The venue
The English UK Regional Fair Asia Pacific 2016 takes place at:

This is a luxury resort located midway between UNESCO world heritage village of Hoi An and the
city of Danang, Vietnam’s third largest city. The resort provides world class conferencing facilities
and is situated on an immaculate stretch of picturesque white-sand beach at the foot of the
legendary Marble Mountain. Visit the hotel website for more details about the facilities on offer.
Hotel check in is from 14:00 on Tuesday 22 November 2016, check out is by midday on Friday 25
November 2016. Any additional incidental hotel charges should be paid on check out e.g. phone
calls and laundry.
We will travel off-site for evening activities and dinners.
Booking extra nights
The fair package includes a single occupancy room for three nights (including breakfast and
internet) from Tuesday 22 November (check-in) to Friday 25 November (check-out).
If you would like to book any extra nights’ accommodation at the Hyatt Regency Danang Resort and
Spa, these must be requested through English UK and then paid to our preferred travel agent Exo
Travel, either on arrival at our fair hospitality desk or online through their secured gateway. A 3%
credit card fee will apply.

The conference bedroom rate is USD 190 per room per night, including breakfast, taxes and
internet. Rooms are subject to availability and we recommend booking early to avoid
disappointment.
The special conference rate applies for the nights of 19, 20, 21 and 25, 26 and 27 November
only. Out of this period, the room rate will subject to the hotel’s availability. Please note any
bedroom cancellations made within 15 days of the event will be subject to a cancellation charge
equivalent to the full nightly rate for the duration of your stay.

Getting to Danang
Many Asian airlines fly direct to Danang International Airport, delegates from the UK may choose to
change planes in a major international hub such as Hong Kong or Singapore or get a short internal
flight from Hanoi or HCMC.
Getting to the Hyatt Regency Danang Resort and Spa
Both Danang International Airport and from Danang train station are about 7 km away from the
resort. The journey takes about 25 minutes by taxi. Confirm a fixed or metered rate with the taxi
representative. The approximate cost is the equivalent of USD 15.
If you would prefer to pre-book an airport transfer, our nominated travel agency, Exo Travel, can
help you arrange this. One-way costs USD 30; a return transfer costs USD 60.

Visas
We provide the following information for guidance, but as this is subject to change, we recommend
you check with the Vietnamese embassy in your own country.
Visa exempt countries are listed below. Tourists from all other countries need a visa to enter
Vietnam. All passports must be valid for at least six months on arrival in Vietnam.

The following countries are visa exempt: you do not need a visa if you are arriving from one of these countries and staying up to the duration indicated:

Obtaining a visa
For delegates from any country not listed above, English UK’s nominated travel agency Exo Travel,
advises that the best route is ‘Visa on Arrival’. Exo Travel can assist and facilitate applications for
tourist visas.

Exo Travel will then launch your application and after seven days a Visa Authorisation Letter will be
ready. (Please note this is not a visa but a proof to show that the visa will be issued upon arrival.)

Exo Travel will then send a soft copy of this letter with the full instructions on how to proceed to get
a visa on arrival. Follow their instruction to fill in the Visa Application Form N1, stick one passport
photograph on the form.
You will need to show these documents at the check-in counter of your direct flight to Vietnam in
order for the airline to let you board your flight:

On arrival in Danang, staff from Exo Travel will greet you with a signboard displaying English UK’s
logo and help you get the visa. You will just need to bring the above documents to the “landing visa”
counter, which is found on the left-hand side when arriving on the ground floor.
After a few moments you will receive your passport back with the Visa already stuck in it, then go to
the Immigration Counter for passport control. After this, proceed to the luggage carousel to collect
your baggage
For agents attending the fair, English UK will cover the cost of the single entry visa stamping fee.

Please note that the passport has to be valid for at least 60 days before the arrival date in Vietnam.

Online appointment system
All one-to-one meetings at the fair are made through an online appointment scheduling system,
Marcom eSchedule PRO. This is managed by Marcom Connect.
Visit www.euk-danang.marcom-education.com to login, check your profile details and schedule
appointments. During the fair log-in to this website to see full participant profiles and view your
schedule.
We encourage you to upload a photo to your profile as it is really helpful during the one-to-one
meetings. Please upload this by Monday 8 November. The data for the printed handbook will be
exported on this date. Any changes made after then will not be included in the printed handbook
and will appear online only.
In order to maximize the benefit of their participation, we ask all delegates to schedule a minimum of
18 appointments across the two workshop days (i.e. a 75% full schedule). The appointment
scheduling process closes at 16:00 GMT on Friday 15 November.

Registration for the fair is at our hospitality desk in the lobby of the Hyatt Regency Danang Resort
and Spa. Additionally, any pre-booked extra nights can be paid to EXO Travel at this hospitality
desk.
At registration, you will receive your welcome pack and name badge. Please wear your badge at all
times during the event, as the colour of the lanyard helps you to identify the type of participant.

Your badge also acts as a pass to everything. (Please note that non-registered colleagues, friends,
or family members will not be permitted to enter the workshop halls, or attend the reception, dinners
or lunches).
All hotel guests should check-in separately to the hotel at the resort’s main reception desk.
Internet access
Complimentary wired and Wi-Fi internet access is available in all guestrooms of the resort and Wi-Fi
will be provided in the meeting rooms.

Special dietary requirements
Please let us know, through your pre-departure form, if you have any special dietary requirements.
If you have notified us in advance, at registration you will find a special dietary card attached to your
badge. Before each meal, please place this card on your plate to tell restaurant staff of your
requirements. For buffets, the food will be labelled.
Delivery of materials
We recommend that all participants use OCS Worldwide to ship their workshop materials to the fair,
since we cannot delivery to the workshop of boxes sent directly to the Hyatt through an alternative
courier.
OCS Worldwide are our appointed shipper, all participants’ materials are consolidated into one
shipment, which helps to keep costs down and ensures the safe and timely delivery of your
brochures. They will have contacted all educators and exhibitors directly with full details. They need

Evening events
Welcome reception and dinner
Tuesday 22 November 19:15 – 21:45 Our welcome reception and dinner takes place in the resort. After welcome drinks in Terrasse (the
hotel’s lobby lounge), we will head to the Pool House Garden for an international buffet dinner. The
Pool House enjoys breath-taking, uninterrupted views of Non Nuoc Beach.
This evening is sponsored by the British Council and Cherry Gough, Country Director, British
Council Vietnam, will give the welcome speech. The dress code is smart/casual.
Networking evening in historic Hoi An
Wednesday 23 November 18:15 – 22:00 Just 20km from our hotel is the UNESCO world heritage town of Hoi An. After spending time
networking and learning a traditional craft together, the group will stroll through the beautiful old
town to a beguiling riverside setting. We will have a casual street market-themed dinner with dance
and musical performances, beside the famous Japanese bridge.
Transfers between the hotel and Hoi An will be provided. The dress code for the evening is casual.
Indochine farewell gala dinner in Danang
Thursday 24 November
18:30 – 22:00
Our farewell gala night is at the Museum of Cham Sculpture in Danang. Danang (10km from our
hotel) is Vietnam’s third biggest city and this museum has the world’s largest collection of Cham
artefacts. As well as treasures from Dong Duong (Indrapura), Khuong My, My Son, Tra Kieu and
other sites, there are also exhibits focussing on contemporary Cham culture and photos of the Kate
Festival (the Cham New Year).
The gala dinner is in a central courtyard of buildings that marry French-Colonial architecture with
Cham elements. Over a set Vietnamese dinner, we will experience a traditional Cham dance
performance. We have invited Mr Lever, Her Majesty’s Ambassador to Vietnam, and VIPs from the
wider local education sector to join us for this evening.
Transfers between the hotel and the museum will be provided. The dress code for this evening is
smart.

Seminar programme
Wednesday 23 November 09:00 – 11:00 Our seminar sessions are in Salon 1 and 2 and will include group discussions. Full details of the
seminar programme can be found in the Welcome Pack that you will receive at registration.
Appointment sessions
Wednesday 23 and Thursday 24 November 11:00 – 17:05 and 09:00 – 17:15
All meeting appointments are arranged in advance through Marcom eSchedule Pro software. The
meetings will be in the Grand Ballroom, located on the first floor of the resort hotel.
This workshop hall will open from 16:30 on Tuesday 22 November 2016 for the set-up of tables.
Each educator and exhibitor has a table and two chairs and their agent meetings will take place at
this table. All promotional materials should fit either on/under the table.
Appointments begin at 11:00 on Wednesday 23 November and finish at 16:15. On Thursday 24
November the workshop hall will open at 08:45 and close at 17:35.

Local information
ATMs
ATMs are widespread. Cash can be obtained with a regular Maestro/Cirrus card, or with a Visa or
MasterCard debit or credit card. Withdrawal fees may be high. The hotel has an ATM as well as
currency exchange service.
Bargaining
In most tourist transactions, some bargaining is essential. In some cases, you will be able to get a
50% discount, at others this may only be 10%.

Climate
November is one of the wettest months of the year in Vietnam. The average temperature in this
period is about 25 degrees celsius.
Currency
The official currency is Vietnam dong (abbreviated to d). US dollars can be exchanged and used
widely, although less so in rural areas. The exchange rate is currently around USD 1 to 22,000d.
Crime and personal safety
Vietnam is considered a safe country for visitors, including women travelling alone. Road safety is,
however, not a strong point. Take the usual travel and safety precautions and check

Electricity
The standard electrical supply in Vietnam is 220 volts, 50 cycles. Sockets usually are for plugs
with two round pins. The Hyatt Regency Danang Resort and Spa provides universal electric outlets
in their guestrooms.
Getting around
Metered taxis are cheap by international standards and are a safe way to travel. The average tariff
is 10,000d to 15,000d per kilometre.
Near the hotel there are a number of locations of interest to tourists, including Cham Island, My Son
Sanctuary, Bach Ma National Park, Bana Hills, Marble Mountains, Cham Museum and Hoi An.
Language
The official language is Vietnamese. English is the most popular foreign language and is taught in
school. Information in English can be found easily in big cities and growing tourist places such as
Da Nang.
Travel insurance
Insurance is essential, as the cost of medical treatment is prohibitive.
Time zone
GMT +7 hour.
Tipping
Although traditionally in Vietnam the habit of tipping did not exist; it is now more commonplace
although not expected. Consider giving a small tip when eating at restaurants, taking a taxi or hiring
a tour guide.
Vaccinations
The only vaccination required by international regulations is yellow fever. Proof is only required if
you have visited a country in the yellow fever zone within six days of entering Vietnam.
