Whiteboard Project
Inventory Process
Define what is a classroom
Is a classroom defined as having 10 children or more? What about Reading Recovery rooms in Title I
schools? What about SPED Rooms for height and access? What about Multipurpose Rooms (Gyms, Weight
Rooms, etc..) Issues with FACS Labs, Libraries, Band and Orchestra
Rooms o Wall space o Ceiling heights

Whiteboard Project
Inventory Process - Continued
Determine what your classroom standard board mounting heights will be. Grades K-2 Classrooms
o Issues with platforms about safety for students Grades 3-12 Classrooms
o Visibly from student desks in the back of the room.
If a Board is mounted too high the student or teacher cannot reach the top right corner to close the ink layer, browser or windows.

Whiteboard Project
Define the Inventory Process - Continued
You must have a physical count and description of classroom equipment in each building Define three categories of classroom installation
types: o Smart Board only installation o Projector only installation o Full installation of Smart Board and projector
Rationale for purchasing Smart Boards as our Interactive Whiteboard Inventory shows over 500 Smart Boards installed Teachers are already trained on Smart Notebook

INSTALLATION REQUIREMENTS
Planning a District-wide Interactive
Whiteboard Project
Use classroom layout and installation forms:
Record these layouts by building and room number Location of teacher’s computer that will be
connected to the Smart Board Is a projector and/or Smart Board already installed? Note the location of any data drops for computer
use Desired location of the projector and Smart Board Will a whiteboard need to be moved? Ask for a sign-off of Principal and Teacher
Planning a District-wide Interactive
Whiteboard Project
Determine the kind of Smart Board and Projector you will be using
Will you use short-throw or universal ceiling mounted projectors?
Consider the size of board and audio needs Will you use the audio function of the projector or not? Will you use the Board manufacturer’s speaker
systems?
Is Prevailing Wage required for the installation of Smart Boards and Projectors?
Remember to consider this requirement in calculating costs for the RFP

PROJECT COST ESTIMATES
Planning a District-wide Interactive
Whiteboard Project
Upon completion of all the inventories and defined equipment requirements, proceed to develop the estimated costs for the Bond
Develop a spreadsheet by building that contains the following costs:
Quantity of Smart Board only cost Quantity of Projector only cost plus electrical work Quantity of Full installation costs of Smart Board and
projector plus electrical work Quantity Audio/Media(VCR/DVD) systems and costs.

Whiteboard Project
Provide the Bond and Finance Leaders with the estimated costs for the Smart Board project
Seek Administration and Operational approval for purposed plan
Seek BOE Approval for Bond Project
Seek Voter Approval for Bond Project

Next Step-develop an RFP with approved vendor lists
Define Project timeline and milestones Define what products will be bid by the selected
installation vendor Will the vendor provide the projectors and/or Smart Boards? Will the vendor provide the Audio/Media equipment? Define all the components required for a complete
classroom system o Include projector only and Smart Board only installs o Include all cables, splitters and extenders (VGA, USB,
Audio, Video)
Planning a District-wide Interactive
Whiteboard Project
Next Step-develop an RFP with approved vendor lists - Continued
Have a vendor walk-through to review different ceiling and building construction types referencing classroom layout forms
Select winning bid from vendor and schedule a kick off meeting Allow vendor to setup the timeline and building order of
installation Discuss electrical requirements and building code concerns Discuss current and future building construction projects
like air conditioning and electrical upgrades

SELECTING A PROJECT TEAM
Planning a District-wide Interactive
Whiteboard Project
Select a Project Team for oversight and management of the project
Determine communication processes with community, administration, principals and teachers Define work flow processes for each building installation
and those process owners o Clearly define all the steps of the installation process
• What defines completed installation? Craft work (cutting chalkboards or whiteboards) Smart board and/or Projector installation Electrical for projectors Network drops if necessary PC connections and Notebook software Verification if all equipment in a building works correctly Payment to Vendors

Select a Project Team for oversight and management of the project - Continued
Determine communication processes with community, administration, principals and teachers Define work flow processes for each building installation
and those process owners o Important not to have your installations done to far prior to
training
Define a project timeline for installation and training Develop a website to distribute updates and information Define point of contact for installation and/or training. Provide updates quarterly to BOE Provide updates as needed in Principal Meetings Provide financial updates to Project Team on quarterly basis

ADDITIONAL TOPICS FOR CONSIDERATION
Planning a District-wide Interactive
Whiteboard Project
Additional Topics…. Replacement Cycle for Smart Boards and Projectors
Used 10 years on Smart Boards Used 7 years on projectors Unclear on future funding source?
Use caution when trying to use wireless instead of a network drop Video streaming requires a lot of bandwidth Attempting to use wireless can cause frequent disruption of
lessons
Spare Projectors and Smart Boards for Schools How many and when?
Planning a District-wide Interactive
Whiteboard Project
Additional Topics….-Continued Consider electrical and cabling issues for new
building construction Always put in split whiteboards at the front classroom Always put Smart Board’s front and center in the classroom
Don’t forget about those document cameras… Most teacher’s want their document camera in the front and
their Teacher PC in the back of the room. Set a standard location for the Smart Board and connections
for future installations. This will resolve issues with document cameras and where the PC must be connected.
