final Balance

Amendments by the client

Amendments to guest numbers and/or arrangements must be confirmed to the Hotel in writing. Reduction in duration, numbers or contracted value of the booking shall be subject to the hotel’s cancellation policy.

No charge will be made for any reduction in numbers as long as they do not fall below the minimum guaranteed number and providing they are received in the final details meeting 2 weeks prior to your wedding date. The final numbers given at the meeting 2 weeks prior to your wedding date will be the minimum number for which you will be charged.

Cancellation by the client

In the unfor tunate circumstance that you have to cancel or postpone your wedding at any time prior to the event, cancellation charges as outlined below will apply:-

Any cancellation, postponement or par tial cancellation should be advised to the management of the hotel in the first instance verbally. You will then be advised at this stage of the cancellation procedure and cancellation reference number which then we would need quoting as par t of your written confirmation of cancellation. Definitive cancellation charges due can only be confirmed to you after the intended date of the event, when we shall reduce the charge should we be able to re-sell the suite you have booked – the amount of this is at the discretion of the General Manager.

Amendments or cancellations by the hotel

Should the hotel for any reasons beyond its control, need to make any amendments to your booking, we reserve the right to offer an alternative choice of facilities similar to our standard.

Should the client make significant changes to the programme or expected numbers, this may result in amendments to the applicable rates and/or facilities offered by the hotel.The hotel may cancel the booking if:• The booking might, in the opinion of the hotel, compromise the reputation of the hotel.• The hotel becomes aware of any alteration in the clients financial situation.• There is damage or destruction of the hotel by fire, flooding or any other causes.• Shortages of labour or food supplies, strikes, lock-outs or industrial action – or any other case beyond the control of the hotel which

shall prevent it from performing its obligations in connection with any booking.

Accomodation

An allocation of 20 bedrooms will be held for your wedding date at a special negotiated rate which your guests are able to book from the day you confirm your wedding and will be held until 2 months prior to your date. Should there be any remaining rooms that have not been taken, these will be released to the general public at the best available rate. The hotel reserves the right to implement promotional rates at any time which may result in lower bedroom rates either through the hotel or via the hotel’s or agent websites, however we would advise that guests refer to the individual terms and conditions applicable to these special offers prior to booking. The hotel endeavour to make bedrooms available from 2pm on the day of arrival and we would request that guests vacate their rooms by 11am on the day of depar ture. If in the event guests would like to check in earlier and rooms are not available we would be happy to store luggage and other belongings until such time they become available.

Damage

The customer shall be responsible for any damage caused to the allocated rooms, grounds of the furnishing utensils and equipment therein by an act, default or neglect of the customer, sub-contractor or guests of the customer and shall pay the Strawberry Bank Hotel on request the amount required to make good or remedy such damage.
