General Inform

ation

LATE PICK UP POLICYWhen parents/guardians/group home staff are late picking up their participant, a late fee of $1 per minute for each minute after the first ten minutes will be charged.

PRIMARY MAILING ADDRESS USED FOR NSSRA MAILING LISTSWhen a participant’s parents or guardians have multiple mailing addresses, all of our correspondence will be sent to the address listed on the program registration form. If another parent or guardian, living at a different address, would like to receive information from NSSRA, the person who signed the registration form must submit a request in writing to the Superintendent of Recreation. Program and participant information will also be communicated to the individual that signed the registration form. Sometimes the person who signed the registration form and the person that paid the program fees are different. Nevertheless, the person that signed the registration form would be our primary contact.

In-home programming is based on staff availability and limited to one hour per week for eight weeks each season.

GATOR ATHLETICS INFORMATIONNSSRA offers competitive sports opportunities for individual sports and team sports. Our competitive sports programs are called “Gator Athletics.” Participants in Gator Athletics compete in tournaments against other Special Recreation Associations and in Special Olympics competitions. Gator Athletics

run on a different schedule than NSSRA Traditional Programs to meet deadlines established by Special Olympics Illinois. It is important for athletes to attend and participate in all practices and games as well as tournaments. Athletes attending any tournament with NSSRA are required to register for this additional program with no added cost. Registration materials will be sent home during the program and must be turned in by the deadline printed on the registration form. This registration is a commitment that the athlete will participate in the tournament.

Athletes who compete in Special Olympics competitions are required to have a valid Medical Application (Med App) on file with Special Olympics. All Med Apps must be original with an original doctor’s signature to be considered valid. Med Apps must be valid from the start of practice through the last tournament date for each sport the athlete competes in. Med Apps are available through the NSSRA office and at www.nssra.org/forms and will be submitted to Special Olympics by NSSRA.

INCLUSIONYour local Park District or Recreation Department is ready, willing and able to include you in all their recreation fun!

The Northern Suburban Special Recreation Association (NSSRA) recognizes that some individuals with disabilities would benefit from social opportunities available by participating in programs offered through their local Park District or Recreation Department. This joint effort provides inclusion support in the form of extra staff, sign language interpreters, adapted rules, behavior management training, disability awareness training, and/or any other services necessary to include the individual.

Inclusion opportunities are available to individuals with disabilities in NSSRA partner agency recreation programs. Program dates vary depending on the individual partner agency.

INCLUSION provides opportunities for people with and without disabilities to experience recreation together.

INCLUSION looks at the needs, interests and abilities of people instead of focusing on their disabilities.

INCLUSION supports the process of preparing, learning, experiencing and growing with each person, each family and each recreation staff.

INCLUSION provides recreational choice.

HERE’S HOW TO GET INCLUDED! 1. Register for the Park District or Recreation Department program of your choice. 2. Mark the appropriate “Special Accommodations” section of the registration form. 3. NSSRA’s Manager of Inclusion will be contacted by your Park District or Recreation Department to discuss the type of inclusion support needed to accommodate you or your family member. 4. You and your family member start the program with the inclusion support(s) in place. 5. The NSSRA Inclusion Team periodically observes the program to provide support and answer questions. 6. Communication between the NSSRA Inclusion Team, recreation staff, the individual and/or family is continued throughout the inclusion process.

TRANSPORTATION INFORMATIONProgram write-ups will indicate if transportation is available. NSSRA provides door-to-door, community point pick up and drop off and after school transportation for select programs. The term “After Camp Transportation Provided” means participants are transported from camp to programs with the option of drop off transportation after the program.

If you register for a transportation option, please list your choice of pick up AND drop off locations on the registration form where indicated, using codes provided on page 61.

If you register for transportation, please call NSSRA if a participant is not going to need transportation pick up and/or drop off on particular day(s); otherwise routes are unnecessarily delayed.

DOOR-TO-DOOR ROUTESDoor–to–door transportation is for residents only. Door–to–door routes are planned according to the number of participants registered and their locations, as well as the final destination. With limited vehicles available, it may be necessary for participants to ride in the bus for up to 1.5 hours. Participants will be picked up and dropped off in geographical order. If this schedule is inconvenient, please call NSSRA and ask to speak to Recreation Specialist Malory Smysor at (847) 509-9400 x6816 or [email protected]. We will do our best to accommodate you!

AFTER CAMP ROUTESAfter camp transportation is only for participants attending a camp in one of NSSRA’s partner agency communities. Routes are planned according to the registrants and their locations, as well as the final destination. NSSRA may not be able to accommodate pick up for participants being dismissed from camp earlier than 1.5 hours prior to the start time of the program, to limit the participant’s time on the bus to 1.5 hours or less. The drop off for after camp transportation will be at designated pick up points in the community.

LATE PICK UPDrivers will wait a maximum of ten minutes from scheduled time. After the ten minute wait period, the driver will continue on the route to the next location. Participants/families who do not arrive on time may be asked to meet at an alternate location for pick up. After ten minutes, a fee will be applied. Refer to the Late Pick Up Policy on page 4.

PARENT PICK UP & DROP OFFFor the safety of all participants, parents must personally check in with a program leader when dropping off and picking up their child. Staff cannot leave a program or other participants to escort an individual to or from a vehicle. Therefore, parents are asked to park and check in with the program leader during both drop off and pick up for all programs.

TRANSPORTATION SAFETY PROCEDURESNSSRA has implemented these transportation procedures to ensure participants ride safely in our vehicles.1. All passengers must be sitting in

seats or wheelchairs with safety belts securely fastened. The driver will not proceed until all seat belts are fastened.

2. All wheelchairs must have brakes that are in good working order and must be able to stop the chair from moving.

3. The NSSRA staff will assist participants to and from their homes, but driveways and walkways must be clear of debris and obstacles. Staff will not enter homes.

4. NSSRA staff is responsible for determining whether or not a participant can be transported safely. If it is determined that it would be dangerous to transport an individual, the driver may refuse to transport that person.

5. Persons riding in Amigo–type wheelchairs must transfer into a bus seat and must use a seat belt.

6. Persons unable to be in a house alone should have someone meet the bus at the designated time of return. NSSRA cannot wait more than ten minutes due to the demanding transportation schedule.

NSSRA reserves the right to refuse to transport individuals. Please recognize that these policies have been developed to ensure the safety of everyone riding in NSSRA vehicles. Your cooperation is greatly appreciated.

A minimum of three participants is needed at each pick up/drop off site. Late registrants may not have transportation during the first week of programs due to routing changes. Participants are notified if a problem occurs. When necessary, NSSRA may use SEPTRAN, 303 Taxi, or other contract carriers.

INCLEMENT WEATHER POLICYIf inclement weather occurs, NSSRAmay still decide to hold programs. If theweather turns dangerous, (100 degrees or higher actual temperature or heat index) NSSRA will call participants prior to the

start of a program to cancel the program. If you are not sure whether a program will meet due to inclement weather, call NSSRA. Refunds are issued for cancelled programs.

AMERICANS WITH DISABILITIES ACTNSSRA complies with the Americans with Disabilities Act (ADA) and will make reasonable accommodations to enable individuals with disabilities to participate in and enjoy recreation programs. If you have a question about NSSRA’s compliance, or feel that NSSRA has discriminated against you, please call Craig Culp, Executive Director, at NSSRA, (847) 509-9400 x6820 or [email protected].

SPECIAL ASSISTANCE/INTERPRETERIf you need special assistance or a sign language interpreter, please inform NSSRA upon registration (voice or relay).

SAFETY/INSURANCE INFORMATIONNSSRA is committed to conducting its recreation programs and activities in the safest manner possible and holds the safety of participants in the highest possible regard. Participants and parents registering for recreation programs must recognize, however, that there is an inherent risk of injury when choosing to participate in recreation activities. NSSRA continually strives to reduce such risks and insists that participants follow all safety rules and instructions which have been designed to protect the participant’s safety.

Please recognize that NSSRA does not carry medical accident insurance for injuries sustained in its programs. The cost of such would make program fees prohibitive.

Therefore, each person registering themselves or a family member for a recreation program/activity should review their own insurance coverage. It must be noted that the absence of health insurance coverage does not make NSSRA automatically responsible for the payment of medical expenses.

Due to the difficulty and exorbitant cost of obtaining liability insurance, the agency providing liability coverage for NSSRA requires the execution of a Waiver and Release. Your cooperation in completing and signing the registration form is greatly appreciated.

MEDICATIONAt times participants may require assistance taking medication during programs. If the participant is unable to self–medicate or take the medication prior to or after the program, NSSRA requires additional paperwork and pre–packaged medication be delivered to our office prior to the program. Please contact Safety Coordinator Katie Kotloski at (847) 509-9400 x6825 or [email protected] with any questions.

Please be assured that we will do our best to fit you in or find another suitable program. The best way to ensure participation in a program(s) is to:

REGISTER BY FRIDAY, MAY 16 @ 5:00 PM

REFUNDA refund of the program fee minus 10% will be made only up to the second session of a program. There will be no refunds for cancellation after the start of the second session. Refunds, minus 10% and NSSRA prepaid costs (tickets, staff costs, etc.), are given for one-time events and social clubs when participants give NSSRA at least one week advance notice. When canceling for a medical reason, refunds are minus NSSRA prepaid costs and NSSRA would require a note from your doctor. To receive a full refund of trip cost, you must cancel at least 90 days before departure date; a detailed trip cancellation policy will be mailed with your registration confirmation.

RESIDENT/NON-RESIDENT POLICYIf you live in one of NSSRA’s ten partner park districts or two cities and one village, you are considered a resident. These include the Park Districts of Deerfield, Glencoe, Glenview, Highland Park, Kenilworth, Lake Bluff, Northbrook, Northfield, Wilmette and Winnetka, the Cities of Lake Forest and Highwood, and the Village of Riverwoods.

Individuals residing outside the NSSRA boundaries (in an area that does not support NSSRA through tax dollars) must pay an annual Administrative Fee prior to registering for any NSSRA program. The Administrative Fee is determined annually. The Administrative Fee is approximately $2,200. This fee allows participation in NSSRA programs for one year.

RANDOM DRAWING*The random drawing policy was devised to provide all residents with an equal opportunity to enroll in our programs. If a program is full and the waiting list has a minimum of four names, a random drawing will be conducted for all residents who register by the deadline. The drawing will be conducted one week following the registration deadline. Participants whose names are not drawn will be placed on a waiting listing pending program availability. Non–resident registrants and any registration received after the deadline will be processed on a daily basis, first priority given to residents.

*Due to the varied registration deadlines, the random drawing system will not be used for special events and trips. Registrations will be processed in the order that they are received.
