OVERVIEW

The INSPIRE Directive has been put in place to create a European spatial data infrastructure for the

purposes of EU environmental policies as well as policies or activities which may have an impact on

the environment. By having a digital infrastructure, the INSPIRE Directive facilitates access and use of

very wide scope of digital spatial data. The applicability of such spatial data goes far beyond

environmental policies. Therefore, INSPIRE stretches into various activities related to e-Government,

transport, navigation, regional development, energy, health, safety & security and e-Commerce. This

broad field of application makes the INSPIRE Directive one of the enablers of the EU digital society.

The annual European INSPIRE Conferences significantly contribute to the implementation of the

INSPIRE Directive and offer a platform for public and private stakeholders to meet and to discuss the

progress reached in the past months and years, to examine the possibilities for accelerating the

further implementation and to exchange on new opportunities and challenges that arise from the

implementation.

The INSPIRE Conference 2017 will take place in Kehl (Germany) and Strasbourg (France) from 4th to

8th September 2017. It is jointly organized by the German Ministry of the Interior, the French Ministry

of Environment, Energy and Marine Affairs in partnership with the European Commission. It is

further supported by the Government of the Federal State Baden-Württemberg and the Regional

Council of Grand-Est.

This year’s conference with the title “INSPIRE a Digital Europe: Thinking out of the box” will focus on

4 topics

1. Applications of INSPIRE for environment and the digital society

2. Capacity building - technologies and training

3. The INSPIRE Maintenance and Implementation Work Programme 2017-2020

4. INSPIRE thinking out of the box – INSPIRE innovation

It will cover wider application areas such as e-Government and further application areas of geospatial

information and technologies. It will give a strong impetus for further building of the European

Spatial Data Infrastructure and its use beyond environmental applications. Furthermore, it will

demonstrate innovative solutions in the field of European environmental policy, digitalization of the

society and regional cohesion, thus giving incentives for strengthening the cross-sector and cross-

border cooperation among all stakeholders active at European, national, regional and local level.

At the INSPIRE Conference 2017 around 1.000 participants are expected from all EU Member States

and some non-EU Member States. The conference will offer workshops, plenaries, thematic sessions,

a poster session, a commercial exhibition and social events. The first part of the conference will take

place at the University of Applied Sciences in Kehl (4th and 5th September 2017). The University will

host the workshops, the first networking event and the Ice Break Party (4th September 2017). The

plenaries, thematic sessions, commercial exhibition, poster session and networking dinner will follow

from 6th to 8th September 2017 at the Strasbourg Convention & Exhibition Centre (Convention

Centre). The Technical and Cooperation Partners Exhibition will take place in the Schweitzer Gallery

of the Convention Centre.

The networking is guaranteed! The conference has been designed in a way that all participants and activities orbit around the Technical exhibition. The cooperation partners and exhibitors will be permanently in touch with all attendees and speakers. Coffee and lunch breaks will be at the exhibition area. Coffee and lunch breaks are included in the conference fee and therefore all attendants will be around the commercial stands at coffee breaks and lunch time. The presence of a large professional audience opens space for a great set of marketing opportunities providing excellent exposure to both cooperation partners and exhibitors prior to and during the conference. Located at the heart of Europe and having the seats of the European institutions like European Parliament, Council of Europe and European Ombudsman, the Eurometropole Strasbourg will attract many participants from all EU Member States. The Eurometropole Strasbourg is close to international airports (the nearest airport is Strasbourg-Entzheim) and it is easy to be reached by all European capitals with the high-speed rail. The Conference Organizing Committee (COC) has developed a marketing and communication strategy which will ensure that the INSPIRE Conference 2017 will be continually promoted. Official website, online marketing tools and direct marketing tools will be applied to ensure regular communication with the professional community from now till the commencement of the conference. The COC will be open to analyse various marketing opportunities and help you choose the right opinion or design the right solution for your business throughout the INSPIRE Conference 2017.

STANDS MOUNTING INSTRUCTIONS AND RULES

Stand builders (Construction of stands)

The maximum authorised load on the floor is 500 kg per m².

The maximum height is dependent on the location of the exhibit and should not in any case exceed 2.5 m.

If the exhibitor’s stand intends to be over 2.5 m in height, the exhibitor will need to submit a plan

and certification of all the materials to be used so that authorisation can be obtained from the

Strasbourg Convention & Exhibition Centre (Convention Centre).

Stand security

The Convention Centre recommends that the stand is not left unattended during the assembly and

the installation dismantled.

Cleaning of the stands

The general cleaning of the trade fair aisles and equipped stands installed by Strasbourg-Evénements (carpet vacuuming) will be carried out every morning by the Convention Centre. The cleaning of customised stands should be ordered separately.

Insurance

It is the responsibility of each exhibitor to take out their own additional insurance that they judge necessary.

Neither the organisers of the INSPIRE Conference 2017 nor the Strasbourg Convention & Exhibition

Centre can be held responsible for any thefts or damage to the personal belongings of the exhibitors

during visiting hours or during the installation and dismantling of the stands.

Safety regulations

The exhibitors are obliged to strictly comply with the provisions of the safety regulations and any

regulations specific to the event.

Parking

After unloading their equipment, the exhibitors are asked to park in the car park (free) in front of the Convention centre.

Parking in the technical grounds of the Convention centre is strictly prohibited, except during

unloading.

Delivery of exhibitors’ goods

The Convention centre can receive the exhibitors deliveries from: 5th September 2017.

Delivery times: 9.00 am to 12.00 noon / 2.00 pm to 5.00 pm.

Storage

Storage of the exhibitors packing material is neither provided nor permitted. Please arrange for

packing material to be removed at stand set-up and delivered at dismantling.

RECOVERY OF EXHIBITOR’S GOODS:

The exhibitor is responsible for the recovery of its goods at the end of the event.

The Convention centre furthermore reserves the right to have any items left by the exhibitors at the

end of the event removed and transported to a dump.

Cooperation partners’ and exhibitors’ form PARTNER / EXHIBITOR COMPANY DETAILS SCHEDULE

After the reception of this form, the Exhibition

Committee will confirm the availability of the

requested exhibition space and its price.

lf the exhibition space is available, companies will

proceed with a deposit of 50% as a down

payment within 15 days. The first invoice will be

issued for this amount.

2nd invoice and payment in full: An invoice for

the remaining 50% will be issued on 1st July 2017.

The payment is due on 1st August 2017.

All payments must be made in full prior to the

exhibition opening. If the second payment is not

received, your reservation will be cancelled and no

refunds of the down payment will be done.

CANCELLATION OF EXHIBIT SPACE

The cooperation partner / exhibitor may cancel the

stand by written notice to the Organisers. The

following cancellation penalties will apply:

• 25% of the cost of the booth if cancelled before

1st June 2 017.

• 50% of the cost of the booth if cancelled

before 1st July 2017.

• 100% of the cost of the booth if cancelled

after 1st July 2017.

General terms and conditions

1. To consider the reservation in force, the present form and conditions must be filled in, signed, sent to the Organisers ([email protected]) and the down payment done. The cooperation partner/ exhibitor will therefore accept the present Terms and Conditions in full.

2. The cooperation partner/exhibitor must be always accredited. ID (provided by the Organisers) should be always visible.

Conditions referred to stands

3. The cooperation partner/exhibitor may use its stand area according to the exhibition schedule stated in the current document. The cooperation partner/exhibitor commits to respect the stand occupation without exceeding the mentioned schedule. Mounting and dismounting activities should be done at the scheduled time.

4. lf for exceptional reasons or force majeure, the Organisers are in the obligation to change the stand location hired previously, they shall inform the cooperation partner/exhibitor by offering other features and similar prices.

5. The placement of posters, banners or decals, stickers or similar things on the walls, floors, ceilings or columns within or outside the installations of the Strastourg Convention & Exhibition Centre (Convention Centre) are not allowed without a prior written authorization. To do so, the cooperation partner/exhibitor is obliged to contact the Convention Centre.

6. Moreover, the ornamentation of the rented installations must be respected at all times without adding, moving or suppressing anything present in them without prior authorization of the Convention Centre.

External companies

7. The Convention Centre provides a manual addressed to external companies and suppliers that must be obeyed. lf a cooperation partner/exhibitor is authorized to work with an external company or

supplier, they must be aware of the strict legislation in questions of safety and hygiene at work. Cooperation partners/exhibitors and external companies will be responsible for damages, which might be caused by accident where there is fault or negligence, leaving the Convention Centre and the Organisers exempted from the same.

8. lf an intervention of a third company is required for a different business activity at the venue, the cooperation partner/exhibitor must be aware that those activities may interfere and create a risk situation.

9. For these reasons, the company hired by the cooperation partner/exhibitor will have to get authorization from the Convention Centre.

Safety measures

10. The cooperation partner/exhibitor will permit the adoption of all control and safety measures established by authorities, the management of the Convention Centre and/or the Organisers.

11. The cooperation partner/exhibitor agrees to observe the norms in force on safety, and especially those what refer to the emergency exits and fire prevention measures. In no case may any access to fire exit or fire hydrant be blocked. The location of any fire-fighting material such as fire hoses and fire alarms as well as access to emergency exits must be strictly respected at all times. Access to service areas, cables, socket outlets and fuse boxes must also be respected at all times.

Aspects not allowed

12. Any activity or equipment considered dangerous by the Convention Centre or Organisers will not be allowed. In no case may any inflammable material or dangerous and disturbing object be introduced in the exhibition. The use of UAVs must be authorised by the Organisers and the Convention Centre case by case. Ad-hoc insurance will be required.

13. No live animals, except guide dogs, are

allowed in the Convention Centre.

14. lt is not allowed to introduce food and beverages at the Convention Centre.

15. Smoking (e-cigarettes included) is strictly forbidden in all facilities of the Convention Centre.

Insurances

16. Liability insurance. The cooperation partner/exhibitor must subscribe an insurance policy in order to cover every risk occurred during the Conference, including during the loading and uploading days. Organisers decline any responsibility for acts caused by the cooperation partner/exhibitor.

17. The cooperation partner/exhibitor formally declares that his staff is insured and covered by social security and other labour and tax obligations foreseen in the legislation in force, declining the Convention Centre and/or Organisers any possible claim or involvement in these matters

Responsibilities of the cooperation partner/exhibitor

18. The cooperation partner/exhibitor is responsible for the damage caused to the rented installations by the staff under his orders.

19. The Organisers are not responsible for loss or damage to properties, values or deposed material in the exhibition area.

Data protection

20. In compliance with the Federal Data Protection Act on protection of individuals with regard to the processing of personal data and on the free movement of such data, we inform that the personal information a cooperation partner/exhibitor has provided voluntarily will be handled according to the provisions stipulated in the Federal Data Protection Act. Legal jurisdiction

21. In case of disagreement or discrepancy in the interpretation or enforcement of these conditions, the place of jurisdiction is Berlin.
