E DI MODU LE

The EDI module includes both Sales Order related and Purchase Order related EDI messaging. This is not a detailed EDI module and should only be applied where the software functionality fits the business need.

Also, the module works on the premise of a standard file format for each inbound or outbound message. The client would use a 3rd party program or hosted service to receive or deliver the files to trading partners and to map the data into different file formats.

The structure of the module includes a set of processing folders that are setup on the client’s server with a software services that monitors these folders and imports or exports the required files.

These folders are as follows: > INCOMING – All incoming customer orders are placed in this directory > ERROR – After validating each file any files with errors will end up in here > INCOMING PROCESSED – Processed files that have been imported into SYSPRO’s Sales

order module are moved into this folder > OUT GOING – Purchase order data from SYSPRO is written to this folder > OUT GOING PROCESSED – Files that have been processed and sent to a supplier end up in

this folder

INBOUND FILES (Sales Order Data)

All customer orders are received into the Inbound folder and are automatically processed by a DATASCOPE WMS EDI import function. This software reads each file and first of all splits the file into multiple files if the file included many orders.

Next the software reads each file in (single order at a time) and validates the data structure and the incoming data. If the structure is wrong or the end of file marker is not present the file is failed and email sent. If the structure is good then the program checks that the trading partner details in the file are valid and that customer stock codes are all valid. If anything is found to be incorrect the file is failed and moved to the Errors directory and an email is sent. If the file passes all the validations it is imported into SYSPRO as a new Sales order in status 1 or in status 4 with lines in ship depending of the systems settings.

SYSPRO’s setting to validate duplicate purchase order numbers is typically turned on to stop any duplicate customer order import.

The newly loaded orders are now reviewed in the “EDI Sales Order Release screen”. Here the screen manages stock availability and pricing issues. An EDI controller manages this screen by correcting any data errors. The orders are then released to DATASCOPE WMS standard SO releasing functionality to generate the picking slips.

ASNs (INVOICE FILES)

The picking processes are all managed through DATASCOPE WMS as normal through to the point where the order in invoiced in SYSPRO. At this point DATASCOPE WMS has an EDI Invoice service that identifies any invoice for any customer flagged in SYSPRO as an EDI trading partner. Where invoices are found for EDI customers the invoice details are written out into an ASN file format and placed into the “Out Going” folder where the 3rd party software will collect the files and deliver them to the customer.

The Invoice Resend functionality allows a user to regenerate and output an ASN file if the customer claims to have not received one.

EDI SEND PRODUCT INFO

In some EDI trading environments, the customer asks to see the suppliers (DATASCOPE WMS user’s) product data to ensure that new products are being added into SYSPRO. This function will output a full customer product listing from SYSPRO data.

EDI PURCHASE ORDER RELEASE

This module allows a DATASCOPE WMS customer to setup a range of suppliers in SYSPRO as EDI trading partners. Purchase orders from SYSPRO can then be reviewed for these suppliers and output as EDI files. The software writes each selected purchase order out as an EDI file and places it into the “Out Going” folder for the 3rd party software to collect and transfer to the supplier. A purchase order can be resent multiple times.

SBT MODULE

This module is very purpose built for a specific range of DATASCOPE WMS customers and should not be implemented elsewhere.

REPORTS

Various reports exist to track and trace the EDI file movements.

The Asset Tracking module allows a DATASCOPE WMS client to interface with the SYSPRO asset database and to print asset labels/tags and to process stock counts of the assets.

The labeling process is pretty simply. The label design is in crystal reports and can be changed as required by the client. Typically, it is a simple small barcoded label with the asset number, asset description and department printed on the label.

The stock take function interfaces with the asset count functionality in SYSPRO. An asset count is opened in SYSPRO and then the product is scanned into a DATASCOPE WMS mobile computer based Asset Stock count screen. This screen works in “Off-line” mode as it is expected that the assets are often not going to be within WIFI. As the mobile computer is brought back into WIFI range the asset count is uploaded to a DATASCOPE WMS Asset count review screen. This screen shows a list of all the assets and highlights missing asset counts.

Once all counts are completed the total count can be posted directly to SYSPRO.

NOTIF I C ATION S YS T E M

This module ships standard with any install of DATASCOPE WMS as it is part of the foundation system of the software.

The module acts as a communication medium between all DATASCOPE WMS users both working on the PC applications or on mobile devices.

The module allows an administrator to setup predefined templates with set headings and suggested contacts lists. For instance, a notification template could be setup for all Cycle Count notifications. This template could be named “Urgent Cycle Count Request” and can be scheduled to always message a standard list of users.

Users are flagged as “read only” or “action required”. If the user is set as read only then the software only expects the user to open the message and read it. However, if the user is flagged as “action required” the software will expect a read receipt as well as a “action completed” step to confirm that the action has been processed.

When loading a new notification, a user can select from the standard template list of generate a new message on the fly. If a standard template is selected the user simply adds the specific message. So as an example, a user could select our Cycle Count template and then add a description of “Please urgently cycle count bin 13G27D as we have a discrepancy on stock count A100 in that bin”.

This message will appear in ever contacts notification inbox.

Some other examples may be to notify a quality team to release an urgent pallet for outstanding sales orders or the notification can even be used to tell users to log out for some maintenance activity.

The KPI Reporting module is a key component of DATASCOPE WMS as this is where all the report writing is completed and where performance dashboards are written.

Implementing a WMS solution is great and will add value to your operation if managed properly, but really substantial improvements are achieved by using the data from the WMS software set and manage performance targets.

DATASCOPE WMS holds a very detailed level of transactional data. This data can be summarized into reports and graphs to drive efficiency. Also, people performance can now be measured accurately and therefore DATASCOPE WMS clients are able to set specific performance measures for their teams.

DR S R E P ORT W RI T E RThis module is a custom reporting tool that allows a suitably skilled technical resource to build customized reports and dashboards. The module is built on SSRS (SQL Server Reporting Services). These reports can be written for users to run on an ad-hoc basis or can run at set times and email the results to persons. We often install a range of Statistical reports

and Alert reports. Statistical reports give statistical data on warehouse performance, such as picker or checker volumes for a period of time. An Alert report shows data that presents an possible problem and needs investigation. A report that lists all pallets older than 3 days in a receiving bin location would be a typical alert report.

Standard Reports

These Reports and Queries are standard and ship by default with the product. The reports cover a wide range of areas of the software and are run as needed.

K P I ’ S ( K E Y P E R FOR M A NC E IN DI C ATOR S )These screens have been developed to run on large screens in a warehousing operation and give statistical data on people performance and overall warehouse performance. These KPI’s will be phased out of the software and replaced with a best of bread data analysis tool which will be embedded into the DATASCOPE software.
