SBSC Sailwave User Guide Version 1 June 2011 Sutton Bingham SC Sailwave Users Guide Sailwave is free software that the Sailing Club uses to calculate racing results. Sutton Bingham SCSailwave Users Guide

Sailwave is free software that the Sailing Club uses to calculate racing results. It can be used forfleet racing and for handicap racing using the RYA Portsmouth Yardstick scheme.

This guide is written in three parts ­(i) Using Sailwave to run handicap racing

(ii) Using Sailwave to run fleet racing(iii) Using Sailwave to run open meetings (handicap & fleet)

Please don't be scared to use the software because like most things once you have got the hangof it really is simple. This guide will help you get your head around the software and make your

life as a race officer a whole lot easier. No complicated sums, no trying to work out who hasbeaten who, re­ordering the race sheets so that it is easy to see who came first, etc, or anything

Club/Handicap RacingHandicap racing is either normal Sunday racing or Thursday evening racing. You need to treateach race as a separate race.Step 1.Open the single clubrace Sailwave file onthe computer desktop.The screen should looklike this

Step 2.Enter each competitor into Sailwave. To do this double click in any part of the row for eachcompetitor. This opens the competitor edit window as shown below.Enter the competitor details as follows ­Boat Class ­ (1)click on the drop down arrow and select the class ofboat from the list ­ make sure that you select the rightone, there may be a different one for club racing orfor Thursday racing (the PY's are different for manyclasses, especially doublehanders)Sail Number ­Enter in the sail number of the boatHelm & Crew Names ­Enter in the helm and the crews names (ifknown,they should be on the signing in form)PY ­ (2)This field should automatically fill­in from the classyou selected in the drop­down box earlier, but checkthat its correct anywayAll other fields ­For club racing there is no need to enter any other information in this window, the rest may beused in open meetingsStep 3.Repeat for all other competitors.You can import from another Sailwave file to save having to do this too many times. To do thisclick on "File­Import Competitors from another Sailwave File.." and follow the wizard thatappears. Once complete the imported competitors appear in your current race.

Step 4.Enter the results. Sailwave will work out the correctedtimes for you, you only have to tell it how long the boattook to complete the race. If you boats that do differentnumbers of laps to others it can deal with that too. Toenter the times you double­click under the racecolumn in the row of the boat you are trying to enter.

In the window that appears select the"Elapsed Time" bullet as shown on the rightYou can record the results in several ways

(i) Hours, minutes & seconds(ii) Minutes & seconds(iii) Seconds only

To enter times in anything other than secondsyou need to add a divider between the parts,i.e. 1:13:25 would be 1 hour, 13 minutes & 25seconds, or 45:51 would be 45 minutes & 51seconds. If in doubt hover the elapsed timebox and a help note will appear.If you have boats doing less laps, i.e. a Teradoing two laps when everyone else does 3then you enter the number of laps in the righthand box. If you don't then you do not have toenter any number of laps at all.You can even enter the start time & finish time if you find that easier than working out how manyminutes they have been sailing, just select the bullet alongside the Start Time entry.Step 5.Complete for all boats and you are nearly there, but what aboutsomeone who retires from the race, or is disqualified?You can enter the code, DNF or DSQ in the edit result window asabove by selecting the Code bullet and finding the right code inthe drop­down, but there is an easier and quicker way.1. Right­click on the relevant competitor and a menu appears.2. Go down to the "Set Result Code of >"3. Select the code you want

Step 6.The next step is to get Sailwave to generate the resultssheet for you. To do this you must "Publish" the results ­1.Click on "Publish" in the toolbar at the top of the window(1)2.Click on "Results... Ctrl+p" in the menu (2)

This brings up a dialogue box to set the title, etc ofthe race. There are a couple of things that you mustdo otherwise you will be looking at a blank sheet andwondering what went wrong.1. Click on the Final button (or provisional if you havea pending protest) (1)2. Tick the "Publish a series summary" box and thenthe "all sailed races" bullet (2)3. Click on the "Next" button at the bottom of thewindow (3)

To actually see the results ­1.Set the style in the drop down box ­ the default is"Blue Blocks" which is nice easy to read format. Youcan change this if you wish but the default is perfectlyacceptable (1)2. Set the destination to "My default internet browser"(2)3. Click on the "Publish" button (3)Once this is done the computer will launch theinternet browser (default is Google Chrome) with theresults nicely displayed in the window. You can thenprint from here by pressing "control+p" or through themenu.

The results as displayed in the internet browser ­ you can thenprint the results straight from the browser.

So What Went Wrong??For some reason the results don't seem correct, what happened? There could be severalreasons ­1. You didn't choose the correct class of boat2. The PY system wasn't allocated correctly in the "ScoringSystem" ­ to rectify, click on the "Scoring System" button (1)and then select the "Rating System" tab and make sure thatthe "RYA Portsmouth" bullet is selected (2) ­ note that in thisexample "None" is selected and therefore your results willcome out all wrong, i.e. the results will show the competitorsin the order that they finished, not the corrected timepositions.3. Check when entering the competitors that on selection of the class of boat in the drop downbox that the correct PY appears in the "Rating" field at the bottom of the window ­ it may be thatthe ratings file that Sailwave uses has been corrupted or deleted. If this it is the latter you won'tfind any boats in the classes field. You can still manually enter classes and their PY's anyway sonot all is lost.

Fleet RacingFor fleet racing, using Sailwave is very similar to usingit for handicap racing. The only difference is that youdo not use the PY system, there is no need to.To make sure that you have it set up right, select the"Scoring System" button (1) and then in the "RatingSystem" tab that you have the "None" bullet selected(2).Sometimes it isn't really that useful to use Sailwave fora single fleet race, its only benefit being that itproduces easily readable results in the correct orderfor general consumption.

Open Meeting Fleet RacingThe real benefit of using Sailwave for Fleet Racing is when it is a multiple race series, such asan open meeting where 3 or more races are held to decide the winner overall. There are severalthings that must be set up correctly to ensure that the results come out correctly.Step 1.Set up the Series Title so that it appearson the results. To do this click on the"Series Properties" button (you can see itin the picture above to the left of the"Scoring System" button. Make sure thatyou fill at least the "Event Name" (1), the"Venue Name" (2) & the "Venue Website"(3). The fields showing the "Burgee" andthe little wave symbol allow you to selectpictures for each that will appear on thefinal results, such as the SBSC logo andthe Laser insignia (in this example).Step 2.Next make sure that the Discards system is set upcorrectly. To do this click on the "Scoring System"button and then on the "Series Scoring" tab. At thebottom of the window there is a field where youcan enter in the discards (1). For a 3 race series itshould read "0,0,1". If you click on the gear icon tothe right (2) it will show how the discards areapplied (3). In this instance the single discard willonly be applied following 3 races. For a 5 raceseries with 2 discards you could enter "0,0,1,1,2".This means that upto the 4th race you only have 1discard and at the 5th a 2nd discards applies.

Step 3.Columns ­ you will see in the main window that there are many different columns of which manyare not required at SBSC. You can simply hide the unwanted ones by right­clicking on the titleand selecting "Hide Column"

You can also rename them if you wish.Step 4.Entering Competitors ­ this is the same as for the club racing. However one useful option is toenter the "Fleet", such as Laser, Laser Radial or Laser 4.7. This makes it easier to work out whois first in each fleet. You can also run the race as a single entity but then score the results perfleet rather than overall if you wish.Step 5.Entering Results ­ the easiest way to enter the results for eachrace is to right­click the relevant competitor in the relevant raceand hover over the "Set result place of >" and then select theposition that competitor finished.Step 6.Enter those that did not finish or were disqualified using a similarmethod except this time hover over the "Set results code of >"and then pick the relevant code. Note that there is no need toenter a result code of DNC (did not compete) as the program willautomtically assume that if there is no result the competitorDNC'd.Step 7.Once all the results are filled in then it is time to scorethe series as before. Follow the same method topresent the results in the computers internet browserand then print from the browser. The only difference tobefore is that for races one & two you would select the"provisional" button (1) and after race three you wouldthen select "final" button. Make sure that you haveselected the correct option at (2) of "All sailed races"and then click on the "Next" button (3) to proceed tothe browser options as before.

Handicap Open MeetingsFor handicap open meetings such as the SomersetSquare or the Club Championships use a combinationof the two methods above.Make sure that the series is a 3 race one and fill in thedetails and the discard profiles as for a fleet open butmake sure that on the "Scoring System" (1) option youselect the "Rating System" to be RYA Portsmouth (2).Make sure that when you enter the competitors youpick a class and that the relevant PY is in the box atthe bottom of the window.You enter the results using the method described in Step 4 on page 3.Publishing results is done in the same manner as for the fleet racing.

General NotesDeleting Unwanted CompetitorsYou can delete competitors by clicking on the "Delete" button (1)then clicking against each one (you can select more than one atonce) (2) or by the drop down list do other actions (3).Deleting Unwanted RacesIf you have too many races youcan delete them by clicking on the"Edit" button at the top right of thewindow and clicking on "DeleteRaces". The same type of optionsthen appear as for the deletingcompetitors.

Other Documentation from SailwaveYou can use Sailwave to print out other documentationrelating to a race series, such as a competitor list, a signingon/off sheet or a retirement sheet if you think these will be ofuse. To get them click on the "Publish" menu and thenselect the option you want from the drop down list. Justfollow the instructions in the windows that appear afterwardsand print from the browser at the end.
