Getting Started

When Student Queue is launched for the first time SettingsForm will open.

Please select your location accordingly and press Ok. This process happens only for the first time after the installation.

Login Screen

There are three options from Login:

1. Staff Mode – Enter the username and password assigned to you by your administrator in the appropriate boxes. Click the Staff Mode button to go to the Staff Main form.

2. Student Mode – Click the Student Mode button to go to the Student Main form. This mode is specifically designed to allow students to add themselves to the Wait List.

3. Cancel – Close the Program.

Staff Main Form

The Staff Main Form is used to access all of the functionality of Student Queue. This screen shows a list of all the students waiting to see an advisor in the Wait List grid. Students are listed according to how long they have been waiting with the students that have been waiting the longest at the top.

To add a student to the list, enter their Student ID and click the OK button or click the No Student ID button. Both of these buttons open the Student Options Screen to enter the student’s information.

To modify a student’s information (preferred advisor, name, etc.) double-click the student’s name in the Wait List grid. This will open the Student Options Screen with the corresponding student’s record. Any saved changes will be immediately reflected in the Wait List grid.

When an advisor takes a student, select the student in the Wait List grid, select the advisor from the list in the Staff only - Select Advisor frame, then click the See Advisor button. The student will be immediately removed from the Wait List grid.

Staff Main Form (cont.)If a student is called to see an advisor, but does not answer, select the student in the Wait List grid and click the No Answer button. The student will be moved to the No Answer List grid.

The No Answer List grid shows students that did not answer when their name was called to see an advisor. When the student returns, you can select his or her name from the No Answer grid and click the Back to list button. The student will be credited with the time they waited before being moved to the No Answer List.

Occasionally, it might be desirable to clear the No Answer List. To do this, click the Clear List button.

There are a maximum of five menu options from this screen. You will only see the options for which you have permission to access.

1. Main Menu – Maintain Classification allows you to maintain the classifications of this Service. Exit closes the Application.

2. Reports and Graphs – This menu is view the reports or graph in the application.

3. Advisor – Maintain Advisors is used to add advisors (users) to this Service and assign permissions.

4. Settings – Change Reporting Department allows you to view another Campus/Department/Service reports provided you have permission. Change Queue View allows you to change your initial install Campus/Department/Service.

5. About – Opens the About Screen. This screen shows version and copyright information about this program.

Student Main Form

The Student Main Form is intended to allow students to sign in. This screen shows a list of all the students waiting to see an advisor in the Wait List grid. The other students are listed according to how long they have been waiting with the students that have been waiting the longest at the top.

The No Answer List grid shows students that did not answer when their name was called to see an advisor. If the student returns, he or she can select his or her name from the No Answer grid and click the I’m Back button.

The student may select his or her name from the list in After Session – Select Your Name frame then click the Fill Out Evaluation button to be taken to the Evaluation Screen. The Evaluation Screen allows students to give feedback about their advisement sessions.

Student Information and Options

Staff Main FormOccasionally, the student’s information may need to be changed after he or she has already been added to the Wait List. For example, the student wishes to change his or her preferred advisor to none, so that the wait to see an advisor will be shorter. To do this, double-click the student’s record in the Wait List grid on the Wait List Screen. The Student Options screen will be opened with the appropriate student’s record. Make the necessary changes and click the Save Changes button to save to the database. The changes will be immediately reflected in the Wait List grid.

The Cancel button exits this screen without adding or updating the Wait List.

Student Information and Options

Student Main FormThis screen is for Students to add themselves to the waitlist.

With Student IDAfter the first time, the student’s information is saved and will be automatically populated on their next visit. They are required to select a Reason for Visit then may click the Wait List button to be sent to the wait list.

Without Student IDThis same functionality is available if the user clicks the No StudentID button on the Wait List Screen. The difference is that the program will automatically generate a Student ID for the student to use with this program.

The Cancel button exits this screen without adding themselves to the Wait List.

Evaluation Screen

The Evaluation Screen consists of eight questions that help determine the student’s satisfaction with their visit. Students will either select an answer from a list or type the answer in manually. When the student is complete, clicking the Ok button will save the evaluation to the database and exit the screen. Clicking the Cancel button will exit the screen without saving the evaluation to the database.

Classification Screen

The Maintain Classification menu is used to add or remove the Classifications students are visiting the Service for. To add a Classification type the name in the box and click add. To remove a classification click the checkbox next to the name of the classification you would like to remove. You can view inactive Classification by clicking the Display Inactive button on the top right of the window.

Advisor Screen

The Advisors Screen menu can be used to add and edit the advisors who will be seeing the students. An advisor must be added here before that advisor can be on the list of advisors in the Wait List Screen.

To add an advisor, click the Add Advisor. The Advisor ID is automatically assigned by the database. Enter the advisor’s first name and last name as well as a username and password. Check the appropriate permissions for the advisor and click Save Advisor.

Currently On Staff should be checked for any new advisor being added. It should be unchecked when an advisor no longer works for the department. Unchecking Currently On Staff prevents the advisor from logging in to the program and no longer lists that advisor on the Wait List Screen.

Advisor Screen (cont.)Full Time should be checked if the user works as an advisor full-time.

Checking Advisor Reports allows the user to run all Advisor Reports; Student Report allows the user to run all Student reports.

Graphs allow the user to access the Daily Wait Graph.

Security allows the user to access this screen, thus enabling them to add new users and modify the permissions of the current users.

Clicking the Save Advisor button will save the advisor’s record to the database. Clicking the Update Advisor button will update the existing advisor information and permissions.

The navigation buttons work as follows:

The |< button moves to the first advisor in the database. The < button moves to the advisor who is just before the displayed advisor in the

database. The > button moves to the advisor who is just after the displayed advisor in the

database. The >| button moves to the last advisor in the database.

Reports

The Reports Menu is used to run the various reports that come with the program. To run a report, select that Report and Graphs from the staff main form. Depending on the report selected, additional selections may need to be made before running the report. These additional selections will be described individually for each report below. Once all of the appropriate selections have been made, click the Run Report button to open the report.

The report will open in its own window. The column headers serve as sorting buttons when applicable. Click the print button in the upper center of the screen to print the report. The export (save) button is to the right of the printer button and can be used to export the report PDF, Excel, or Word. Please note sorting must be done in the Report window before exporting. The Zoom feature allows the user to zoom in or out from 25% to 500%. The navigation buttons at the bottom can be used to navigate through the pages of the report when needed.

Click the X to exit the Reports Screen.

Below is a list of the available reports, a description of what they contain, and the required information to run them:
