Personally Identifiable Information on GovDelivery

To reduce the amount of Personally Identifiable Information (PII) hosted on non-DOE computers, we’re deleting these fields from GovDelivery:

• Street Address• City• ZIP Code• Phone Number• Name of the organization they work at• Professional Title

All other data will be kept in GovDelivery.

If you have questions, please email Carolyn Hinkley by August 31!

Communication Standards Website Section Update

We’ve updated almost everything in the “website” section of Communication Standards!

Developing Websites in DrupalThe new “Energy.gov CMS” section explains how to create pages, blocks, links, download pages, and other useful features in Energy.gov.

New, User-Tested NavigationWe conducted surveys and ran tree tests in order to develop a more user-friendly navigation.

Completely Overhauled ContentWe rewrote 72 pages and deleted 17!

We completely overhauled Project Process and Approvals, Web Writing, Graphics and Images, Templates, and Navigation.

Publication Library Status

Issue: The Need for Consistency

1. The current Publications Library needs enhancements and an updated template.

2. Publications are not being consistently added to the library.3. Tech Offices are creating their own libraries.4. Library navigation is inconsistent.

Why Do We Have a Shared Publications Library?

We have a shared EERE Publications Library because it serves a vital role for records management, including:

1. Providing statistics for publication orders at the EERE Fulfillment Center.

2. Fulfilling congressional requirements to provide all copies of scientific and technical documents to the Office of Scientific and Technical Information in Oak Ridge. This is especially important for publications created at HQ rather than the EERE labs.

3. Determining overall EERE communication needs, such providing a single collection of EERE documents in a central place.

4. Enforcing EERE branding and print governance.5. Assisting in records management and other communication

requirements from NARA, GSA, OPM, and OMB, among others.

Problems Caused by Having Multiple EERE Libraries

Beyond the benefits of a shared library, the EERE Publications Library is a search tool for customers, among other things. Because of that:

1. If all Tech Offices do not add to the Library, then the inventory--and hence customer searches--will be incomplete.

2. If many different EERE libraries exist, then finding publications will be complicated and confusing.

3. Multiple EERE libraries directly go against several directives including: • Reducing the number of websites• Increasing accountability and transparency of information• Streamlining communication• One EERE.THE EERE PUBLICATIONS LIBRARY WAS INITALLY

CREATED TO PREVENT THESE PROBLEMS!

Publications Library v 2.0

1. The EERE Publications Library is among the last to be migrated to energy.gov. Improvements have been on hold, but are long overdue.

2. We want the Library to work well for all EERE. While we require that all EERE offices comply, we do not want to enforce this without ensuring that the Library functionality serves the purposes of the Tech Offices.

We want to open the dialogue and get feedback on how to improve the EERE Publications Library’s functionality and usefulness.

Let’s work together to make the Library better for our stakeholders.

1. By October 15, 2015, we ask that you:• Continue to put all of your publications into the Library

so the collection is current.• Ensure that each Tech Office website links to the

publications library from its left navigation. 2. If you have questions about how to treat that, contact the
