MembershipCommitteeSun.,June28,2015MAR–PacificSuiteH3:00-4:00pmIThe GODORT Membership Committee held its inaugural orientation session, called the GODORT Kick-Off, on Friday June 26, 2015. It was well attended by folks who were new to GODORT as well as veterans. We shared personal stories of why we are active members of GODORT, what we get out of membership and how we got involved in government information librarianship. The informal session highlighted GODORT events at this conference including the programs and awards reception. Afterwards, we moved to the Press Club, a local restaurant, for the GODORT Happy Hour. Being successful in its first year, the orientation session will hopefully become an annual event. Other Membership Committee activities included publishing a revised brochure and attending the ALA Membership Promotion Task Force meeting. One of the ideas for the next Kick-Off will be to create GODORT trading cards featuring pictures of GODORT members and some facts about them. These collectibles will help folks get to know key players as well as new members, sparking conversations and encouraging networking. Membership Committee did not hold a business meeting at the conference. AlignwithotherRoundTables,MAGIRTandFAFLRT,inanewgovernancestructurethatreducesthenumberofofficerpositionsneeded.GODORTcouldretainthe3TaskForcesbutothercommitteescouldbemergedwiththoseofotherRoundTables.GivenhowmycolleaguestellmeallthetimethatGODORTisineffectiveandawasteoftimeandmoney,Ithinktherecouldbegreaterstrengthinalargerorganizationwithsimilarinterests.Ofthelast3committeesIservedonrecently,onlyonewasactivewhereallmembersdidsomework.Ontheothertwocommittees,almostallmembersdidnotwork,soIdon'tthinkreducingpositionswouldaffectworkoutput.Theneworganizationcouldcreateafive-yearplanwithconcretegoalsthatwillresultinhelpfulworkproductsforlibrariansinvolvedwithgovernmentinformation.Also,havinganactiveWeborwikipresencewithcurrent,usefulinformationwouldbeextremelyhelpful.

WhileonlythefirstoftheseisbindingonGODORTasanorganizedunitwithinALA,theCommitteefoundthatbothACRLandRUSAprovidethoughtfulguidancetotheirmembershipininterpretingtheALAPolicyandservingtheneedsofbothconvenorsandparticipants.ItwasagreedthatGODORThasatleastfourpotentialusesforsynchronousvirtualmeetings:committeebusinessmeetings,generalmembershipmeetings,webinarsortrainingsessions,andwebcastsofliveface-to-faceevents.BecauseoftheSteeringCommittee’sdecisiontosimultaneouschargeanAdHocCommitteeonGODORTReorganizationtoexamineGODORT’sstructure,muchoftheCommittee’sdiscussionfocusedonthebenefitsanddrawbacksforGODORTcommitteeandtaskforceactivities.IncollaborationwiththeAdHocCommitteeonGODORTReorganization,theCommitteeconductedasurveyofmembersandpotentialmembersofGODORT.ThefullsurveyisincludedinanappendixtothepreliminaryreportoftheReorganizationCommittee.Inbrief,thequestionspertainingtovirtualmeetingsexploredfourthemes:

Basedonthe194completedsurveys,68%ofrespondentsreportattendingvirtualmeetingsorinteractivetrainingsessionsatleastonceperquarter,with28%reportingattendanceonceamonthormorefrequently.Theprimaryvirtualmeetingtechnologiesavailabletorespondentsarelandlinetelephone(88%)andheadphones(85%),with64%ofrespondentsreportingthattheyhaveaccesstoamicrophone.Almosthalfoftherespondentshaveaccesstoawebcam.Whenpresentedwithfactorsthatmoststronglyaffecttheirdecisionofwhetherattendaface-to-faceconference,84%ofrespondentsselected“Costand/orfundingavailablefromsupportingorganization.”Thenextmostpopularresponseswere“Locationofconference,”selectedby44%ofrespondents;“Abilitytogetawayfromtheoffice(eg.,short-staffedortravelapprovalprocess),”selectedby35%ofrespondents;and“Opportunitytonetworkwithotherprofessionals,”selectedby32%ofrespondents.AboutaquarteroftherespondentstypicallyplantoattendALA’sAnnualConference,andnearlyaquartertypicallyplantoattendboththeAnnualConferenceandtheMidwinterMeeting.Nearlyhalfoftherespondentsdonotplantoattendeitherevent.Althoughthetwoquestionswerenotlinked,abouthalfoftherespondentsindicatedtheywouldparticipateinvirtualeventsheldduringbothAnnualandMidwinter.Intermsoftheeffectofvirtualmeetingsoncommitteeparticipation,resultsweremixed.53%ofrespondentsagreedthatmorevirtualcommitteeserviceoptionswouldmakethemlikeliertoserveonacommittee,while44%indicatedtheseopportunitieswouldnotchangetheircurrentlevelofinterest.Thismaybeduetoothercommitmentsoranalreadyhighlevelofinterestincommitteeservice.Also,whenaskedwhethervirtualcommitteeservicewouldchangetheirlevelofinterestinattendingface-to-facemeetings,only19%(Midwinter)and11%(Annual)reportedthattheywouldbelesslikelytoattend.Infact,24%(Midwinter)and22%(Annual)reportedthattheywouldbemorelikelytoattend.Fromatechnologicalperspective,educationaleventscanalreadybehostedwiththeexistingALAinfrastructure,andgeneralmembershipmeetingsoutsideofconferencescouldalsobeconductedusingALA’sexistingvirtualmeetingplatform,AdobeConnect.Forsmallerbodiessuchascommitteesandtaskforcesthatmaybeconductingvirtualmeetings,ALA’ssubscriptionisimpracticalduetologisticalissues.Additionally,theplatformisnotdesignedtosupportwebcasting.TheCommitteehasdevelopedapreliminarylistoftoolsandfunctionsthatshouldbeeasilyavailableformeetingorganizers:
