November 27, 2017 Dear West Middle Family:

I would like to thank all families, students, and staff for a smooth start to the 2017- 2018 school year. The sixth grade has transitioned well to the middle school setting. The seventh and eighth grades are setting excellent examples of what it means to be at West. With the first quarter complete, I look forward to the many activities and events for students that lie ahead.

I am excited to inform all families that West has begun a program called Sources of Strength. This program focuses on eight strengths that people can turn to in times of need. There are approximately 60 students from all grades, as well as 18 adults involved in the program. The group has had trainings and now will meet two times per month for one hour to plan campaigns to inform students and staff about the strengths. Please see page 3 of this newsletter for more information.

I would like to thank the families, students, and staff who participated in American Education Week and Veteran’s Day activities. Approximately 25 students brought a veteran to school on November 13 to participate in a breakfast and ceremony to honor our veterans. West Middle would like to thank all of those in our community who have or are currently serving our country in the Armed Forces. We had several parents and grandparents participate in our American Education Week activities, as well as visit classrooms. We appreciate their taking time to be a part of their student’s education.

We wanted to take this opportunity to update everyone about Sources of Strength (SOS) at West Middle, a program that uses Peer Leaders to spread messages of hope, help, and strength, focusing on positivity. On October 23rd, the SOS Adult Mentors (18 teachers/staff members here at West) met with Julianne Grothe, our SOS liaison, for a training where we learned about each of the strengths on the SOS wheel: family support, positive friends, mentors, healthy activities, generosity, spirituality, medical access, and mental health. We did some team building, brainstormed ideas for campaigns, and learned about the upcoming training with our Peer Leaders. That training day was exciting, motivating, and inspiring! On November 9th, Julianne came back and led us in our Peer Leader training. We have about 60 Peer Leaders here at West. We did a lot of team building and motivating activities with the students. There was a balance of fun, planning, and educating. The students had a blast and are really looking forward to spreading messages of hope, health, and strength to our school. As we move forward, the Adult Mentors and Peer Leaders are meeting on November 20th, when we will be finalizing our slogan, planning our strategies to publicize SOS to the rest of the school, and deciding on our first campaign. Choral Music Winter Concert The Choral students at West Middle are hard at work preparing their Winter Concert to be performed at Westminster High School on Monday, December 11th at 7:00 p.m. The concert will feature holiday favorites, as well as familiar pop tunes and medleys from current musicals. Plan now to come and support our amazing students!

Dear West Middle Families, Just a friendly reminder that we are conducting grade level rewards this school year for good behavior and attendance. Those students that do not qualify for the reward will have work provided for them in a classroom during the time of the grade level reward. In addition, Teams are working and planning to offer team rewards based on academic performance. As a school, West Middle enjoys celebrating student achievements. We enjoy thanking them and rewarding them for “doing the right thing”. Use of Student Work on Websites or in Publications There may be times throughout the year when the Carroll County Public School System wishes to display student work on school websites, social media, or in publications. If you do not wish to have your child’s art, poetry, writing, etc. appear on school websites, social media, or in publications, please notify the school principal in writing. It is assumed that parents and guardians consent to their child’s work being displayed on school websites, social media, or in publications unless such notification is received.

WEST MIDDLE PTO

Thank you to all of the families who have contributed to the Un-Fundraiser. Donations are accepted throughout the school year. 1st Quarter Honor Roll Rewards will be sent home soon after report cards go home. Congratulations to all of the recipients! Our Vendor Event on October 13 was a success. We look forward to making this a yearly event. Look for information about donations needed for the December 4th and January 16th Parent/Teacher Conference Night dinners. We couldn’t do this without your support. Thank you! Join us at our next meeting on January 17 at 7pm in the West Middle Media Center! We would love to have

your ideas on fundraisers, staff appreciation week, 8th grade end of the year events, and more!

Any disruption to the school day due to inclement weather will be relayed to parents through School Messenger and/or an email message. The CCPS website (www.carrollk12.org), local and regional radio, and television stations will also make weather-related announcements. In an effort to keep our phone lines open for emergency communications, please refrain from calling the school.

Cancellation of Extracurricular Activities Due to Inclement Weather If schools close due to a weather related emergency, ALL extracurricular activities will be cancelled. There will be no exceptions, so please refrain from calling the school.

Boys & Girls Club: If Carroll County Public Schools close for inclement weather, then the Boys & Girls Club of Westminster is closed. If CCPS dismisses early for inclement weather, then the Boys & Girls Club is closed.

FOOD PANTRY AVAILABLE TO FAMILIES West Middle will continue to have a food pantry available to families through the Maryland Food Bank. The pantry is open on Thursdays from 3:45-4:45 p.m. Please enter through the main lobby doors.

FORGOTTEN ITEMS We will continue our practice of having a table in the main office for items that are dropped off for a student. If a student forgets an item or believes an items was left on the bus, he/she should stop by

the office to see if the item is there.

We will NOT call into classrooms and disrupt instruction to alert students that they have something to pick up.

We will also continue our “You’ve Got Mail” bulletin board in the cafeteria that students can check to see if there is an item in the office for them.

Cell Phone and Personal Device Use for the 2017 – 2018 School Year Over the past couple of years West Middle has seen a drastic rise in disruptive and unsafe behaviors that have stemmed from the use of personal devices during the school day. As a way to help students focus on their studies, as well as to provide a safe environment for all, the procedures for the use of devices during the school day will change for the 2017 – 2018 school year.

Students may use their devices from the time they enter the building until they check into homeroom for the day. Devices may not be used again until the time a student is dismissed from school. This could be at the 3:10 bell if they are a walker, parent pick-up, or a wave 1 bus rider, or when their bus wave is called if they are on wave 2 or 3. Teachers still have discretion to allow for use of devices during class time to support instruction. Grades will be able to earn the privilege of using their devices during lunch based upon their responsibility.

Please know, that we will still be able to get messages to your student or have him or her contact you at lunch, FLEX, or a

class change, if necessary. We want to continue the ability to communicate with your student as we did prior to the

Bring Your Own Device Policy. If you have any questions, please feel free to contact an administrator. Thank you for

your understanding as we strive to provide a positive learning environment for all students.

To the parents of all girls from grades 6 - 8: Where can you make new friends, learn new things, visit new places, and have a lot of FUN? The answer is Girl Scouts!!! August 15th, homeroom assignments and schedules for middle schoolers will become visible in Home Access Center.

Home Access Center is Carroll County Public School’s parent and student portal. It provides you, as a parent/guardian, with the ability to access a variety of information about your student(s).

View student’s attendance for the year, as well as their demographic and emergency contact information.

Register to receive an email anytime your student is absent. At the middle school and high school levels, you can view your student’s report

cards, interim progress reports, schedule, service learning hours, and classwork. You can also register to receive a weekly email containing your middle or high school student’s classwork and grades.

If you have not yet registered, we encourage you to do so by visiting our website at www.carrollk12.org.

Click the Home Access Center link (in the Students & Parents box near the bottom left of the page).

Click the ‘Request Password’ link and follow the directions on-screen. If you have questions or problems, please review the FAQs/User Guide. You will

find a link to this .pdf on the Home Access Center login page, as well as the bottom of every screen within the application.

The Home Access Center is also available as a mobile app for both Apple and Android devices. It can be found in their respective stores, search keyword: eSchoolPLUS Family. The app will not replace Home Access Center, it is merely an additional way to access your student’s information.

Attendance and Gradebook Email Alerts

Home Access Center allows parents/guardians of middle and high school students to receive gradebook email alerts every Thursday evening. If you would like to receive an email containing your child’s gradebook information for the current marking period, then you will need to take the following steps for each of your children:

Go to the Home Access Center under the Quick Links tab on the CCPS Home page (www.carrollk12.org)

Login to Home Access Center (NOTE: if you have never logged in before click on “Request Password” and follow the directions on the screen. If you have forgotten your password, click the “Forgot Password” link.

If you have more than one student in Carroll County schools, then you will be prompted to select a student.

After you select the student, let the cursor hover over your name on the top right corner of the screen.

Click on My Alerts.

Check the box for “Classwork Alerts”. You can also check the box for “Receive Attendance Alerts” - those emails are sent every day, ONLY IF your child is marked tardy, absent or early dismissal that day.

If you have any other middle or high school students, then you will need to follow these same steps for each child. Parents who subscribed to receive these alerts last year will need to re-subscribe this year. This information does not carry over each school year.

Grades and Reporting

Report cards will be distributed to students on a quarterly basis.

Please expect report cards to come home on the following dates:

1st Quarter: November 17, 2017

2nd Quarter: February 2, 2018

3rd Quarter: April 16, 2018

4th Quarter: End of year report cards will be mailed home the week after school ends.

Change of Address, Phone number, or Email

Please notify us immediately when there is a change in your contact information.

This is the only way we have to contact you in the event of an emergency. If a student’s address changes during the school year, we MUST receive documentation for the student’s permanent record. All addresses must be documented by an appropriate proof of residence as mandated by state guidelines. Acceptable documents include:

A signed contract on a home in which you are currently living

A signed rental/lease agreement on a home/apartment in which you reside

Recent bill for a service delivered to the residence (i.e., BGE, land-line phone, cable, oil, water)

Deed (must show the house number, street name, and name of parent/legal guardian

Current settlement document

Current tax document indicating “primary residence”

Resident Verification Statement accompanied by an acceptable proof of residence for the owner /renter of the property.

The date on the document must be NO MORE than 60 days from time of notification.

Once documentation is received, the student’s record will be updated.

VERIFY STUDENT ABSENCES using one of the following four methods:

Absences not verified by a parent/guardian within 5 days of the student’s return to school will be coded as “unlawful”.

ARRIVING LATE OR LEAVING EARLY? Parent/guardian shall provide verification

by one of the following three ways: A signed note from a parent/guardian with reason A doctor’s note The parent/guardian may sign their student in/out.

Reminder: In the event that a student must leave during the school day, a signed note from the parent/guardian is required. Students will get a pass from the early-dismissal table in the early morning. This will help to alleviate classroom disruptions during the school day.

Tardiness Policy

It is important that students arrive to school on time.

Students who are not seated in their homeroom at 8:35 a.m. are considered tardy and must report to the office to sign in.

Chronic, unexcused tardiness interferes with a child’s education and will result in the following disciplinary consequences per quarter:

1st Offense Warning

2nd Offense Phone call to parent

3rd Offense 1 hour detention

4th Offense Subject to additional

consequences

Field Trip Make-up Work

Teams and grade levels may plan field trips throughout the school year. These trips should be curricular-based and used as a means to enhance student learning.

At times, a student will attend a trip that is outside of his/her academic team. Such an occasion may be for a county-wide band assessment or chorus program. In these situations, students are expected to communicate their absence with their classroom teachers, request any missed work, and have the work completed by the next class period.

Below are listed the definitions and timelines used to determine a student’s attendance. These guidelines will be followed during the 2017-2018 school year. Should you have any questions, please do not hesitate to call the school.

Definitions Present Full Day: In attendance for 4 hours or more of the school day. Absent Half Day: In attendance for at least 2 hours of the school day, but less than 4 hours Tardy in the morning: Arrives between 8:35 and 11:10 Absent half-day morning: Arrives after 11:10 Absent for full day: Leaves before 10:35 or Arrives after 1:10 Absent Half Day afternoon: Leaves before 12:35 Early Dismissal: Leaves after 12:35

Visitors to the School

In an effort to maintain a safe school environment for our students, all visitors to the building are requested to follow these procedures:

All visitors to the building should enter through the front doors or the office doors on the Monroe Street side of the school during school hours. Remote access will not be available at the gym doors during school hours. Designated visitor parking is established on the Monroe Street side lot. Handicapped parking is available at both entrances.

Photo identification is required of all visitors, as well as anyone who is picking up a student. Please report immediately to the main office with your photo ID upon arrival to the school campus. Photo identification will be scanned through a system to ensure the safety of all students.

Parents and guardians may have lunch with his/her student during the student’s regularly scheduled lunch time. Please understand that these visitors may only bring food and drink for their student. Food and drink may not be brought in and shared with other students.

Important Procedures to Know

Arrival to School Students are not to be arriving at school before 8:10 a.m. According to Carroll County Public School policy, student supervision does not begin until 25 minutes prior to the start of the school day. This means that supervision does not begin until 8:10 a.m. Students are not permitted into the building until this time. Please make appropriate arrangements so that your student arrives after this time, but before 8:35 a.m. Thank you for your cooperation in this matter.

Behavioral Expectations The faculty and staff of West Middle have high expectations for student success, both academically and socially. Students are expected to come to school each day ready to participate and learn. There are times when discipline issues occur that must be addressed by a staff member or administrator. Please understand that a focus on all consequences/intervention is to change the inappropriate behavior so that everyone can get back to learning. It is never appropriate for a student to impede the learning of another.

Change of Way Home Parents and guardians must designate one way home for their student on the emergency card. Any changes to this (even if for one day) must be made in writing (this does not include email). We are not able to approve requests made over the phone.

Homework Requests If your student is absent for 3 days or more, you may call the main office to request work. Teachers will need 24 hours in order to collect all work that has been missed. If you know in advance that your child will be absent for several days, please send in a signed note.

Late Work Policy West Middle School has the expectation that all students will turn in assigned classwork, homework, and projects for credit on the assigned due date. Students who are absent from school have assignment due dates which correspond to the number of days they were absent. (For example: If the assignment was given while the student was absent for two days, the student will have two days to make up that assignment.)

Lockers The majority of the lockers at West Middle do not have locks. Students may bring in their own lock if they prefer. Homeroom teachers must be given a copy of the key or access to the combination so we can assist students if they lose their key or forget the combination.

Lost and Found All lost and found articles will be in the cafeteria. We have purchased hanging racks for the clothes and bins for lunchboxes, hats, etc. If your student is missing an item, please encourage him or her to check the racks during lunch time or before or after school. Periodically, we will need to dispose of the items. Connect 5 messages and announcements to the students will be made prior to this time.

Phone Messages & Deliveries In order to minimize classroom interruptions, students may not receive phone calls or deliveries during the school day. If necessary, we will take a phone message and give it to your child during a class change or lunch. Students are not allowed to have balloons, flowers, etc., during the school day because they become disruptions to instructional time. Thank you for your cooperation.

Paper Recycling and Goodwill Donation Bins

The paper recycling bins and Goodwill donation bin have been moved to the rear of the building. We encourage all families and community members bring their paper recycling to West and deposit it in the appropriate bin. Paper that has been shredded may be put in a plastic bag and deposited in the bin.

All goods that are received in the Goodwill bin will benefit students and families of CCPS. You may do-nate gently used clothing, home goods, decorations, etc., into the bin. There is a QR code on the side of the bin that you can scan to receive an electronic receipt. If you have any questions, please feel free to contact the school.

Integrated Pest Management Program The Integrated Pest Management (IPM) program employed by Carroll County Public Schools uses inspection, monitoring, employee education, and sanitation practices to minimize the use of pesticides in our schools.

Maryland law requires that parents/guardians of all elementary students be notified automatically prior to applications of any pesticide. Parents/guardians of secondary students must request to be placed on a pesticide notification list.

Carroll County Public Schools notifies all students and staff by posting notice of a planned pesticide application 24 hours prior to scheduled applications of pesticides on school property. Parents/guardians of all elementary students are notified automatically prior to the application of any pesticides. Secondary schools are notified prior to the application of any pesticides in the form of a posted notice at the area of pesticide application and in a central location accessible to parents, guardians, students, and staff. Parents/guardians of secondary students must request to be placed on a pesticide notification list. If an emergency pest control situation arises and a pesticide is used, notification will be made within 24 hours. Space spraying of a pesticide throughout an entire room or area by fogger or aerosol device requires one week advance notice to all students and staff.

Copies of Material Safety Data Sheets (MSDS) and product labels for each pesticide and bait station used on school property are maintained in the Department of Plant Operations. Asbestos Notice The Asbestos Hazard Emergency Response Act (A.H.E.R.A.) requires all buildings owned or leased by the Board of Education of Carroll County to prepare, update and make available all asbestos management plans. The building asbestos managements plans are available for review at the individual Carroll County school locations and at the Office of Plant Operations located at: 191 Schaeffer Avenue, Westminster, MD 21157. Asbestos management plans are required by the United States Environmental Protection Agency (EPA) and depict the location, amount, condition, and response action projected for any asbestos containing materials (ACM), if any are located in the school or building.

Permission to Photograph, Videotape or Audiotape

Throughout the school year, the Carroll County Public School System frequently covers school activities and may use your child’s photograph, video image, or voice for educational, informational, or public relations purposes, with or without identification by name.

If you do not wish to have your child’s voice reproduced on tape or to have his/her image appear in such things as a video or a photograph, or on the school or school system website or social media, please notify the school principal in writing. It is assumed that parents and guardians consent to their children being audiotaped, photographed, videotaped, or having their image placed on a school website or social media by the school system unless such notification is received.

There are also occasions when the media cover certain school events (such as when a government leader visits a school). If you do not wish to have your child’s name or likeness published by the media, you should address your concerns directly to the school involved so that the media is so advised. Please be advised that the school system has no control over the media when they are covering activities such as sporting events and musical programs that are open to the public.
