1-First step: studying for proposal

Before starting to build your proposal, you have to:

check and read carefully all the reference documents (Work Programme and its general rules, guide for applicants, topic description)

read carefully the Proposal template

read carefully all the guidelines related to research programme (e.g. in H2020 –Ethics self-assessment, the guidelines on Open Access to Scientific Publications and to Research Data, the Exploitation, Dissemination and Communication guidelines of project results).

read carefully the evaluation criteria for the proposal

2-Topic description: use it

what is a topic description?

analyse it to understand what is expected

transform the text into a list

use this list as a “shopping list”

Topic description: the ID of a research project

1- Idea: your future proposal idea has to be smartly tailored to fit as much as possible inthe call/topic you choose (absolutely not the opposite). Use your topic description and focus on its keywords and its features.

2- Form Consortium: build up the best possible project team (have good balancedconsortium with a good mix between industry and academia, includepotential direct beneficiaries/end users, focus on gender balance in research team). In this step use your network and matchmaking events organized by EuropeanCommission (infodays, brokerage events, workshops). Check it out online for “Partner Search” platforms

3- Write Proposal: you can get help from Research Programme website, colleagues with experience on the matter, research support division of your organisation. All the Consortium partners have to actively involve in the writing process (according to the directives defined by the coordinator of the proposal in terms of Partner roles and theirexpected contributions in this process)

3-How to proceed ?

3-How to proceed? The logic process to build the different proposal sections and their timelines.

1-ExcellenceResearch objectives-relation to WP-concept and methodology-

ambition

2-ImplementationWork plan, WP, Deliverables-

Management structure, milestones and procedures-Consortium’s expertise and

skills-budget

3-ImpactExpected impacts-measures to

maximise the impact (Diss-Exp-Comm and Outreach activities)

Internal timeline for the writing process of 1-Excellence section:……. 2-Implementation section:……….. 3-Impact section:…………….. 4-Revision process (including Ethics section):……… 5-Submission : at least one day before the deadline

3-How to proceed ?Critical key points in the writing proposal processExcellence section:1-identification of concept, methodology and ambition of proposal2- TRL Justification (if expected from the topic description)3- Gender Balance in research team and R&I content of proposal

Impact section: 1-Dissemination, exploitation, communication and outreach (DECO) strategy2-Identification and quantification of Key Performance Indicators of each impact activity

Refer to: Communicating EU research and innovation guidance for project participants, Outreach and Communication Activities, H2020 Social media guide for EU fundedR&I projects3- Business plan (if expected from the topic description)4-Open research data pilot (partecipation in the programme? who eventually will be in charge to manage the ORD pilot datasets ina public repository?)

Refer to: H2020 Open Data Management guidelines, OpenAIRE

Implementation section:1-Breakdown of Work plan (WP, deliverables, milestones and risks assessment)2-proposal budget (allocation of resources in line with expected partner’s role in the proposal)3-Appropriateness of the management structures and procedures

Ethics and security issues: Refer to: Ethics guidelines

The proposals will themselves be prioritised according to the scores they have beenawarded for the criterion excellence. When these scores are equal, priority will bebased on scores for the criterion impact. In the case of Innovation actions, and the SMEinstrument (phases 1 and 2), this prioritisation will be done first on the basis of thescore for impact, and then on that for excellence.

If necessary, any further prioritisation will be based on the following factors, in order:-budget allocated to SMEs-gender balance among the personnel named in the proposal who will be

primarily responsible for carrying out the researchand/or innovation activities”

Highlight and stress in your proposal the socio-economic andenvironmental benefits resulting from your research project(IMPACT section: expected impacts and measures to maximise theimpact of your project results). For each impact activity identify a Key Performance Indicator andquantify it!
