•WYWLA families will also be able to buy the Physical Education/Healthful Living uniforms (for middle school students) and Spirit Wear sold by the WYWLA PTSA.

WYWLA 2015 Uniform Swap and Sale Exchange and Resale Guidelines and FAQs
1. What is the WYWLA PTSA Uniform Swap and Sale?
It’s an annual event that allows incoming and existing WYWLA families to purchase new and
previously owned uniform items.
The “Swap” is a PTSA-organized sale (sort of like a consignment sale, but with guidelines specific to
WYWLA) where families can purchase eligible (in other words, originally purchased at Educational
Outfitters), gently used or like new, school uniform items at a discounted cost from other WYWLA
families looking to sell. While the Swap is not designed to replace buying new uniform items, it
provides an opportunity for WYWLA families to meet and doubles as a PTSA fundraiser, as families
donating items for sale can designate how much of their proceeds go to support PTSA efforts.
The “Sale” is held at the same time as the Swap and consists of our two uniform vendors – Educational
Outfitters and Flynn O’Hara Uniforms – bringing their merchandise and staff to our campus to sell and
fit WYWLA students for new uniform items. As we are still a relatively new school, our “swapped”
inventory is only as large and varied as the donations we receive from participating families. Our swap
inventory is not designed to meet all families’ uniform needs. For items not provided by the Swap’s
inventory, the Sale gives families a chance to meet uniform needs by purchasing or ordering items
from our uniform vendors. The Sale is not a PTSA fundraiser but is offered as a convenience to WYWLA
families.
2. What kind of “like new” or “gently used” items can I expect to see for sale at the Swap?
Items that are in a condition consistent with uniform policy (revised for 2015-2016 school year) and
appearance standards befitting a WYWLA student
Spirit Wear: WYWLA PTSA-sold sweatshirts only.
Only the following items purchased from Educational Outfitters will be accepted and sold at the Swap.
o Pants : long pants and shorts (Rydell and A+ brands only)
o Plaid skirt and Bias Skirts in blue and khaki - including those with undershorts on the inside but NOT
skorts with shorts visible from the outside
o **Shirts: short-sleeved “Polo”- type shirts in light blue and white; button-down oxford shirts in white
and with long and short sleeves; all must have school logo
o **Outerwear: sweatshirts; fleece jackets; navy blue blazers, vests, and sweaters – logo required on all
**All uniform items that require the WYWLA logo must have it to be sold at the Swap.
3. What items will not be sold as part of this Swap?
Pants, shirts, skirts, and outerwear items that are the wrong brand, not purchased from Educational
Outfitters, and/or are without the required crest/logo
Items with monograms, personalization, or alterations
Backpacks ; Shoes; Socks; Lunch bags; Accessories of any kind, including undergarments, excluding ties
Previously-owned spirit wear t-shirts and PE uniforms (shirts, shorts, yoga pants, sweatpants)
Items with rips, tears, holes, burns, missing buttons, broken/missing zippers, pillage, stains, fading,
discoloration, etc.
Items whose condition has reached the point that wearing them becomes a uniform violation or falls
below acceptable standards

4. My daughter is new to WYWLA. Is there something at the Swap for me?
Certainly! The Swap welcomes both new and returning WYWLA families.
5. Is there a fee for the Swap?
There is no fee to participate or attend. The only cost to families is the price of any clothing items
purchased from the Swap or Sale.
6. I am unable to attend the Swap and Sale Event but would like to purchase previously owned
uniforms. Can PTSA pass my name, contact information, and uniform needs on to families
who might be selling my student’s sizes on May 30th?
While we understand that everyone cannot make the one-time Swap and Sale event on the date and
time scheduled, our small and mighty PTSA does not have the capacity to facilitate sales between
families outside of the sale or looking for special sizes or items.
7. If I am thinking of selling uniform items that meet guidelines for the Swap, do I have to set up
a table and sell them myself on the 30th?
No! We want families to take advantage of the opportunity to shop; so the PTSA will handle all of
the selling at the Swap. Think of the Swap as a store where you are the customer and the PTSA handles
all of the sales and merchandising responsibilities. PTSA will evaluate the resale value of the items
presented for the Swap by WYWLA families (donated during carpool) and will sell the uniforms on the
30th. We will follow up with you after the Swap regarding any proceeds from the sale of your items and
any items of yours that may not sell.
8. How does PTSA come up with the prices for the uniform items sold at the Swap?
Swap pricing structure is based on Educational Outfitters’ sales prices for new items. At the Swap,
prices for like new items are based on a discount of 33% and gently used based on a discount of 50%.
9. If I want to drop off uniforms for sale at the Swap, when and how do I do this?
PTSA requests that uniforms not be dropped off at the WYWLA office at GMS, left with faculty and
staff, or given to WYWLA PTSA members. For convenience, there are 6 designated times to drop off
uniforms. WYWLA PTSA volunteers will be available to collect uniform items from current and former
WYWLA families, carpoolers, bus riders, early arrivers, and families with students at SAU during
MORNING and AFTERNOON CARPOOL on the GMS Campus ONLY on Wednesday, May 27th,
Thursday, May 28th, and Friday, May 29th. Bus riders should bring their uniforms up to the carpool
circle. As you prepare your items for donation at home, please be sure that :
each item is clearly marked with your name and phone number or email address (We suggest
using Post-it notes or some other label secured with a safety pin to the inner tag.) AND
all items are placed together in a bag (we suggest brown, paper bags or sturdy plastic bags with
handles) with the Uniform Drop-Off Form attached to the bag. Only one form per donation is
needed.
Families will be contacted by PTSA if there are questions about the items presented.
10. My student is no longer at WYWLA or may not continue next year. Am I allowed to
participate and drop off uniforms for sale?
Of course! We only ask that you donate the uniforms according to the guidelines contained here, drop
them off during the available carpool drop-off times listed above, and plan to retrieve any unsold items
from campus on the day to be designated after the Swap.

11. What happens if the uniforms I drop off for the Swap don’t meet the guidelines?
You will be contacted by phone or email by a member of the WYWLA PTSA to let you know that your
uniforms did not meet the guidelines for this year. We will return the uniforms to you using the return
method you outline on the Uniform Drop-Off Form. You can select to have the items returned to you
or your designee during the designated day to pick up uniforms on campus or donated to the WYWLA
PTSA to use for future sales or donations to students in need. Uniform items not retrieved on the
designated date/s for pickup will be donated to help WYWLA families in need.
12. Why are some of the uniform items that students were allowed to wear this school year or
sold at last year’s Swap not being sold at the Swap this year or eligible for donation by
families?
The items being sold at this year’s Swap must be consistent with the revised uniform and school dress
code policy to be implemented for the 2015-2016 school year. As a result, we cannot accept the
following items for sale:
o jumpers in plaid or navy
o long-sleeved polo shirts in any color
o short-sleeved polo shirts in yellow or ash gray
o skorts in navy or khaki, with the short pant visible from the outside
(skirts with the undershorts that are not visible are allowed.)
o sweaters (long-sleeved and vests), blazers and approved outerwear without the school logo
13. WYWLA students were able to wear uniform bottoms purchased from other vendors this
school year, but I don’t see them listed as an eligible item for donation or sale. Why?
Efficiency, consistency and fairness to donating and purchasing families are indeed priorities for the
Swap Committee; but being able to evaluate and price bottoms from such a large number of vendors is
outside of the capacity of this year’s Swap. Going forward and with affordability in mind, the Swap
committee will consider how to fairly price, evaluate, and make available uniform bottoms not
purchased from Educational Outfitters and Flynn O’Hara Uniforms that may vary in purchase price,
quality, and style, as well as what this may mean for family proceeds from sales.
14. What happens if the uniforms I drop off for the Swap don’t sell at the Swap on the 30th? Do I
get any credit or money for them?
Unfortunately, proceeds are issued only to families whose uniforms sell at the Swap. Families will be
contacted by phone or email by a member of the WYWLA PTSA to advise of items that did not sell.
Uniforms will be returned using the method designated on the Uniform Drop-Off Form.
15. Instead of using cash or a check to pay for items I want to purchase, can I swap for the value
of the uniforms I donated instead?
Since this swap is a fundraiser, PTSA will require that all items for sale at the swap be paid for.
Donated items cannot be swapped by sellers in exchange for their cash value.
16. If I place an order with Educational Outfitters or Flynn O’Hara Uniforms on the day of the
swap, will I come to the school to pick up my order?
Educational Outfitters and Flynn O’Hara Uniforms will provide separate instructions and make
arrangements separate from the PTSA’s guidelines contained here for pick-up or delivery of items
ordered on the 30th.

17. If my uniforms sell at the Swap, when can I expect the PTSA to provide me with a receipt or
proceeds for my donation?
A financial report must be prepared and approved by the PTSA before any receipts or proceeds can be
issued to families. PTSA Board meetings occur once monthly during the school year and summer break
must be considered. Checks for proceeds and receipts from donated uniforms sold can be expected
around 15-45 days after the Swap.
18. What methods of payment are accepted at the Swap?
While PTSA is accepting debit cards and credit cards through PayPal for SpiritWear, the Swap is only
accepting payment via cash and personal checks.
19. If I write a check at the swap,
when can I expect it to be
deposited by WYWLA PTSA?
Checks will be deposited between 1-
14 days from when they are received
at the Swap and received by the
PTSA Treasurer and Board.
Information from checks may be
used and submitted as part of the
financial report submitted to the
PTSA for the Uniform Swap.
20. What is the WYWLA PTSA’s
policy for writing checks?
The PTSA’s approved and adopted
policy regarding returned checks is
posted here. Please be aware that
this policy does not apply to or cover
any transactions that WYWLA
families may have or enter into with
Educational Outfitters, Flynn O’Hara
Uniforms, or other, non-PTSA
vendors.
21. If after the Swap, I realize I need
to exchange what I have
purchased, can I reach out to
PTSA for an exchange?
Unfortunately, the PTSA does not have the capacity to handle exchanges for items purchased at the
Swap. All sales are final.
22. If after the Swap, I realize that I would like to volunteer to help with future swaps, or I have
feedback on my experience, who should I contact?
We welcome volunteers and are interested in hearing about your experience as a Swap and Sale
