1. Background1.1 Redhanded DigitalRedhanded Communications is the leading agency working in Rural Regional Australia. We execute insightful strategic communications and media strategies across all media platforms with engaging creativity for some of the biggest brands in regional and rural Australia. As well as pioneering digital and online in the regional landscape, Redhanded has established unique relationships with the key influencers that impact on our clients’ brands.

Redhanded has a staff 23 strong based across offices in Melbourne and Sydney. As a member of the Clemenger Group, Australia’s largest, most successful marketing communications company, Redhanded has access to a network of more than 30 diverse marketing related businesses and the talented staff within.

Redhanded’s digital team has a proven track record in large scale CMS build’s and have undertaken CMS projects for Kubota Australia, Gradlink, Heritage Seeds, GRDC, Roundup Australia & NZ and Energy Safe Victoria to name a few.

1.2 Key Team MembersJAMES KERR, HEAD OF DIGITAL

James is Redhanded’s digital lead, managing our clients’ digital projects and identifying future opportunities for online growth. James has 10 years’ digital experience in project and account management, digital planning (information architecture) and online strategy, working in agency environments for large enterprise and retail clients. James has worked with some of Australasia’s largest retailers like Nike, Mitre 10, Betts Shoes, Converse, Kubota Tractors, Bayer Animal Science and the Grains Research & Development

Council (GRDC) on their online platforms. James is responsible for improving user experience and site conversion funnels, ensuring projects are run with the end user-path in mind. He has an eye for innovative digital executions and a focus on user-friendly interface design across all digital mediums.

As digital team lead, James is across all web projects in an administrative and project management capacity. He is heavily involved in project scoping and writes the information architecture documentation, as well as providing technical support to project managers. During large scale CMS builds anywhere between 20-40% of James time will be dedicated to the project, depending on complexity.

DAN BOURAS, TECHNICAL LEAD

Dan has spent almost 11 years in the web development industry working on a broad range of projects for brands such as Holden, Jetstar, Wynns, APIA, Origin Energy & Jeanswest. Dan specialises in multi-platform web products with a focus on responsive front-end builds and user interaction. Dan immerses himself in technology with the goal of integrating new efficiencies wherever possible to deliver state-of-the-art digital products. Dan holds a bachelor of Arts (multimedia)

and a bachelor of Business (eCommerce).

As Redhanded tech lead, Dan is responsible for all technical architecture, back-end development, security and hosting platforms. Dan is the technical decision maker for all major website projects at Redhanded, working closely with web designers and project managers to build CMS platforms. During large scale CMS builds, Dan is normally 40-60% resourced on the project to ensure development consistency and quality.

1.3 Project BackgroundRapid Spray are a well known manufacturer of high-quality spray, cartage and suppression equipment for professional industries in Australia. Rapid Spray operate with a large network of partner suppliers stocking their products, and plan to increase the utility of the website to provide more information and also facilitate the management of click and collect sales online. The site will also include planned design and aesthetic updates to improve design, branding and

user experience online to drive more enquiries. These updates will coincide with upcoming marketing campaigns to improve market share and sales.

1.4 Project ObjectivesEmphasis has been placed on the following objectives for the build of the new website. Broadly speaking, the focus will be on increasing Rapid Spray market share by improving the overall online experience and interaction with the brand. Rapid Spray have identified a number of shortcomings in the current iteration of the website and are hoping to make upgrades and improvements to align with the proposed upcoming acquisition of rapidspray.com.au. In addition, the following business and project related objectives have been identified:

1.5 Functional RequirementsRapid Spray have identified a number of desirable functional inclusions and likely required templates for the new website. Content for the new website is to largely mirror the existing content on the current website – Rapid Spray will provide all content. Redhanded have reviewed these requirements and added any likely additional inclusions to be considered as part of the functional requirements for the website redesign project as per the following:

2. Approach2.1 Project ScopingDuring this phase Redhanded gather all necessary project details, objectives and requirements for the successful completion of the project. This data will inform and set the long-term vision for the project, identify priorities, and allow us to marry a set list required tasks to project objectives. A key component of this stage is the requirements gathering workshop, to be attended by key project personnel at Redhanded, and any necessary project stakeholders from Rapid Spray. This workshop can be considered an extension of the briefing documentation already provided by clients and is an opportunity for client stakeholders to discuss requirements and objectives in more detail. A key component of the requirements gathering for this project will entail discussion of third party integrations – in order for Redhanded to accurately quote on the time required to build these integrations, detailed discussion around desired process and technical implementations will need to take place.

The summary output of scoping phase includes a website sitemap, annotated wireframes, a final web development quote based on agreed requirements detailed within wireframe documentation and, a development timeline.

2.2 Design User experience (UX) is at the heart of every digital project at Redhanded. Our UX approach is focused on user-centered design through measured intra-disciplinary collaboration. We offer solutions driven by user behaviours and needs, our client’s business objectives, coupled with technologies that support these requirements using best practice methodologies.

A core component of good UX is ease of access. All websites built by Redhanded are fully responsive for access on any device. To achieve this standard, Redhanded undertakes front-end development utilising the Bootstrap responsive framework. Bootstrap allows us to build websites to the highest design standards with the broadest possible accessibility in mind, allowing content to resize and fit to the user viewport intuitively based on flexible and powerful re-orienting CSS rules. All design concept work is undertaken with the Bootstrap framework in mind, and with developer reviews along with way.

2.3 Platform Development & Infrastructure2.3.1 CMS

Redhanded has identified open-source PHP platform WordPress as the most suitable CMS for the Rapid Spray website development. The WordPress platform is incredibly well supported in Australia and throughout the world, boasting a wealth of module extensions available to cater for a broad range of extended functionality. WordPress also boasts and exceptionally easy to use back-end CMS interface, with good support documentation and guides. Redhanded has a long experience history developing websites in WordPress as our preferred CMS platform, and has completed a number of large scale CMS projects on the platform including Kubota Tractors Australia (kubota.com.au), and the upcoming releases of new websites for Energy Safe Victoria and Dial Before You Dig.

Redhanded deploy all finalised development to two separate website instance on the live hosting environment, ‘staging’ and ‘live’. The staging site is not publicly searchable or listed and is designed for testing the website application in a closed, non-public environment using the exact same setup that the live site will utilise. The staging site is used for all pre-live testing, quality assurance and client reviews. This staging site will remain available for development and client stakeholder testing once the live site has been deployed.

2.3.2 TESTING & QUALITY ASSURANCE (QA)

Full testing of any and all HTML and platform architecture developed by Redhanded during the course of the project will take place prior to release. Test cases and scenarios will be developed based on the planning architecture developed during the project scoping phase, then run and tested for quality once the work has been completed and deployed to the staging platform. In addition to functionality testing and browser regression testing will take place as part of the testing program.

Standard Redhanded browser policy is to complete work tested for the current browser releases and the previous most recent release. Should additional browser support be required (due to additional use of older browsers denoted by site analytics etc.), this will be noted during scoping phase and additional build/testing time be allocated as required.

2.3.3 HOSTING & DISASTER RECOVERY

Redhanded recommends use of Amazon Web Services (AWS) for hosting of our developed projects – should it be required. Amazon boast great support, high up-time reliability and localised Australian servers. AWS pricing is based on bandwidth usage and is flexibly scalable dependant on the amount of traffic running through the site.

Redhanded have Business level support with AWS, allowing us 24x7 technical support and assistance from support Engineer’s as needed. In the event of malfunction or error with the AWS server setup, Redhanded will work with directly with AWS engineers to resolve issues and prevent future recurrences. Redhanded set up automatic backup and disaster recovery plans for every hosted web solution. A backup taken is a snapshot of the current state of the storage volume at the time the backup process is executed. The backup is an exact clone of the file system which includes the website CMS/Backend files, media that has been uploaded to the website such as images, videos, pdf documents etc and the database that powers the website. All this is contained in one package that is ready to be restored into the website in the event of data loss. Backups take place daily when there is minimal website traffic (normally between 2 and 3am). In the event of failure or data loss, Redhanded are able to retrieve the previous day’s backup and relaunch the website to its former state.

2.3.4 WARRANTY & SUPPORT

All deployed solutions from Redhanded carry standard 30-day warranty periods. Under this agreement any problems or issues arising from the work completed as part of the project scope (eg anything included within the Statement of work) that are raised by either client or Redhanded within the 30-day period after launch, will be addressed and fixed as part of the original scope of work and at no extra charge. New requirements or changes deemed out of scope will be acted on with time and cost implications.

Redhanded assumes it will be responsible for ongoing support of each website it builds, unless otherwise specified. We prefer to partner with our clients on a long-term basis, and assume that there will be future development iterations and

deployments, in order to continuously improve website functionality. Ongoing website maintenance and monitoring costs will be discussed closer to live deployment of the scoped solution.

3. Execution3.1 DeliverablesThe deliverables outlined below form the detailed solution that Redhanded recommends for Rapid Spray within the stated requirements. Should Rapid Spray require any additional deliverables beyond what is listed, identification of these should occur within early stages of the project, so as to allow for budget and timeline updates as necessary. Anything not listed as a deliverable can be considered out of scope.

3.2 Project ConsiderationsThe following items have been highlighted during scoping and estimating, and are listed here to demonstrate their prior consideration. They do not necessarily require action, but project stakeholders should be aware of them. Please feel free to suggest any additional considerations that are not included here.

3.2.1 PROJECT ASSUMPTIONS

Content – Redhanded assumes all content and direction will be provided by Rapid Spray.

3rd Party vendors – It is assumed that Rapid Spray will facilitate any required contact with 3rd parties in regards to required integration

Analytics – standard tracking code within Google Analytics tracking functionality will be deployed on the final live website. Additional requirements for bespoke Google reporting will need to be scoped separately if required.

Platform - Redhanded will be building the Rapid Spray website on the latest stable release of Wordpress CMS

4. Project Cost & TimelineThe following figures are estimates noted prior to detailed scoping. They are to be used as an indication only of cost requirements for the project, and are subject to change. All figures are in $AUD and exclusive of GST. Redhanded provides all costings based on head hours required to complete each task – there are no associated concept fees or bulk charges. A detailed breakdown of specific tasks and associated hours will be made available as part of the project Statement of Work document once scoping phase has been completed.

* Third Party Integrations;An estimate for the required linkages between this systems has been omitted due to relative uncertainty to be determined during scoping phase. Given the array of potential setup options for each of the stated systems, any estimates provided at this stage would provide little benefit due to their likely inaccuracy.

** Hosting;Redhanded would prefer to provide a recommended AWS hosting infrastructure setup with ongoing monthly support and maintenance included to allow for uptime monitoring, security updates and CMS update patches. Should the client already have a preferred hosting supplier, we are happy to work within alternate frameworks – provided developers are provided sufficient access during development and testing.

4.2 Proposed TimelinePlease note, these timeframes are based on initial project estimates and are as accurate as predictably possible. During the course of complex projects there are cases where delays or required changes may adversely affect timelines and delivery dates. Redhanded project managers will work with clients to mitigate project delays as much as possible by actively identifying risks as they arise.

Design/Development and Testing phases for the website redevelopment will be determined by breadth of work identified in scoping phase. It is assumed design and scoping deliverables will have two rounds of client reviews and feedback only.
