1. Introduction The Inclarity cloud hosted business phone system is designed to be used with a wide range of telephones, including software phones for the computer desktop. Stretto is the softphone recommended for use with your telephone system. The software is licensed for a number of different user platforms, in different combinations:

Stretto Desktop – a single device license for use on Windows or Macintosh computer desktop

Stretto Mobile – a single device license for use on Android or Apple mobile phone

Stretto Basic Bundle – a multi-device license for use on all platforms (up to a maximum of 4 devices)

Stretto Business Bundle – a multi-device license for use on all platforms (up to a maximum of 4 devices) which comes

with a number of additional features (including instant messaging and application sharing). The bundles allow you to use any version of Stretto in any combination: Windows, Macintosh, Android and/or Apple iOS. This document will discuss the Android mobile version of Stretto only. The same steps will be broadly similar for iPhone users. For guidance on any behaviour different from that described below please contact your IT administrator or telephone system supplier.

2. Installation You will first need to download the Stretto app from the Android Play store. The app is free and does not require purchase.

Once installed, you will see the Stretto app icon on your screen. Tap on the icon to run the app. When the app runs for the first time you will need to Accept the License Agreement, assign the phone permission, and choose

battery optimisations.

It is recommended to ignore the battery customisations suggested by your phone so that the app runs properly. However, you will find in practice that the app will not actually run in the background, but will stop and wait for push notifications (more on which see below).

3. First Login After completing the installation process you will be prompted to enter your login details.

The correct credentials should be supplied by your IT administrator or your telephone system provider.

Username: [your telephone number]@[domain]

Password: [as supplied]

Click LOGIN to enter and register the application. If you tick Keep Password, you will not need to re-enter your details then next

time you run the app.

When the app is running and logged in, it will show:

Menu icons in the top-left and top-right hand corners

An area underneath where your active calls will be displayed

An entry box where you can type in telephone numbers

A key pad for dialling numbers in a more traditional fashion

A band of menu icons at the bottom:

Press to display the key pad

Press to view/manage your Contacts

Press to view your call history

Press to use Instant Messaging (if you are a Business Bundle user).

Click to access the app Settings.

4. Connectivity & Push Notifications The Stretto mobile app can be used on any type of data connection – both local WiFi and GSM. Note however that if the local wireless connection is bad, then this will cause problems for your VoIP calls. To disable the use of WiFi, simply temporarily disable the current WiFi service on your device. To disable the use of GSM data,tap on the Settings icon at the bottom of the screen, and then select Preferences.

Under Mobile Data Network untick both boxes to avoid using your mobile data at all.

When you minimise the app it will run in the background, but if you are concerned about the battery or other resources on your device, then you can instead use Push notifications. If you tap in the top-right corner to Exit the client, it will pass the registration of your SIP session onto the Push server.

Although the app is not running, the next time you receive a call the app will start up again to ring thanks to a notification from the Push server. You can also restart the app by tapping on its icon, or by tapping on the Push notification you will see at the top of your screen.

IMPORTANT: If you are operating behind an active firewall, you may need to whitelist access to the Push server address 35.195.163.239 before this feature will work correctly. If you do not wish to use the Push service at all, you can disable it by navigating to Settings -> Accounts -> SIP Account -> Account Specific Features.

Untick Use Push Notifications to turn off the feature.

5. Synching & Adding Contacts The second icon at the bottom of the app window shows you your Contacts area. The first time you press this menu button, the app will prompt you to import the contacts from your mobile device address book to the Contacts list in the Stretto app. Assuming you select Allow, the list will immediately update with the imported names.

Press on a Contact twice to start a call. Or hold down a single long press to see a menu of options relating to the Contact record.

To add a single new Contact manually, simply press the Add ‘+’ button in the top-right hand corner of the Contacts screen.

Make sure you press at least once to add a new number to the Contact. Press the tick to add the record to your Contacts. IMPORTANT: For external Contacts, do not enter a SIP Address or a Presence and IM address.

6. Making Voice Calls With Stretto To make a phone call using Stretto, simply type the number into the box in the middle of the screen using the keypad or keyboard. Press on the green telephone button to dial the call. If this is your first call, the app may prompt you to access the microphone of your device.

Alternatively, if you type in the name of one of your Contacts, their number will come up for you to dial.

You can also press on a Contact from your Contacts view (see above) to trigger a call. You can also press on a call in your Call History to trigger a call (see below). While you have a call in session you will see the following activity buttons.

Press to mute or un-mute your microphone.

Press to place the current call on hold, or to take the current held call off hold.

Press to access the key pad to send DTMF tones during your call.

Press to start a three-way call.

Press to activate or de-activate the speakerphone.

Press for other options.

Other options include Show call stats, Transfer to or Add Video.

7. Making Video Calls With Stretto To make a video call using the Stretto client, the normal method is to begin a voice call, and then the mode of the call from voice to video. IMPORTANT: At the time of release it is only possible to make video calls to other Inclarity users with the Stretto soft phone (either desktop or mobile). If you attempt a video call to the number of an Inclarity user without a video enabled phone, or to a third party number not on the Inclarity platform then your call will fail. IMPORTANT: At the time of release it is only possible to make video calls if you do not have Dubber Call Recording. If you have Dubber Call Recording then you will not be able to make successful video calls. Make a voice call in the normal way (see above). With the call in session if you tap see more options, one of the options will be Add Video. If this is the first time you have used the feature, you will be asked to give permission for the app to use your camera.

You will immediately send your video, but the other user will need to tap the Send Video button for you to see their side in return.

If you tap on the screen while the video call is in session you will see some menu icons in the lower part of the screen.

Press to mute or un-mute your microphone.

Flip to your alternate camera view.

Press to stop/start sharing your video feed.

Press to hide/unhide your own camera feed in the corner.

Press the red button in the middle to hang up your call (ending both voice and video). If you have a saved Contact who is also a Stretto user, then through the Contact record you can press to start a video call from the outset.

8. Advanced Business Feature: Instant Messaging If you are Business Bundle user, then your Stretto client will be activated for Instant Messaging. This means that you will be able use the client to send text messages to your colleagues who are also using the Stretto client with the Inclarity Business Bundle. All of the Business Bundle users in your organisation will exist already as ‘Buddies’ in your Stretto client. You can see the list of Buddies by pressing on the Buddy menu icon. If you tap on one of the records, you will see an option to Send Instant Message.

Tap again to send the message, which will open in the messages area of the client. If you have exchanged messages with that

person before, then the previous message history should be visible. Simply type in the box and press to send more messages.

You can also return directly to your previous chat conversations by clicking on the messages icon at the bottom of the window. From this screen you can also control the IM status that is advertised to your colleagues in the Buddy list.

9. Optional Feature: Client Call Recording

Client side call recording is an optional feature that can be enabled upon request at no additional cost. It is not enabled by default however, due to the potential compliance issues this might cause. IMPORTANT: If you or any colleagues are taking payment information over the phone then your calls should not be recorded to assist your PCI DSS compliance. Similarly, if you discuss any other sensitive personal data in your calls then these calls should also not be recorded to assist your GDPR compliance. If you have any compliance questions or concerns, then please contact your telephone system supplier. With the feature enabled, during any call you can select the advanced option Start Call Recording. If this is the first time you use the feature, then you will be asked to give permission to the app to use your phone’s resources.

While the recording is taking place you will see a red dot in the top-right corner of the call window. To stop the recording simply return to the same menu and press Stop audio recording (or hang up the call).

After the call is finished, if you review the call from your call history, then you will see an option to play back the call recording.
