Adair County Youth Council October 4 th , 2015 Meeting Minutes ……...page 1 YOUTH COUNCIL MEETING MINUTES October 4, 2015 The regular monthly meeting of the ADAIR COUNTY YOUTH COUNCIL Members was held on Sunday, October 4th at the Warren Cultural Center, Green Room in Greenfield. This was a special meeting which celebrated National 4-H Week (Oct 4-10) and honored Youth Council Parents for their years of support and commitments. The meeting began at 4:01pm. ROLL CALL: Hannah Jorgensen took Roll Call due to Caroline Doud being gone. Each member was asked to tell one thing of how their parents have helped to support them in 4-H thru the years. Members present were Tim Beane, Hank Bohling, Haylee Hunt, Hannah Jorgensen, Ashlyn Kralik, Cole Sackett, Brooklyn Sammons, Alexis Shelley, Morgan Smith, Shelby Soper, Halee Wallace, Jill Wallace, Beau Weinheimer and Deena Wells. Parents Present: Elaine Bohling, Amanda Miller, Jeannette Jorgensen, Janelle Kralik , Maureen Lonsdale, Jodi Sackett, Renee Sammons, Billi Shelley, Mindy Soper, Julie Wallace and Tracy Weinheimer. Absent: Jodi Baudler (no contact), Alyssa Christensen (fence repairs), Noah Cooper (no contact), Caroline Doud (working at orchard), Heath Downing (practice), Hailey Gross (no contact), Riley Lonsdale (basketball in Truro), Sadie Marnin (no contact), Skyler Rawlings (no contact), Cade Suhr (helping dad coach), Madison Suhr (helping dad coach). WELCOME: Shelby welcomed members and parents. She explained that National 4-H Week begins to- day. Later in the meeting she will elaborate more and honor the YC parents. CALL TO ORDER: Shelby called the meeting to order and introduced this year’s new Youth Council Officers. All but Caroline were present. APPROVE MINUTES: Copies of the September 13th Meeting Minutes were provided. Brooklyn made the Motion to accept the Minutes. Halee seconded. Motion passed. COMMITTEES: Shelby referred to the poster on the wall containing the names of the YC Project Commit- tees and the list of members who have signed up for each committee. She asked that all members sign up for at least one committee and to bring project ideas to the next YC meeting. She also reviewed the names of the Chairpersons for each committee and stressed that if members had questions they could visit with the chair of the committee. Shelby asked everyone to refer to the backside of their Agenda to review the Clover Kids Program Sign Up Sheet. She explained that all YC Members were asked to help out with at least one of these workshops. This is a great mentoring and leadership opportunity. Shelby briefly went over some of the tasks YC do while they help out—such as reading stories, assisting with craft projects and helping with snacks. Deena explained that all helpers must arrive to the Greenfield City Hall at 9:30am. There will be someone from the Extension office in charge of the workshop and will direct helpers as to what they need to do. Once clean up in completed, members can leave around 12pm (sometimes earlier, depending on when clean up was finished). Jill, Beau, Morgan, Hannah, Cole and Haylee signed up for a shift. Shelby explained that she and Riley Lonsdale are once again the youth representatives for the Adair County Fair Board. This allows the Fair Board a youth’s perspective while planning for county fair and other activities. Shelby communicated how extensive the planning is for preparing each year’s county fair. OLD BUSINESS: Shelby shared her story about how YC Members promoted the Adair County 4-H Program to 4th Graders. Several members talked about their experiences during the presentations at each school. Shelby, Hannah and Madison presented at A-C. Hank, Skyler, Sadie and Jodi presented at Nodaway Valley. Ashlyn and Brooklyn presented at Orient-Macksburg—they actually visited with 3rd-5th graders. Haylee, Cole, Tim and Alexis presented to West Central Valley.

YOUTH COUNCIL MEETING MINUTES

October 4, 2015

The regular monthly meeting of the ADAIR COUNTY YOUTH COUNCIL Members was held on Sunday, October 4th at the Warren Cultural Center, Green Room in Greenfield. This was a special meeting which celebrated National 4-H Week (Oct 4-10) and honored Youth Council Parents for their years of support and commitments.

The meeting began at 4:01pm.

Shelby explained that Deena mailed out the College Care Packages—one for Vince Doud and one for Jacob Baudler. It’s a nice thing to do for new college students to give them a warm sentiment from home. She thanked all YC members who donated items for the packages.

New YC members were told to pick up their new YC binders before they leave. New binder cover pages will be created once YC members decide on their theme for their new t-shirts. All members should bring their binders to each meeting to keep their information organized.

Shelby thanked YC members who helped with the cleaning shifts at the annual Swap Meet Event at the Adair County Fairgrounds, Greenfield, in September. Members cleaned the bathroom/shower building during the event. This is one of the largest fundraising activities YC does annually. NEW BUSINESS: Mark your calendars, November 1st is the 4-H Awards Day Event. YC members help to host and do all the presenting of awards during this event. As soon as Donna Wallace finishes the scripts, Deena will email and mail copies to all YC Members so they can begin to practice their parts. This is a great public speaking experience. There will be a binder on the podium with all the scripts and you just read your lines and then you’re done. Deena asked Shelby to elaborate on what YC members should ex-pect. All members are asked to dress up. You will be seated on the stage so no short skirts. Members need to arrive to the Warren Cultural Center at 1:30pm for a group photo.

Shelby asked members if they wanted to do the County-wide Holiday Meal Event again this year or wait a year? There were members who felt we should wait a year and others who thought we could still do it if we simplified the entire event and served soup. Members were asked to check their schedules and visit with their parents because this is a big commitment during a busy holiday time. If we decide to do it in December again, we need total commitment from members. At the next YC meeting we will make a definite decision. If, at that time, YC decides to do the event, job tasks will be assigned immediately and plans will begin to happen.

Shelby asked if anyone brought ideas for the new YC t-shirt design. No one did. Members are to bring their ideas to the next meeting. New YC binder covers will be created with the new chosen design idea.

Haylee wrote on a poster board all the comments YC members and their parents made as to what they felt it means to be a Youth Council Member. These words make up the YC Social Contract. This year’s social contract says, “leadership, experiences, role models, responsibility, gaining confidence, commitment, respectful, accountable, involvement, make a difference, have fun and adhere to the attendance policy”. All members present signed the contract in agreement with what it represents. The next meeting will be Sunday, November 8th. Location to be determined—several members would like to have a bonfire somewhere. Members suggested we ask Caroline to see if she would be willing to have the meeting at her house again. Parents Appreciation: Shelby finished the meeting by giving a short presentation to the YC parents to honor them for their years of commitment, support and dedication to the 4-H program and their kids who are active members. Deena also personally thanked the YC parents for all their support this past year and credited the parents for bringing up such wonderful youth. She explained that there was cake and ice cream to celebrate our Appreciation of the YC Parents and that each parent and YC Member should stop by the photo booth for a fun picture on their way out. All parents were asked to give their permission to use their photos on the Adair County Extension Facebook page to celebrate National 4-H Week. All parent gave their permission. The meeting was adjourned at 4:50pm. Members and parents enjoyed refreshments, fellowship and the fun photo booth.
