WEB MANAGER
OBJECTIVE
The objective of this document is to provide you with instructions on some basic IP Office administrative tasks
Pre-requisites:
You must have the Administrative user account information to log into IP Office Manager
You must have your computer connected to the same network as your IP Office system

IP Office Web Manager
IP Office Web Manager will give you web access to administer your IP Office system. IP Office Web
Manager can only be used on IP Office system release 8.0 or higher. IP Office Web Manager is
supported on Internet Explorer 10 or 11, Firefox, Chrome and Safari 7.
Importing a Certificate Into the Firefox Browser
Importing a common certificate into the browser’s trusted store provides additional security. If you do not
install a certificate, you receive a message that the site is not trusted when logging in to Web Manager.
Web Manager is supported on Firefox 16+. This procedure only needs to be preformed once.
When you open IP Office Manager in Firefox a page
will open stating “This connection is untrusted” or
“Your connection is not secure
Click I understand the risks
Or
Click Add Exception
Ensure that Permanently store this exception is
checked
Click Confirm Security Exception
Continue to log into IP Office Web Manager
Importing a Certificate Into Internet Explorer
Importing a common certificate into the browser’s trusted store provides additional security. If you do not
install a certificate, you receive a message that the site is not trusted when logging in to Web Manager.
Web Manager is supported on Internet Explorer (IE) 10 and higher. This procedure only needs to be
preformed once.

Open Internet Explorer and enter the IP address of the IP Office system as http://ipaddress/index.html
Click on IP Office Web Manager
Click on “Continue to this website (not
recommended)”
In the browser window, on the menu bar in the upper
right corner, click Tools
Click Internet Options
Click the Advanced tab
Uncheck Warn about certificate address

Click on the Security tab Click on the Trusted Sites icon Click on the Sites button
Verify that the IP address of your IP Office system is shown Click Add Click Close Click OK
Open Internet Explorer and enter the IP address of the IP Office system as http://ipaddress/index.html
Click on IP Office Web Manager
At the top of the browser, the right hand side of the address field contains a Certificate Error button
Click on Certificate Error to open the security report

At the bottom of the security report, click View
Certificates
Click Install Certificate
Click Next
Click “Place all certificates in the following store”
Click Browse
Click Trusted Root Certification Authorities
Click Next
Click Finish
Click OK to close the certificate window
Open Internet Explorer and enter the IP address of the IP Office system as http://ipaddress/index.html
Click on IP Office Web Manager
Log into the IP Office Web Manager
The first time you log in to an IP Office Server Edition server using Web Manager, the system displays the
Ignition menu. Use the ignition menu to configure the initial settings for the server.

Open a web browser and enter the IP address of the
IP Office system as http://ipaddress/index.html
Click on IP Office Web Manager
On the login page, enter your username and
password
Click Login
Log Out of the IP Office Manager
In the upper right corner, click Logout
Click OK

Shutting Down the IP Office System
To shutdown the IP Office control unit, do not just pull the power plug!
This can damage the information stored on the SD card
Click Advanced in the top left corner
Click System Shutdown
Click OK
Wait for the lights on the control unit to turn red/orange before unplugging the control unit.
Create a User
Click on Call Management from the top menu
In the top right corner, click Add User

In the Name field, enter the name (max. 16
characters)
In the Full Name, enter the full name
From the Profile field, elect the profile
In the Extension field, enter the extension
From the Locale field, select the locale
In the Hunt Group Membership field, select the
hunt group
Select the User Rights View
Select the Working hours Time Profile
Select the Working hours User Rights
Select the Out of hours User Rights
Click OK
Click on Edit to edit the user and continue the user
setup
On the right you can click On to select one of the
following options for the user:
Receptionist
Enable Softphone
Enable one-X Portal Services
Enable one-X TeleCommuter
Enable Remote Worker
Enable Mobile VoIP Client
Ex Directory
Click Save to save the changes

Click on the Voicemail tab
In the Voicemail Code field, enter the voicemail
password
In the Confirm Voicemail Code, enter the
voicemail password again
In the Voicemail Email field, enter the email
address if the user is to have voicemail to email
In the Voicemail Email Mode, select the mode
you wish to use:
Copy – copies the voicemail to the email
Forward – forwards the voicemail to email
Alert – sends an email notification only
Click Save to save your changes
Create an IP Extension
Click on Call Management from the top menu
In the top right corner, click Add User

In the Name field, enter the name (max. 16
characters)
In the Full Name, enter the full name
From the Profile field, elect the profile
In the Extension field, enter the extension
From the Locale field, select the locale
In the Hunt Group Membership field, select the
hunt group
Select the User Rights View
Select the Working hours Time Profile
Select the Working hours User Rights
Select the Out of hours User Rights
Click OK
Select either H323 Extension or SIP Extension
Click OK
Click on Edit to edit the user and continue the user
setup

On the right you can click On to select one of the

Edit a User
Click on Edit to edit the user

Make the necessary changes
Click Save
Change a Voicemail Password
Click on Edit to edit the user
Click on the Voicemail tab
In the Voicemail Email field, enter the email
address if the user is to have voicemail to email
In the Voicemail Email Mode, select the mode
you wish to use:
Copy – copies the voicemail to the email
Forward – forwards the voicemail to email
Alert – sends an email notification only
Click Save to save your changes

Setup Voicemail to Email
Click on Edit to edit the user
Click on the Voicemail tab
In the Voicemail Code field, enter the voicemail
password
In the Confirm Voicemail Code, enter the
voicemail password again
Click Save to save your changes
Enable Mobile Twinning for a User
Click on Edit to edit the user
In the Profile field, select the Mobile user
Click Save

At the top select the Mobility tab
Scroll down to Mobility Features
For Mobility Features, click On
For Mobile Twinning, click On
In the Twinned Mobile Number field, enter the
cell number beginning with 9 1 area code phone
number
Click Save
Button Programming
User rights in IP Office can be managed by user or by membership to a user rights template. The user
rights template allows you to create the button programming for a group of users once instead of creating
the programming user by user.
Click on Edit to edit the user
Click on the Button Programming tab
Double click an available button

Click in the Action field
On the right select the drop down list for the
feature you want
In the Label field, enter a label (this shows on the
phone’s display)
If required, enter the data for the action in the Data
field
i.e. if the Action is “Dial”, the Data field contains the
extension or phone number that should be dialed when
the button is pressed
Click OK
Click Save
Logging In & Out of a Phone
To log into a phone, go to the phone and dial *35
Enter the extension number and press *
Enter the login code for the extension and press #
To log out of a phone, go to the phone and dial *36
