Event #660 425 531

The DR/BC Challenge

• Defining the level of DR/BC that your organization needs

• Cost versus benefit

• Vendor partner participation

• Risk tolerances, Business Impact Analysis, Recovery Point/Time Objectives

• Organizational commitment ($, testing, downtimes, resources)

• Location / connectivity

• Regulatory and legal considerations

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Our Challenge Then (2+ years ago)…

• Availability of $ and resources

• No redundant internet connectivity from the area

• Rural footprint

• Region prone to flooding, high winds (downed power-lines), occasional tornadoes

• Limited solution vendors

• Limited core vendor participation

• Had a purely DR based (tape) hot-site solution – 48 hour uptime SLA

• No alternative Data Centers

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Our Challenge Now

• Industry news and core vendor crashes• Several hospitals down for days and weeks

• Still limited $ and resources but better off than previously

• Now have redundant high-speed internet options

• No local hosting solutions or commercial data center alternatives

• More remote hosting solutions available with broader SLA offerings

• Growth has led to greater reliance on not just core but secondary systems – less risk tolerance

• Core vendors engagement improved but no recommended solutions

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

What We Considered

• Build out a secondary data center

• Hosted recovery solutions

• True redundant mirrored systems hosted in one of our buildings

• DR/BC partnering with other (competitor hospitals)

• Data center space partnering with local companies and universities

• Move to cloud or ASP system hosting with DR/BC as part of services

• Switch core systems and move to Tertiary Partnership solution

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Build Out Secondary Data Center• Plusses:

• We control and can design the way we want to – flexibility • We can scale on demand• Can use varied hardware solutions to attain desired level of BC • Stays within enterprise (IDN) using 2 hospital approach

• Minuses:• Design build $, facility maintenance $, utility and other hidden $• Have second hospital but space limitations and cost considerations• Duplicate resource and $ needs / complexity• Length of time to complete• FTE and other considerations

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Hosted Recovery Solution• Pluses:

• We already have experience and provides geographic separation• Core vendor recommended• Quick to implement• Some levels of flexibility

• Minuses:• Cost directly proportional to needs (I.E. We had long contractual discussions on SLAs

and what constitutes a test and cost associated as well as time to restore)• Trust and reliance on SLAs / contract• Cost can be as much as doing it ourselves depending on hardware refresh cycles• Lack of overall controls• Likelihood of vendor to succeed and stay in the game• Most solutions that are affordable are tape based

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

True Redundant Mirrored Environment

• Pluses:• Least down time usually• Least overall organizational risk• Fastest RTO / RPO – High BC environment

• Minuses:• Highest cost / most resources to implement and maintain• Requires secondary data center – do you have one?• Possibility for actual problem to be replicated to both environments and

catastrophic outcomes• Problems are usually not switching over to mirrored system but data merge or

recovery to primary

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Partnering with Competitor• Pluses:

• Collaborative approach to healthcare services (NYS political drivers)• Cost can be flexible as well as solutions partnered on

• Use of just data center or also server assets (takes advantage of VM solutions)• May have joint core vendor or other partnerships• Maximizing both hospital resources and environments• Possible other gains if both on same system (I.E. additional FTEs in emergency)• Cost

• Minuses:• Must have trust in partnership• Both sides must be financially viable• Both sides must commit to SLA delivery and have resources dedicated• All in the contract language and organizational risk tolerance

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Local Non-Healthcare Partnerships

• Pluses:• If you don’t have alternate data center easiest way to get space

• Buy space as you go – all inclusive pricing

• Possible hosting solutions

• Possible resource benefits

• Community support recognition — we looked at colleges, major businesses, county offices

• Minuses:• May not have experience in healthcare environment or meeting legislative demands

• Trust in delivery of SLAs and services

• Location of secondary site – known reliable partners may not be far enough away

• How to cost out if you can’t host for them

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Cloud, SAS, or ASP Services

• Pluses:• Puts support and data center services on 3rd party

• Staffing is 3rd party challenge, not yours

• Allows for very diverse secondary site

• Likely a vendor’s primary or secondary product/service offering

• Minuses:• Core vendor does not offer and have to go to 3rd party hosting or break up

hosting to different vendors – complex to manage?

• Many healthcare vendors have challenging track records of success

• Can be costly or only a partial solution

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Tertiary Partner Services or Offerings

• Pluses:• Some systems now allow for a Master Site (in our case a tertiary partner) to

host for smaller entities at a reduced software cost

• Requires partner to provide services and worry about staffing

• Can be more cost effective than doing it alone

• Minuses:• May be tied to host configurations

• May have downtimes or test outages at inconvenient times

• Trust

• Have to give up control and independence

Slide Deck: http://goo.gl/3vlmCuWebex Support 1-866-229-3239

Event #660 425 531

Summation

• There is no one size fits all solution.

• Critical to understand the capability and limitations of potential partners

• It may be challenging working through core vendor contracts or getting their buy-in

• By getting creative and working with unusual partnerships costs might be able to be reduced and interesting partnerships established

• Trust will play a big factor in your decisions

• Don’t limit yourself to the traditional
